1 Online Enrolment Guide STEP 1 How to login to CQUcentral? From your campus home page click on the CQUcentral link or Click to Enrol Now You will then see the CQUni log-in shown here. Enter your Username and Password in the boxes and click on Login. If you do not know your username or password click on What is my username? or What is my password. If you cannot remember what your password is click on Forgot Password? If for some reason you still cannot access the system please contact your campus IT Helpdesk. From the Important Information page click on Continue to Student Centre. A pop up will appear asking if you would like to join the Student Association and if your contact details are up to date. If they are all correct click Yes. If changes are required click No. You will then be led to the page to update your details. Students must enter information in all contact fields before being able to enrol. Please note that it is a Government requirement that International Students advise the University within 7 days of changes to their address.
2 STEP 2 How to check your Program Structure Using the web browser Google Chrome or Mozilla Firefox, please visit Internet Explorer is not compatible with all features of the CQUni Handbook. For best results, use Google Chrome of Mozilla Firefox. In the Program Search, type the name of your program, for example Bachelor of Business. The Handbook will provide a list programs with that name, selected your program, for example CA01 Bachelor of Business. You will be directed to your program page. Using the tabs underneath your program name, select Program Structure. You can view your Core Structure, Major and Electives separately. Alternatively, you can select the View Full Program Structure option. IF YOUR PROGRAM HAS A MAJOR (SPECIALISATION) - PLEASE WRITE THIS DOWN TO COMPLETE THE NEXT STEP! Continuing students may request program advice on campus which is only available during designated periods, please check your student account for more information. Alternatively you can Ask a Program Advisor REMINDER: It is your responsibility to ensure you enrol in the correct program and course/s at all times. 2
3 STEP 3 How to check your major (specialisation)? The example above shows a number of major (specialisation) options, such as Marketing. If your program structure has a major (specialisation) listed OR if you wish to change your major (specialisation) you will need to follow these steps: Go back to your Student Centre and click on View/Change my Academic Plan. If the Program name is correct click on Select. If the program name appearing is incorrect you will need to contact the School department on campus. If your major (specialisation) is correct, just click on Close. If your major (specialisation) needs to be changed, click on to select the correct field. Once this is complete click Save Changes and Close. Only proceed to the next step if you have arranged your fees for this term. As soon as you select your subjects your student account will raise the amount due. STEP 4 How to add your courses? Go back to the Student Centre window to enrol in your courses for this term. From the Student Centre homepage, under the Enrolment section click on Add a Class. 3
4 Select the correct term and click on Continue. If you DO NOT have the option to select the current term, this means you cannot enrol online at this time. If you are on a Monitoring Academic Progress (MAP) Program this is blocked until you have an interview with the Student Services department. If you are not on MAP you will need to submit an Enrolment Assistance Form online and wait for a response to proceed. Check the term selected is correct and click on Search. Now you need the details from the CQUni Handbook. Type the numbers of the subject code in the circled area. Example: for subject MGMT Only enter Click Search. Check that the code and name of the course you have selected match your Program Structure in the CQUni Handbook. Click on Select Class for the INT Internal, on campus row. EXT is for external study and international students need special permission to study off campus. International students must enrol in 48 units of credit each year to maintain a full time study load. 4
5 Confirm the course you have selected is correct. If not click on Cancel and add the correct course. If the course is correct click on Next. Please note: Students are responsible for ensuring that the subjects selected are correct. If you need additional information you should speak to a course advisor on campus during the designated period, prior to enrolling. To add another course click on Search and repeat steps 2, 3 & 4 above. The Add Classes page allows you to confirm the courses you have added and repeat the process until all courses for the term have been added. If a course has been added incorrectly you can click on the delete icon to remove this course. Once you have finished adding all your courses for this term click on Proceed to Step 2 of 3. Undergraduate full-time load = 4 Courses Postgraduate full-time load = 3 Courses International students should refer to the following policy: Full Time Student- Duration of Study Procedures Once you have finished adding all courses for this term you should check they are all correct as per the CQUni Handbook. Click Previous to go back and drop or add a course or click on Finish Enrolling if your course selection is correct. A status will appear for each course you have selected; means the course has been added successfully. X means there has been an error read the message and you may need to contact staff on your campus. Click on Pay Now. REMEMBER Your enrolment is not complete until you have paid your tuition fees and selected your Classes & Timetable. 5
6 STEP 5 (a) How to Pay your Tuition Fees? (B-PAY) There are two online options for the payment of Tuition Fees. You may pay either online by credit card or by using BPay. Making a B Pay Payment To get your B Pay reference number: Go back to the Student Centre window and scroll down to the Finances section. Click on Financial Notices, on the next page click on Fee Notice and then Create Fee Notice. Please wait for this page to load and then write down the Biller Code and Reference number OR print the page. Log onto your Internet banking service. Select the BPAY or bill payment option. You will then be prompted to select the account you wish to pay the bill from, enter your Biller Code, Customer Reference Number (CRN) and the amount you wish to pay. Wait for and record your receipt number. Your account is paid after you have completed this step. NB: Please record your Biller Code and Reference number as they can be used each term to BPay your tuition fees without an Invoice. STEP 5 (b) How to Pay your Tuition Fees? (Credit Card) There are two online options for the payment of Tuition Fees. You may pay either online by credit card or by using BPay. Most Debit Cards are also linked to a credit account, so you may be able to use your debit account for this. If paying by Credit Card now, follow the below steps Please have your credit card ready. Confirm the card holder s personal details and make any required changes. Click on Next. 6
7 You will need to pay the full amount in $AUD as shown in the Outstanding Charges column. Enter this amount in the Payment Amount field - payment must be made in full before you can continue. Click on calculate grand total, check this amount is correct, if not click on zero out amounts to make your corrections. Click Next. The Confirm Payment page will allow you to edit the information you submitted if required. If the information is correct click on Submit. To proceed with your payment click on Proceed with Transaction. Please ensure pop-ups are enabled on your browser before proceeding with this transaction. You will be taken to the Commonwealth Bank payment facility. Click on the card type logo e.g. Visa, MasterCard or AMEX. 7
8 Enter Credit Card details in the areas prompted on this page. N.B The security code can generally be found on the reverse side of your credit card. AMEX cards usually have the security code on the front of the card above the AMEX logo. Once all information has been entered click on Pay. Wait while your payment is being processed and you receive the confirmation. WARNING Please do not click links or navigate away from this page while your transaction is processing. Once confirmation has been received click on print the page. STEP 6 How to Select your Classes? You have almost finished the Enrolment Process you must now choose your class timetable. Once you have enrolled in courses and paid your fees you can allocate your class timetable. You now need to select your classes e.g. Lectures and Tutorials. From the Student Centre home page you click on My Timetable. 8
9 The courses you have added for this term will appear here. If a message Done appears beside the course, the system has allocated the lecture and tutorial for you, no further action for this course is required. If you see a message Course requires further classes to be selected, click on Make my Choices If you receive this message, click on continue to view the timetable that has been allocated for you and to save your timetable. To make manual adjustments to your timetable click on +Show Classes. Select your class preference by clicking on the button beside the class. If you receive this message the system could not complete your selections for you. Follow the instructions provided or submit the Timetabling eform. If you submit a timetabling eform you will need to wait for a response before your enrolment can be completed. 9
10 To check error messages on your timetable click on +Show Classes. The example shown here is of a Class Clash error, if you receive this you will need to submit a Timetabling eform. Once your selection is complete, you will need to click on the Save Choices button on the top left hand corner of the page. A copy of your timetable will be automatically sent to your CQUniversity student account. You can change your timetable during designated periods by repeating STEP 6 of this guide. Congratulations, your enrolment is now complete! 10
