Directions for Using TIES 2.0 One-Clicks and the Grade Level Facilitators Excel Template This set of directions assumes you know how to log in to the TIES website and open Excel. If you need support in these items please contact your district tech-support person. This set of directions gets all 4 reports from TIES, then opens the excel template and pastes all 4 into the template. You may paste one report at a time if you prefer just adjust the directions accordingly. 1. Click on I-Cue to get to the One Click Reports. You can click on I-Cue under Teacher Access or Administrative, your access rights are set by your name so you can enter all accounts through both. IMPORTANT: If you are creating reports for just one subject area Math or Reading you still need to download and paste in all 4 GLTF One-Clicks. The reason is because of the limit of 30 columns of data in each One-Click, we had to overlap math and reading content. Your reports will not have complete data unless you paste in all 4. 2. Below is the new screen that appears when you enter One Clicks. There are 2 parts. The top part is a set of filters that you can use to specify which students you want to see in the report. The bottom part is the list of One Click reports that determine which scores you will get for the students you selected above. Click on the grade level you want first, then click on the first GLTF report (GLTF MATH GR 2-5 in this example). USER TIP: The first time you select something in the filters and reports sections, the program will automatically take you to that information. If you change something in the filter area or select a different one-click, then you will need to click on the GO button to get that information. When you change your request in the filter or oneclick report, you must click on GO to get the new request. 2
USER TIP: After you have selected a filter and one-click report, the program will hide the Filter part so that you can see more of the student data. If you want to continue to get information for this grade level, all you need to do is change the one-click report after the Select One prompt. If you want to change to another grade level or by some other filter, click on Show Filter to bring that part of the screen back up. 3. When the GLTF report comes up, click on the Export Excel button to download a copy of the information to put into the Excel template. 4. To get the remainder of the GLTF reports for the selected grade level, just go to the One- Click Reports Select One box. A drop down menu will appear. Change the report to the next GLTF report. When the report appears, click on Export Excel. Repeat process until you have downloaded all 4 reports for the selected grade level. 5. Downloaded reports will go to the location specified on your computer. Please talk with your district tech person if you don t know where to find downloads. USER TIP: Downloads are now labeled with ExportedStudents_district number_building number_year. The names of your downloaded reports will not have the date and time of download in the name. To tell your first report, second, third and fourth look at the numbers after 2012. The first report will have just 2012, the second report will have 2012-1, the third will have 2012-2, the fourth report will have 2012-3: 1 st download GLTF MATH GR_ - ExportedStudents_district#_building#_2012.xls 2 nd download GLTF MATH STRAND - ExportedStudents_district#_building#_2012-1.xls 3 rd download GLTF READ GR_ - ExportedStudents_district#_building#_2012-2.xls 4 th download GLTF READ STRAND - ExportedStudents_district#_buildings#_2012-3.xls If you are doing multiple grade levels and continue to download reports, the numbers will just continue to increase with each additional report. 4
USER TIP: The order of the GLTF One-Clicks is the same order as the tabs in the Excel template Excel Template Tabs: Raw Data - Math Raw Data - Math Strand Raw Data - Rdg Raw Data - Rdg Strand 6. Go to the SCRED website (www.scred.k12.mn.us) and download the Excel template. You will find it under: Instructional Services, Grade Level Facilitator Resources, One-Click Reports. IMPORTANT: Each time you run a report, it is important to download a fresh copy of the template. If any changes have been made, then you will have the updated form. 7. Open the template, go to the tab labeled Raw Data Math. USER TIP: Use the arrows in the bottom left side of the screen to navigate across the different sheets (tabs) in the workbook. 8. Under File, select Open. Choose the first downloaded file ExportedStudents_district#_building#_2012.xls (GLTF MATH GR_). See USER TIP after step 5 if you have trouble finding which download to select. 9. Once the downloaded file is open, Put your cursor in the upper left cell that has a small diamond shape icon, or in newer version it s a small triangle. This selects everything in the sheet. Under Edit, select Copy, or the keyboard shortcut is Control C 10. Use Window in the upper Menu bar to navigate back to the GLTF Template. 6
11. Once back in the Excel template, be sure you are on the correct sheet (tab) for the data you are pasting in. (See second USER TIP after Step 5.) Paste the copied information into the sheet: under Edit, select Paste or Control V. USER TIP: No need to click on anything in the sheet in the excel template. Each sheet is already highlighted for you, all you need to do is select under Edit, Paste or do Control V. MOST COMMON ERROR: If you look at your reports and they don t look correct, the most common error people tend to make is that they paste the information into the wrong sheet (tab) in the template. To check for this error: Look at the Raw Data - Math sheet (tab) you should see titles in the header that show Math scores for MCA, MAP and MCAP, Math Facts scores Look at the Raw Data - Math Strands you should see titles that say MAP Math and the names of the strands: Number and Operation, etc. Look at the Raw Data Rdg you should see titles for Reading scores on MCA, MAP, ORF Look at the Raw Data Rdg Strands you should see Reading MAP scores and the names of strands: Word Recognition and Vocab, etc. If this happens, start with a fresh copy of the Excel template. Use the already downloaded files but check as you paste that each file is going on the appropriate sheet (tab). See the second USER TIP after Step 5.
