2 About This Guide This guide explains how to use the TELUS Tracking and Dispatch Solution software. It does not explain how to install or set up hardware components and sensors. 4 Introduction About TELUS Tracking and Dispatch Solution TELUS Tracking and Dispatch Solution is a turnkey fleet and mobile resource operations management and tracking solution that seamlessly integrates your fleet with the corporate network. Using wireless networks as the backbone, TELUS Tracking and Dispatch Solution collects vital information on board the vehicle and transmits this data to your staff for event tracking, historical playback and reporting functionality. Features and Benefits TELUS Tracking and Dispatch Solution offers a number of features: Track real time location information about your vehicles and mobile resources. Track when your vehicles and mobile resources enter or exit a designated geographical location. Monitor in vehicle sensors such as the temperature in a refrigerated trailer or if a trailer door is open or closed. View historical locations of your vehicles and mobile resources. Overlay key information on maps, such as client or depot locations. Create sophisticated, flexible reports. With TELUS Tracking and Dispatch Solution, you gain the following benefits: Improve fleet efficiency with real time in field information. Increase ROI by streamlining mobile asset distribution and deployment. Increase safety and security by tracking mobile assets. 5 Introduction Technical Requirements Technical Requirements Logging In To use TELUS Tracking and Dispatch Solution you need Internet Explorer 7 or Firefox 3. When you access the TELUS Tracking and Dispatch Solution URL, you are prompted to log in. Note: French language users can click Francais to see the French interface. Once you have logged in, you see the map (see page 7). Recovering a Lost Password If you have forgotten your password, on the login screen click Forgot Password? Click Here. 6 Introduction Changing Your Password Changing Your Password For security purposes, you should change your password at regular intervals. 1. Click Change Password. The Change Password screen appears. 2. Enter your old password and a new one of at least six alphanumeric characters. 3. Confirm your new password. 4. Click Save. 7 Monitoring Assets and Events About the Map Interface To display the map, on the navigation bar, click Map. The Map screen is made up of the following: a toolbar of icons a Map Info area, showing details on the selected asset (the one you have clicked on most recently in the map or Map info tree) a map with map controls, showing selected assets, POIs, and/or custom layers. To set the units of measurement for the map, click, click Options (in the top right corner of the screen), check Metric or Imperial, then click Save. Working with the Map Info Area The Map Info area shows configured assets, POIs, and custom layers in a tree structure, with assets and POIs grouped by type. Asset types are identified by name, accompanied by the icon configured for that type: the same icon is also used to represent assets of that type on the map. The assetʹs resource, run, and related asset (if any) are shown in square brackets after its name.

8 Monitoring Assets and Events About the Map Interface If the asset type or POI type name is in bold type, items of that type are being shown on the map. If the asset type or POI type name is in regular type, items of that type are being hidden from the map (for more on hiding and showing, see page 9). By default, offline assets (those not transmitting snapshots) are listed under their asset type, the same as assets that are online (transmitting snapshots). If you prefer, you can have all offline assets, regardless of type, appear in the tree under an ʺOfflineʺ group. To do this, click Options (beside the top right portion of the screen) and check Group Offline Assets Together. Nodes on the tree can be expanded (click the ʺ+ʺ) or collapsed (click the ʺ ʺ). To expand all the nodes on the tree, click. Selecting an item in the Map Info tree area focuses the map around that item. Features available vary depending on whether you have selected an asset or POI type or an asset or POI itself. Meaning of Asset Icons and Colours Assets are shown with the icon representing the product your organization subscribed to for the asset: assets with the In Vehicle Tracking product use the icon assets with the Asset Tag/LBS Tracking product use the icon assets with the Resource Tracking product use the icon The colour of the assetʹs icon indicates the status of the asset. This icon... red red red green green Means... Snapshots have not been received recently. The TELUS Tracking and Dispatch Solution waits for two missed snapshots (according to the transmission frequency defined by the assetʹs configuration) and then an additional 10 minutes, before turning the icon red. The LBS asset is not being tracked at the moment. No transmission is being received from the handheld. There is ongoing communication with the in vehicle device. 9 Monitoring Assets and Events Showing or Hiding Items on the Map This icon... green green and speedometer Means... The LBS accuracy for the LBS asset is better than 500m. The asset with an in vehicle device is moving 15 km/h over the speed limit. green and two pipes blue yellow yellow black black exclamation mark The asset with an in vehicle device is idle. There is ongoing communication with the in vehicle device to record and transmit information, but the asset is stopped, with the ignition off. There is ongoing communication with the in vehicle device but the device s GPS is not valid. The LBS accuracy for the LBS asset is below 500 m. The asset with an in vehicle device has DCM enabled and is stopped. Any event or movement will wake the device from DCM. The handheld asset has been still for 20 minutes. The handheld assetʹs GPS is restricted (such assets are not affected by the Group Offline Assets Together feature described on page 7). A red bar behind an asset indicates an alarm state: if you find alarm states are being triggered frequently, consult Complete Innovations technical support: support@fleetcomplete.com, , option 2, then 2. Showing or Hiding Items on the Map By default, all configured assets and POIs appear on the map. To speed up the time of map loading, and to help focus only on those items you want to track, you can choose to hide assets and/or POIs of a particular type. Click on an asset or POI type in the Map info tree and click (show). (hide) or Items of the selected type will appear or disappear on the map (hidden types are shown in the Map Info tree in regular type, revealed ones are shown in bold type). 10 Monitoring Assets and Events Focusing the Map Display Even though items are hidden, their information remains in the Map Info tree, and alerts continue to be received from assets of the hidden type. Focusing the Map Display To focus the map on a specific asset or POI, click on the item in the Map Info tree. The current map zoom level is retained: to zoom in on the item, click. To zoom the map so it shows all the items in an asset or POI type, click on the type in the Map Info tree and click. As assets move, they may disappear from the map. To avoid this, click Options in the top right corner of the screen to open the map options, check Follow Selected Asset and click Save. This ensures the map remains focused around the selected asset, regardless of where it moves. To focus the map on a specific address, enter the address (including street, city, and province/state) in the Find field and press Enter or click the. The address is marked with a on the map. This marking remains only until you exit the program, or until you enter a new address. To remove the the beside the address field., click Requesting Current Position of Asset Caution: This function requires communication with the asset. Depending on your service plan, this may lead to additional service charges. Access to this function should be restricted. At times it can be useful to immediately update the display of an asset to show its current position, without waiting for the next snapshot. Select an asset and click. A confirmation message appears. 11 Monitoring Assets and Events Working with Map Controls Working with Map Controls Pan controls View controls Zoom controls to pan, click on the map and drag it until the desired section is shown, or use the pan controls to zoom in or out, use the zoom controls to change the map view, use the view controls History Playback TELUS Tracking and Dispatch Solution allows you to monitor individual assets by playing back a history of the asset s journey. To explore the journey in more detail, or to make comparisons (for example, comparing one dayʹs journey with another), use reporting. Note that any alerts triggered during the original trip are not shown in the playback. 1. Click History Playback. 2. The History Playback form appears. You can open as many of these forms as needed to play back the history of your assets. 3. Choose the desired asset from the Asset list, choose a Start and End date/time range (defaults to current day), and click Load Trips. 4. The map portion of the screen shows the path followed by the asset during the work schedule for the selected dates/times, with a blue arrow at each position TELUS Tracking and Dispatch Solution User Guide 11

12 Monitoring Assets and Events Monitoring Alerts along the way. The details of each position are shown in the list on the left. The map offers the usual map controls. 5. To move through the trip, click the appropriate option to start ( ), pause ( ), go to the next position ( ), or go to the previous position ( ). The progress of the asset on the trip is shown by a moving red arrow. 6. To increase or decrease the speed of the replay, drag the slider: 7. The detailed positions involved in the selected trip are listed. To pinpoint a specific position in the map, click on it. The arrow at that position turns red. 8. You can hover over any dot to see information about that position, including the date and time an asset was there, and the address of the location. Monitoring Alerts Data from each device is recorded at intervals. For GPS devices, the interval is determined by the asset type definition. For LBS devices, the interval is determined by the license purchased. These records are compared to any rules defined for the asset. If a rule is broken, an event is recorded. If the rule definition specifies that an alert should be sent, an event related notification may appear both as a pop up message and in the Alert log that appears on the right side of the map window. To view the log, click the < on the Alerts log tab. The Alerts tab opens, and the changes to a. To close the log, click the. To clear the log, click Clear. 13 About Reports Reports give you a detailed view of all TELUS Tracking and Dispatch Solution data, whether captured from GPS, sensors, rule violations, interactions with POIs, or other configured elements. Reports can be used for a wide variety of purposes, such as: validating timesheets or receipts substantiating claims for government rebates demonstrating service to customers identifying possible inefficiencies in scheduling and dispatching identifying possible inappropriate driver behaviours. It is important to produce reports regularly: data in the system is retained for a limited period of time (possibly as little as three months, depending on your Telus agreement). About the Reports Screen Report menu Report parameters Report output area

14 Working with Report Output The Reports screen is made up of the following elements: a Report button you click to choose a type of report and then a report name (for example, Report > Fleet > Speeding) a Report Parameters area that displays the appropriate parameters for the selected report, and in which you enter report parameters the output of the selected report, which you can customize to suit your needs (see below) Working with Report Output Resizing and Sorting Columns Drag the arrow between column headings to resize columns. The header of the column the data is currently being sorted by displays an arrow, for example: Click on any column to sort by that data. Grouping Data For many reports, you will find it useful to group the output by asset type and asset. For example, an Activity report generated for multiple assets shows a row for each activity performed by each asset, which can make the report quite lengthy. To make it easier to view the report, you can group by asset type and asset: drag those columns to the area at the top of the report. 15 Fleet Reports Reporting on Asset Work Schedule For many reports, you can choose whether the report should include all data, just data collected during the work schedules of the assets, or just data collected outside the work schedules of the assets. If you want to take work schedules into account, we recommend that you choose assets with similar or identical scope of working time. Fleet Reports Activity Report For each selected asset, shows activity information for the reporting interval, including: name of the activity, when it started and ended, and how long it lasted amount of time the asset was idle or moving while performing the activity assetʹs average and maximum speed while performing the activity total distance the asset travelled during the activity start and end location (address) of the activity start and end POI (if any) of the activity (to report specifically on POI interaction, use the POI Report) start and end LSD (if any) of the activity latitude and longitude of the start of the activity whether the activity occurred during the assetʹs work schedule whether the assetʹs GPS was valid at the time of the activity the run, resource, and related asset the asset was assigned to during the activity the values of any custom fields for the asset at the time of the activity How to Generate the Report 1. On the Reports screen, click Report > Fleet > Activity. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. 16 Fleet Reports 6. By default, the report includes only ignition on/off. To include data for PTOs or for other inputs in the non default state, check Include Input States. 7. Choose the Minimum Duration an activity needed to last in order for it to be included in the report. Choose a duration that will ensure only meaningful activities are captured, for example, those that lasted longer than two minutes. Note that doing this will not filter out ignition on/off states, since those are always immediate. 8. Click Get Data. The report appears on the right. Asset Temperature Report This report requires the asset to have a temperature sensor. For each selected asset, shows the temperature, throughout the reporting period, of each temperature sensor associated with the asset. 1. On the Reports screen, click Report > Fleet > Asset Temperature. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date and time range for the report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Click Get Data. The report appears on the right. Congregation Report For each location where more than one asset was positioned during the reporting period, shows: number of assets within the buffer zone around the location start, end, and total time more than one asset was at the location at the same time identifying information about the location (latitude, longitude, address, and POI, if any) TELUS Tracking and Dispatch Solution User Guide 16

17 Fleet Reports The details of each row show: which assets were present at that location (and their type) the start, end, and total time each asset was at the location the run, resource, and related asset the asset was assigned to at the time 1. On the Reports screen, click Report > Fleet > Congregation. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select at least two assets (or one or more asset types) to be included in the report. Choose a limited number of assets to speed up report generation. 4. Choose the date range for the report (this report cannot be run with a date range of more than 7 days). If possible, restrict this report to a single day: this is a time intensive report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Choose the size of the Buffer around the location: this identifies the ʺcongregationʺ area. Use a buffer appropriate for the environment. For example, in a dense urban environment, too large a buffer might result in assets that were in different locations for different purposes being considered ʺcongregatedʺ at the same location. 7. Click Get Data. The report appears on the right. Curfew Report This report requires that POIs be configured. For each selected assetʹs interaction with a POI during the reporting period, shows: the time the POI was open and closed (based on the POIʹs working hours) the time the asset arrived and departed how much in advance of the POIʹs opening time the asset arrived at the POI (ʺearlyʺ) how much after the POIʹs closing time the asset departed the POI (ʺlateʺ) the name of the POI TELUS Tracking and Dispatch Solution User Guide 17

18 Fleet Reports the run, resource, and related asset the asset was assigned to during reporting time 1. On the Reports screen, click Report > Fleet > Curfew. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Enter the length of the Grace Period granted to assets in determining if they are early or late. If you set a grace period of 15 minutes, an asset can be at a POI 15 minutes before it opens, or 15 minutes after it closes, without being considered ʺearlyʺ or ʺlateʺ. 6. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 7. Choose the POI Category that POIs must be part of to appear in the report. 8. Click Get Data. The report appears on the right. Event Report This report requires that rules be configured. For each selected asset, shows details about each event that occurred in the reporting interval, including: name of the event and when it started and ended name of any sensor associated with the asset, and its value during the event duration of the event speed of the asset at the time of the event, and the speed limit in force at that time where the event took place: start and end location, start and end POI (if any), start and end LSD (if any), latitude and longitude of both start and end location whether the event occurred during the assetʹs work schedule whether the event occurred while the GPS was valid the run, resource, and related asset the asset was assigned to during the event TELUS Tracking and Dispatch Solution User Guide 18

Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Click Get Data. The report appears on the right. Event Report This report requires that rules be configured. For each selected asset, shows details about each event that occurred in the reporting interval, including: name of the event and when it started and ended name of any sensor associated with the asset, and its value during the event duration of the event speed of the asset at the time of the event, and the speed limit in force at that time where the event took place: start and end location, start and end POI (if any), start and end LSD (if any), latitude and longitude of both start and end location whether the event occurred during the assetʹs work schedule whether the event occurred while the GPS was valid the run, resource, and related asset the asset was assigned to during the event 1. 20 Fleet Reports Idle Report This report applies only to in vehicle devices with a valid ignition sensor. For each selected in vehicle device, during the report period, shows: length of the idle time (start time, stop time, and duration) location of the idle time address, POI (if any), LSD (if any), latitude and longitude whether the idle time occurred during the assetʹs work schedule whether the idle time occurred while the assetʹs GPS was valid the run, resource, and related asset the asset was assigned to during the idle time Input Report 1. On the Reports screen, click Report > Fleet > Idle. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Enter the minimum Idle Time: idle times below this limit do not appear on the report. 7. Click Get Data. The report appears on the right. This report applies only to in vehicle devices with sensors. For each selected asset, and each sensor associated with that asset, within the reporting period, shows: state of sensor time the sensor state started and ended and how long the sensor remained in that state location where the sensor started and ended that state address, POI (if any), LSD (if any), latitude/longitude whether the sensor had that state during the assetʹs work schedule TELUS Tracking and Dispatch Solution User Guide 20

On the Reports screen, click Report > Fleet > Input. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during the work schedule(s) of the asset(s), or just data collected outside the work schedule(s) of the asset(s). 6. By default, the report includes only a state change (such as ignition on or door opened). To also include the default input state (such as ignition off or door closed), check Default State. 7. Click Get Data. The report appears on the right. Last Position Report For each selected asset, during the report period, shows: the phone number of the vehicleʹs unit/device the date and time the asset reached its last position the POI (if any) where the asset was last if the asset was moving at the time of the report: the speed of the asset, the speed limit in force at its location, the distance the asset had travelled since the ignition was turned on, and the heading (degree and direction) the asset was travelling in address of the assetʹs last position LBS accuracy and description of the assetʹs last position, if applicable ignition state state of the PTO (if any) LSD of the assetʹs last position (if any) whether the asset was on a private road latitude and longitude of the assetʹs last position whether the last position was reported during the assetʹs work schedule TELUS Tracking and Dispatch Solution User Guide 21

22 Fleet Reports whether the last position was reported while the assetʹs GPS was valid the run, resource, and related asset the asset was assigned to at the time the alarm, if any, indicating a situation such as movement with no ignition on the battery level (level of the power source the device was connected to) the values of any custom fields for the asset 1. On the Reports screen, click Report > Fleet > Last Position. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Click Get Data. The report appears on the right. Non-Transmit Report For each asset that failed to transmit data, or was in sleep mode, for the specified duration of time, shows information about the last snapshots received, including: date and time snapshots occurred duration and location latitude/longitude, POI (if any), address of last snapshot transmission whether the last transmission occurred while the assetʹs GPS was valid state of the ignition when the last transmission occurred current state of the asset LSD (if any) 1. On the Reports screen, click Report > Fleet > Non Transmit. 2. Choose the Duration of the non transmit state: any asset, of any type, that was offline or in sleep mode for that number of hours is included in the report. 3. Click Get Data. 23 Fleet Reports POI Report This report requires that POIs be configured. For each selected asset and POI, shows: POI name, type, and category time asset entered (ʺfromʺ) and exited (ʺtoʺ) the POI amount of time asset was stopped or idle while at the POI duration of time the asset spent in the POI total idle and stop time run, resource, and related asset the asset was assigned to during the reporting period 1. On the Reports screen, click Report > Fleet > POI. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Choose the POI category to determine which POIs appear in the report. 7. Enter the Min. Duration (in minutes) that an asset needed to have been within the POI in order to be included in the report. 8. Click Get Data. The report appears on the right. Position Report For each selected asset, during the reporting period, shows each snapshot of data taken, including: date and time of snapshot POI (if any) the asset was in assetʹs speed and speed limit of its position at the time distance travelled since the previous snapshot assetʹs heading and direction address where asset was at time of snapshot TELUS Tracking and Dispatch Solution User Guide 23

24 Fleet Reports accuracy of LBS, if applicable state of ignition, PTO (if any), LSD (if applicable) at the time of the snapshot whether the asset was on a private road latitude/longitude of the assetʹs position at the time whether the snapshot occurred during the assetʹs work schedule whether the snapshot occurred while the assetʹs GPS was valid the run, resource, and related asset the asset was assigned to during the snapshot the values of any custom fields for the asset 1. On the Reports screen, click Report > Fleet > Position. 2. From the top list, choose what you want to report on: individual assets, runs, related assets, resources/crews, or whole asset or resource types. 3. Select one or more items to be included in the report. 4. Choose the date range for the report. Since this report shows every snapshot for the selected assets in the reporting period, use a relatively short date range to speed up report generation. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Click Get Data. The report appears on the right. Speeding Report For any asset (with an in vehicle device) exceeding the limit or specified speed during the reporting interval, shows: start and end time of speeding occurrence duration of speeding occurrence address at which the occurrence happened speed of asset and speed limit at the time POI, if any, involved in the speeding occurrence LSD, if any latitude/longitude where the speeding occurred whether the speeding occurred during the assetʹs work schedule whether the speeding occurred while the assetʹs GPS was valid the run, resource, and related asset the asset was assigned to during the activity TELUS Tracking and Dispatch Solution User Guide 24

25 Fleet Reports Stop Report 1. On the Reports screen, click Report > Fleet > Speeding. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 6. Choose the speeding level that warrants an asset being included in the report: either travelling at a specific speed or travelling in excess of a specific speed or speed limit by a value or a percentage (for example, travelling at 120 kph, travelling above 100 kph, travelling 15% over the speed limit). 7. Click Get Data. The report appears on the right. This report applies only to in vehicle devices with a valid ignition sensor. For the selected asset/type (asset must have an in vehicle device and an ignition state) and reporting period, shows: time ignition went on and off time asset moved and stopped amount of delay between ignition on and moving amount of idle time amount of moving time average and maximum speed of asset during the trip total distance travelled during trip duration of trip start and end location of trip address, latitude/longitude, POI (if any), LSD (if applicable ) whether the trip occurred during the assetʹs work schedule whether the trip occurred while the assetʹs GPS was valid the run, resource, and related asset the asset was assigned to during the trip 1. For each POI in the selected category and date range, shows: asset/asset type that last visited the POI POI name, type, and category date/time POI was last visited 1. On the Reports screen, click Report > Fleet > Un visited POIs. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3. Select one or more assets (or asset types) to be included in the report. 4. Choose the date range for the report. 5. Choose whether the report should include all data, just data collected during the work schedule(s) of the asset(s), or just data collected outside the work schedule(s) of the asset(s). 6. Choose the POI category to determine which POIs appear in the report. 7. Click Get Data. The report appears on the right. Who Was There Report For the specified location, during the specified dates, shows: what asset was at that location, and the assetʹs type the date and time the asset was at that location the latitude and longitude of the asset at that time the run, related assets, and resource associated with the asset at the time 1. On the Reports screen, click Report > Fleet > Who Was There. 2. Choose the date range for the report. 3. Choose whether the report should include all data, just data collected during work schedules, or just data collected outside work schedules. 4. 28 Fleet Reports 5. Enter the Buffer: an asset will be considered to have been at the location if it is within this buffer. 6. Click Get Data. The report appears on the right. Work Schedule Report For the specified assets/type and date range, shows: the date the activity being reported on started the weekday when the data was collected the scheduled start and end to the work schedule on that day when the assetʹs ignition was first turned on that day, within the work schedule (the assetʹs ignition may have been turned on prior to the work scheduleʹs start) when the asset first moved on that day, within the work schedule (the asset may have moved prior to the work scheduleʹs start) amount of idle time at the start of the work schedule whether the assetʹs movements started and ended during the work schedule when the assetʹs ignition was last turned off within the work schedule the resource assigned to the asset at the time the location (address, POI, if any) where the work schedule began the related asset and/or run associated with the asset at the time the total distance the asset travelled during the work schedule Note: This report reflects the current work schedules for assets. If the work schedule has changed, data from before the change may not be represented. For example, say that during the month of July, assets of the type ʺday shiftʺ had a work schedule of 9:00 am to 4:00 pm. In August, it was decided to expand the work schedule to include the half hour before and after work. If a report is run for both July and August, the report schedule calculation will be based on the current schedule (Monday to Friday 8:30 am to 4:30 pm) rather than the schedule in effect when the data was collected. 1. On the Reports screen, click Report > Fleet > Work Schedule. 2. From the top list, choose whether you want to report on individual Assets or whole Asset Types. 3.
