1 Quick Reference Guide: Quick Access Menu s Throughout Practice Manager you can access various specific options from several different screens for your convenience. This guide will explain how you can take advantage of using these options within the patient details and the clinic list screens. Also within this guide you will find options mentioned that are explained in further detail within the Helix Health Anytime login under quick guides or video tutorials. Patient Details Quick Access Menu The patient details quick access menu is patient specific so options can only be used if a patient is selected within the patient details screen. For further information on how to search for a patient please refer to our quick reference guide or video tutorial on Searching For A Patient. Once an option is selected it will only allow you to update information for just that patient selected. If you need to update information for another patient you would need to click OK or Next to save the current patients details and then select the next patient. Patient Details > Front screen>patient
2 Patient The patient tab allows you to update further details relating to the patient e.g. renaming the patient if they have got married. Alternative Billing Address: View or add an alternative billing Address details for letters or billing. View/Add Family Members: View or add members of the family. Photos: View photos for the patient. Billing The billing tab allows you to raise/amend/delete an invoice for a patient and when selected uses the same screens displayed in our quick reference guide and video tutorial on Raise invoice and Amend and Delete Invoice. Please refer to this guide or video for further information on how to use this option. Correspondence The correspondence tab allows you to create a new letter or view previous letters for the selected patient and uses the same screens displayed in our quick reference guide and video tutorial on New & Previous Letters (Including Drag & Drop). Please refer to this guide or video for further information on how to use these options. Most of the options under this tab are related to the sending of letters or updating previous letters for the patient. Some more options have been explained below. Dictate Letter/Complete An On Hold Dictation: Dictate a letter directly in to Practice Manager that can be transcribed. Please refer to our quick reference guide on Dictation & Transcription for more information. Form: Prints a form e.g. Hospital Booking form. Also has the option to fill in patient details on the form when printed. Treatment Protocols/Handouts/leaflets: Where you can print out information sheets for patients e.g. Maps and information sheets on a procedure. Estimates: Create or view previous estimates for the patient. Please refer to our quick reference guide on Estimates for more information.
3 Accounts: The accounts tab is where you can receive a payment or re-print a receipt for the patient and uses the same screens displayed in our quick reference guide and video tutorial on Receiving Single & Multiple Payments. Please refer to this guide or video for further information on how to use these options. Further useful options have been explained below. Summary/Detailed Statements: Statements of the patients account. Please refer to our quick reference guide on Statements for more information. Reminder Letter/Don t Remind This Patient: Allows you to manage how you want to deal with the patients unpaid invoices. Please refer to our quick reference guide on Reminders (automatic and individual) for more information. Notes The Notes tab is where you can add and amend notes for the patient and uses the same screens displayed in our quick reference guide and video tutorial on Patient Notes. Please refer to this guide or video for further information on how to use these options. Patient Notes: Add/View/Edit/Delete patient notes. Urgent Notes: Add/Remove urgent notes. Notes/X-Ray/Results Tracking: View medico-legal information and add/view X-Ray/ Results Tracking. Complete Data Print-Out: Print out all information stored regarding the selected patient. Clinical New Recall/Show Existing Recalls: Add/View recalls for the patient. Please refer to our quick reference guide on Recalls for more information. Electronic Results: Becomes active only if this module has been purchased. Allows you to view Blood results requested for the patient from The London Clinic, The Doctors Laboratory and HCA. Allergies: Record patient allergies which will flash Red when you access the patient details screen for the selected patient as shown below.
4 Lists The lists tab gives you direct access to the clinic or theatre lists for your practice and uses the same screens displayed in our quick reference guide and video tutorial on the Clinic List and quick reference guide on the Theatre List. Please refer to these guides or video s for further information on how to use these options. Further useful options have been explained below. Add to Academic Interest List: Allows you to add a patient to the list e.g. patient with a particular condition you want to locate at a later date. Academic Interest List > Front screen>lists Add To-Do For This Patient: Add a to-do task to the To-Do List for this patient that can be set for a specific user or all users using Practice Manager. To-Do List > Front screen>lists Claim Info Displays the patients insurance claim information. EPR Displays the patient s electronic patient record. Normally used by consultants when in clinic as everything they will need will be located all in this screen.
5 Clinic List Quick Access Menu The clinic list quick access menu gives you options which allow you to manage and configure your clinic list to your practice requirements. It also has shortcut options that can be used when a patient is highlighted in the clinic list which make them patient specific. For further information on how to use or customise the clinic list please refer to the quick reference guides and videos on the Clinic List and Diary Templates And Appointment Types. Clinic Lists > Front screen>lists Print The print tab allows you to print the selected clinic day in various different formats depending on your requirements. E-Mail The e-mail tab allows you to e-mail the selected clinic day as either a secure e-mail which will be password protected or as just an attachment. When you select how you want to e-mail the clinic list it then gives you the option of which format of the clinic list you want to e-mail.
6 E-Fax The e-fax tab allows you to e-fax the selected clinic day, however this option will only work if you have credits available to use on Practice Manager. Check Remaining Credits > Front screen>misc>sms Text + Postcode Lookup + E-Fax Dates The dates tab gives you the option of being able to navigate to today s date clinic or a forward x days, weeks and months date in the future. Move all patient appointments on this day to another date: You can move all patients on a clinic day to another day by selecting this option. Other Commitments The other commitments tab allows you to manage your availability of your diary and mark off times for being available or unavailable so you can visibly see in the diary what is happening on each day. Accounts The accounts tab is patient specific and will only work when you have a patient highlighted in the clinic list. Once the patient is selected it allows you direct access to raise/amend/delete an invoice and also receive a payment.
7 Patient The patient tab is patient specific and only works when you have a patient highlighted in the clinic list. Once the patient is selected it will give you direct access to the patient details screen and also access to recall, notes, diagnosis, electronic patient record and laboratory Results. Treatment History: A list of the selected patient s treatments. Waiting List: Allows you to record a list of patients waiting for a particular service. Correspondence The correspondence tab is patient specific and only works when you have a patient highlighted in the clinic list. This will then allow you to create a new letter and view the patient s previous letters and various other options relating to this. Write to all patients on this clinic: Allows you to send a mailshot letter to all patients on a clinic day. As an example this option may be used to advise all patients the clinic day has been cancelled and moved to another day. Theatre The theatre tab will take you directly to the theatre list and will show you the theatre list for the day you are selected on within the clinic list. Report The report tab will give you a report of patients who have requested an earlier appointment, this will include the reason why they have requested this and there availability.
8 Preferences The preferences tab allows you to configure how your clinic list is set up. Custom Layout 1-3 Designer: Allows you to set up a specific clinic list format that you can e-fax, e-mail and print rather than using the standard format. When created this allows you to use these custom layouts options under the corresponding options. In addition to the above the software has right click menus throughout the software which give access to various useful options whilst working within the software. Each screen is different and will present you with different options, which are tailored to best fit the screen you are working on. The below examples are the most commonly used. Patient Search Screen Accessing Patient Search > Front screen>patient Menu>Patient Details>Press F2 When searching for a patient you can select the Search By option on the right side of the screen which gives you multiple search options. Very useful items here are Forename and Patient Number.
9 Previous Letters Screen Accessing Previous Letters Screen> Front screen>patient Menu>Patient Details>Correspondence When viewing a patient s previous letters you can right click on any letter to get additional options as shown below. Clinic/Theatre List Screens Accessing Clinic List > Front screen>lists Menu>Clinic List When working in the clinic list it is extremely useful to use the right click of your mouse. Simply highlight a patient and then right click. You will then be presented will a list of useful options, as shown below. This is particularly useful for consultants who work with the software when in clinic. Right clicking patients here will give them access to Patient Details or the Electronic Patient Record. When they click OK they are retuned to the list where they can select the next patient.
10 Reports (Various) Accessing Reports > Front screen>all Menu s>reports The majority of reports have quick access menu s available by using the right click of your mouse. When an invoice is highlighted within a report, as shown below, you can right click to access items such as Patient Details or View (the invoice).
