Welcome to Registration 2016 As you have set up your club details for the 2016 season, you are ready to begin registration. The middle section on the Club Home Page is where you will manage all registrations for your club Registration Page The following screen is the list of set up options that are available on the registration page. A brief overview of each section is provided below. For more in depth details of each section, please view the additional guides on the support and video page http://www.myfootballclub.com.au/index.php?id=40 Re-Register Returning Players New Registration Over 18 s New Registrations 18 s & Under Take Payments Approve Registrations Cancellations Re-Register players who played last year Register new players over 18 years who did not play last year Register new players 18 years and under who did not play last year Receive payments from players who have self registered Accept or reject players who have self registered Manage player de-registrations Self-Registration If you encourage your players to self-register the main areas you will be working within are Take Payment and Approve Registration. Take Payment When a player self-registers, they have the option to either Pay Now Online or Manual Payment at Club. If a player chooses Manual Payment at Club they will be labeled as Pending Awaiting Payment in the system. Registrars must go to the Take Payment section to process their payment. Registrars can process an online payment through this section, or manually change the players status to Paid and the player then becomes Pending Awaiting Approval. Approve Registration Players who self register will have a Pending Awaiting Approval status. Players will remain in this status until the Club Registrar authorises the registration by accepting the player which will change their status to Active. 2

Club Registers Players If your club has decided to register all their players in the system, or part register players in the system, you will be working with 3 main sections; Re-Registering Returning Players This will be the main section used by your club when registering players in the system and will include all players who registered with your club in the previous season. This section will include both Youth and Adult players. Over 18 s Registration You will use this section for your Adult players who are new to your club. This section includes a searching ability which allows you to check whether a player is already in the system, this may be due to the player registering with a different club the previous season. U18 s & Under Registration You will use this section for your Youth players who are new to your club. This section includes a searching ability which allows you to check whether a player is in the system, this may be due to the player registering with a different club the previous season. Completing Registration Forms Returning Players When you register your club s existing players in the system, they must complete an amateur registration form (NRR03), which will either be given to you by your Member Federation or can be found on the MyFootballClub website. (http://www.myfootballclub.com.au/index.php?id=41) New Players to Football When you register new players to football they must complete an Amateur Registration (NRR03). You will have the ability to generate an FFA number for the player via the system. A copy of this form must be sent to your Member Federation, who will send the form to FFA for their records in case of an insurance claim or regulatory issue. Player Status When you register your players you will need to understand the player registration status labels in the system. They are defined below for your information, and are used regardless of whether players self register or the club registers players. Status Active Pending Awaiting Approval Description The player is deemed to be registered with your club. This does not mean the player is fully registered with your Member Federation. Please check with your local Member Federation or Association for any additional registration requirements. The player has paid, but has not been accepted by the Club. Pending Awaiting Payment Inactive The player has not yet paid the Club. The player was previously registered, but does not have a new registration for the season. Cancelled Declined Pending (Waiting List) A registration with a club has been cancelled Player has been declined by the Club Player has registered for a package where the max number of players has been exceeded. Pending (ITC) Player has registered pending International Transfer Certificate. 4

New Registration - Over 18 s New Registration (Over 18 s) should be used if you have a player who turns 19 or older in the current year, and who did not play for your club last season. This could either be a player who is new to football or a player who was previously registered to play football with another Club. For a club to register a player in New Registration (Over 18 s) the player must have completed a registration form. The first step in this area is to search for the player to determine whether they exist in the system. Tips & Considerations It is possible that a player s name and details may have been incorrectly entered into the system. Try entering the player s initials and date of birth, to find players who may be in the system with an incorrect first or last name. It is important to make sure the players email address is up to date as this will be used by the player to access their information and so to enable them to self-register in the future. If the player was registered with your club in 2015, their contact details will be displayed similar to Re-Register Returning Players. Step 1: Select New Registration -Over 18 s from the main menu 5

Step 2: Search for the player Perform a search for the player using either: - FFA No and DOB OR - First Name, Last Name and DOB TIP: You can enter part of a player s name to search rather than the whole name. Eg. Christopher can be found by entering Chris. Similarly, players may register using their short name as opposed to the full name as shown with Chris and Christopher Click on the Search button Step 3: Search Results Based on the search results, two scenarios are likely to occur - Scenario 1: Player is in the system (Record Found) - Scenario 2: Player is not in the system (Record Not Found) Scenario 1: Record Found The following screen will appear if a record is found Click the Select button next to the record for the player you want to register and their details will be displayed on the next screen TIP: If the player has an active registration with another club, a message will pop up to advise you. TIP: The players FFA #, First Name, Last Name and D.O.B are displayed across the top of the window so you will be aware of which players record you are managing. 6

Scenario 2: No Record Found Click on Add New Player If the player has a FFA number you may enter this in the FFA number field If the player does not have a FFA number you may click on Generate to create one Complete all mandatory fields listed with an * Ensure all contact details are correct as the player is new to the club Once you have entered the required fields, click Register Player. 7

Step 4: Entering the Players Contact Details Record Found: If you are registering a player which has been found in the system you will still have to enter in their contact details such as email address, contact number and residential address. Step 5: Completing Registration Details Select the Registration Package option on the left hand side of the page. This is the player s Fee Package. If the player last played overseas, you will need to tick Was the player s last registration to play football in another country? Click Save & Proceed to continue 8

Overseas Players If you select yes for the question Was the player s last registration to play football in another country? You must contact your Member Federation or local Association to apply for an International Transfer Certificate in order to receive clearance for the player to play in Australia. You may be fined if you register a player without clearance. This is an international FIFA rule, which is applied to both amateurs and professionals in the game. Step 6: Additional Questions If there are no mandatory questions the box below will pop up. To skip additional questions, click Complete Terms and Conditions. The number of additional questions may vary depending on how many have been setup by State Federations, Associations and your Club. If there are no Mandatory Additional Questions, you can skip this section. Step 7: Terms & Conditions Please ensure that the actual registration form has been signed by both the Player and Club representative. Ensure that you enter the correct dates from the form. Depending on your competition rules you may also be required to sight proof of date of birth. Click on Next to proceed. 9

Step 8: Take Payment A popup box is displayed with the available four available payment options. If your Club has been setup for online payments, the option to take an online payment will be available, otherwise this option will be disabled. PAYMENT OPTION Option 1 Process Online Payment Option 2 Record Cash Payment in Full Option 3 Record Manual Payment Option 4 Skip Payment DESCRIPTION This will only be available if your club has completed FFA s Online Payment Request Form. This will allow you to take an online payment by using credit card details provided by the player. This will allow you to record a manual payment for the full amount, paid in cash on the current date. This option does not allow you to specify the payment type, date or comments to the payment. This is the quickest option to update the registration status as Paid. This is where you can manually enter the payment date, amount and comments regarding This option can be used if you want to record that the player s registration has not been paid. The status of the registration will remain as Pending Awaiting Payment. The registration cannot be made Active and the registration is not complete until payment has been recorded. 10

Option 1: Process Online Payment Note this will only be displayed if your club has registered for this service. Enter the Credit Card Number, Card Security Code (3-digit number on back of card), Expiry Date, Name on Card and the email address to send a copy of the payment advice (this field is optional) Click on Next. You are then asked to confirm payment. If the details are correct click on Pay. If the transaction has been successful the transaction details will be displayed. Click on Close to continue with the registrations process. Option 2: Record Cash Payment in Full Select Take Cash Payment in Full. Note that the amount and date will be automatically displayed. Click on the Continue button which will take you to the Summary Page. Option 3: Record Manual Payment Select Record Manual Payment Click on the Continue button. This will take you to the manual payment page. Note that the system cannot take partial payments. Ensure the full amount is in the payment amount, select payment type and enter the date paid. Partial payments require clubs to actively pursue payments as this is not recorded on the system. You can also enter comments (e.g. receipt numbers, dates, reminders etc.) Click on Save and then the Next button on the Order Summary screen. Option 4: Skip Payment Select Skip Payment Status will remain as Pending Payment. Click on the Continue button which will take you to the Summary Page. Note that on the Summary page you will only be able to Save the registration. You will not be able to Save & Accept the registration. 11

Step 9: Summary Click Save and Accept Player to complete the registration. Transaction Record You will then be presented with a record of the transaction. Please note the Transaction number is for internal processing only. You do not need to keep a record of this number. The options below will appear at the bottom of the screen. Exit Takes you back to the Club Home Page. Start New Registration from Club List Take you to your club list in Re-Register Existing players. Start New Registration Takes you back to the beginning of New Registration - Over 18 s. 12

New Registration - 18 s & Under New Registration (18 s & Under) should be used if you have a player 18 years or younger in the current year, and who did not play for your club last season. This could either be a player who is new to football or a player who was previously registered to play football with another Club. For a club to register a player in New Registration (18 s & Under) the player must have completed a registration form. Step 6: Additional Questions If there are no mandatory questions the box below will pop up. To skip additional questions, click Complete Terms and Conditions. The number of additional questions may vary depending on how many have been setup by State Federations, Associations and your Club. If there are no Mandatory Additional Questions, you can skip this section. Step 7: Terms & Conditions Please ensure that the actual registration form has been signed by both the Player and Club representative. Ensure that you enter the correct dates from the form. Depending on your competition rules you may also be required to sight proof of date of birth. Click on Next to proceed. 17

Step 8: School Information This section is only for junior players (those turning 18 or younger this current calendar year). Entering this information is optional. If you wish to skip this step click on Next to continue to the payment step. A list of all the schools in Australia is already recorded in the system. To find a school enter the school in the School Name field and click Search Click the Select button next to the school you want to use. The schools details will be displayed. Click Save and Proceed to continue to the next step. 18

Step 9: Take Payment A popup box is displayed with the available four available payment options. If your Club has been setup for online payments, the option to take an online payment will be available, otherwise this option will be disabled. Step 10: Summary Click Save and Accept Player to complete the registration. Transaction Record You will then be presented with a record of the transaction. Re-Registering Returning Players This process can be performed to re-register returning players to your club. Please note this section will only enable you to register players who registered with your club last season. If a player was registered with your club in the previous season, they will not be found in the list of players in this section which means you will need to complete a new registration online for this player. Tips & Considerations When you are registering a player in this section they must have completed a NRR03 registration form. We suggest you manage one team/age group at a time. You can determine the age group by using the Year of Birth filter. This will be explained later in this guide. There are a number of drop down lists and sort filters which can be used to assist you in finding the list of players you wish to register for the season. The sort filter and drop down lists will then be remembered next time you click start registration from club list. Step 1: Select Re-Register Returning Players from the main menu 22

Step 2: Finding the players to Re-Register Use the Drop Down Boxes to find your players Select the Gender, Adult/Youth, Football Type, Last Initial Select GO Step 3: Finding the players to Re-Register Once you have found the player you want to register, click the Re-Register button next to their name. The player details screen will appear below. Check the contact details are correct, including the email address field. Click the Add New Registration button. 23

School Information Please note if you are registering an 18 s and under player you will have the option to add schools information for each player. However this is not mandatory. Refer to the 18s & Under Registration Manual for details on completing these steps. You can also enter comments (e.g. receipt numbers, dates, reminders etc.) Click on Save and then the Next button on the Order Summary screen. Option 4: Skip Payment Select Skip Payment Status will remain as Pending Payment. Click on the Continue button which will take you to the Summary Page. Note that on the Summary page you will only be able to Save the registration. You will not be able to Save & Accept the registration. 28

Step 10: Summary Click Save and Accept Player to complete the registration. Transaction Record You will then be presented with a record of the transaction. Please note the Transaction number is for internal processing only. You do not need to keep a record of this number. The options below will appear at the bottom of the screen. Exit Takes you back to the Club Home Page. Start New Registration from Club List Take you to your club list in Re-Register Existing players. Start New Registration Takes you back to the beginning of New Registration - Over 18 s. 29

Take Payments This is the section where you can update the payment status for an individual s registration. This is where a player can be found if they are Pending Awaiting Payment, which is the status a player will become automatically after they have self-registered and NOT paid online. This process allows a Club Registrar to review a Player s invoice and take a payment against an unpaid invoice. Tips & Considerations Take Payment will allow you to process bulk payments. If you manage your registration payments outside of the MyFootballClub system, we advise you to utilise the Bulk Payment option. Take Payment in Full, is quicker when processing individuals and Bulk payments PAYMENT OPTION Option 1 Take Manual Payment in Full Option 2 Take Manual Payment Option 3 Take Online Payment DESCRIPTION This allows you to quickly take payment without inputting any further details. If you manage your registration payments outside of the MyFootballClub system, we advise you to utilize the Bulk Payment option above. Take Payment in Full, is quicker when processing individuals and Bulk payments. Step 1: Click Take Payments from the main menu 30

Step 2: Search for players who are pending awaiting payment Searching for all outstanding Payments If you would like to bring up a list of all your players who are pending awaiting payment Click Run Unpaid Player List Searching for Individuals Enter the FFA number, Last Name OR Invoice Number of the player. You can also enter other information if required (e.g. player s First Name). You can also search for non-playing registrations, such as volunteer by changing the Role field. Click on Search. Step 3: Take Payment The search results will appear in a table as shown in the image below. The table will show the payment status of all players within your club who have a payment status of Not Paid. This will also show players from previous seasons. You can use the drop down boxes of Gender, Season, Payment Type, Paid Status, and Last Initial to find the specific players or individuals you wish to process. Taking Payment from an Individual Player: Click Select next to the individual s record. Taking Payment from Multiple Players: Tick the boxes next to the individuals you wish to process and Click Bulk Payment. 31

Bulk Payment Process This will take you to the Manual Payment screen below Select Payment Type. Enter the Date Paid. You can also enter any comments if required (e.g. receipt numbers) Click Save The information you enter here will be applied to all the selected registration records. A message will pop up as highlighted above asking whether you would like Approve the registration now. This means the player will become ACTIVE and will therefore be registered with your club. If you don t want to approve the registration at this point you can select No, Do not Approve. If this is selected please return to the main menu and select Approve Registrations to activate the player at a later stage. 32

Individual Payment Process This will display the Order Details screen. You can print or email the invoice by clicking on View Invoice. You can view the details of the invoice by clicking on the + button. Click on Take Payment to process the payment. A popup box is displayed with three options. If your Club has been setup for online payments you will have an option to take an online payment available. If you have not been setup for online payments this option will be disabled. PAYMENT OPTION Option 1 Record Manual Payment in Full Option 2 Record Manual Payment Option 3 Process Online Payment DESCRIPTION Where you take a manual payment in full with cash on the current date, this does not allow you to add any details regarding date, or comments to the payment. Where you can manually enter the date, payment method and comments regarding the payment. This will only appear in the box if your club has completed FFA s online payment request for. This will allow you to take an online payment by using the Players Credit Card details provided. 33

Option 1 Manual Payment in Full Select Take Manual Payment in Full Note that the amount and date will be automatically displayed. Click on the Continue. You will then be prompted to approve the registration. Option 2 - Manual Payment Select Take Manual Payment. Click on Continue. You will then be prompted to approve the registration. Note that you cannot take partial payments. Payment Type gives you a list of options (e.g. Cash, Cheque etc) and a date of payment can be entered. You can also enter comments (e.g. receipt numbers, outline of payment deadlines for part payments, etc). Click on Save to continue. 34

Option 3 Online Payment Enter the Credit Card number, Card Security Code (3-digit number on back of card), Expiry Date, Name on Card and the email address to send a copy of the payment advice (this field is optional). Click on Next. To cancel the online payment, click the close button You are then asked to confirm the payment. If the details are correct click on Pay. If the payment is successful the transaction details will be displayed. Click on Close to continue with the registration process. After the payment has been processed a message will pop up as highlighted below asking whether you would like approve the registration now. This means the player will become ACTIVE and will therefore be registered with your club. If you don t want to approve the registration at this point you can select No, Do not Approve. If this is selected please return to the main menu and select Approve Registrations to activate the player at a later stage. 35

Approve Registrations This section will allow you to approve registrations. Once you accept a player s registration they become ACTIVE and are deemed to be registered with your Club. You will also have the ability to reject a player s registration in this section. Tips & Considerations This section will show you players who are pending. If a player is Pending Awaiting Approval, this means they have either paid online, or you have taken payment through the Take Payment section in the system. You can approve players through either the Take Payments or Approve Registrations sections. If the player is Pending Awaiting Payment, you can reject their registration but you can t accept until you have taken payment. For Instructions on how to do this please refer to the Take Payment step by step guide. Once your players have been accepted, their registration is complete and you can then view their registration through Search by Individual or Search by Club List. Step 1: Click on Approve Registrations from the Main Menu 36

Step 2: Select a Player Use the various drop down fields (as shown in the top row next to search results) to find an individual or a group of players you would like to accept and then select GO, to bring up the list of players in the grid. Select the player(s) you wish to accept by checking the box to the left of the players FFA number. Step 3: Click on Approve Selected Registration(s) A popup message will ask you Are you sure? Click OK if you are sure A popup will display a message Registrations Updated Successfully. Click on OK. You will return to the Registration page where you can click on Exit to return to the Main Menu. TIP: You can upload a photo from here by clicking the players name and uploading a photo in the pop up box 37

De-Registering a Player This guide will outline the key steps to requesting and processing a cancellation (otherwise known as a de-registration) in the MyFootballClub System. Tips and considerations A player or club can only request a de-registration when the player has been made ACTIVE in the system. When the player is PENDING, a de-registration request is not required. You can decline a registration in the Approve Registrations area. In the 2016 season a club can request De-registration through the Player registration section. Emails are sent to notify both players and clubs of a de-registration notification. There are two ways to deregister a player; 1. The club can initiate the de-registration (Club requested De-Registration) 2. The player can initiate the de-registration (Player requested De-Registration) Club requested De-Registration Step 1: Club logs in through club registration Select Search by Club List or Search By Individual 38

Step 2: Find Player Enter the FFA number, Last Name and Date of Birth of the player. You can also enter other information if required (e.g. player s First Name). You can also search for non-playing registrations, such as volunteer by changing the Role field. Click on Search. Step 3: Click the DeRegister Player Button 39

Step 4: Cancellation of Registration Complete the pop-up box that appears making sure all sections are completed. Tick the box giving permission from the above player to cancel their registration. Step 5: Player Acknowledges De-Registration This will then notify the player that a De-registration has been requested. When they log in to self-registration they will see a button labelled Acknowledge DeRegistration as shown below. The player will just need to click this button to acknowledge the De-registration request. Once a De-registration has been requested, the registration has not been cancelled until the association confirms the deregistration. Once this is done, only then can the player register for another club. Once the association has confirmed the deregistration, an email is sent to the player confirming that they can register with another club. 40

Player requested De-Registration Step 1: Player logs in to MyFootballClub Click DeRegister on the club you wish to de-register from Step 2: Player submits cancellation of registration A box will appear and the player selects the reason for their de-registration, and ticks the over 18 s box. The Submit button will only become available to select, once the Over 18 s box has been ticked. You will then note a status of Requested De-registration will appear next to the registration record. 41

Step 3: Club logs onto admin page Club selects Cancellations from the main menu Step 4: Selecting a Player Use the drop down fields to find the player you wish to De-Register, then click GO Tick the box next to the player you wish to de-register, and click Accept Deregistration Request 42

Step 5: Accept Confirmation A message below will appear. Click YES to confirm. The message below will appear and advise you that the competition administrator will now complete the De-Registration. Click OK The association or member federation will approve the registration. The player is then free to register with another club Step 7: Monitor De-Registrations Clubs can monitor de-registrations by using the Status drop down box, and selecting the appropriate status. 43

Non Playing Roles MyFootballClub has the ability for clubs, associations and branches to register Coaches, Match Officials (Referees) and Volunteers. Tips and considerations In order to register a non-playing role, an appropriate fee and package must be setup. Individuals will have one FFA number which follows their various roles within the game. Non playing roles can also be registered through Self Registration. For more detailed information on this, please refer to the Self Registration manual. Step 1: Create Package A new package will need to be created for each non playing role type. The process for creating a non-playing role package is the same as for players, except the TYPE must be changed from Player to a Coach, Volunteer or Referee, as shown below. Note: If you would like to enable Coaches or Referees to Self register, simply tick the check box Available to Online Self Registration. 44

Step 2: Select Registration From the Club Homepage, select Over 18 s Registration or 18 s & Under Registration depending on the age of the member. Step 3: Search for Member Enter the member s FFA number and DOB, or First Name, Last Name and DOB. From here you will be taken to the Individual Details screen. Confirm the contact details and select Register Non Playing Role. Tip: If the member has a current registration for your club, their contact details will be pre-filled. If the person is new to your club, you will need to enter their details for the first time. Tip: If the member is already in the system as a player, you will be able to add the non-playing role to their account. If the member is new to football, you will need to create a new account by selecting Add New Player. 45

Step 4: Select Non-Playing Type Role A pop up window will appear and ask you to select from Referee, Coach or Volunteer. Only types that you have created a fee for will be able to be selected. Step 5: Completing the Registration After you have selected the Non Playing Role type, you will be taken to the Role Registration screen. The information on this screen will differ depending on the Non Playing Role chosen. Here are the following screens you will see for each Non Playing Role type. Complete the registration by Selecting the appropriate Category, Status, Package and Qualification Level (if necessary). After you have done this, click Save. REFEREE 46

Step 6: Completing the Registration You will be given the option to answer any additional questions, or you can bypass this by selecting Proceed to Summary. Step 7: Finalising the Registration You will have two options at the final page. Option 1: Select SAVE, the Non Playing role will remain as Pending Awaiting Approval, you will then have the ability to go to Approve Registrations section, and finalise the registration at a later date. Option 2: Select SAVE AND ACCEPT and the Non Playing Role will be made ACTIVE, and is officially linked to your Club. 48
