Simplified Interline Settlement (SIS) Excel to XML Conversion Tool (MISC) Matt MCKINLEY SIS Workshop, June 2012, Montreal
Problem SIS offers two ways to enter data Data capture through IS-WEB Through file (IS-XML via iinet or IS-WEB interface) Manual capture is designed for a low volume of simple invoices: Adapted for small airlines or business unit IS-XML requires a system to produce a file Adapted to a larger airline or solution provider with a flexible system Some charge codes require an extensive amount of line item (detail) information to be captured 2
Solution Offer an alternative option Transform Excel files in XML 12 charges codes included: Engineering Line Maintenance Ground Handling Lounge Ground Handling passenger Handling Ground Handling baggage delivery Ground Handling Catering Ground Handling Crew Accommodation Ground Handling De-Icing Ground Handling PAX Security Partner Alliance Block Space Partner Alliance Code Share Partner Alliance Frequent Flyer Miles Service Provider Fee 3
Benefits Most of the Excel benefits: Copy paste feature Use formulas to tally amounts Templates can be reused IS-XML is sent back to billing carrier in order to avoid duplicate data capture in your internal accounting system Same transaction cost as manually capturing via IS-WEB Easy to deploy 4
Limitations Template should not be altered One invoice per file No online validation 2 Error reports to be checked XML Transformation error report SIS validation report Files or invoices (depending on Member Profile set up) in error have to be deleted in SIS before resubmission Recommended to validate invoice in Sandbox first You need to understand the invoice structure 5
Excel template (users perspective) Completed IS-XML Excel Template Input SIS (Conversion Tool) Passes Validation IS-XML Fails Validation Error Report 6
Excel template Simple structure 4 sheets: Header information Line item Line item detail File Info One XLS template per charge code (12 templates) Environment field Production or Sandbox 7
Excel template The templates include comments which include information from the record structure and ISPG which pertains to a specific field Mandatory fields are indicated by Bold text 8
Submitting the Excel Template Completed Excel templates should be zipped and submitted via iinet [XLXM recipient code] The Charge Code portion of the name should not be changed when naming the file Ex) Engineering Handling LMYYYYMMDD.zip. The string of characters after the Charge Code can be modified (YYYYMMDD) 9
Validation The Conversion tool picks up files every 10-15 min for validation and conversion Upon submission to the conversion tool, the input Excel undergoes a validation process similar to what takes place in SIS In case of validation errors, a validation report is returned via iinet to the account specified in the File Info tab 10
Transformation error message ColumnValue ShortDesc LongDesc erte Invalid data type. Invoice Payment Terms Exchange Rate is not a decimal number. erte Value must be greater then zero. Invoice Payment Terms Exchange Rate, when entered must be greater than zero. fgh Invalid data type. Invoice Taxable Amount is not a decimal number. 1520011444 Invalid data type. Line Item Start Date is not a valid date. 11
Output Process If there are no validation errors, the conversion tool will send the newly converted XML to the designated destination as well as submit a copy to your iinet code. From this point, the process is the same as the normal file submission process in SIS; the newly created XML file will be sent to SIS for validation and settlement (in case of production) 12
