The ew Iteret filterig policies will be split i to the followig groups to help esure access to Iteret cotet ca be specific to age requiremet: Staff Pre-12 pupil S1 to S4 pupil S5 ad S6 pupil (geerally regarded as 16 ad over) The S5/S6 pupil filter will have icreased privileges compared to the lower age groups. Should ay pupil abuse this privilege by ot followig acceptable ad appropriate use, schools ca request they be moved dow to the S1 to S4 filter by cotactig the service desk. 5 1. Approved Olie Iteret Services The followig services have bee through our vettig process ad are the officially approved services for use i Glasgow schools ad urseries. Staff must adhere to this list where applicable ad esure these guidelies are followed at all times. SCHOOL WEBSITES Approved Service/Solutio Gateway Egage - School Web Hostig Service Additioal Guidace Maagemet Circular No. 87: School Websites All school websites must be hosted via Gateway No private domais ca be used coect.glasgow.gov.uk/nr/rdolyres/291afd40-479e b0a-8f42debc3bf1/0/domaisfial.doc If your school has created a exteral school website the Headteacher is resposible to esure this is closed ad migrated to Gateway STAFF WEBSITES Approved Service/Solutio Gateway Egage - Staff Web Hostig Service (this is a ew pilot service for staff) Additioal Guidace Additioal referece: Social Media Guidelies: Server space will be made available for staff who wish to create a website for learig ad teachig purposes. However there may be occasios where staff, class or school projects would like to joi a chat beig hosted by a exteral orgaisatio. I such scearios Headteacher approval must be gaied ad where possible such a chat service will be made available/temporarily available. WEBCAM VIDEO INTERACTION SERVICE Staff ad Pupil Services Approved Service/Solutio Glow Meet/Lyc Additioal Guidace Glow Meet is the approved service however there may be occasios where staff, class or school projects would like to joi a web coferece beig hosted by a exteral orgaisatio. 7 Tip: If your school would like to share a closed/secure Glow Blog, Chat or Video Meet with ay exteral orgaisatio or iteratioal school the best way to do this is for your school to create a guest accout ad provide permissios for that Guest accout to joi the applicable Glow group oly. Such guest accout should be created ad date stamped by your schools Glow Accouts ad Services Maager (Glow ASM). This meas place a date i the accout whe the accout will de-activated automatically for security purposes. Your school Glow Maagemet team of ASMs ad SCAs (Site Cotet Admiistrators) have the admiistrative permissios to set this up. VIDEO STREAMING Staff Service Approved Service/Solutio All video ad TV streamig websites Additioal Guidace All suitable olie video streamig services ca be ublocked for staff for busiess use Services such as TV DoD (dowload o demad) or others which require a cliet applicatio to be deployed to PCs will ot be approved. This is costly ad ot required. There are may free olie educatioal services available Staff Service Approved Service/Solutio Suitable video ad TV streamig websites Additioal Guidace Suitable olie video streamig services will be available for pupil use (ad may vary betwee age groups) such as the BBC. Exceptios iclude services such as ope YouTube, Vimeo etc. that will remai blocked at this time. YouTube Educatio will be made available for pupils (see additioal guidace i the Social Media Sectio). 9 Tip: Exteral approved ecrypted hard drives are ow available i Pecos for purchasig (ACCESS catalogue). These are excellet for high volume offlie storage of sesitive material. The drives are available i 1TB ad 2TB sizes. Tip: The ew Glow 365 service offers each establishmet 100GB of olie storage space (excludig Early Years who are curretly grouped i to 5 Areas so each area shares 100GB. This is curretly beig reviewed with Educatio Scotlad). Schools should pla how much storage they wish to use for learig ad teachig purposes ad how much for storage/archivig. Glow 365 also offers each user 1TB of persoal storage space. Iformatio belogig to Glasgow City Coucil should ot be stored i persoal storage areas where o other approved staff ca access/maage it. Appropriate permissios should be grated to esure Glasgow City Coucil data is maaged correctly. E-PORTFOLIO Staff ad Pupil Services Approved Service/Solutio Glow e-portfolio, Gateway Merit Additioal Guidace Whe cosiderig which service to use the followig poits may prove beeficial: Scottish Govermet has stated they wish to improve Glow services by itroducig a beyod 18 approach which would provide services that would migrate a pupils e-portfolio to their chose further or higher educatioal establishmet. Colleges are curretly beig added as establishmets withi Glow Scottish Govermet is curretly re-ivestigatig paretal access to the ew Glow system ad what pupil services they may have access to. It is evisaged that parets/ carers would be able to view ad follow pupil e-portfolios withi Glow upo their request Scottish Govermet is curretly developig learig pages for pupils withi Glow. It is evisaged that such learig pages would provide pupils with a method to directly embed their resources to their e-portfolio or may eve replace the curret e-portfolio completely WEBMAIL/ Staff ad Pupil Services Approved Service/Solutio Outlook Web Access (school webmail service), School accouts Additioal Guidace The Webmail service is a log i ad use service oly from private devices. This is authorised as your private device does ot store ay icomig or set s o your device which may cotai sesitive iformatio. All data resides o the school s webmail servers Push is ot permitted as such a service saves s ad sesitive data to your private device. Should your device be lost or stole such data is the at risk All (icludig web mail services) must be traceable ad auditable accordig to Glasgow City Coucil policies. As such oly school accouts ca be used for electroic commuicatios 7

Scottish Govermet is ivestigatig a ew VLE platform. As a VLE cotais persoal data such a service must be secure. Further iformatio will be provided whe available. Schools are advised to still use Glow 365 as their mai olie learig platform. Secure groups ca be used for olie homework distributio ad collaboratio. Tip: Class groups ca be created ad resources ad documets ca be easily shared ad followed by pupils. Effectively these social media type features offer a basic form of VLE that is easy to use ad set up. Pupil ca the use this Glow group to collaborate o homework. Multiple users ca access ad work o the same documet at the same time providig a excellet method for teachers to demostrate problems step by step i a live eviromet. 8

School Facebook ad Twitter accouts ca however be used to commuicate to those pupils who do use social media to remid them about homework deadlies ad tasks ad as a additioal form of commuicatio It is advisable ot to Fried/Follow/Lik your persoal ad busiess accouts as persoal iformatio will show o your busiess accout. Whe employees have just oe accout they must be midful of the Glasgow City Coucil social media policy ad adhere to this as all times Staff must be very cautious of who they Fried/Follow/Lik o their busiess accout as you do ot always kow what will show up o your busiess accout from others Staff will ot Fried/Follow/Lik with ay pupils o ay staff user accout (uless this is the official school Facebook/Twitter accout ad ormally beig maaged by two or three seior maagers at the school) Staff should be aware there are other appropriate o live eviromet social media platforms available for teachig pupils awareess of social media. 12 OFFICIAL SCHOOL ACCOUNTS Additioal Guidace A official Facebook or Twitter accout ca be created ad used as a additioal way to commuicate effectively with parets, pupils, stakeholders ad to share good practice. The school accout is the resposibility of the Headteacher or Seior Maager. Does ot replace the school website or iformatio that should appear o the school website Must be moderated. A miimum of three members of staff must have access to the accout at all times to cover for absece ad moderatio. Parets/Carers should be ecouraged to Follow the school accout from their persoal accouts so that they automatically receive importat school otificatios ad iformatio. Other Iteret Services (checks to udertake ad poits to cosider) Where staff would like to use other services o the Iteret that are ot covered by a approved service, such as but ot limited to, a olie subscriptio to a educatioal website, they must udertake ad cosider the followig poits. Commo sese ad professioal judgemet must prevail ad where ay member of staff is usure they must seek advice from their Head of Establishmet before proceedig. POINTS TO CONSIDER WHEN REVIEWING OTHER SERVICES Child Protectio ad Welfare No uapproved service ca be used where uploaded iformatio could be used to trace a pupil to a locatio. For example such iformatio could be as simple as a pupil ad school ame Service would cotai persoal data of staff ad/or pupils No uapproved service ca be used where persoal data will be stored olie without first receivig writte Directorate approval. You should approach your head of establishmet to discuss ad submit a request via their lie maager supplyig as much iformatio about the service as possible. Cetral resources to ivestigate such requests are extremely limited ad will take time. Schools must pre-ivestigate all security poits below supplyig the appropriate iformatio Service would cotai pupil course work: (o persoal data ivolved) Staff are resposible to: evaluate the impact if such course work is lost uderstad the service compaies backup ad restore procedures ad capabilities udertake a risk aalysis of the above ad seek Heads approval before subscribig Note: Hostig of ay course work or persoal data outside of the EU is ot permissible. You are resposible to ivestigate the hostig locatio with the applicable supplier. Is the legth ad complexity suitable for the age group of users? How ofte must the password be chaged? Is ay form of olie ecryptio used for the service such as SSL? Discuss with the supplier Tip: Ay service requirig password maagemet is a additioal burde o users to remember fast growig lists of userames ad passwords. This ca cause additioal disruptio to learig resolvig forgotte passwords i the classroom. Where possible use ope, free Iteret sites that do ot require user accouts or olie data storage. Educatioal Value Must meet the schools basic educatioal requiremets but be careful of over subscribig to services that will ot be used Cost Free, appropriate, secure services that meet basic requiremet should always be chose over subscriptio based services for cost savigs/best value. If Glasgow has supplied stadard build software o school desktop devices this software should be used for core delivery. Other olie services ca be used as supplemetary delivery Collaboratio The Iteret provides a large choice of services but if may other establishmets are usig a specific service you should cosider usig the same service to icrease collaboratio with other establishmets 13

16 4. Procedure for Blockig ad Ublockig Websites BLOCKING A WEBSITE Your establishmet cotacts the ACCESS Service Desk directly ad logs a service call for the Block. This is a two hour service level. You must provide the website URL address ad the reaso why the website should be blocked. DISAGREEMENTS Where oe school has requested a website be blocked ad aother school request it be ublocked, ACCESS will cotact Educatio Services headquarters for a decisio. UNBLOCKING A WEBSITE Each staff member requestig a website be ublocked must complete the Schools Iteret Ublock Request Form i full. The request form ca be foud here: Staff must cosider the differet filters ow available ad oly request (where applicable) pupil access for the applicable age group Your Headteacher or ICT Co-ordiator will review your request. They will check that the website is ot already available (sometimes a issue ca be user accout related) ad if appropriate they will submit this request to HQ for cosideratio For expediecy - oly fully completed request forms approved ad submitted by the Headteacher or ICT Co-ordiator will be cosidered Do ot cotact the ACCESS Service Desk directly for ublock requests 14

17 5. Frequetly Asked Questios ad Aswers Ca I coect directly to the Iteret usig a 3G, 4G or private wireless device while usig a busiess issued/school purchased device? Oly if you are usig a maaged service laptop coectig via the secure VPN service (virtual private etwork). This service is available o all etwork coected maaged laptops. Glasgow City Coucil policy states that all busiess/teachig Iteret traffic must route through the appropriate Coucil Iteret filter.
