3 The Erasmus+ Mobility Tool Web based platform to manage and report on mobility projects, used by beneficiaries of mobility projects. This is to include, - Information of projects - Participants and mobility details - Budget information for funding and finance Information used by the Erasmus commission to monitor and validate mobility information. 3

4 Managing Mobility Beneficiaries are generally Higher Education organisations participating in Erasmus. Most of which will also participate in other international activities and programmes. We find that many institutions have a de centralised approach to managing mobilities and partnerships, generally data is compiled in multiple spreadsheets and CRM systems. Making data collection difficult and time consuming, often leads to inaccuracy of data. 4

5 Using the Erasmus Mobility Tool For those who identify to these challenges they often find that data input into the tool can be labour intensive. Challenges include, It can be time consuming identifying and entering required partner information and Erasmus codes Collating information from across the institution Calculating funding formulae's Organising data in the correct format Keeping abreast of frequent changes and revision of new specification Data can be duplicated and manual updating of data changes are often required 5

6 Mobility Tool interface MoveON provides an online (SaaS) solution to help the international office better manage mobility and partnership activity. QS partnered with Unisolution in 2009 to form QS Unisolution clients worldwide, majority in Europe participating in the Erasmus programme. 14 years of experience and expertise, founded and developed from within international HE industry. The mobility tool interface was created as part of the finance tool in response to our client community looking for an easier way to manage mobility finance and funding that was compatible with the Mobility Tool. 6

7 MoveON helps to compile mobility data making maintenance and upload to the mobility tool easier One database for all mobilities, avoids duplication and supports all partner and mobility types, so you can use with all international activity alongside Erasmus activity Scalable across all departments, multiple users contributing and viewing information Up to date, real time information to extract when required Convenient data set upload through a pre defined interface, no manual formatting required Interface is maintained and updated with all mandatory data and formatting required by the Erasmus Commission 7

10 Northumbria University and MoveON November 2014 Publisher created for outbound student locations Went live December 2014 for non-eu outbound student applications Extended to incoming applications for September 2015 (modules only) From September 2015 used for all form return, Erasmus+ grant calculations and payments, Santander grant payments Allows management of LA signature, bulk allocation of grants, export to NU Finance Office for payment, tracking of budgets & spend, maintaining contact database, reporting on grant payments Allows Faculty exchange teams to view scheduled & pending payments Further extended to log Erasmus+ staff mobility 2015/16 Further extended to all outgoing cohort for September 2016 (all applications) 10

11 Northumbria University future use In 2016/17 the system will be used to provide data to upload to the Mobility Tool Using MoveON to track all staff mobility across the University Partnerships extended to Academic Registry RBS/IDO using MoveON for tracking external funding bids (e.g. RISE) with multiple external partners Increased use of Publishers including travel reports 11

12 The statistics, calculations tool, reports and document templates have completely won me over. There are a lot of features which help you to save time from day to day, before we were wasting a lot of time - Universitat de Lleida _ The thing that we're doing most successfully is managing our finances with MoveON, and perhaps 2-3 weeks of work every time we are doing an Erasmus report to the national agency.
