1 RFQ SharePoint Consultant Addendum 001 Issued November 22, 2013 Do you currently have resources to accommodate an environment for hands-on training? Yes. We have a training lab where each participant can connect to a web delivered training. The training lab is equipped with the following equipment: Desktops running windows 7, Instructor podium with desktop and connected projector Conference phone We envision, through desktop sharing, the remote trainer will be able to present and/or lead the training. A CMC IT staff member will provide assistance on this end with connections. What type of experience do the mentioned 5-10 CMC Employees have? What are their current roles? 2 Application Developers System Administrators Network Engineers Database Administrator Systems Analysts/Programmers Do you have any/many custom solutions, webparts, workflows, or InfoPath forms? Are you using any 3 rd party products or is SharePoint integrated with any other products (including FAST Search, SSRS/SSAS, etc.)? We do not have any custom solutions or 3 rd party products currently integrated with SharePoint. What do you currently use SharePoint 2010 for? What functionality are you looking to get out of SharePoint 2013? We are currently just using it as a file repository for committee based access. We are looking to understand what kind of functionality is available and how to go about implementing best practice functionality in our environment. Is there a limit on the length of the submission? No Is there a preferred format? PDF Will you accept proposals from companies outside the US? (From India or Canada) Yes Will there be a need for in person training or can the task be performed from outside the US? We do not expect in person training. Our expectation is a remote delivery to limit costs.

3 Best practices and what others are doing a. Which of the following will CMC be using in SharePoint? i. Intranet Portal ii. Internet Portal iii. Business Intelligence iv. Social Collaboration (My Sites, Newsfeed, Knowledge Sharing) v. Document Management vi. Business Process Management (Workflows) vii. Other?? Our current vision is for SharePoint to be our internal (Employee) Portal. However this could change depending on best practice environments. We would envision any or all of the above as a potential. b. Is CMC looking for SharePoint environments in education or also a broader view of what industry is doing as far as best practice in SharePoint 2010 and 2013 environments? We would like a broader view of best practice. Governance Considerations a. Is there currently a governance plan in place? NO SharePoint Architecture (Physical and Logical) a. For physical architecture, will SharePoint be hosted on or off premises?

4 On premises b. Approximate number of users and their locations as compared to the data center? 3,000 employees. The data center is located at Central Services in Glenwood Springs Colorado. We have 11 campuses spread out over 12,000 sq. miles. c. What is the layout of the current SharePoint 2010 environment? 2-tier server architecture with 1 application server and 1 database server. This is our 2010 enterprise environment. Information Architecture and Information Management considerations a. Approximate quantity of documents and information that will be stored in the system? Best guess is under 3000 documents. b. We presume the environment is currently running on a SQL/SAN backbone, is CMC open to discuss more cost effective and secure architecture best of breed architectures in use in industry today? We are currently on a VM SQL/SAN backbone. Sure, we are open to hear what you feel is best of breed. Administrative tasks a. Does CMC envision using workflows in SharePoint to facilitate with the daily administration of tasks within the organization Yes. IT workload expectations

5 a. What is the size of the IT team within CMC and how many members are dedicated to SharePoint administration and maintenance? The core group of Network/Technical Services and Application Services is approximately 10 people. No one is currently dedicated to SharePoint administration and maintenance. Our expectation would be that the training would provide expectations for human resources to support a 2013 environment. Migration process from 2010 to 2013 a. When moving to SharePoint 2013, is CMC considering an always on resilient environment? Yes How many hours per day would you like to have the training session in those 5 days? 4-6 hours per day Do you require all the training material to be submitted to the College authorities before the start of the training (i.e., Mid Jan 2014)? It would be helpful to have beforehand, especially if we need to make photo copies of lab materials/training manual/workshop. What is the level of knowledge of CMC employees? Do they have any hands-on SharePoint 2010 experience? We have very limited Sharepoint 2010 and 2013 knowledge Please describe the regular activities of IT staff with SharePoint No regular activity other than posting documents What should training include, just the material on scope of items? Or do we need to provide some labs or show examples or demos?

6 Lab, examples, and demos would be helpful What is the knowledge of their IT staff on SharePoint 2010 and 2013? Lab, examples, and demos would be helpful What is their current 2010 environment? Are they using Foundation, Standard or Enterprise and which version of 2013 are they planning to upgrade? 2-tier server architecture with 1 application server and 1 database server. This is our 2010 enterprise environment. We are using the enterprise version. Our desire is to upgrade to the 2013 enterprise version. What is their goal in upgrading to 2013? What specific features of 2013 would they like to focus on initially? In other words, is there any specific topic that they would like to spend more time on? A phased approach with our out of the box start keeping it in small chunks. We hope to learn from the trainer best practices and what we can expect to do. Will they need assistance on 2010 to 2013 migration? The expectation is that this engagement will be a training/demonstration of SharePoint. At this time we do not know if we will need assistance. Assessment will be determined and additional resources discussed at that time. What is their current 2010 architecture? Is it completely physical? If possible can we get the Farm architecture? 2-tier server architecture with 1 application server and 1 database server. This is our 2010 enterprise environment. We are using the enterprise version. Our desire is to upgrade to the 2013 enterprise version. This is a VM environment. How much customizations have they done in 2010? Any custom workflows, custom apps, 3rd party apps, custom web parts? None

7 Do we need provide the training material in RFQ response? No What are the key business drivers or challenges that you are hoping to address with this SharePoint project? An intranet to facilitate processes and efficiency across the college with workflows and collaboration. What do you consider the top three critical success factors for this project? At the end of project delivery, how will we know that we ve jointly delivered success to your clients? 1. We will have covered best practices for a typical 2013 implementation for higher Ed and industry 2. We will have an understanding of what it will take to implement and resources required for ongoing support. 3. Discussed a typically architecture framework for a 2013 implementation Do you already own the licenses for SharePoint and if so, what version (Foundation, Standard of Enterprise)? Yes. Enterprise 2010/2013 Will preference be given to local firms? No What is the target completion date for the entire project? Training should start no later than end of January and be completed within 1 month. What qualifications are you looking for in a software development partner? Will credentials be taken into account? 2013 SharePoint Certifications and experience We would like to see experience with 2010 and migration experience to 2013.

8 With regard to CMC s self-sufficiency after project completion; what SharePoint skills do y9ou currently have in house in terms of SharePoint Administration, Maintenance, Content Owner/Authorship and Development? Limited. Direction for implementation and training will be determined.
