1. POSITION OUTLINE Position Title Receptionist / Admin Support Officer Reports to Bursar Leadership Principal, Bursar Responsible to Principal Start Date Term 1, 2016 Contract type Permanent position Employment Basis 0.65 FTE (part-time, 8:30am 1:30pm, five days/week) Salary $51,200 - $63,760pa FTE (depending qualifications / experience) Annual Leave 4 weeks paid in arrears + 2 weeks stand-down time (unpaid) 2. POSITION SUMMARY This position is a part time (0.65 FTE) administrative support role in our School (Preschool- Year 10). The advertised role is a permanent one that, in time, could grow depending on enrolment growth. The successful applicant will require abilities in the following areas: 1. Office work and receptionist duties in general, including the use of word processing, spreadsheet and publishing software. 2. To work independently on a number of well-defined tasks / duties. 3. To be an effective and efficient part of the administrative staff team. 3. KEY POSITION REQUIREMENTS: 1. Appropriate qualifications and/or demonstrated competence in receptionist / admin support duties including use of word processing, spreadsheet and publishing software. 2. Demonstrated ability in managing students, staff, parents and visitors. 3. Demonstrated ability in the prioritising of competing work demands with excellent time management skills. 4. 4. AREAS OF RESPONSIBILITY 4.1 WORK DUTIES: 1. Answer the phone; redirecting enquiries as appropriate. 2. Ensure that all rolls are marked and all students accounted for by 10:00am each morning. 3. Respond to initial enrolment enquiries. 4. Visitor reception. 5. Mail collection and redistributing as necessary; manage the posting of all out-going mail. 6. Manage the distribution of all internal mail. 7. Promptly receipt all monies received over the counter, mail or to school s bank account. 8. Manage the distribution of internal invoices (eg. uniforms) & collation of external invoices 9. Collate and reconcile all credit card statements 10. Manage bus bookings for excursions / trips 11. Respond to all emails sent to the Secretary / Absences / Accounts email accounts 12. Photocopy as and when necessary or directed 13. Prepare, copy and distribute School s weekly newsletter the Communicator 14. Maintain general admin and student files, including archiving 15. Maintain office supplies and order School supplies as directed 16. Maintain family and student databases on the School s administrative software (PCSchool) 17. Provide first aid services (training provided as necessary) and supervise sick children 18. Manage parent cleaning roster (including the issuing of email & paper reminders) 19. Manage documentation for student, parent and visitor arrivals and departures 20. Prepare the fortnightly payroll memo 21. Assist the Finance officer with data entry tasks as required 22. Liaise with the Finance officer and Bursar as needed. 4.2 WIDER DUTIES 1. Being safe and assisting others to be safe. 2. Manage staff tea/coffee roster and supplies. 3. Manage / coordinate catering arrangements for all School-based functions. 4. Manage the supply and sale of student uniforms 5. Undertake targeted professional development as identified by the Bursar and/or Principal. 6. Other duties as assigned by the Bursar or Principal. 4.4 PERSONAL QUALITIES: 1. Be well organised and demonstrating excellent time-management skills. 2. Willingness to participate in identified professional development opportunities. 3. 5. SELECTION CRITERIA FAITH AND LIFE 1. A sound profession of faith in Jesus Christ as Lord and Saviour, supported by active involvement in a local Protestant church and communicant membership (or equivalent) in good standing of the same. 2. Demonstrated understanding of, and personal commitment to, the Biblical reformed faith as defined by the Westminster Confession of Faith primarily, and other reformed confessions of faith. 3. A Christian worldview which is evident in life and character. QUALIFICATIONS 4. Appropriate qualifications and/or demonstrated competence in receptionist / admin support duties including use of word processing, spreadsheet and publishing software. 5. Demonstrated ability in managing students, staff, parents and visitors, and good organisational skills including the prioritising of competing work demands and excellent time management overall. 6. Previous involvement in Christian education an advantage. WORK PRACTICE 7. Commitment to excellence and confidentiality in all areas of work. 8.
