3 Equipmentperfect Automatic Loan and Return Process Your equipment whether it is a key ring, a digital camera, or a walkie-talkie is regularly borrowed by your visitors as well as your employee. This loan process can quickly become a puzzle to the security department that, oftentimes, must manage it. 1. The borrower scans his proximity card with the exit (loan) reader. The Loan Details window appears automatically. The name and card number of the borrower appear in the corresponding text boxes. Therefore, Excellium has perfected Equipmentperfect, the equipment loan management software. This software allows you to take control of the equipment on loan and its estimated return date with less paperwork and shorter time for a loan transaction. Equipment Loan Management Equipmentperfect allows you to automate the loans thanks to RFID technology or to linear barcodes. Per example, you can attach an RFID tag to each piece of equipment and thereby substantially accelerate the loan process by bringing it down to a few seconds per transaction. Each borrower of equipment can identify himself to the system in presenting his card to a reader. The person in charge of the loans then sees the profile of the borrower appear. The loaned equipment has now to be presented to the reader and the equipment is automatically associated to the borrower. When the borrower returns the equipment, it only has to be presented to the return reader so it will be put back in the inventory. 2. The lender scans the borrowed equipment with the exit (loan) reader. The equipment must have an RFID tag. The description of the equipment as well as the time and date of the loan appear in the Loaned Items grid. 3. The lender clicks the Save button. 4. The borrower takes the equipment. The same system could also be operated manually without any identifier; the person in charge of the loans could simply select the borrower in a database, get his profile on screen, find and select in a database the equipment loaned and associate it with the borrower. 5. When the borrower returns the equipment, the lender scans the equipment with the entry (return) reader. The Loan Details window appears automatically and the returned equipment is selected in the Loaned Items grid. 6. The lender clicks the Save button. The equipment is returned to the inventory. 3

4 Data Management Equipmentperfect also makes it easy to consult every late loan through a well ordered report. Also, an alert dialog appears at the opening of the software to warn the employee logging in that a loan is past its due date. Equipmentperfect uses the Controlperfect database. Because the data is located in one central database, the collection and the management of the information of the individuals and the equipments loaned is greatly simplified. For instance, if an individual borrows a laptop from the IT department and car keys from the reception, both loans, made in two different locations, will be stored in the person s unique file. Anyone viewing that person s file through Controlperfect will be able to see both loans. History Many reports are available with this software to make sure that you keep the control of your loans. You can easily get a list of the transactions log, the inventory and the equipment on loan, including their estimated return date. Screenshot : late loans Minimum Requirements and Peripherals Equipmentperfect runs on a personal computer with a 2.4 Ghz Pentium processor and Microsoft Windows XP, service pack 2 or higher. You can add functionalities to Equipmentperfect by connecting various card readers to a personal computer. Each peripheral requires an available RS232 or USB port to be connected to the workstation. Various kinds of identification devices can be used with Equipmentperfect to accelerate the loan process. Of course, the user s proximity card or RFID key tag to identify the borrower remains the same used for access control, but the various pieces of equipment can be tagged with self adhesive RFID tags, Microprox tags or RFID key tags.
