3 PROJECT OVERVIEW Setup a Drupal Cloud hosted and managed solution in a scalable and high availability environment. Setup a scalable hybrid Drupal WCM solution able to support all City s major & and minor web sites using Drupal core distribution (note hybrid refers to setup of OpenPublic distribution only needed initially to host legacy websites which will be retired). Provide ongoing support services Support 24x7x365 for cloud environment Dedicated engineering support provide maintenance of City agency customized web sites during business hours.

4 Current State: Vision WCM WCM: The Current Vision Internet CMS 5.0 system is used by most City agencies to publish and manage their informational and non-transactional public web sites. Technologies Used: MS.NET 3.5, C#, MS SQL 2005, IIS 7.5, HTML, CSS Architecture: 2 Tier Managed Cloud Distributed Hosted Solution Each public web site has its own instance of a) Web Server b) Vision Internet WCM c) Database d) Templates Content Publishing: City Agencies with 700+ users update web sites in real time using WCM. Content: Currently exists in 30 instances of MS SQL2K5 databases - 60k html pages; 90K+ images/doc files (PDF, MS Word etc.); - Plus static files on server file system Web Traffic: 1M Unique Visitors with 5M Monthly Page Views Note: a limited subset of small City websites was converted to Drupal using the OpenPublic distribution which will be completely retired.

5 Future State: Drupal WCM Cloud Solution Architecture: Hybrid Drupal Cloud Solution able to support 3 environments Drupal Core-based multi site solution able to support all all City web sites using standard template Drupal Core-based multi site solution able to support all all City web sites using customized templates Drupal OpenPublic multi site solution able to support all all City web sites using legacy OpenPublic distribution (to be retired)

6 RFP Response Matrix Brief Overview (1 of 2) Vendor Qualifications (Appendix D Worksheet 1 - Part A) Setup WCM Managed Cloud Solution Requirements (Appendix D Worksheet 2 - Section 1) Architecture - Hybrid Drupal Cloud Solution able to support standard, custom & legacy sites Defines uptime & response time requirements; Requires logical & physical architecture diagram Setup Drupal WCM Solution Requirements (Appendix D Worksheet 2 - Section 2) Solution 1 - Drupal Core-based solution for standard sites Setup Drupal Core-based solution able to support 28 major City web sites and 100+ sub sites City is building responsive template for standard sites & will provide it to vendor at project start Vendor will convert & setup at least 3 standard sites setting up baseline config for all sites Baseline config includes admin, workflow, permission, search, stats, etc (admin doc & training) Solution 2 - Transitional Drupal OpenPublic solution for legacy sites Migrate & host these legacy sites as is to the new cloud solution during transitional phase Plan is to retire these sites and work with vendor staff to migrate them to Drupal core within 1yr Solution 3 - Drupal Core-based solution for custom sites Setup WCM environment that can accommodate multiple City dept sites with custom template Note that design & development services for custom sites are OUTSIDE scope of this project

7 RFP Response Matrix Brief Overview (2 of 2) Support WCM Managed Cloud Requirements (Appendix D Worksheet 2 - Section 3) Hosting & maintenance support 24x7x365 including upgrades & security patches, monitoring, etc Vendor required to accept Service Level Agreement attached to RFP outlining service levels Support Drupal WCM Solution Requirements (Appendix D Worksheet 2 - Section 4) Ongoing Support provided by at least 2 dedicated full time Drupal engineers (resumes required) Full support and incident resolution for issues with individual City web sites using either standard template or customized code, templates and modules Dedicated support staff will migrate all Vision WCM hosted websites to Drupal Core-based solution within first year of engagement Dedicated support staff will migrate all Drupal OpenPublic hosted websites to Drupal Core-based standard template within first year of engagement Vendor required to accept Service Level Agreement attached to RFP outlining service levels Fees (Appendix D Worksheet 1 - Part D) - Provide 5 cost items Provide One time cost to A) Setup Managed Cloud & B) Setup Drupal WCM solution Provide Annual cost for A) WCM Managed cloud hosting & support and B) Drupal WCM software & sites support Provide hourly blended rate for Drupal engineer for custom site projects outside the scope of this effort
