2 ClaireExpress User Guide All you need to know to make a conference call using ClaireExpress can be found in this manual. If you need of additional assistance of how to make your conference call or you are not user yet, please contact our support by operacoes@claireconference.com.br or by phone on Starting a Conference Call The ClaireExpress is a conference call service that does not require reservations, so to use it is not necessary to plan or schedule in advance. Once you have a password, you can immediately initiate a conference from any landline or mobile, just following steps: 1 Call to the access number (ask for the listing of national and international numbers through operacoes@claireconference.com.br); 2. After hearing the recording press your password, followed by the # key; 3. You will be automatically forwarded to a virtual room and, if you are conference participant, you will hear music until the entry of the moderator. The conference only will start after the entry of the moderator. Access Passwords To make a conference call, just get in touch with ClaireConference and request your passwords request form. After completing the form, it should be forwarded to : operacoes@claireconference.com.br signed, and then your new password will be forwarded by . It is sent a couple of passwords for each request, so 01 moderator password (conference leader and responsible for it) and 01 for all participants.
3 Number of Passwords It could be requested how much as you need. There is no charge for the number of passwords or the level of it, the conference is only charged according to usage (minutes x participants). Password Levels In order to provide increased security during the conference, the ClaireConference has created 4 levels of security to ensure total confidentiality of your meeting, you can choose one that best suits your needs. Level 1 Less Restriction 1- This password permits access only during business hours (Monday to Friday 07h00 to 20h00) 2- Blast dial-out and dial-out made by ClaireConference (Check item relating to dial-out and blast dial-out) 3- Validity of 6 months Level 2 Secure 1- This password permits access 24 h, during 7 days of the week 2- Dial-out and blast dial-out made by the moderator (under prior request) 3- Lock the conference (under prior request) 4- Validity of 12 months. Level 3 Highly Secure 1- This password permits access 24 h, during 7 days of the week 2- Permitted dial-out and blast dial-out, made by moderator. 3- Permitted lock the conference 4- Validity of 12 months Level 4 Moderate Secure 1- This password permits access 06h00 to 24h00, during 7 days of the week 2- Blast dial-out and dial-out made by ClaireConference (Check item relating to dial-out and blast dial-out)
4 3- Validity of 12 months Consult ClaireConference, through of the or by phone for more information of how can to be applied each levels cited above Password Setup When requesting the ClaireExpress, you receive a form for setting your password. The same should be completed in accordance with the needs of the company and signed, to be sent to ClaireConference Complete the charge data, the password level chosen (check item Password Levels of this manual to know which best suits your needs), data of responsible by access password, and select the basic settings for your meeting. Disconnect participants after leaving the moderator: For increased security, after leaving of the moderator all participants will be disconnected from the conference. Making a dial-out or a blast dial-out Dial-out: In order to generate greater convenience and easier access to the meeting, we offer the features of dial out, where you will be able to choose to perform the feature, the following ways:
5 1. Our operators get in contact with the participants in the date and time scheduled. Feature available to all passwords levels. To request the performing of a dial-out, just send the request with the following information to the operacoes@claireconference.com.br: ClaireConference User - The name and password of access the meeting; Name of the participants; Phone Number of participants; Telephone to contact with the moderator; Date of dial-out; Start time of the conference; Call first to the moderator or participants. 2. The moderator makes the dial-out - After enter in conference, the moderator will be able to get in contact with other people, without disconnecting of the meeting, and include this person at the conference. This feature is only available for the password levels 2 (Upon request in the issue of password) and 3. Follow the steps below to make the dial-out (Just allowed to the conference moderator). Call to the access number; After hear the recording, type your password of moderator, followed by the # key; Enter your pin followed by the # key; You will be automatically forwarded to a virtual room; Type (* 1) and will hear a recording asking for DDD and phone number of the person to be included in the meeting; After dialing the number to contact, confirm if the connection must be made; After confirm, your call will be made; If you want to cancel your request, press (*) To come back to the meeting with guest, press (* 2) Blast Dial-out The Blast dial-out, different of dial-out, allows the moderator or our operators get in contact
6 with several participants at the same time. Are registered the phone numbers of participants to be contacted and a message wich will be heard at the moment that participants attend the calls. Feature available to all passwords levels, thus: Level 1: Registration and shot just made by operators of ClaireConference; Level 2: Registration and shot made by operators of ClaireConference or by conference moderator, under prior request; Level 3: Registration and shot made by operators of ClaireConference or by conference moderator, don t need prior request; Level 4: Registration and shot just made by operators of ClaireConference. To request the performing of a blast dial-out to our operators, just send the request with the following information to the operacoes@claireconference.com.br ClaireConference User - The name and password of access the meeting; Name of the participants; Phone Number of participants; Telephone to contact with the moderator; Date of dial-out; Start time of the conference; Message to be heard by the guests. Follow the steps below to make a blast dial-out: Level 1 and 4: The shot of the calls will be made by operators of ClaireConference, under prior request Level 2 and 3: The shot of the calls will be able to be made by the moderator at the time of the conference, as directed bellow: Advance registry of participants to be contacted; In the date and time of the meeting, the moderator should dial the access number; After request, type the access code, followed by the # key; Type the pin, followed by the # key; The moderator will be connected to conference;
7 The moderator should type (* 92) to perform the blast dial-out shot to all participants; Feature available only to passwords of level 2 under prior request) and level 3. Once the participants attend the calls, will hear a message referring to the meeting and will be connected automatically; Lock the Conference Aiming to make your conference more secure and confidential, we offer the feature to lock the conference. After the entry of all participants, just type (*7) to lock the entry of others. Therefore, from the lock no one will be able to entry in the conference, and the same won t be monitored by ClaireConference, if requested. Available Features: The ClaireExpress has some features that, available through the telephone keypad, may be activated and deactivated by the moderator, enabling total control over the conference. *0: Help request Ask the support of our operators during a meeting or if you have difficult in your connection. *1: Performing dial-out Connect a participant before or during the meeting (More information in Making a dial-out or blast dial-out) *4: Adjust the gain of voice in all lines of the conference; *5: Starts and stops the lecture mode: the system issues a warning signal and mutes all participants, except the moderator; *6: Mutes and return to speak *7: Lock the conference (Information in Lock the Conference ); *8: Plays a list of name of participants during the conference; *9: Finishes the reproduction of the list of participants
8 Steps for a secure conference call To ensure a secure conference call, we recommend the following guidelines: 1) Invite and confirm the presence of participants Keep an updated directory of all employees and business partner only for known associates. - Invite participants with confirmation of participation and only after confirmed, make available the telephone number, the passwords and the pins when necessary; - Participants with confirmation and dial-out of moderators in the conference time. 2) Authentication of participants: ClaireConference provides an access password for participants that can be changed for each conference or as needed. Participants must enter with the password to participate of the conference. 3) Authentication of moderator: The client can periodically request the change of the numeric codes that identify who are the moderators and the preference settings of the call. Preventing unauthorized participants begin a conference. The moderators must enter password to start a conference. 4) Procedures settings conferences: Set the security protocol for automatic conference; Possibility of using individual or collective pin to increase the restriction of unauthorized access; Locking the Conference the moderator can lock and unlock the access to the conference after all the participants are connected, preventing the entry of strangers; Call list or name announced to participate of the conference participants should provide the name when entering in the room are announced; Beep of warnings and announce the name; Block the dial-out and blast dial-out made by the moderator; Setup security protocol to assisted conferences by ClaireConference s operators; The operator of the conference confirms the participants names, the company, the phone number and the address before adding them to the conference; Manages and maintains a report of the conference participants;
9 Possibility to mute or release to speak, individual or general, on the participants. 5) Conserve e maintain and updated list of employees: Disable, delete and manage employees accounts that enter and leave the company. 6) Inform the participants that the conference only begins with the presence of at least on moderator: Until the entry of the moderator, all the participants remain listening music. For more detailed information about security, request our security policy. Helpful Hints For your virtual meeting is further exploited, send to the participants the guidelines and a pilot instruction containing the topics to be discussed, or request to our operator do it with the notification. Ask everyone that confirm the receipt of instructions and the understanding of access way. Participate of a conference call preferably in quiet places where you can not be bothered or interrupted. Prefer individual wired devices. Cellular phones, speaker phone devices and cordless phones have more probability to cause noise. We recommend putting the phone in muted when you are not part of the presentation or discussion. It s important that everyone to identify themselves before speaking. Do not answer other calls during the conference call, especially if the waiting of your phone has music, as this will be heard by all participants
