Host - Dialing In To An Adobe Connect Meeting This How-To Guide will walk a Connect Meeting Room Host through the process of starting the Audio option within a Connect Meeting room. NOTE: The Attendees may use either phone or mic and speakers. There is no way to mute Phone Audio when giving this permission to Attendees. Make sure the Attendees are aware that they will be heard at all times unless they mute their phone during the meeting. Enter Meeting Room Scroll down to the bottom of the meeting room information and select the Enter Meeting Room button. The Meeting Room The meeting room will open. Select the Audio menu at the top of the meeting room. Host - Dialing In To An Adobe Connect Meeting - 5
Start Meeting Audio Select the Start Meeting Audio... option. Start Meeting Audio Options The Start Meeting Audio options box will display. By default everything will be selected with the exception of the Enable microphone rights for participants option. If all participants need to have the ability to speak during the meeting select the Enable microphone rights for participants option before selecting the Start button. Select the Start button after all options have been selected. NOTE: The Enable microphone rights for participants option can also be selected from the Audio menu after the meeting has been started, but the participants will not be able to make the selection before they enter the Meeting room. Make this selection now if the participants need to have Computer Mic Audio access before the meeting starts. Host - Dialing In To An Adobe Connect Meeting - 6
Join Audio Conference The Join Audio Conference option is for the Host, the creator or lead person running the meeting. How will the Host be joining the meeting? One of the last two options should be selected. The Dial-in to the Audio Conference via Phone option will only allow the Host to use the phone to communicate within the meeting room. The Participants will have this same selection box available when they start their audio. Dial-in to the Audio Conference via Phone More information will be displayed with the Dial-in to the Audio Conference via Phone option selected. This is one of the locations to acquire the dial-in phone number. Host - Dialing In To An Adobe Connect Meeting - 7
Using Computer The Using Computer option will allow the Host to use a microphone connected to the computer or the phone, but only one option can be used or Feedback will be generated and the sound will run through the computer mic and phone line to all participants. Select the Join button after the desired option has been selected. NOTE: For best performance, the Host should use the phone option and disable the mic and speakers on the computer. Regardless of which option is selected, the Host must dial-in with the meeting room phone number so the participants using a phone can join the meeting. Connecting To Audio Bridge The Connecting To Audio Bridge notification box will appear. This will inform the Host that Connect is trying to make a connection with the phone bridge. This notice will close within a few seconds or it can be closed by selecting the X or the OK button. Host - Dialing In To An Adobe Connect Meeting - 8
Adobe Flash Player Settings The Adobe Flash Player Settings box will appear if the Using Computer option is selected. The Allow button must be selected in order to use the Computer Microphone and Camera. Show Notifications The Show Notifications button will display any notifications that are necessary for the meeting. In this instance the notification is the Dial-in details. Dial-in Details The Dial-in Details will display. This information includes the 800 number and the MeetingOne Conference Room Number. The Host PIN will never display in this area. Dial into the conference and wait for the attendees to join. Periodically get on the phone, as the Attendees start joining the meeting, and ask them if they can hear the audio. The Mic, if used, should also be tested. Make sure the desired option is working correctly. NOTE: Keep the PIN number in a safe place. The PIN should never be given out to anyone. Dial The Meeting Conference Number Dial the 18008320736 number and wait for the recorded operator to give instructions. The first thing the operator will ask is to enter the * key, the Room Number then the # key. An example would be, *3591034#. The Operator will then ask for the Host Pin. Again the pin will be entered just as the Room Number was entered, the * key, the Pin Number and the # key, *400138#. Locking The Room "Open" For Attendees Locking the room Open for Attendees refers to the phone line. This option is used if the mic will be used by the Host in place of the phone for the main audio presentation. NOTE: Remember, the Host must dial into the Audio Bridge first in order for the Attendees to be able to join the Audio part of the meeting using the phone option. Enter The Lock Open Code Once the Phone Bridge connection has been established enter the following sequence, *52*1# and hang up the phone. Now the Host can use a microphone without the chance of feedback from the mic and phone being used at the same time. The attendees can access the meeting using a local phone or a cell phone. End The Audio Call The final step at the end of the meeting is to shut down the Phone Bridge. This step need only be used if the Phone Bridge was Locked Open for the Attendees. End the meeting with the normal proceedure at the end of this guide if the Phone Bridge was not locked open. To end the Audio portion of the meeting dial the 18008320736 number and wait for the recorded operator to give instructions again. Enter the Host Pin. There will not be a prompt for the Pin since the room was locked open. Enter the * key, the Pin Number and the # key, *400138#. After the Pin has been entered the Audio Shutdown Code will need to be entered. Enter the following, *9#. This will close all audio connections and shut down the audio portion of the meeting. Microphone Or Phone Remember only one of the Audio devices can be used at one time. If the Phone is going to be used mute the Microphone in the room. The Mic can be muted by selecting the Microphone Utility Icon. When the mouse pointer hovers over the icon, the Mute My Microphone dialog will appear. Select the Mic icon. NOTE: This step will not be necessary if the Phone option was selected. Host - Dialing In To An Adobe Connect Meeting - 11
Unmute My Microphone Notice the line through the icon, this indicates that the Mic is muted. Select the Mic once more to unmute. Start The Meeting The Audio is now ready and the meeting can start. End Meeting When the meeting has come to an end select the Meeting menu in the upper left corner. Then select the End Meeting option at the bottom of the dropdown list. NOTE: This step will ensure that the Audio Bridge has been disconnected so no unnecessary charges will occur on the University phone bill. End Meeting Options The End Meeting Options dialog window will display. There are a few options to set within this dialog window. The End Integrated Audio Conference is selected by default and should stay selected. There is a default message for all the participants to see or a more personable message can be typed and saved as a default. The Open this URL for everyone option can be selected and a URL can be pasted in the Select the OK button when all changes or additions have been made. The Meeting Has Ended The meeting has ended and the phone connection has been disconnected. Close the browser windows and hang up the phone.
