3 A. Backing up your s into a Personal Folder (.pst file) Applies to MS Outlook 2000, 2002, 2003: 1) Creating a Personal Folder. Go to File > New > Outlook Data File. Select which type of.pst file you d like to create. I.e. For compatibility with Outlook 2003 or not. Click OK. How to backup important data Page 3 of 27

4 In the Save In list, specify the directory where you wish to save your.pst file. Rename your personal file accordingly. For e.g. backup1.pst, marchbackup.pst. Click OK. How to backup important data Page 4 of 27

5 * Take Note: The Personal Folders are stored in your local drive, as specified by you. They do not reside in the Exchange Server. Therefore, you can only access those Personal Folders on that pc whereby you stored them. 2) Moving your s to your Personal Folder. Simply drag your s from the Inbox to your Personal Folder. *Take Note! Upon transferring your s to your Personal Folder, they will no longer be available in your Inbox or the Mail Exchange server. 6 B. Backing up from My Documents folder. 1) Go to My Documents folder. For Win 2000/XP users, the default directory is C:\Documents and Settings\userid\My Documents, where userid is your NUSNET id. 2) Select the files you wish to backup. 3) Copy and paste them into your floppy, zip or H:\. 7 C. Searching and Backing up other personal files & folders. 1) Locate specific files with the Windows Search function. Go to Start > Search. Click on All Files and Folders. Type in the name of the file. For e.g. mylist.doc For various files of the same kind, type an asterisk sign followed by the file type. For e.g. *.doc, or *.xls. 8 Specify the location, be it C: or D: drive, or any folder. Click on browse to select a specific directory. Click on Search button. 2) Copying and saving those files. Select the files that you have located. Right click on the files, select Copy. How to backup important data Page 8 of 27

10 D. Backing up your Microsoft Outlook Personal Address Book (.pab) To check which Outlook version you are using, please launch your Outlook and click on the Help button > About MS Outlook. 14 E. Transferring/ Adding a Personal Address Book (.pab) into your Outlook. Applies to MS Outlook 2000: 1. Launch Outlook. Go to Tools > Services. 2. Click on the Add button. How to backup important data Page 14 of 27

15 3. Select Personal Address Book and click OK. 4. Click on the Browse button and look for the directory/folder where you have stored the.pab file. 5. Select your address book and click OK to open. How to backup important data Page 15 of 27

21 F. Backing up your Contacts folder (into.pst format) To back up the Contacts folder, you need to export the folder to a file in.pst format. 1. On the File menu, select Import and Export. 2. Select Export to a file, and then click Next. How to backup important data Page 21 of 27

22 3. In the Create a file of type list, select Personal Folder File (.pst), and then click Next. 4. In the Select a folder to export from list, click Contacts. *If you have subfolders below the Contacts folder that you want to include, select the Include subfolders check box. 5. Click Next. 23 6. Click Browse, choose a location for the file, such as My Documents, and then type a name for your backup file, such as ContactsBackup.pst. Click OK. 7. Then, click Finish. 8. A small window will appear. Name your contacts backup folder. Set the encryption and password settings, if you need them, and then click OK. How to backup important data Page 23 of 27

25 H. Favorites (Backup for Internet Explorer users) 1. Launch Window Explorer by clicking Start --> Run and enter explorer in the text box. Click Ok. For Win2000/XP users, go to the directory C:\Documents and Settings\XXX\Favorites, where XXX is your NUSNET ID Backup all these internet shortcuts into a floppy disk, thumb drive etc. Example of Storage Devices On the new pc, launch Window Explorer again. For Win2000/XP users, go to the directory C:\Documents and Settings\XXX\Favorites, insert the diskette, copy all the internet shortcuts from the diskette to this directory, where XXX is your NUSNET ID. 26 I. Bookmarks (Backup for Netscape users) For Netscape version 7 1. Launch Window Explorer by clicking Start --> Run and enter explorer in the text box. Click Ok. 2. For Win2000/XP users, look inside this directory C:\Program Files\Netscape\Users\ 3. Go to your profile folder, copy and save the file bookmark.htm into a floppy disk, thumb drive etc How to backup important data Page 26 of 27

27 Note: If you want to confirm whether you have saved the correct bookmark, you may double click on the bookmark.htm file saved. A list of your bookmarks should be shown. On the new pc, launch Window Explorer again. For Win2000/XP users, go into this directory C:\Program Files\Netscape\Users\your profile name, insert the floppy disk, thumb drive etc, save the bookmark.htm into the directory.
