1 User Guide - Online Performance Review Contents How is this year s appraisal going to work?... 1 Performance Review ON-LINE Process:... 1 Where do I go for help? How do I log into Self Service? Are there user guides available for Self Service? How is this year s appraisal going to work? This year, employees paid under the Archdiocesan Pay Scale (APS) will be able to complete their annual Performance Appraisal on-line using MyAurion Self Service. The old paper-based method will of course still be available if desired. Performance Review ON-LINE Process: 1. There are 3 ways to commence the process: a. The system automatically sends an to employee advising there is a message in their inbox. b. Employee accesses Employee Self Service (ESS) and selects under the Please Select an Option, the Current Appraisal heading. This reveals the Appraisal section. Click on New and then the up arrow to choose the form to complete i.e Performance Appraisal, and hit save to choose the form. c. Manager accesses ESS, whilst in the Home Portal, clicks on the Reselect word to bring up a list of their employees. Double click on the employee they wish to start an appraisal for. Click on Current Appraisal heading, this reveals the Appraisal section. Then click on New word which opens the right screen. Click the up arrow to choose the form for your employee to complete i.e Performance Appraisal, and hit save to send the form to your employee. Page 1 of 10

2 2. Employee needs to read and Set to Read the message in their Aurion Inbox if not, then reminders will continue to be sent to the employee. 3. To Open the Performance Review Form (Form) - Employee accesses Employee Self Service (ESS) and selects under the Please Select an Option the Current Appraisal heading, this reveals the Appraisal section. Then click on the form/line. Click here to show the full screen Click here 4. Employee completes their Self-Appraisal (Step 1): a. If completed in one session click Save and Submit button this automatically forwards to the manager and the manager is advised by an . b. If not completed in one session the employee is required to click the Save button to retain their work. On returning to the form, they are required to click Modify before doing any further work in the document. This can be done as many times as required. When finalised, the employee clicks Save and Submit button this automatically forwards to the manager and the manager is advised by an . Page 2 of 10

4 6. Manager and Employee meet in person and have Performance Review discussion (Step 2). The form may be completed by the Manager during the discussion or finalised after the discussion by clicking Save and Submit. Page 4 of 10

6 7. The form is then automatically returned to the Employee who completes their comments section and confirms that the content reflects their discussion with their manager (Step 3). Employee clicks Save and Submit and the form is automatically forwarded to the next Senior Manager. Click here when finished Page 6 of 10

7 8. Next Senior Manager Opens form reviews and makes comment (Step 4). a. If all good select yes and click on Save and Submit. b. If concerns, record reasons for concerns select no and click on Save and Submit. The form is returned to the Manager. The manager needs to further discuss with the employee and the process recommences at Point 6 above. Both the Manager and the Employee need to click on Modify prior to making changes to the form and resubmitting it to the Next Senior Manager for approval. 9. After Next Senior Manager completes, the form is automatically sent to the Manager. Page 7 of 10

8 10. The Manager must then Finalise the form. Click here 11. After the form is finalised, a message will be sent to the employee so that s/he can read any comments made and print the final appraisal should they wish to. Please note: there will be one exception to this workflow. For Executive staff there will not be a Next Most Senior Manager Review by the Archbishop so this step will not be included in that appraisal process. A flowchart of the process has been provided for you below. Page 8 of 10

9 receive in Outlook requesting completion of Performance Appraisal log onto MyAurion Self Service complete Step 1 Self Assessment 'save and submit' to line supervisor Employee Self Assessment Line Supervisor Appraisal receive an in Outlook log onto MyAurion Self Service meet with employee to discuss appraisal complete on-line appraisal form and 'save and submit' to employee for confirmation receive in Outlook log onto MyAurion Self Service read any comments complete 'individual sign off by employee' click on 'save and submit' to Next Most Senior Manager Employee Sign off Next Most Senior Manager Review recieve an in Outlook log onto MyAurion Self Service review the completed appraisal and add any comment if agree, 'save and submit' to the manager for confirmation if disagree, 'save and submit' to manager for amendment in consultation with employee receive an in Outlook log onto MyAurion Self Service read any final comments mark appraisal as finalised send advice from MyAurion Self Service to employee that appraisal has been finalised Line Supervisor Finalise Page 9 of 10
