2 Dear Exhibitor, This ESRA 2013 Exhibitors Technical Manual is designed to assist you in preparing for a successful event and contains important information. Please read the information in this manual. It will take you very little time now and could save you a great deal of time later. We recommend Exhibitors using independent booth contractors to include a site visit in the planning process to assure a smooth and well planned set up. Please contact Victoria.Parsons of Scottish Exhibition and Conference Centre (SECC) at: victoria.parsons@secc.co.uk to coordinate a visit. The Exhibition will be held in conjunction with The 32nd Annual ESRA Congress - State of the Art Safety Standards in Regional Anaesthesia, held on September 4 7 at the Scottish Exhibition and Conference Centre (SECC) in Glasgow. 8 SECTION 4: Exhibition Stands To ensure the smooth and efficient installation and dismantling of your booth, an official Stand Builder has been appointed (see SECTION 1: Contact Information). Booth furniture and accessories are available for rent (please refer to the enclosed catalogue and order forms at the end of this manual). 9 Designer/Independent Contractor Stands Exhibitors using independent contractors are required to submit the following for approval to no later than Friday, August 9, 2013: 1. A scaled drawing (including elevation views) of the proposed booth to be built. 2. A list of all Electrical / gas powered devices / appliances to be installed in the booth. 3. Risk Assessment all raw stands should complete the risk assensment form and send it together with the booth plan. Your assessment should be based on risks associated with build up, open and break down periods. All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, or damaging the premises. Exhibitors are kindly requested to allow sufficient see through areas that ensure clear views of surrounding exhibits. The Organizers will not approve stands that do not comply with the accepted standards until the necessary changes have been made. Exhibitors are required to submit the name and contact details of their respective construction company to Hanna Safier at: hsafier@kenes.com. 8

10 SECTION 5: Exhibition Technical Information Hall Specs Exhibition Hall: Hall #5 in Ground Level. Please find link to the SECC interactive floor plan: maps.aspx Maximum Build up Height: The maximum allowed build up height is 5 meter. Please note that if your Booth floor platform is higher than 4.5 cm, you are required to provide a ramp for handicapped access. Rigging Options: rigging is allowed. Max allowed height is 6 meter (measuring from the floor to the top end of the suspended banner/object). If you are planning to use the rigging facilities within the SECC, please be aware that you are required to submit an order to the Technical Services Department of the SECC 14 days prior to commencement of build up, together with a full description of the item(s) to be rigged. Floor Finish: the floor is painted black. There are ducts on the floor which allow for the power and IT supplies. Max floor load: 5 tons per one square metre. Internet: Free Wi Fi is available in the Exhibit Hall for 30 minutes and then there is a charge. If you requiers a Secure, high bandwidth wireless connection (faster), these are available on a pre order basis from the SECC. Internet Wired Connection may be ordered via the Telecom/IT order form. Live demonstrations at the booth can be held only if using Tour Guide Systems. Order form for Tour Guide Systems found in this Manual. Storage As the SECC has no storage facilities, no deliveries will be accepted prior to the congress. Smoking Policy The SECC operates a NO SMOKING policy in All halls. Stand Cleaning basic stand cleaning is included for all stands. If you wish to order additional cleaning please use the Event Services form. Lorries and Trucks Loading is through the loading bay on Hall 5. We will be using entrance door #5.1, which measures: 5.1m high x 5.5m wide. Parking during unloading is limited for short time only. Parking of trucks and cars of exhibitors after unloading is allowed at the SECC car park 5 at no additional cost. 14 SECTION 6: Exhibitor Badges All Exhibitors are required to be registered and will receive a badge displaying the exhibiting company s name. Individual participant names will not appear on badges and may be used interchangeably between staff members. Two exhibitor badges will be given for the first 9 sqm booked and one additional badge for each 9 sqm thereafter. Any additional staff members will be charged an exhibitor registration fee of VAT. Companies can purchase a maximum number of exhibitor registrations as follows: Booths of up to 60 sqm 15 exhibitor registrations Booths larger than 60 sqm 25 exhibitor registrations For additional badges, please use the Exhibitor registration form on the next page. Please return the form to the attention of: Hanna Safier at hsafier@kenes.com, no later than Friday, August 16, Exhibitors badges give free access to the exhibition area, coffee breaks and welcome reception. All personnel are required to wear badges to access the venue. Company representatives not wearing their badges will not be allowed to access the exhibition. Company name badges are for the use of company personnel for booth staff purposes only and should not be used by companies to bring visitors into the Exhibition. Exhibitor s badges will not be mailed in advance and may be collected at the Registration Desk on arrival. 13

15 FULL CONGRESS REGISTRATION Session Pass which allow access to lectures Booths over 18sqm receive 1 free registration. Booths under 18sqm can replace their free exhibitor badges (2 badges) for 1 full registration. Service Passes Stand contractors and staff must wear service passes during the entire set up and dismantling period. Service passes are free of charge and may be collected from the Registration Desk on site. 14

19 SECTION 8: Rules & Regulations and General Information Binding for all Exhibitors and their subcontractors Security The Organizers will provide security guard service in the exhibition hall during off show hours. Neither The SECC nor the Organizers can accept responsibility for the security of the stands and their contents and for damage to, or theft of any goods. Exhibitors are fully responsible for the security of their stand and equipment. For ordering additional security, please contact us.. Waste Removal Exhibitors are responsible for the removal of all refuse/waste from the exhibition area. Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor concerned. Smoking The ESRA 2013 Congress is a non smoking Meeting. Disposal of Material It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is over, the exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing this property will be charged to the exhibitor. Damage to the Premises Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and dismantling periods. No adhesive stickers and fixtures of any kind are allowed on floors, walls and pillars. 18

20 Fire Insurance (compulsory) Exhibitors must be insured against fire. Fire Regulations (General). Stand material and fittings must be of non inflammable materials or impregnated with fire retardant chemicals. As a general rule, easily inflammable synthetic substances, foam polyester, and non fireproof straw and reeds are prohibited. Poster Hanging, Banners etc. Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings or columns within or outside the installations of The SECC is not allowed without prior written authorization. Liability Insurance You are obliged to have a public liability insurance that covers all injuries to persons and damages which might cover in connection with the exhibition. We also recommend that you have additional coverage against loss or damage to exhibition material during transport and during exhibition times. Please make arrangements for insurance coverage through your company s insurer. Insurance (Compulsory) The Organizers nor The SECC, their representatives or agents will be held responsible for any loss or damage to exhibitor s property. Exhibitors must take precautions to protect their property against pilferage. The Organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for the property and persons of his employees through full and comprehensive insurance, and shall hold harmless the Organizers for any and all damage claims arising from theft and those perils usually covered by a fire and extended coverage policy. Exhibitors are personally liable for all expenses incurred by the organizer or by third parties in regard to technical services provide 19

21 Promotional Activities All demonstrations or instructional activities must be confined to the limits of the exhibition stand. Live demonstrations at the booth can be held only if using Tour Guide Systems. Advertising material and signs may not be distributed or displayed outside the exhibitor s stands. Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits. The Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed objectionable. Special Effects Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in the aisles or on the walls of the hall. Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions stated herein. 20

As such, we are pleased to update you regarding the services and guidance as how we dispatch shipments to the event. Onsite Handling Due to security, insurance and organizer policy, Hermes Merkur is the exclusive handler inside the venue. No other company is permitted to handle cargo within the venue. Please note that companies, stand builders & PR companies may make their own arrangements to deliver and retrieve goods directly to the warehouse/venue entrance. Door to Door Shipment We offer companies services from starting point to venue as part of consolidated international shipments for the congress. This will assist in reducing costs and ensuring a timely delivery. 2. Airfreight Shipments Please send all airfreight shipments to Frankfurt airport only. In case of sending a courier shipment, please be sure to send us a pre advise with the full details of the shipment: courier company, number of pieces and tracking number. Shipments will be accepted in the show site by our representative starting from the first move in date. Shipments arriving before that time will not be accepted. Dangerous Cargo Exhibitors need to complete a special form for dangerous goods. These forms will be provided upon request and the completed forms should reach us before shipment is dispatched. There will be surcharge of 100% for handling this kind of shipment. 25

27 Insurance All goods must be fully insured with all risk coverage. Insurance can be provided upon request. We regret that we can take no responsibility for goods after delivery to the exhibitors stand regardless if the exhibitor is present or not. Heavy & Oversized Shipments A heavy and oversized shipment applies to any single exhibit in excess of 1000 kg and 5 CBM that requires the use of a forklift mobile crane for installation. Exhibitors with heavy and oversized exhibits must inform us at least seven days prior to delivery. A detailed layout should also be provided to better assist our onsite operations. Payment Terms In order to ensure move in/out of your shipment/s, please complete and sign the attached Material Handling form/payment confirmation and return it to our attention. Please note that your signature will be used as payment guarantee based on the general tariff. Please notify Hermes Merkur immediately about any requirements relating to invoices. All invoices must be settled by exhibitors/contractors and agents in advance of the congress. In case of non payment of invoices, shipments will be held in storage until the invoices are paid in full. Please note that all payments should be made in EUR. Any services not outlined in the attached tariff will be quoted on an individual basis. Introduction This guide offers an overview of the Wi-Fi service that is offered at the SECC including multiple user options and operating guidelines. The venue operates a high performance, high density Wi-Fi system that can handle a large number of users and supports all current Wi-Fi standards on a reduced number of access points. The SECC has two Internet circuits (a primary circuit and a backup circuit) supplied by Virgin Media. The standard SSID in use at the SECC is called SECC Wi-Fi. This will be broadcast at all times. 2. Information for EXHIBITOR MANUAL Option 1 High Bandwidth Internet Connection Exhibitors can use the SECC s Technical Services (see details below) to purchase hard wire internet connections. This service allows for internet access, internet browsing, video streaming, fast download and is a hard wire connection. It is supported by the venue's IT Team. Charge for this is VAT for the 1st connection, and then VAT for every subsequent connection. Option 2 Standard Wi-Fi (0.5Mb) All users will get 30 minutes of free Wi-Fi by supplying an address. After 30 minutes the standard Wi-Fi fees are as follows: 1 Hour 2 24 Hours Days 15 Note: Wi-Fi may not be suitable for large data transfer and therefore is not recommended for use by exhibitors. E.g. 5Kn/m 2 for a stage, 2.5Kn/m 2 for office type of use, etc. Horizontal Loading: a) Notional horizontal Loading: Notional horizontal loads should be applied as specified in the various materials design codes. For stages and temporary grandstands however, the loads should be as specified in Cl and Table 10 respectively, of the Institution of Structural Engineer s publication,temporary Demountable Structures, Guidance on Design Procurement and Use. b) Wind Loading: Wind loads should be taken into account when the structure is erected outdoors, or adjacent to large openings to the outside of a building. The wind loads should be derived from either CP3: Ch V:Part 2, or BS 6399:Part 2. The basic wind speed for Glasgow is 51m/s when using CP3 and 24m/s when using BS6399. c) Horizontal Loading to Handrails etc: Handrails, balustrades, etc should be designed to resist the loads specified in Table 4 of BS 6399: Part1: Where the raised structure is bounded by walls, they should also be designed to resist these loads. In addition, fixings should also be designed to transfer the loads to the structure. Note that handrails and balustrades to stairs should also be designed to resist these loads. Drawings: Drawings should be supplied showing the structural details. The details should include structural member type, size and centres, connection details, fixing details, etc. The drawings should show the structure that is intended to be erected in Glasgow and should be supplied as soon as possible to allow time for checking. Calculations should relate to the structure as shown on the drawings. Site Erection: Erection of the structure should be supervised by a responsible person with experience of the erection of similar structures. Where the structure is to be erected outdoors, a competent person should carry out a prior site visit to check that the location is suitable. If the Client is not satisfied with the remedial action taken by So Simple Limited, the matter should be addressed with the Senior member of the So Simple Limited Site team or with the Event Organiser s on site staff. 4.3 In the event of a dispute that cannot be resolved on site, the Client will submit their complaint in writing to So Simple Limited within seven days of the opening of the Event. So Simple Limited will consider the complaint and respond to the Client within 10 working days. 4.4 No complaint will be addressed unless it has been brought to the attention of So Simple Limited s team before the Open Period of the Event. 4.5 If, after return, apparently malfunctioning products are found by So Simple Limited to be to specification and fully operational, then the Client will be charged for So Simple Limited s costs in recovering and replacing the item with all costs calculated at the at the So Simple Limited Fully Costed Rate. 4.6 Once the Contract is complete, the Client will not be able to claim "force majeure" or an act of God against So Simple Limited, as So Simple Limited will be considered to have performed its contractual obligations. 4.7 For the hire of furniture, the liabilities of the Client commence at the time the furniture is delivered to Site, or are collected from So Simple Limited s premises, and continue until they are collected from the Site by So Simple Limited or are returned to So Simple Limited s premises. During this time the Client will:- (i) Keep at the Client s own expense the furniture in good and substantial repair and condition and in the event of any article being damaged beyond repair or lost by fire, theft or any other cause whatsoever, will pay So Simple Limited the full replacement value of the furniture plus the original - hire charge. In the event of any item being damaged and requiring repair the Client will pay the full cost of such repair in addition to all hire charges. (ii) Keep the furniture fully insured to their full replacement value against all risks. Clients are reminded that the period of the insurance shall include at least five days prior to the opening of the event or exhibition for which they are hired, and at least five days after its conclusion. Furniture is hired only on this condition. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted the delivery and these conditions. 6.2 As from its being made available, its delivery or acceptance, the Client will be responsible for the safety of The Freeman Company (UK) Limited s property throughout the Duration of the Event and will be responsible for any damage to The Freeman Company (UK) Limited s property caused by the actions of the Client or its customers. 6.3 During this period The Freeman Company (UK) Limited disclaims all responsibility concerning documents, objects, samples, equipment or other goods present in / under / on the equipment rented by the Client. 6.4 Clients are reminded that all equipment should be emptied of personal belongings immediately at the end of the Open Period of the Event, in order that The Freeman Company (UK) Limited s property may be removed from Site as quickly as practical. The Freeman Company (UK) Limited accepts no responsibility for the safe custody of goods left in cabinets, draws or similar storage items. 7.1 The Freeman Company (UK) Limited provides all goods, including complete stand structures on hire only and the Client undertakes: To use the equipment in accordance with its usual purpose, to do nothing nor allow anything to be done that could lead to its damage or its disappearance, to give it the normal maintenance required, to keep it and to return it in good working order and clean, and to respect the The Freeman Company (UK) Limited s particular recommendations, specific advice for use, and appropriate warnings which it acknowledges having read notably in these Terms and Conditions, the specifications sheets, and/or the documents that were handed over to it on delivery Not to carry out any modification or repair to The Freeman Company (UK) Limited s property, however small Not to nail, apply adhesive or paint, or damage The Freeman Company (UK) Limited s property in any way without The Freeman Company (UK) Limited s agreement or the express permission as set out in the Exhibitor manual for the Event To allow any of The Freeman Company (UK) Limited s representatives or persons authorised by the latter, unrestricted access to the equipment installed for purposes of maintenance and to take any necessary steps to make their mission easier To return goods to The Freeman Company (UK) Limited free of any object To be responsible for any electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited and to accept full responsibility and all consequential costs resulting from the connection of a faulty or inappropriate electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited To pay The Freeman Company (UK) Limited the cost of repair or replacement (as appropriate) for any item damaged whilst in the care of the Client however caused. 8 All goods, materials, plant or machinery supplied by The Freeman Company (UK) Limited, shall be on hire unless otherwise stated. The period of hire will be Duration of the Event unless otherwise stated. The Freeman Company (UK) Limited shall enter the Site to collect and to remove its property as soon as permitted after the end of the Open Period The illustrations and / or photos featured in the sales documentation (irrespective of the medium) are for guidance only are not binding specifications Clients may photograph work carried out by The Freeman Company (UK) Limited for their own marketing purposes only and attention is drawn to paragraph 9.2 (please see full terms and conditions regarding the use of The Freeman Company (UK) Limited designs.

64 ELECTRICAL TESTING A Freeman Company Testing Charge From July 1 st 2012 all electrical contractors will be required to test their electrical installation to a minimum standard demonstrated in the Current EIA Electrical regulations e-guide also Incorporating BS th edition. Therefore after careful consultation with ESRA 2013 the following testing charges will now be put in place. Space Only Exhibitors All items ordered from the official order form will now be subject to testing charge per stand. Shell Scheme Exhibitors Only items ordered in addition to the electricity provided with your booth package (from the official order form) will be subject to testing charge per stand. Direct Mains Only All direct mains can only be ordered through So Group and only after meeting the following criteria will charges be applied and mains installed; Copies of the relevant qualifications of any personnel responsible for the completion of the installation must be provided. The person carrying out testing must be qualified to the required standard. All qualifications, insurance and general details must be provided to So Group where upon administration fee plus the cost of the main will be charged. So Group will then be able to collate the information and forward it on to The ESRA 2013 H&S representative. Following the completion of the installation by the allocated contractor the following must also be adhered to before energisation of the supply may be facilitated; The installation must meet the standards required by the regulations, however should the installation not meet these requirements So Group are authorised to postpone energisation until they are met satisfactorily. If for any reason the electricians responsible for the installation cannot carry out the required Test & Inspection, So Group may carry out this service on their behalf for the fee of , which includes standby during the open period of the event. This will be in addition to any costs related to the mains supply or administration.
