1 AIA DC EAC EXECUTIVE COMMITTEE POSITION DESCRIPTIONS Appointment to the AIA DC EAC Executive Committee is a three year commitment that follows the sequential path of Vice-Chair, Chair, and Past Chair. The Executive Committee is responsible for the overall strategic plan of the EAC and coordination of the committee s regularly occurring programs and events. The Executive Committee handles all communication with the AIA DC Board and staff, and it appoints committee Advisors and Program Leaders. Members of the Executive Committee are required to be members of the AIA DC at either the Associate AIA or AIA level. COMMITTEE VICE-CHAIR Assist the Chair in the preparation of the annual committee plan and budget Prepare minutes for all monthly meetings and distribute to the committee Oversee committee meetings in the event that the chair is absent Serve on the Christopher Kelley Leadership Development Program (CKLCP) Executive Committee as the EAC Liaison to engage incoming leaders of our local practice Work with Program Leaders and Advisory Committees to oversee the planning of designated committee events; handle all AIA DC staff correspondence for designated events Attend the AIA DC Committee Chair Bootcamp Attend targeted AIA DC, AIA National, and other industry events to increase the visibility of the EAC Maintain an AIA or Associate AIA membership with the AIA DC Chapter COMMITTEE CHAIR Prepare a committee plan to present to the AIA DC Board of Directors at the beginning of each calendar year. The plan should include the EAC s mission statement, list of members, goals for the year, programs, schedule, and budget. Organize and chair monthly committee meetings Oversee adherence to committee budget Attend the AIA DC Annual Meeting and AIA DC Board meetings as requested by the Board Attend meetings of the AIA DC Education committee to coordinate education programs among chapter committees Assist the Past Chair in developing relationships with allied organizations and AIA National advocacy programs such as the National Associates Committee and the Young Architects Forum Serve as a liaison with other AIA DC committee chairs Manage communication with the AIA DC staff for planning and execution of EAC programming Work with Program Leaders and Advisory Committees to oversee the planning of designated committee events; handle all AIA DC staff correspondence for designated events Attend targeted AIA DC, AIA National, and other industry events to increase the visibility of the EAC Appoint the Vice Chair Maintain an AIA or Associate AIA membership with the AIA DC Chapter Page 1 of 2
2 COMMITTEE PAST CHAIR Assist the Chair in the preparation of the annual committee plan and budget Develop relationships with and keep in contact with the EAC s AIA DC Board Liaison, the National Associates Committee s RAD, and the Young Architects Forum s YARD. Provide updates at monthly committee meetings when necessary Develop relationships with members of associated professional organizations in DC to promote partnerships Keep a pulse on industry events. Communicate leadership and speaking opportunities to members of the committee and encourage their participation Attend targeted AIA DC, AIA National, and other industry events to raise the profile of the EAC Page 2 of 2
3 AIA DC EAC ADVISORY COMMITTEE POSITION DESCRIPTIONS All AIA DC EAC Advisor positions are one year commitments that may be extended with the agreement of the Advisor and the Executive Committee. Advisors are encouraged to attend all monthly EAC meetings and as many EAC events as possible to be ambassadors for the committee. They should introduce themselves to new attendees and solicit feedback during events. Advisors are encouraged to become AIA DC members at either the Associate AIA or AIA level. FINANCE ADVISOR The Finance Advisor tracks and manages the committee s financial affairs. General duties include but are not limited to the following: Assist the Executive Committee to establish an annual budget Track committee revenue, sponsorships, and expenses throughout the year Compile and review quarterly financial reports from the AIA DC staff; work with Executive Committee and AIA DC staff to balance any inconsistencies Develop and submit a quarterly financial report to the Executive Committee Prepare EAC introductory packages for potential sponsors Assist the Executive Committee in fundraising for the committee Support the Executive Committee and Program Leaders as needed COMMUNICATIONS ADVISOR The Communications Advisor is responsible for the overall marketing and event promotion strategy for the EAC. Manage and delegate tasks to a small group of sub-committee members and social media coordinators; mentor and teach others in order to ease future transition Maintain the Emerging Architects Committee community calendar and Facebook events page with most current events per meeting minutes and agenda Maintain the committee contact database Generate content and produce a monthly MailChimp e-newsletter and reminder e-blasts as needed Establish and implement the overall social media strategy for the committee, including use of Twitter, Facebook, Instagram, and LinkedIn Manage and update the EAC WordPress blog in order to raise the profile of our committee and generate more event attendees Coordinate with Program Leaders between monthly meetings to ensure progress is made with advertising and promoting events Develop a communications best practices/how-to guide to formalize and unify the committee s communications strategy moving forward Page 1 of 2
4 OUTREACH ADVISOR The Outreach Advisor is tasked with ensuring that EAC members remain active, engaged, collaborative, and connected to the broader industry. Be an ambassador for the EAC by networking at events, welcoming new attendees, staying in touch with members, and adding a personal touch Establish and implement creative initiatives to increase event attendance, AIA membership, and engagement with the EAC Work with the Past Chair to develop relationships with members of associated professional organizations in DC to promote partnerships Recommend digital content to follow/post on the blog and social media to broaden the EAC s reach Recruit and mentor other EAC outreach ambassadors in order to ease future transition Oversee all current and future EAC outreach initiatives GRAPHICS ADVISOR The Graphics Advisor provides support for the Communications Advisor and Program Leaders by leading the overall branding and graphic language for the committee. General duties include but are not limited to the following: Review all existing graphics templates and guidelines; refresh and refine as necessary Produce a graphics/branding guidelines package that can be used by others to ensure consistent branding among all committee print and digital graphics Support the Communications Advisors and Program Leaders by creating event graphics for use on social media, the blog, and distribution to firms Support the Executive Committee by applying graphic templates to the annual committee plan, sponsorship packages, and other promotional graphics needs as necessary Manage and delegate tasks to a small group of sub-committee members; mentor and teach others in order to ease future transition Page 2 of 2
5 AIA DC EAC PROGRAM LEADER POSITION DESCRIPTION AIA DC EAC Program Leaders are vital members of the committee tasked with the detailed planning of EAC programming with the support of the Executive and Advisory Committees. They are encouraged to attend all monthly EAC meetings, especially those during the months before a planned program. Committee members may serve as Program Leaders for more than one event per year. Program Leaders are encouraged to become AIA DC members at either the Associate AIA or AIA level. PROGRAM LEADER Review and follow the EAC Program Planning Best Practices guidelines (to be released in early 2016) Supply the Executive Committee with the information needed to fill out the Chapter s Event Request form (including: event description, learning objectives, date, time, location, and any sponsors) no later than four weeks before an event Work with the Financial Advisor to identify event expenses and sponsors Supply the Graphics Advisor with a list of graphics needed for each event, including social media banners, flyers, etc. Supply the Communications Advisor with appropriate content for marketing each event on the blog and social media Provide the Executive Committee with regular updates and requests for help Manage and delegate tasks to sub-committee members; mentor and teach others how to become Program Leaders in the future Identify and coordinate event speakers and content Identify and coordinate event venues Attend all planned events and coordinate day-of logistics including registration and sign-in sheets, speaker needs, refreshments, etc. Events at the DAC will include day-of support from AIA DC staff. Scan the sign-in sheets and send them to the Executive Committee and the Communications Advisor after the program Page 1 of 1
