1 Programs WORKS CLOSELY WITH Public Relations (internal and external communications) Sponsorship Webmaster At times, the Board for decisions KEY COMMITTEE ROLES ICW coordinator Teleseminar coordinator Speaker coordinator CEC/lunch facilitator VISION: Create programming that draws coaches to ICF-RAL for membership, continuing education, networking, and fellowship. MISSION: Design pertinent, interesting programs for coaches, which deliver education, reinforcement of skills, and create a place of community for the sharing of ideas, experiences and resources. GOALS Offer a monthly luncheon - speaker for CEU credit - second Wednesday of the month from 11:30 a.m. 1:30 p.m. during the months of Jan, Feb, March, April, May, September, October, November, December o The February lunch is a Membership focused lunch where we showcase our plan for the year and attract members to our committees o The December lunch is replaced by an evening social where we recognize a Voluteer(s) of the year, thank our current board, any outgoing board members and welcome any incoming board members Offer Cutting Edge Conversations open discussion around a specific topic fourth Thurs of the month from 4:30 6 p.m. Offer virtual classes during at least June, July and August Coordinate International Coaching Week 1
2 PROCEDURES Form a committee to organize, develop and implement chapter programs aimed at reinforcing the org goals as established o Include on the committee someone to lead/coordinate International Coaching Week (For ICW procedures and history, see those separate documents) o Include on the committee a Program Chair elect, someone who will take over as Program Chair the following year. In January, choose dates for the next twelve months for lunches, CEC and virtual events (in upcoming years, after this one, the first quarters events will be created in the last quarter of the previous year see below). Disseminate to Webmaster, dates for the year for the lunches and CEC (or at least several months in advance) Create monthly events (lunch and CEC) o Decide on quarterly themes to help shape the years events o During the last quarter of the year, create the events for the first quarter of the new year. This allows the incoming committee to be 3 months ahead at the start of the year. Handle logistics, communications to members/guests, registrations, refreshments, feedback and related financials CEU credit - on speaker request form it asks which core competency the program fits, Sharon sends to ICF global for approval Document history of past events/speakers/dates/attendance/topic/location (See attached history) Lunches When: Second Wednesday of every month from 11:30 1:30 p.m. Location - Builders First Center at 5580 Centerview Drive, Raleigh NC Fees $20 for board members $30 for members (early registration) $40 for guests (early registration) $35 for members (late registration) $45 for guests (late registration) Choosing Speakers Committee comes up with ideas for speakers from Proposals received from speakers (see Program Proposal Form) o Research speaker s credentials - Are they a member of ICF? Of our chapter? o Review speakers website, LinkedIn Profile 2
3 o Obtain references, if possible, from others whom have heard the speaker present before Topics members are interested in o Ask members if they know of speakers who speak on these topics Publicize Give all details to webmaster as soon as program is coordinated The earlier you can give this information (ideally a month or two ahead), the better members can make time in their schedule to attend Webmaster will announcement to members several weeks ahead with two reminder s Cancellation If we have less than 5 people registered for a luncheon the day before the event, we may cancel the event Follow up after lunches Give Speaker a thank you note, and gift card or gift at the end of presentation. Sharon collects evaluation data and shares with you (Program committee) Submit ICF Application for CEU Credits (see link) Sharon submits these, and sends to each attendee after the event Cutting Edge Conversation Fee Free for members, $10 for guests Day and Time 4:30-6:00pm, The last Thursday of each month Location Find venue no fee, no contract a quiet, geographically diverse place that will hold an average of people. Call venue just to let them know you will be there. Choose discussion topic (see history for examples) Send information to Webmaster to publicize on website include date, time, and all details Choose someone (a member of your committee or a member of the Chapter) to facilitate the discussion. Send a pre-written to Volunteer Facilitator with a thank you and guidelines for leading CEC. After the event, send a thank you . Planning Timeline for Monthly Lunch Programs 3
4 December Create list of proposed programs for the coming year. Create calendar schedule of all programs for the year (lunches, CEC and ICW) Give those calendar details to Webmaster as early as you can Contact presenter and set date and timeframe of presentation/ workshop Ask presenter to complete ICF-RAC Program Proposal (need 1 mo. prior to program) Post or have Kathryn Britton (webmaster) post the upcoming list of programs on ICF-RAC website. Include a write up/ promo about having members save the date, etc. Choose venue for the year and date for each month. E.g. 2nd Tuesday of every month. Secure dates with venue. Do a cost analysis to determine what to charge members/non-members based on cost of food/room/presenter. If you will be proposing a change in fees, you must bring that up for board vote. 6 Weeks Prior to program Follow up with ICF-RAC Administrator (Sharon Tripp) regarding the ICF CEU Request: Send her info on which Core Principles will be covered: primarily coaching skills. Double-check with ICF-RAC Administrator to be sure venue is secured. Give all details to webmaster for publicity of program 4 Weeks Prior Double check with ICF-RAC Administrator to be sure the ICF CEU Request has been accepted by ICF International. Call presenter and inquire as to readiness and offer assurance of venue, materials and equipment. Offer assistance, if appropriate. Ensure that publicity has gone out to members 2 Weeks Prior Check with ICF Administrator regarding number of attendees. Be sure the number will cover the cost of the program. Check with ICF-RAC Administrator regarding any follow up that s needed blast, copies of handouts, equipment availability, etc. Note: Presenters usually handle handouts, but ICF-RAC can do black and white copies if not too many pages. 1 Week Prior - Check with ICF-RAC Administrator on number of attendees, need for blast or calls to membership, or cancellation. Contact presenter with total number of attendees and check if anything needed Purchase thank you gift Barnes & Noble gift card. (We currently have about 12 of these.) Let caterer know how many in attendance to adjust food accordingly. 4
5 Day of Program Arrive at venue early and greet presenter & attendees with support committee member. Greet attendees and hand out name tags, handle walk-ins & payment, note attendees on registration list. Pay venue/caterer as appropriate. Help presenter get set up if necessary Announce any housekeeping items and introduce presenter to audience Keep track of time for presenter and agree to near end signal Thank presenter at close of program and announce upcoming programs.
