1 11.7% UMass Medicine Cancer Walk Team Leader Guide The UMass Medicine Cancer Walk is Sunday, September 25, 2011, and it will be here before you know it! Our goal is to raise $800,000 in support of the UMass Medicine Cancer Center of Excellence, and we need your help! UMass is working hard for you and your family. With your help, we can continue fund lifesaving research and continue to improve and enhance clinical care. The UMass Medicine Cancer Center of Excellence provides patient- and family-centered care in an environment of compassion and respect. Physicians work together with scientists to bring the most advanced cancer research, clinical trials and latest treatments to every diagnosis. This translates into increased quality of care and improvement in patient outcomes. Your fundraising efforts will be directed towards the UMass Medicine Cancer Center of Excellence in order to increase the scope and progress of groundbreaking clinical trials. We look forward to having you join us in this incredible, lifesaving mission! Make An Impact You and your family, friends and colleagues can truly make an impact on the fight against cancer by raising important funds in support of the UMass Medicine Cancer Center of Excellence. Then, celebrate your fundraising achievements and the great work of the Cancer Center by joining us at the 2011 UMass Medicine Cancer Walk at UMass Medical School. Registration Create your team online and set a goal to have a team of 10 fundraising walkers. Participants over 12 years old will be charged a $10 registration fee in order to offset event production costs. All participants are encouraged to raise at least $100 in support of the Cancer Center but why stop there? This guide is designed with you in mind to help you and your teammates set and achieve your fundraising goals. Inside, you will find the basics for fundraising, how to set a goal, fundraising opportunities and ways to engage your team and your community.

2 Fundraising Basics Sprint to Your Fundraising Goal! The ABCs of Raising Donations wareness: Make your team members aware of the mission, programs and statistics of the UMass Medicine Cancer Center of Excellence so you can tell others why you are raising funds for the UMass Medicine Cancer Walk. A B C elieve: Your team must believe in the cause and work of the UMass Medicine Cancer Center of Excellence. Belief in the organization is infectious and will motivate others to donate and support your efforts. Remember, you are not asking for yourself but for a great cause! ontact Everyone: Your team should contact everyone they know for a donation. Ask all of your team s contacts for help to reach your goal. Six Steps for a Successful Community Team 1. Recruit 10 or more team members who agree to raise funds: Share your reasons for participating and invite friends, neighbors, family and co-workers to join you. Just think of the research that could be funded if we all just ask. Remember: if you don t ask, they won t give! 2. Team decides on fundraising strategies and dollar goal: Each team member is encouraged to set a personal fundraising goal, conduct a letter/ campaign and participate in team fundraisers. Each Team is encouraged to set an ambitious goal. Do you have big donors who can help you be a Top Team? If so, show your stuff! Have fun, believe in the cause and ask - the money will follow. You can also complete the Team Fundraising Plan located in this guide to help you set goals and create a strategy to be successful. 3. Team identifies contacts and resources: You will be amazed how many people your team members know once they start to identify and list them: Friends, family, neighbors, work associates, current and former co-workers, bosses, clients, and organizations/clubs. Also think about local businesses able to make product or service ( in-kind ) donations for Team Fundraisers! 4. Team members develop their letters/ s: Online Fundraising and/or Letter: Walkers can send s to friends and family to collect donations via credit cards or check. This tool makes fundraising fast and fun! The average online donation is $55, while the average cash/check donation is $12. Some walkers prefer to mail a letter and that is also a great way to raise funds. The steps for getting online and a sample letter are provided in this guide. Matching Gifts See if your Team Members donors or donors employers have a matching gift program. If so, then each donation your Team Member receives will be matched by the employer. These can quickly and easily double your fundraising efforts! 5. Team members develop team fundraisers: See below for ideas. Team Fundraisers are a great way to raise funds for the UMass Medicine Cancer Walk. Your team is asked to manage all of the details of your Team Fundraisers. UMass cannot make any investment, pay for or reimburse any expenses incurred as a result of a Team Fundraiser. This means that the event/promotions sponsor must pay all expenses prior to remitting the net proceeds to UMass. Teams are encouraged to get items donated! 6. Team has fun at the UMass Medicine Cancer Walk!! C

3 /Letter Campaign The foundation of your team s fundraising plan should be an online fundraising and/or letter-writing campaign. Whichever form is used, your appeal should contain the following elements: Explain what you are doing. Describe your passion for participating in the Cancer Walk and your personal goal. Personalize your letter, making it funny, serious or whatever fits your style! Suggest the level of giving. Ask if a person is willing to give a gift of $25 or $50, or if you think someone is able to give more, ask for $100 or $200 or more. Tell how the funds are used by the UMass Medicine Cancer Center of Excellence for research. Give the recipient a specific date (2-4 weeks from date they receive your letter) to respond. Thank them for considering a donation. Include a response form and a return envelope (stamped, if possible. Putting a stamp on the reply envelope will assure you a better response). Use a handwritten P.S. to personalize each letter. Sample Walker s Solicitation Letter Walkers may want to send a letter like this to their friends, family and associates, requesting their support. It s a great tool to use in addition to their face-to-face requests for donations. Dear <Insert name>, <insert date> Everyone knows someone who has been affected by cancer. <Insert your personal story of how cancer has impacted you or your friends and family.> On September 25, 2011, I ll be helping the UMass Medicine Cancer Center of Excellence fight our nation s No. 2 cause of death at the UMass Medicine Cancer Walk. With your help, we can continue to fund lifesaving research and continue to improve and enhance clinical care. The UMass Medicine Cancer Center of Excellence provides patient- and family-centered care in an environment of compassion and respect. Physicians work together with scientists to bring the most advanced cancer research, clinical trials, latest treatments and support to you. 4 Online Registration and Fundraising Telling your personal story and posting a picture of you or your family members and friends will help build passion and encourage friends and family to contribute to your effort. Step 1 Visit to register your team for the UMass Medicine Cancer Walk Step 2 Click the green Start Fundraising box. Click Select to choose the 13 th Annual UMass Medicine Cancer Walk Click on the green box Join Now Choose your Registration preference Firstgiving will prompt you through the rest of the process *Please note, a $10 registration fee for individuals age 12 and over has been introduced this year. This is to respect the intention of our donors. Fees will be used to offset the cost of the event to ensure that the greatest percentage of donations possible directly benefit the important research and clinical trials programs at the Cancer Center. Step 3 Personalize your Web page. Share your passion! Nothing is more compelling than your own personal story. Share your own survival story or the story of the important person who inspires you to raise money. Add a photograph of yourself or your loved one being treated, at last year s Cancer Walk or any other photo that brings a smile to your face or tear to your eye. A photo is worth a thousand words, and a story is worth even more. Step 4 Send s You can send personalized s to your friends and family. Invite them to join your team as a fundraising walker. Encourage them to raise money to fight cancer and help fund a cure. Ask them to make a donation to help you achieve your fundraising goal. After logging into your website, choose the My Fundraising tab under the FirstGiving logo. Then, click the large green button that says Your Page. Use the basics of the template letter as a starter to share your own story about why you choose to raise money and walk in the UMass Medicine Cancer Walk. You may also upload addresses from your home or business address into the FirstGiving system to make the process easier. You may also use your preferred system (Outlook, Gmail, AOL, etc.) to send fundraising s. Be sure to include the link to your specific fundraising website. This link can be found at the end of the first paragraph of the template in FirstGiving, or under the profile tab. Step 5 Track your progress Visit your website regularly to check on your progress, check your team s progress and send follow-up s to friends and family.

5 Ideas for Team Fundraisers Your writing campaign should be the foundation of your team s fundraising because it is the easiest and most efficient way to reach lots of people; however, Team Fundraisers are also a great way to raise funds towards your team s Cancer Walk goal. Please keep in mind that the UMass Medicine Cancer Center of Excellence cannot make any investment, pay for, or reimburse any expenses incurred as a result of a Team Fundraiser. This means that the event/promotions sponsor must pay all expenses prior to remitting the net proceeds to the Cancer Walk. Teams are encouraged to get items donated! Following is a listing of fundraising ideas for you to consider: Campaign: If you conduct your fundraising campaign via , ask your friends and family to forward your message along. One Cancer Walk participant received her first donation from someone she didn t even know because someone had forwarded her message along. People can easily support this worthy cause because they can see their money at work---ask for others to help! Recruit a few friends to help you raise funds. Get together one night with your phone lists and hold a mini-telethon to call everyone and raise funds. Silent Auction: Get items donated and conduct auctions at a party of friends, a local business (happyhour for example). % Of Sales: Ask local merchants if they will donate a percentage of their sales on a specific day to the UMass Medicine Cancer Walk. Denim Day: Ask your human resources department if you can host a Denim/Dress Down day in support of the Cancer Walk. For a $5 donation to the Cancer Walk, people can wear jeans/dress down that day. Dinner/Dessert Party: Invite everyone over for a dinner/dessert, and ask them to make a donation equal to what they would have paid for a dinner/dessert at a local restaurant. Some local restaurants may be willing to make their facilities available for a fundraiser. Theme Party: Celebrate any holiday (July 4, Christmas in July, Labor Day, etc.) by having a theme party and ask everyone to buy a ticket or make a donation to attend. Birthday/Anniversary Party or Bridal/Wedding Shower: Instead of bringing gifts, ask guests make a donation to the Cancer Walk. Neighborhood Yard Sale: Get your friends and contacts to donate their goods to your yard sale, with all proceeds going to the UMass Medicine Cancer Center of Excellence. Ask people who have just held yard sales to donate what didn t sell to your sale. Advertise your effort on local websites (Craigslist, community newspaper) and sell snacks and drinks (purchased in bulk) for additional revenue. Finale Party: Who will be the next winner on your favorite Reality TV show? Gather a bunch of friends to watch the season finale. Ask each guest to make a donation to the Cancer Walk.

6 Lecture/Discussion event: Invite friends to attend an evening or Sunday afternoon lecture on a topic of interest (feng shui, astrology, health issue, interior design, etc.). Suggest a donation equal to what the information would cost if provided through the community college or other such program ($25-$50). Provide light refreshments. Canister at local stores: See if local merchants will let you set up a donation canister near the cash register. Print up a flyer that explains your efforts are on behalf of the UMass Medicine Cancer Center of Excellence. Cover Charge at Local Venue: See if a local venue (comedy store, club ) would be willing to have the cover charge for a particular night go to the Cancer Walk. Conduct a Sports Event or Tournament: Mini-golf, tennis, bowl-a-thon, dance-a-thon, aerobics and other sports can all be set up as events or tournaments with all proceeds from entry fees, refreshments and silent auctions going to the Cancer Walk. Food/Snack/Bake Sales: Buy snacks and other items at wholesale price and sell at work, church or local club sports games for regular price. Pay yourself back the cost of the items, and the rest goes to your fundraising goal!
