1 MICROSOFT OUTLOOK USER GUIDE ABOUT The Microsoft Exchange server is collaborative and messaging server providing quick and easy access to powerful tools and features to assist in running your business. CONNECT MICROSOFT OUTLOOK TO EXCHANGE OPTION ONE: CONFIGURE A NEW PROFILE 1. Click Start -> Control Panel -> Mail or Mail (32-bit) 2. Click Show Profiles, then click Add 3. Enter an appropriate title such as BOAB IT Hosted Exchange, click OK MICROSOFT OUTLOOK USER SETUP GUIDE Page 1

2 4. You will be taken to a new window called Add New Account, ignore any prepopulated information and select Manually configure server settings or additional server types and click Next 5. Select Microsoft Exchange or compatible service and click Next MICROSOFT OUTLOOK USER SETUP GUIDE Page 2

3 6. BOAB IT will have provided you a username and password to access your Hosted Exchange account, you will need this ready for the next step. Enter the following information: Microsoft Exchange Server: webmail.legalcloud.com.au Make sure Use Cached Exchange Mode is checked User Name: yourname@yourfirmname.com.au 7. Click More Settings NOTE: If using Microsoft Office 2007 or earlier, you will be prompted with an error message. The action could not be completed. The connection to the Microsoft exchange server is unavailable. Outlook must be online or connected to complete this section. Click OK and a new window will open. In the new window, click the Connection tab, check the Connect to Microsoft Exchange using HTTP, click Exchange Proxy Settings - The URL for the Exchange server is: webmail.legalcloud.com.au - Make sure both boxes that start with On fast networks, and On slow networks, are checked. Change Proxy authentication settings to Basic Authentication and click OK twice, then click Next. Enter your password when prompted and check the Remember my credentials box, and finally click Finish. MICROSOFT OUTLOOK USER SETUP GUIDE Page 4

5 9. Back in the Mail window, select Always use this profile and make sure BOAB IT Hosted Exchange is selected and click OK. 10. Open Microsoft Outlook and your BOAB IT Hosted Exchange account will automatically configure itself. After a few minutes, you will be ready to send and receive . OPTION TWO: ADD AS AN ADDITIONAL ACCOUNT TO AN EXISTING PROFILE 1. Click Start -> Control Panel -> Mail or Mail (32-bit) MICROSOFT OUTLOOK USER SETUP GUIDE Page 5

6 2. Click Accounts..., then click New 3. You will be taken to a new window called Add New Account, ignore any prepopulated information and select Manually configure server settings or additional server types and click Next 4. ADDING AN ADDITIONAL SHARED MAILBOX Please contact BOBA IT Hosted Exchange beforehand as we will need to change the sharing permissions for the shared mailbox. 1. On the Tools menu, click Accounts. 2. Click View or change existing accounts, and then click Next. 3. In the list, click the Exchange account type, and then click Change. 4. Click More Settings, and then click the Advanced tab. 5. Click Add, and then type the mailbox name of the person whose mailbox you want to add to your user profile.
