How to create a New Distribution in MediaSource Premium 1 Choose from the screen menu at the top of your screen. 2 located on the top left-hand side of the screen. 3 Your are now in the New Distribution screen. The first step in creating a new distribution is to define how you want to setup your distribution. This includes assigning a name, selecting the contact list you are sending this distribution out to, and so on. (See Chart 1) 3a Assign a unique and descriptive name to your new distribution. 3b Give your distribution a brief description. 3c Select the contact list you are sending this distribution to. 3d Leave this field blank if you want your distribution send immediately. Otherwise follow the format example to send your distribution at a later time or date (make sure you include EST). 3e Check the Send By Contact Preferences box. Otherwise choose another method that allows you to override the contact's preferences. 3f Enter your Activity Comments. This text will be inserted as an activity for each contact in your distribution list. This helps to keep track of who you have sent distribution to. 3g Save to continue. 4 After you have successfully completed the previous step, you will be taken to the Distribution Preview page. This page allows you to setup your e-mail, fax, or mailing labels. You will need to setup each one of these items separately. SETTING UP THE E-MAIL 4a from the Distribution Preview screen to begin setting up your e-mail. (See Chart 2) 1 Enter a valid e-mail address in the Reply E-mail field. 2 Enter the subject of your distribution in the Subject field. Be creative and avoid subject lines that may be construed as Spam, many Spam blockers look for keywords (i.e. free, win, money) stopping your e-mail before reaching the intended recipient. 3 Message Type allows you to choose between sending a text e-mail, an HTML and text e-mail, or a text e-mail and attachment. (In order to use the HTML feature you must have an HTML e-mail created before this step. You must also have a text e-mail created for this feature because if someone on your distribution list does not accept HTML e-mail. The text e-mail will be sent to them instead.).

SETTING UP THE E-MAIL CONT... 3 4 In Merge Field select the field you want included in your message and click (Repeat this step to add additional Merge Fields.) Enter in the body of your e-mail message in the Message field. This will be the text-only portion of your e-mail. 5 to save your e-mail message. 6 You are now taken to the Distribution - Email Information screen. This screen allows you to view the setup of your e-mail. From this screen you have the ability to: - save your current distribution e-mail. - edit your current distribution e-mail. - This option only appears if you selected HTML and Text e-mail from the previous screen. Attachment from the previous screen. - This option only appears if you selected Use the following steps to upload an HTML document or an Attachment: 7 to upload your HTML e-mail. Steps 7--13 are only necessary if you are sending an HTML e-mail, or an attachment. 8 to locate your HTML e-mail on your computer, or network. 9 10 11 12 document has been uploaded. to upload your HTML e-mail, and save changes to your distribution. on the HTML Document Upload screen that informs you your HTML You will be brought back to Distribution - E-mail Information screen where you can view the HTML document you uploaded. to make sure you uploaded the correct HTML file. Once you have confirmed you uploaded the correct HTML e-mail, click to commit your changes. 13 You are brought back to the Distribution Preview screen.

How to create a New Distribution in MediaSource Premium cont... 5 After you have successfully completed setting up your e-mail, your next step is to setup the fax. Keep in mind this option only appears if you selected to use a contact's distribution preference, or selected to fax everybody your distribution. Also, sending a fax uses 2 points per page if you use a cover page (an e-mail costs 1 point). If you selected to send everybody an e-mail regardless of there contact preference, skip past Setting up the Fax to Step 6. SETTING UP THE FAX 5a from the Distribution Preview screen to begin setting up fax for distribution. You are brought to the Distribution - Fax Information screen where you will setup how you want your fax to be distributed. 1 By default Include Cover Sheet is selected. You are charged when you send a cover sheet, but it is good practice to use a cover sheet so the recipient can see who the fax is coming from, and get and overview of what is contained in the fax. Uncheck this box if you do not want to send a cover sheet. 2 In TO: (merge fields) select the field you want included in the TO: line and click (Repeat this step to add additional Merge Fields.) 3 4 Enter your name in the FROM: field. Enter the subject of the fax in the Subject: field. 5 The Note: field allows you to be more descriptive of the contents of the fax you are sending. You have a maximum of 79 characters you can enter into this field. 6 to save your fax information to your distribution. 7 You are now taken to the Distribution - Fax Information screen. From this screen you have the ability to: - save your current distribution fax. - edit your current distribution fax. - upload the document you want faxed. 8 to upload the document you want to fax. 8a Enter a brief description in the Fax Document Description: field. This information will be useful to you and others to see what has been sent out without having to view the fax. 8b to locate the document you are sending as a fax on your computer, or network.

SETTING UP THE FAX CONT... 8c Choose a resolution type to send out your fax. standard - used for text, low file size, faster transmission fine - used with graphics, larger file size, slower transmission 8d to upload your fax and save changes to your distribution. 9 on the Fax Document Upload screen that informs you your Fax document has been uploaded. 11 You will be brought back to Distribution - Fax Information screen where you can view the Fax document you uploaded. (It may take few minutes before you are able to few your fax.) 12 Once you have confirmed you uploaded the correct document, click to commit your changes. 13 You are brought back to the Distribution Preview screen.

You will notice two new buttons on your screen. and Testing your distribution will allow you to see how the recipient will see your e-mail or fax and to ensure you are sending out a clean, error-free, and properly formatted message. Also, you are not charged for sending yourself a test e-mail or fax from your CISION account. TESTING 6a from the Distribution Preview screen to test your campaign. 1 Enter your e-mail address in the Test E-mail Address: field. 2 Enter your fax number in the Test Fax Number: field. 3 to send your distribution to your e-mail, fax, or both. 4 on the next screen informing you that your test distribution will take between 5-10 minutes to complete. 7 After you have sent your test message you will be brought back to the Distribution Preview screen. You will not be able to send your distribution until your test message has been successfully sent. Refresh your browser if you have relieved your test message but the send button has not reappeared. 8 to send your distribution. Your distribution will be sent out 5-10 minutes from the time you click Send. You can view the status of your distribution by going to Distribution -> My Mailbox. The status column allows you to view the progress of your distribution. In Progress - Your distribution is queued and waiting to be sent. Sent - Your distribution has been successfully sent. on Sent to view details about your distribution. Failed - You distribution was unable to be sent. You may have set your distribution to be sent at a future time and date and forgot to add EST to the string.
