Creating an Event Step 1: Login to your Virtual Office Proceed to http://www.paperly.com and click the Consultant Login link in the top right corner of the page (see Image 1). Image 1 You will need your Consultant ID and password to login to your Virtual Office. Step 2: Access the Events page Once you have logged in, click on the Events link in the Virtual Office menu (see Image 2). Image 2 Step 3: Create an Event From the Events screen, choose Party Event (see Image 3). Image 3 Currently, Paperly only offers a Party Event, but in the near future, will offer other event types, such as Catalog Party or Bazaar. Step 4: Complete Event Details Now, enter the Event Details (Image 4 shows only a partial display of all the details tied to an event). Each detail is discussed below. Image 4 1. There is currently only one event Type available: Party Event. 2. Enter the Starting Time for the party. 3. Enter the Date of the party. 4. If the Show On Your Site checkbox is checked, then this party will appear on your personal website (assuming you have subscribed to one), in the Contact Me section, under the My Events link. 5. Choose the event Description carefully, because it will appear as the event title in a number of places, including (i) your Event home page, (ii) your Event calendar and (iii) the guest s RSVP page. 6. The Event Details will also appear in a number of places, including (i) your Event calendar and (ii) the guest s RSVP page. 7. Enter the event s location for Address Line 1, Address Line 2 and Zip Code. 8. If the Allow Shopping checkbox is checked, then guests may shop online, at your personal Paperly website, up until the time you convert the event into an order. The Hostess will receive credit for any online purchase initiated via the event. 9. The Order Type may be modified at anytime prior to the event being converted to an order. Clearly, if the Party Order criteria are achieved (see Paperly s Policy Statement for the definition of a party), then you should chose that order type so buyers can take advantage of the reduced shipping rates tied to parties. 10. The order type (see #9 above) will automatically drive the appropriate Shipping Method, so you effectively ignore this item. 11. If you want the Hostess to be carbon copied on each guest s RSVP, then check the Email Responses to Host checkbox. Paperly recommends you check this box. 12. If you want the Hostess to be able to help create the invitation list, send HTML email invites and review the guest responses via the Hostess Portal (see the Hostess Portal training guide), then check the Send Login Information to Host checkbox. 13. Assuming you have chosen to send login information to the Hostess (see #12 above), then it is critical you enter the Hostess Email address accurately. 14. Assuming you have chosen to send login information to the Hostess (see #12 above), then you need to create a Password for your Hostess to login to her Hostess Portal. The password must be unique and will automatically be emailed to the Hostess email address (see #13 above). 15. Enter the Hostess contact information, including First Name, Last Name, Address Line 1, Address Line 2, Zip Code and Home Phone. Be sure to click the Update and Continue to Invitations button to save the data you just entered. Step 5: Create Attendee List Once you have created the Event Details, you will need to create the attendee list. The following process is EXACTLY the same for the Hostess after she had logged-in to the Hostess Portal (see the Hostess Portal training guide). To enter an invitee, simply add her Email Address or click the Search Contacts link to select from your existing list of customers (see Image 5). Image 6 1. Check the Can Attend checkbox if you know already that she will attend the party. 2. If the Send Invitation checkbox is checked, then the system will send this guest an HTML invite to this party, when you tell it to. The system will automatically update both checkboxes as changes occur. For example, when a guest RSVPs yes, then the system will automatically check the Can Attend checkbox. If you wish to re-send an invitation to a guest who has already received one, simply return to that guest s contact information (Image 6) and re-check the Send Invitation checkbox. 3. Enter the guest s contact information, including First Name, Last Name, Address Line 1, Address Line 2, Zip Code, Email and Phone numbers. 4. If the OK to Email checkbox is checked, then this guest has not elected to unsubscribe to any of Paperly emails. 5. If you wish to include any reminders or Notes about this guest, feel free to do so in the field titled Notes. Step 6: Confirm Guest List Assuming you have sent the Hostess her login information, she too can add to the guest list. At anytime, she or you can assess the status of each guest (see Image 7). 2. Response: If the guest has included a comment in her RSVP, you could review her response here. 3. RSVP: Y means the guest plans to attend; N means the guest does not plan to attend. 4. Follow-Up: As part of the RSVP, a guest can ask you to follow-up with her because (i) she is interested in learning more about the Paperly opportunity or (ii) she is interested in hosting a Paperly party. Either response would trigger a follow-up (see Appendix B: The Guest s Experience for additional details). 5. Order: If you allowed shopping (see Step 4, #8 above), then a Y in this column would indicated that this guest has placed an order via your personal, Paperly website. Step 7: Modify the Invitation Paperly has already created an HTML email template for you to use. At anytime you may slightly modify the email by clicking the Invitations link located in the top left corner of the page (see Appendix A: Navigation for additional details). From the Invitations page, you may change the invitation s subject as well as append a personal note (see Image 8). Image 8 1. The Invitation Subject appears at the top of the email you send. A good subject line might be, Sally Smith invites you to her Paperly party! The subject line is critical to ensure the recipient opens the email, so Paperly highly recommends you include words in your subject line that increase familiarity i.e. the Hostess name, your name, Paperly, etc. Be wary of words that trigger SPAM filters i.e. free, sale, etc. Lastly, subject lines need to be short, because most email systems truncate after a few dozen characters. 2. You may append a personalized Invitation Message to the bottom of Paperly s templated email. A good message might be, Look forward to seeing you at Sally s! Or perhaps you highlight that month s promotion. Step 8: Send the Invitations Once both the Hostess and you have completed the guest list, you may click the Send Invitations Now button. You will then re-confirm the invitation list, and as soon as you click the Send Invitations button, the personalized HTML invitation will be sent (see Image 9). Image 9 ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ Step 9: Convert the Event to an Order Once an Event has occurred, and all shopping cart orders from have been entered, you may click the Create The Order button located in the bottom left-corner of the Events page to convert the event into an order (see Image 10). Image 10 *** IMPORTANT NOTE *** Clicking the Create The Order button is irreversible. All new responses to the event s invitation as well as all new orders tied to that event will be ignored. Do NOT click the Create The Order button until you are 100% certain that all shopping cart orders related to this event have been submitted. The Create The Order button is very useful, because it automatically converts all the event s shopping cart orders into the beginnings of a party order, but please do NOT prematurely click it. Appendix A: Navigation At anytime while creating an event, you may skip to any section of the events module by choosing any of the navigational links located in the top left corner of the screen (see Image 9). Any option that includes shop online now will take the guest to your personal, Paperly website as soon as she clicks the Send Response button. If a guest requests a follow-up, it will appear in both the guest list (see Step 6, #4) as well as in your Virtual Office, in the Order Online section, under the Follow-Ups link. 5.
