Step 1 Personal Bank Accounts On the Personal Bank Accounts page, Doris Smith can see the bank accounts into which her pay is currently being credited. If she clicks on Add a New Account, Doris would then need to specify bank, branch and account details. Step 2 Add a New Account Select Continue

Step 3 Select a Bank Search or to return list of valid Bank Codes Step 4 Select a Branch Select Search or to return list of valid BSB Branches. Alternative option to enter search option in City to return values

Step 5 Add Account Details Enter Account Name and Account # details - online validations exist on the Account Name and Account Number fields Step 6 Save Confirmation Account Details Confirmation of new Bank Accounts details saved Step 7 Review Bank Account Summary Bank Account View now displays updated Bank Account entry

Step 8 Editing a Bank Account Edit Bank Accounts The function is to update Account Name and Account # details only. To update BSB or Bank you will need to Add a New Account and delete the old BSB or Bank Id setup Step 9 Deleting a Bank Account Deleting Bank Accounts To delete an old bank account, please select the function Important Note: You can not delete an account that is currently used for Pay Distribution. You must delete the Pay Distribution first prior to deleting a Bank Account.

Pay Distributions Doris can also amend the distribution of funds between these different bank accounts by clicking Pay Distribution Instructions on the Personal Bank Accounts page or via the Portal Menu option on the left hand side. Important Notice Each Distribution has a Priority order. This determines the order of payment during processing with your lowest Priority order taking precedence over other Priorities e.g. Priority 1 Distribution will be processed before Priority 2 Distribution. The exception to this Rule is the Priority 999 Row which is your Remaining Pay default. You must have a Priority 999 row set up as your Remaining Pay default. After all distributions have been debited, the remaining balance of your pay will be credited to the Bank account set up as your Priority 999 row. A series of online validations exist on the Distribution page to check that the correct Distribution details are entered. A list of validations for both Bank Accounts and Pay Distributions are detailed further in this document Employees with multiple employee record numbers will be prompted to select which Active Job to update Bank Distribution details. The Job List view will display all Job statuses against each of your Jobs. Step 1 Select Job Title List of Doris s current Pay Distributions is displayed. Step 2 Add a New Distribution ADD a New Distribution

Step 3 Add new or Update Account for Distribution Select Add a New Distribution Instruction Select Add when adding a new Distribution that does not currently exist. If you want to update your Remaining Pay Priority 999 row, then refer to instructions further in the document. Select Bank Account Details hyperlink for the selected Bank Please refer to the Distribution Instruction Details Step 4 on the next page for important advice.

Step 4 Distribution Instruction Details Submit Net Distribution detail of Amount and SAVE. System will automatically increment the next Priority No. by 1. No other entry is required other than to enter an $ Amount Value. Important Note: The University s preference is for you to use a $ amount rather than a percentage. The Primary Account checkbox only applies to your Remaining Pay account default i.e. your 999 Priority row.

Step 7 Deleting an Existing Distribution How to delete an existing Distribution Select the Distribution to be removed and click the Function Doris is prompted for reconfirmation of Yes or No for a Delete Action Step 8 Update Remaining Pay Distribution Updating my Remaining Pay Distribution Doris wants to update her Remaining Pay Account from Bank of WA Ltd to ABS Building Society. Apply the following steps: 1. DELETE existing 999 Priority Row 2. Select ADD a New Distribution and nominate Bank Account for New Distribution 3. In one action, override Priority No. Row to 999 and tick/check the Use for any Remaining Pay checkbox and SAVE. o Note: The $ Amount field will be greyed out Step 9 Review Distribution View The Distribution View displays updated Priority 999 Row: - Remaining Pay flag default now set against Doris s ABS Building Society Bank

List of Common Bank Account and Pay Distribution online Validations Error Message Account Name is required Field is required. You have left a field empty and a value must be entered Account Number must be <= 9 digits No other characters except digits 0 9 are allowed Explanation Account Name is required Account # is required Account # can be up to 9 digits You can not enter mixed combination of alpha and numeric The account is currently used for Net Distribution You cannot inactivate or delete an account unless it is removed from all Pay Distributions set for this employee Number field format error. Please reenter using the proper format Cannot specify amount and percent Field allows for the entry of numbers only when alpha only or mixed alpha and numeric characters are entered You have entered both an amount AND percent. Only one option can be added A Percent or Amount must be provided, or the Use for any Remaining Pay Both Percent and Amount fields are blank and Use for any Remaining Pay checkbox is unchecked Using this entry for any remaining pay will render another entry invalid Priority instance number of zero is not allowed Payment method with priority number x already exists Only one entry can be used for remaining pay. Priority instance field is blank. You must enter an instance number User has overridden Priority No. for new Distribution with a Priority No. that is already in use. Please assign a different priority no.
