3 Introduction The purpose of this document is to describe the process of setting up Lync Online. Audience This document is compiled for Office 365 users. Document Location The document is placed on Atea Microsoft Office 365 support page. This is a snapshot of an on-line document. Paper copies are valid only on the day they are printed. 4 1. Download and install Lync After you have signed in to the Office 365 for the first time, you can download and set up Lync. In the Microsoft Online home page in the right pane, under Resources, click Downloads. Under Install Microsoft Lync, select your desired language option and choose both a 32-bit or 64-bit version, and then click Install.

5 Lync will not work properly until you set up and configure your Office desktop apps. In the Downloads page under 3 rd part Set up and configure your Office desktop apps click Set up. When you have downloaded and installed Lync, and set up your Office desktop apps, sign in with your user ID and password. If Lync prompts your sign-in or address again, enter the o365 user ID again in the same format.

6 2. Set External Communications You can allow or disable external communications (meaning that people outside your organization will or will not be able to contact users in Office 365 in Lync). Log in to MOP with your administrator credentials. In Admin Overview in Lync section choose the option Manage.

7 In Lync Online Control Panel choose the option External communications.

8 In this part of Lync Online Control Panel in addition to allow/disable external communication you can manage specific domains that you want to allow/not allow communication and file exchange with. 3. Modify user information It is possible to modify the settings for a particular user. Log in to MOP with administrator credentials and in Admin Overview in Lync section click on Manage.

9 In the Lync Online Control Panel, click on Users. Choose the user whose settings you want to manage and click on his / her name.

10 The following page can contain various options depending on the subscription plan that you have. Here between other options you can manage whether user can or cannot send files through IM, make audio and video calls, record calls, etc.

11 4. Troubleshooting Lync sign-in errors If you are experiencing problems with signing in into Lync, go through the following steps: Issue During sign-in, a dialog box appears that contains the following phrase:lync cannot verify that the server is trusted for your sign-in address. Connect anyway? Mistyped sign-in address, user name, or password Forgotten password Not licensed to use Lync Online Wrong version of Lync installed Microsoft Online Services Sign- In Assistant missing Problem acquiring a personal certificate that is required to sign in User name, password, or domain appears to be incorrect System clock out of sync with server clock Suggested Resolution Verify that the domain name in the dialog box is a trusted server in your organization for example,domainname.onmicrosoft.com. Ask the user to select the Always trust this server check box, and then click Connect. Confirm that the user s sign-in name and password are correct. Verify that the user s sign-in name is formatted as follows: user@mydomain.com. This may be different from the format you use to sign in to your organization s network. Ask the user to try signing in to Lync again. Reset the user s password and notify him or her of the new temporary password. Confirm that the user is registered as a Lync user. If not, register the user, and then ask him or her to sign in to Lync again. This issue is usually associated with an error message that contains the following phrase: the authentication service may be incompatible with this version of the program. Install Lync from MOP. Users receive this message To sign in, additional software is required. Download and install now? The error message contains a link that allows users to install the Microsoft Online Services Sign-in Assistant from the Office 365 Portal at If the user s sign address has recently changed, they may need to delete cached sign-in data. Ask users to run the automated Fix it wizard in Microsoft Knowledge Base article The user s sign address may have changed recently. Ask the user to reinstall the Online Services Sign-in Assistant from the Office 365 Portal at and then try signing in again Ensure that your network domain controller is synchronizing with a reliable external time source.
