Foundation IT Written approximately Dec 2010 1 Outlook Web Access With the new version of Exchange 2010 Outlook Anywhere has been enabled and configured with a secure socket layer (SSL) certificate from the recognised public certificate authority Global Sign. Appropriate firewall rules have been configured thus enabling users to gain access to their email remotely using various methods provided they have an internet connection. 1.1 Outlook Web Access (OWA) Outlook Web Access (OWA) can be used to gain access to the users Inbox using most internet browsers. The site is accessible from https://mail.sgm.ac.uk/owa
Note: When entering the username and password please prefix the username with either domain suffix. sgm.local\ or sgm_nt\ Once logged in you are presented with your inbox much the same as normal outlook... 2
Important NOTE: When finished accessing your mailbox please ensure you sign out (top right of browser) and close the browser session you had open to prevent any unauthorised access to your SGM mailbox. 3
1.2 Smart Phones Configuring Smart Phones for access to Mailboxes: Exchange 2010 plays well with all major brand smartphones. Select your phone from the list for connection instructions. Please note that these are guide lines and you may need to refer to your smart phones manufacturer for instructions. Apple IPhone 1. To add an Exchange account to your iphone device, tap Settings > Mail, Contacts, Calendars > Add Account > Microsoft Exchange. 2. On the next screen, enter your complete SGM email address, domain (sgm.local), username, password, and a description (which may be anything you like). 3. Your iphone device will now try to locate your Exchange Server using Microsoft's Autodiscovery service. If it cannot locate the server, you will see the screen below. Enter your Exchange Server's complete address (mail.sgm.ac.uk) in the Server field. Your iphone device will try to create a secure (SSL) connection to your Exchange Server. If it cannot do this, it will try a non-ssl connection. To override the SSL setting, go into Settings > Mail, Contacts, 4
Calendars, select your Exchange account, tap Account Info, then toggle the Use SSL slider. After successfully making a connection to the Exchange Server, you may be prompted to change your device passcode to match whatever policies may have been set on your server. 4. Choose which type or types of data you would like to synchronize: Mail, Contacts, and Calendars. Note that by default, only three days' worth of email is synchronized. To synchronize more, go into Settings, then Mail, Contacts, Calendars, select your Exchange account, and tap on Mail days to sync. Note that after configuring an Exchange ActiveSync account, all existing contact and calendar information on the iphone device is overwritten. Additionally, itunes no longer syncs contacts and calendars with your desktop computer. Android Setting up Microsoft Exchange Email 1. From the Applications Menu, touch Email or. 2. Type in your email address and password. Check the box only if you want this to be your default email account. Touch Next. 3. Touch Exchange Account. 4. Enter your Exchange Server information (mail.sgm.ac.uk) and touch Next. Note: Select "Accept all SSL certificates" 5. Your phone will check the incoming server settings. 6. If everything is correct the Account Options screen will appear allowing you to customize your account settings. 7. Finally, you will be asked to name this account and enter the name that will be displayed on outgoing messages. touch Done when complete. Windows Mobile 1. On the mobile phone, from the home screen, click Start, and then click ActiveSync. 2. Click Menu, and then click Configure Server. 3. Enter the server address mail.sgm.ac.uk. 5
4. Select the 'This server requires an encrypted (SSL) connection' check box. 5. Click Next. 6. Enter your username (for example: smitht), your password, and the domain as sgm.local 7. Select the Save password check box. 8. Click Next. 9. Select the check box next to each type of information you want to have synchronized with the server, and then click Finish. 6
1.3 Microsoft Outlook Clients Users can also use Microsoft Outlook (2003 onwards) to connect to their SGM Mailbox remotely without having the need for a VPN connection. The Exchange Proxy settings will need to be configured with the appropriate setting on the email account for this to work. Please note these instructions assume the email account has been pre-configured to SGM s network. 1. Within Outlook click the email account settings (outlook 2010 click file, Account Settings). 2. Click on the SGM Email account and select the Change Button 3. Note that if you are not connected or logged into the SGM network you will be prompted with a connection box. Enter your SGM domain credentials prefixing your username with sgm.local\ 4. Click the More Settings button bottom right: 7
5. Tick box connect to Microsoft Exchange using HTTP then click on the box Exchange Proxy Settings: 8
6. Enter Mail.sgm.ac.uk for the https address 7. Tick box only connect to proxy servers that have this principal name in their certificate and enter msstd:mail.sgm.ac.uk 8. Change Use this authentication when connecting to my proxy server for Exchange to Basic Authentication Click on Ok until you have returned to Outlook. You will now be ready to connect your SGM email remotely. 9
