Automatic Integration into Olympus Transcription Via FTP The following Guide demonstrates how to enable integration from the Hugo Dictation App via FTP into the Olympus Transcription Software The creation of an FTP account is outside the scope of this tutorial and it is therefore presumed that a suitable account is provided for entry into the Olympus Software The setup of FTP as a recipient within the HUGO App is covered in the main help manual found at http://www.hugo-dictation.com/support This guide will demonstrate how to enable integration and also how to use routing rules to move dictation files into specific Olympus folders based on the FTP profile used
From the Olympus Transcription Software Click Tools () > Options () Click the E-mail / FTP tab () Click FTP on the left hand menu () Click Add ()
4 3 5 Please fill in the following typical details as supplied by your FTP provider: A profile name to identify the account (), the ftp address () and the username and password (3/4) When complete click on Test setting (5) to check correct function Note depending on provider, additional setting may be required. HUGO currently only supports standard basic FTP Providing the settings entered are valid, the following screen should show All test have been passed as shown If so, click on the OK button () - you will now be returned to the previous screen If the tests fail please check the settings on the previous page and consult your FTP provider / IT support company if required Before continuing, we draw your attention to the following optional advanced setting (). With this ticked, all the original dictation files stored on the FTP storage volume will be removed once downloaded into the Olympus Software. Without this ticked, the FTP storage volume will eventually amass a large volume of files and will need to deleted manually. Please tick / un-tick as required When completed all setting, please click Finish ()
Click Apply () to save the setting made Then click on the Send / Receive option () on the left hand side menu 3 Place a tick in the Automatically receive dictations via E-mail / FTP box () Set the frequency you wish to automatically check for emails () Click Apply (3)
3 4 5 Click on the Workflow tab () Click on the Receive option from the left hand side menu () Place a tick in the FTP box (3) in the Receive section (At this point the name of the FTP profile should be shown in adjacent box (4), confirm a tick is in the box next to it. ) Click Apply (5) This part of the guide will show you how to automatically move files based on the FTP profile used to download into a specified working folder, such as folder A. Without this, the dictation is routed to the Olympus Inbox as default. Click on the Routing option from the left had side menu () Click Add in the Dictation Routing section ()
Make sure FTP () is selected under Protocol Click on FTP Profiles () You can now select the FTP Profile that the rule is to be based on Select the appropriate Profile () > Click Select () You will now be back on the previous screen with the selected Profile populated in the appropriate field Click the box at the side of the Destination folder field ()
Select the required destination folder from the list () Click Ok () You will now be back on the previous screen with the selected Destination Folder populated in the appropriate field Click OK () You will now be back in the main routing page, repeat the process to add more routing rules otherwise: Click Apply () Setup is now complete and you can exit via clicking the red cross ()
Incoming FTP transfers should now be processed accordingly and the dictation files automatically routed to the appropriate folder. Should you require this process to run in-between the specified intervals click on the Send/Receive () icon shown.
