1 EXPORT OUTLOOK ITEMS TO A PERSONAL FOLDERS FILE (.PST) You may want to create your mailbox archive prior to migration, although it s not necessary while all your mailbox data will be transferred to your new mailbox. Outlook 2013 Outlook 2013 is not supported with new server. For installation newer version of Outlook please contact support@span.hr. Before installing newer version of Outlook create.pst file following these instructions: 1. On the File menu, click Open & Export, and then Import/Export. 2. Click Export to a file, and then click Next. 3. Click Outlook Data File (.pst), and then click Next. 4. Select the account a top level folder that you want to export. This enables exporting all mail, calendar, contacts, tasks, and notes if available for that account. NOTE: You can only export information for one account at a time Make sure that the Include subfolders check box is selected 5. Click Next 6. Click Browse to select where you want to save the Personal Folders file (.pst) and to enter a file name. 7. If you are exporting to an existing Personal Folders file (.pst), under Options, specify what to do when exporting items that already exist in the file. 8. Click OK, and then Finish. Outlook 2010 1. 3. Under Export, click Export. 4. Click Export to a file, and then click Next. 5. Click Outlook Data File (.pst), and then click Next 6. Select the account a top level folder that you want to export. 2 MS OUTLOOK RECONFIGURATION DUE TO SYSTEM MIGRATION 2.1 DELETING EXISTING EXCHANGE E-MAIL ACCOUNTS Open MS Outlook. Depending on Outlook version you use, choose one of steps listed below: Outlook 2013 or 2010 click File, Info, Account Settings > Account Settings Outlook 2007 click Tools, Account Settings Outlook 2003 click Tools, E-mail Accounts, View or change existing e-mail accounts All defined user accounts will be shown for current profile. Click on user account which is defined as Microsoft Exchange, and then click Remove. Please repeat this step if more Exchange account exists. 2 1 After deleting all user accounts connected to old Exchange server, please configure Outlook for new user profile with user instructions listed below*. *You should have received your user name and and password in an e-mail, if you hadn t please contact your administrator. Depending on Outlook version, please choose one of chapters listed below. 2.2 OUTLOOK 2007, 2010 AND 2013 ADDING NEW EXCHANGE ACCOUNT, AUTOMATIC CONFIGURATION Open Outlook. Click on File, Info, Account Settings > Account Settings. Click on New button. For automatic configuration enter name of the user, e-mail address and your password (twice). Click on the Next button Outlook will configure new user account automatically. 2.3 OUTLOOK 2007, 2010 ADDING NEW EXCHANGE ACCOUNT MANUAL CONFIGURATION Note: In Outlook 2007 and 2010 versions, option Manually configure server settings or additional server types should be chosen. With that option checked, manual configuration is the same for all Outlook versions. Choose Microsoft Exchange Server compatible service option, and then follow instructions as follows. Enter the data: Exchange server: casarray.posita.local Username: name.surname@domain.com (example: koraljka.haberle@digitalniured.hr) Example Outlook 2013: Example: older version od Outlook Click on button More Settings In some versions of Outlook sometimes error message can be shown click OK if it pops out. After click on OK button, window Microsoft Exchange Server General will pop out, click OK again. Digitalni ured Business mail STRANICA 6
Window Microsoft Exchange will pop out click on Connection tab and turn on option Connect to Microsoft Exchange using HTTP. Dialog box appearance could differ depending on Outlook version. Click on Exchange Proxy Settings... Window Exchange Proxy Settings will be shown, enter data as described below: - In field Use this URL to connect to my proxy server for Exchange enter: mail.poslovnihub.com - Check the option Connect using SSL only - In field Only connect to proxy servers that have this principal name in their certificate enter msstd: mail.poslovnihub.com Digitalni ured Business mail STRANICA 7
- Check both options: o o On fast networks, connect using HTTP first On slow networks, connect using HTTP first - Set Proxy authentication Settings on: Basic Authentication Click on OK, and OK again to close previously opened dialog box. Digitalni ured Business mail STRANICA 8
In dialog box E-mail Accounts click on Check Name button. Wait until username gets underlined. Depending on Outlook version, dialog box for entering user name and password can be shown if that happens, enter user name and password given by your administrator and click OK. Please restart Outlook and wait few minutes for Outlook to synchronize with new mailbox. Digitalni ured Business mail STRANICA 9
2.4 OUTLOOK 2010, 2013 CONFIGURING ADDITIONAL MS EXCHANGE E-MAIL ACCOUNT IN THE SAME PROFILE MS Outlook 2010 and 2013 supports having many Exchange account inside one Outlook profile. For adding additional Exchange user account choose File, Info, Add Account. To define new e-mail account follow the steps described in previous chapters (automatic or manual configuration) please check chapter 1. 5 MOBILE DEVICE SETTINGS Before setting your mobile phone, please remove all existing Exchange e-mail accounts. 5.1 GENERAL SETTINGS E-mail address: name.surname@company.com (example: koraljka.haberle@digitalniured.hr) Server: mail.poslovnihub.com NOTE: if you re not sure your mobile user name, please login to site https://moj.poslovnihub.com and check this information. Security connection: SSL 5.2 SETTING IOS (IPHONE, IPAD I IPOD) DEVICES 1. Tap Settings > Mail, Contacts, Calendars > Add Account > Microsoft Exchange. 2. Enter the information in the fields Email, Password (twice) and Description, then hit Next (leave Domain field blank) 3. Your ios device will now try to locate your Exchange Server. If necessary, you will need to enter your front-end Exchange Server's complete address in the Server field - mail.poslovnihub.com 4. Choose which content you would like to synchronize: Mail, Contacts, and Calendars. 5. Tap Save when finished. Note: To modify your exchange settings, Tap Settings > Mail, Contacts, Calendars, select your Exchange account, and tap Account Info. Digitalni ured Business mail STRANICA 13
5.3 SETTING ANDROID DEVICE First remove your old Exchange Account: 1. tap Settings, Accounts, Microsoft Exchange ActiveSync 2. tap account to delete 3. tap Remove account To add new Exchange Accout do the following: 1. tap Settings, Accounts, Add account 2. tap Microsoft Exchange Activesync 3. enter your e-mail adresu, lozinku and tap Manual setup Digitalni ured Business mail STRANICA 14
4. enter your Sign-in name in Domai\User name field: 5. Accept Activation: 6. if certificate error show up, tap Continue: 7. wait for phone to check settings: 8. Accept Remote security administration: 9. check ActiveSync Settings: Digitalni ured Business mail STRANICA 15

6 OUTLOOK WEB ACCESS To access your mailbox over the Outlook Web Access (OWA) application, open any Web browser and type https://mail.poslovnihub.com/owa. Log in using your email address and current password. 6.1 CHANGE YOUR ACCOUNT PASSWORD (OWA) 1. Open any Web browser and type mail.poslovnihub.com/owa 2. Log in using your email address and current password (you should have received your user name and password in an e-mail, if not, please contact your administrator) 3. Once you are logged in, click on Options, Change Your Password located at the top right hand corner of OWA. If you don't see the option to change your password directly under Options, click Options > See All Options, then click Change your password 4. Enter your former password as well as your new password, and then click on Save. 5. Outlook Web App will tell you that your password has been successfully changed. Click on OK to log in with your new password. Note: If you also connect to your account from your mobile device, after you update the password for your account, you also need to update the password in the settings on that device to match your new password. Similarly, you also need update the password in the settings of any other desktop e-mail application you may be using (for example, Apple Mail, or Microsoft Outlook). 7 SELFCARE PORTAL FOR ADMINISTERING YOUR DATA AND SERVICES To access your personal information, see what services are activated, and change your password, open any Web browser and type https://moj.poslovnihub.com/. Log in using your email address and current password. Once you are logged in, please review you profile, company information, update personal information etc. Digitalni ured Business mail STRANICA 17
8 CREATING NEW EMAIL PROFILE IN OUTLOOK It s not necessary to create new profile for you user account prior to migration this steps provides steps on how to do it if you want to create a profile from some other reason. Prior to creating new profile, please shut down MS Outlook if it s opened. Opet Control Panel, and click on Mail icon. Mail Setup dialog box will be shown: In the Mail Setup dialog box, click Show Profiles. Under When starting Microsoft Office Outlook, use this profile, click Prompt for a profile to be used, and then click Add. Digitalni ured Business mail STRANICA 18
In the Profile Name box, type the name that you want to use for the new email profile, and then click OK. New user account wizard will be shown. Enter your name, e-mail address and password (twice). Depending on the Outlook and Windows version, dialog box appearance could differ, but steps are the same. For further Outlook configuration like adding new account, please check previous chapters. 9 IMPORTING.PST FILE 1. Activate Open Window (please select one of offered steps depending on your Outlook version) Outlook 2013 File, Open & Export, Open Outlook Data File. Outlook 2010 File, Account Settings in Info category > Account Settings, tab Data Files. Outlook 2007 File, Data File Management Outlook 2003 File, Open, Outlook data file 2.
