2 Introduction Epos tills capture the sales information to ensure you make better decisions Openxpos stock system has two till versions depending on the product range and serving method you can use a keyboard based version (XPOS) or a touch Key version (XTOUCH). Both versions get products supplied from the main product database normally located in a back office and over the network. New lines, product changes and other alterations get merged in seamlessly during the trading day without operator involvement. The tills need to be resilient and so each till carries a copy of the product range and pricing. It will search the main database for stock availability as this will be a more accurate stock level taking into account goods inwards and the sales from the other tills. There are also other centrally shared functions like customer accounts, layaways and Q busting. The tills can perform quite complex promotion calculations that not only help sell with merchandising offers, but would be too difficult for an operator to work out manually as quickly Due for the potential of theft and operator collusion, all activities have stringent security tests and back office reporting There are a number of different ways to tender cash, credit cards, cheques, vouchers, credit notes. Finished sales get sent up to the main database to downgrade stock and increase sales every 15 seconds (approx) The whole till activity is controlled by till produced readings of sales totals and funds declaration

Both sets of hardware are highly regarded in the marketplace and offer exceptional reliability and value for money. 5 Touch Till entry With the comprehensive training and user friendly touch screens your staff will pick up the new till system very quickly. Having pictures displayed when selecting products is really helpful, when working on furniture patterns or choosing from a range of pots or paving. 6 Restaurant and kitchen Using the flexible touch layout you can pick you meal or drinks choice from all the options offered. To confirm this or to check on ingredients an enquiry option will expand on the contents of the meal. To maintain a high level of service, the customer can choose from the options offered with the meal for vegetables or extras. The meals get printed out in the kitchen where they are controlled on the serving of the tables and over time tables are highlighted. 7 Till Tendering The payment or tendering at the completion of a sales allows for multiple payment methods. You can offer mixed payment types using cash, credit card, cheque, account, credit note or vouchers. For security reasons some advanced features will need to be run under supervisor control. Typical of this would sales refunds or cash drawer related like no sales or cash lifts. The system will also provide all end of day readings and group sales readouts. 8 Till Promotions Promotions are the best tool for encouraging sales and clearing stock. The computer can perform far more complex tests to determine if special prices or discounts apply. All the operator has to do is scan the products. Their effectiveness can be measured by recording these sales and reporting on them and this also acts a prompt to do the same next year at the same time. The different promotions are, multi buys, mix and match, link sales, cheapest free, kits of items, and supplier vouchers. 9 Accounts and deliveries Where you have regular customers it makes sense to record there details of address, delivery instructions on file. The use of a postcode CD can help where this is only a temporary customer. The account can be issued a card and sales directly traced back to them. It encourages customers to buy more and they can become part of either discount clubs where different discounts are offered on selected groups. Alternatively you may want to set up a loyalty scheme of your own voucher rewards. 10 Credit cards Using integrated online credit cards with a chip and pin pad is quite standard. The retailer signs up for a bureau facility and the cards authorisation and money collection go through a secure link over broadband. Reduces counter space and increases speed of card payments. Less counter space than a PDQ machine No double entry of bill causing mistakes Faster authorisation via broadband Chip and pin compliant Interrogate sales gone through or not, via website viewing Only one broadband phone line needed Includes all polling, support and pin pad Can move banks easily without changing terminals

11 Product entry Barcode Scanning As you would expect barcode scanning is the major way of serving items to be sold. It is accurate in selecting the correct description and price. Each item can have multiple barcodes linked to it and also reads special ones like the ones produced by weighing scales. Product entry Product not found Obviously not all products have been recorded on the system or if they have a barcode may not have been stored with it. It is important to let the operator know that although the scanner can read the barcode it has not been correctly matched against a product. We display a warning message that the operator has to respond to with a warning beep from the till. This must be dealt with before processing other items into the customer s basket. Product entry Repeat If the customer is buying more than one of the same item, but each is at a varying in price, then the repeat button will reload the product without having to scan or enter it again, which speeds up the serving time. Product Dump codes Where no specific product has been created to sell this item then a generalised line called a dumping code may be used. This lets each sale be entered at the individual price of each item. An example of this may be pick and mix sweets Dump codes- (cont) It may be that it is being used because of problems with data creation, so optionally a reason for use and an operator comment can be collected to be reviewed by the back office staff later. Product Void line During the sale the customer may change their mind and decide to remove an item, or the operator has selected the wrong product, either way the sale needs adjusting. By highlighting the line to be voided, the line gets removed from the sales totals and will not get printed on the receipt when produced at the end of the sale. The voided line has its colour changed to red and a strike through line shown on screen to make it clear it has been voided. Product Sale Cancel Sometimes either the operator or the customer get so confused by changes or in fact the customer does not have enough funds, such as a declined card, that the sale needs to be cancelled and a new sale started. A printed copy of the cancelled sale is produced. Product lookup Touch buttons On a touch screen the operator selects an item by pressing the related product button up to 5 rows by 5 columns = 25 buttons. However to allow for more flexibility each button can select a further 25 buttons and so on down to four levels deep. Touch buttons -(cont) So to recap each button position can offer a product or a lower level menu. Each position can have a word legend to describe the product to the operator. We do not recommend putting the price on the legend in case you change the product price and it would no longer agree. Each button can have its own colour. The lower levels have only 24 buttons as they have one to return to the higher level called a back key Product lookup Touch pictures Touch pictures buttons are displayed from the initial top level button and the show ten pictures each with a legend button. More can be shown by using the scroll facility. The main use for picture buttons is security risk high value items or difficult to identify to make sure the operator is picking the right one. Product lookup keyboard - non touch On a keyboard the operator selects an item by pressing the related product button up to 5 rows by 4columns = 20 buttons. However to allow for more flexibility each button can select a further list of products displayed on screen. Each item on the sub list is numbered starting from 0 and up to 10 items can be seen on screen at any one time. So 0-9 appear and items 9 upwards only become visible through scrolling down. It is better therefore to restrict sub levels to ten items only ideally. To pick the product scroll to the line and press accept or end the item number related to it. i.e.. 0-9

12 Warnings messages Some products need to indicate that there is a warning related to them such as alcohol, where the message would be don't serve to under 18s. The message selected will be displayed to the operator at time of serving. Sales messages Some products have the potential to sell additional linked items. A good example of this would be a toy where the additional item may be that batteries are required. The message selected will be displayed to the operator at time of serving. Pictures Some products may have information pictures linked to them. These are displayed at the time of serving or by additional operator selection. These are shown to help the sale by perhaps to help request to order an item or as a security check that the correct item has been selected. Queue Busting The serving of larger items such as landscaping products or specialist items like furniture or fish, means the advising sales person does not have to leave there area to escort the customer through the till but can scan the items involved in the sale using radio handset technology and store it centrally. The goods can be taken to a pickup point. The customer goes to the till quoting their q busting reference being a number or part of the surname. The sale lines are retrieved and the customer pays. This technique can also be used to help pre scan items in peoples baskets where queues are building Quantity Sometimes it is necessary to increase the quantity sold from the assumed one that is done with a barcode scan. This might be to increase or even decrease the items purchased, say if they cannot afford it or to if the operator points out that if they buy more they will be entitled to a promotion. This can be done at any time during the sale not just at scanning. Note scanning a barcode again also increases the quantity sold of the current line without adding an additional product line to the sale. Price It is normal that the sell price that is used will be the list price of the item identified by the bar code. However if the items vary with each sale then the product can be requested to stop and ask the operator for the price at the time of serving. Price Override Sometimes it is necessary to vary the price used from the list price that is used with a barcode scan. This might be to one of a number of genuine reasons, and so the operator is asked to choose one from the list available. Optionally the operator can enter a typed comment and this information can be saved to be reviewed by the back office supervisor later. Price check It may be that the customer is unsure of the sell price as the label is missing. The price check allows the product to be scanned and presents additional information to help with a customer or staff query. A price check item does not get included in the sale. Line discount There may be a need to reduce an item because it is not up to standard, such as incomplete or damaged packaging. This might be to one of a number of genuine reasons, and so the operator is asked to choose one from the list available. Optionally the operator can enter a typed comment and this information can be saved to be reviewed by the back office supervisor later. Global discount There may be a need to discount each item of the sale and would be too time consuming to do each product with a line discount. The global discount can only be activated at the start of a sale. End of sale discounts It may be that due to the total of the sale being quite large that the customer asks for some discount off. This allows the operator to give discount but will suggest a lower figure if they have already received some discount and promotions already. The operator can enter an amount or percentage off. The discount given then gets spread across the items in proportion to their sales value. End of sale voucher promotion Once all items in the basket have been scanned, checks to see if the voucher offers requested by the customer are present in the sale, and if they are reduces the item accordingly.

13 Layaway The customer sometimes needs to suspend the sale, e.g. to buy an additional item they have forgotten. If the customer leaves the till area the till would be unable to serve anybody else until the original sales was either completed or cancelled requiring it to be rescanned on their return to the till. The layaway allows the sale to be stored centrally and can then be recovered and completed on any till later. Product returns Customers obviously bring items back. The operator has to select from a reason list why the credit has been given. Optionally the operator can enter a typed comment and this information can be saved to be reviewed by the back office supervisor later. The effect on stock will depend on the reason selected. i.e. an exchange for wrong purchase would go back into stock, whereas a damaged or faulty item wouldn't need a supplier credit. Promotions Just to say the company may wish to sell more items by promoting them or clear old stock this way. There are a number of techniques all of which have various tests, and sales conditions to be given. These rules are set when making a promotion in the back office. The operator has to do no more than scan the items normally and the appropriate reductions will be given. The promotions are automatically monitored for performance in the sales reports. Promotions - Kits Where combinations of items are sold together e.g. furniture sets. A marketing item is setup with a name to sell all the items by selecting it. The stock is taken off each product and price reduced to achieve the sell price advertised for the combination. The customer must identify that they want this deal as the till cannot identify the items making it up as they may be involved in several kits. Search Sometimes the item does not scan but is on the system. There are a number of search techniques but the most common is the use of the name. In the advanced search up to three words an be used anywhere within the description. The results of the products found are shown as a list on screen. The operator can either add the item to the current sale, perform a new search, look more closely at the detail of the product or check for availability from another branch. Delivery The customer may request for the goods to be delivered, and as such their address can be taken, or more easily found using a postcode CD. Additionally the customer can provide delivery instructions and agree a date for the delivery. Collections The customer may purchase items based on a sales showroom display item. However their goods have to be picked from storeroom stock. They request a collection and wait a while before proceeding to the collection point to hopefully pickup their goods. Subtotal When a sale is completed the operator can select one of the tendering methods or wait to decide. If the customer decides to buy something else then using cancel can return to product selling mode. Multiple tender types on the same sale are supported. Refund is necessary when the sale involves returning funds to a customer before selecting a refund tender method. When the funds tendered exceed the sale total an automatic change calculations done to help both operator and customer Cash Allows for the tendering of the sale in different denominations until the sale value is reached Cheque Cheques are taken as a tender method and some printers can offer cheque writing Credit card Manual The credit cards are actually being processed on separate PDQ terminals and you are merely telling the till which card type was used as well as the payment value. Credit card Online The credit cards are actually being processed by the till informs the till which card type was used as well as the payment value. Cash back and multiple cards are supported. This also requires the retailer to be with a credit card bureau like Commidea or Yespay

14 Vouchers The supplier may offer discounts by way of vouchers, or alternatively a friend may send a token by way of a present to be used. Either way the voucher type needs to be selected and the voucher value treated as like a cash discount. Loyalty discounts The retailer may offer discounts by way of loyalty vouchers. It is common for these vouchers to be numbered to trace them and are treated as like a cash discount. The discount is spread over the goods purchased. Credit notes When a customer returns goods and does not buy sufficient goods to use up the credit, then a credit note can be printed and tracked by the system. On returning to the shop the sales goods are selected and the credit note tendered first to reduce the sale value before tendering the remaining total. Deposits When a customer orders goods they make leave a deposit and as such need a receipt of the retailer holding their funds. On returning to the shop the sales goods are selected and the deposit tendered first to reduce the sale value before tendering the remaining total. Accounts If the customer is a registered account then they can have credit and as such take goods and the sale added to their account balance. A working invoice is also printed by the till. On returning to the shop the account holder can pay off part or all of the transactions that make up their balance. Operator change and time away Allows the till to be suspended pending the next operator signing on Cash Drawer services No Sales When the operator wishes the cash drawer to be opened but not as part of a sale, a reason needs to be supplied Cash Drawer services Paid out When the operator wishes the cash drawer to be opened, so that an expense item can be paid out, a reason needs to be supplied Cash Drawer services Floats When the operator wishes an additional float to be added to the existing float in the cash drawer Cash Drawer services Lifts When the operator wishes to remove funds from the existing float in the cash drawer to reduce the value of money being held. Cash a cheque When the operator wishes to cash a cheque, then the funds can be transferred without having to do a sale. The person cashing the cheque needs to be identified. Online or Offline credit cards Allows the operator to change over to manual credit card method if the online system goes down and then turn it back on when fixed Payment readings There is a facility to list all sales by payment type so that they can be reconciled by the operator, and is especially useful for checking credit cards and cheques. Till readings Normally at the end of trading, the production of a reading showing total sales, vat breakdown and how tendered. Available per till or cumulatively for all tills. Departmental readings Normally at the end of trading, and optional, the production of a reading showing total sales broken down into their sales analysis groupings. Available per till or cumulatively for all tills. Other Routines As well as serving functions the till can also perform some back office functions such as stock counting, making batches, and own use.
