3 A. REVIEW OF COMPUTER TERMS 1. COMPUTER COMPONENTS What is a Computer? A computer is a machine that manipulates information or "data." You can use a computer to type documents, send , and surf the Internet. You can also use it to handle spreadsheets, accounting, database management, presentations, games, and desktop publishing. Computer Components, Devices and More Keyboard: Input Device which looks like a typewriter but has many extra functions. The keyboard lets you type information into the computer. Keep all food and beverages away from this at all time. Mouse: Pointing device used in all Windows applications and some DOS applications. Monitor : Display unit which looks like a television tube. The monitor is an output device which displays all information, in both text and graphic forms. Floppy Disk Drive: Storage media for copying and transporting files. 3.5 inch floppy disks stores 1.44 megabyes of data. Page 3

4 CPU (Central Processing Unit): The brain of your computer which processes all the information. Contained within the CPU are various components including a hard drive (internal storage media for storing operating system and software programs), floppy drive unit, CD ROM and many other internal hardware devices. CD ROM (Read Only): A read only compact disk drive can read CD s that hold 650 megabytes of data. CD ROM (Writable): A writable compact disk drive allows you to write or burn data to CD s as well as allow you read information from CD s Printer: Output device that produces printed reports, letters, etc., which you can design using software programs. Different printers include laser, inkjet and dot matrix. Laptop: A portable computer that folds and can be operated via battery. Page 4

5 B. WINDOWS XP AND NAVIGATION ICONS - SMALL PICTURES WHICH REPRESENT AN APPLICATION, DIRECTORY OR SHORTCUT. 1. WHAT IS WINDOWS? Windows is an operating system which allows you to use various types of software programs. Think of windows as graphical user interface which transforms your screen into a colorful array of graphics and allows you to quickly access multiple programs at the same time. Programs are represented by icons, or menu items on your screen, which can be selected using your mouse. 2. HOW DO I ACCESS WINDOWS? Upon turning on and booting up your PC, a login prompt may appear. If login box is displayed, login to the HRHS network by entering your login and password. Some computers which are in a shared area, like nursing stations may automatically login to the network. Screen prompts may vary depending on the version of Windows and how the PC was configured): 3. THE WINDOWS DESKTOP DESKTOP (WINDOWS THEME) ENCOMPASSES THE ENTIRE WINDOWS SCREEN START BUTTON DISPLAYS MENU FOR SELECTION OF PROGRAMS TASKBAR EACH TIME YOU OPEN A WINDOWS APPLICATION, AN ICON IS ADDED TO THE TASKBAR. CLICKING ON ONE OF THE ICONS WILL RESTORE/MAXIMIZE THE APPLICATION. NOTIFICATION AREA (TIME, ACTIVITY STATUS, VOLUME, INDICATORS, ETC.) MOUSE POINTER - MAY APPEAR AS AN ARROW IF POINTING TO THE ICONS AND MENU BARS, OR AS AN I-BEAM IF EDITING TEXT IN APPLICATIONS SUCH AS MS WORD, OR AS A SMALL HAND WHEN POINTING TO LINKS IN A BROWSER. FROM THE WINDOWS DESKTOP, POINT TO AN ICON AND THEN DOUBLE-CLICK LEFT MOUSE BUTTON TO LAUNCH AN APPLICATION. Page 5

SCREEN COMPONENTS TO BE AWARE OF ONCE AN APPLICATION IS OPENED MENU BAR CONTROL MENU BOX TITLE BAR MINIMIZE BUTTON MAXIMIZE OR RESTORE BUTTON WINDOW BORDER CLOSE BUTTON BODY OF APPLICATION SCREEN TASK BAR HORIZONTAL SCROLL BAR VERTICAL SCROLL BAR Control Menu Box - Single clicking on the Control Menu Box button allows you to access the Control Menu, from which you can change the size of a window, close a window, minimize or maximize, etc. Menu Bar - Displays the menu options which you may select to access the pull-down menus. The menu bar may appear differently, depending on the application you are in. Accessing the pull-down menu via the menu bar is done in the same fashion: either single click on the menu bar option to open the pull-down menu for the item, or press ALT+[underlined letter], for example, ALT+F for File pull-down menu. Title Bar - Lists the name of Window you are working in; in addition, it may also include the name of the document you are working on, if using such applications as MS Office, MS Excel, etc. Page 6

7 Minimize Button - Single clicking on the minimize button will reduce your window to an icon, which will appear at the bottom of your screen along the Taskbar. Once miminized, you can restore the window to its original size by single clicking on the icon. Maximize/Restore Button - Single clicking on the maximize button will enlarge your window to its maximum size. You may then restore the window to its original size by single clicking on the maximize/restore button once again. Close Button - Single clicking on the Close button will close the application. This is a new feature in Windows 95. Window Border - Identifies the edge of the window. To resize a windows, place your mouse pointer along a window border, then press and holding down the left mouse button; release the mouse when you finished resizing. Vertical Scroll Bar - Allows you to move vertically within the current window by single clicking on the left and right arrows. In addition, you may point to and drag the scroll box which is displayed along the middle of the bar. Dragging the scroll box will allow you to move vertically very quickly. Horizontal Scroll Bar - Allows you to move horizontally within the current window by single clicking on the left and right arrows. In addition, you may point to and drag the scroll box which is displayed along the middle of the bar. Dragging the scroll box will allow you to move horizontally very quickly. The following example shows how the title bar would appear in Microsoft Word: CONTROL BUTTON APPLICATION/DOCUMENT NAME MIMIMIZE MAXIMIZE CLOSE The Maximize button will change to the Restore button when the window is maximized: Page 7

8 C. WORKING WITH WINDOWS APPLICATIONS 1. OPENING AND CLOSING WINDOWS APPLICATIONS Click the left mouse button on Start, Programs, Accessories, Notepad: The Notepad Window should be displayed. We will be covering the Notepad Accessory a little later in the class. To close Notepad, single click on the X on the upper right of the Notepad window. Now try opening and closing Calculator and Wordpad which are also in the Accessories menu. Then close the application as well. Page 8

9 2. MINIMIZING AND MAXIMIZING WINDOWS After opening applications in Windows, you may need to minimize certain applications on your screen while you are not using them. Minimizing an application window will still keep the application open. For all open applications, the program name along with an accompanying icon will be displayed on the Task Bar at the bottom of your screen. To return to a minimized application, merely single click on the icon on the taskbar. MINIMIZE BUTTON: MAXIMIZE BUTTON: RESTORE BUTTON: CLOSE BUTTON: The following is an example of what your screen may look like if you are working in one open application, for example, the Notepad Accessory, while other open applications are minimized. Minimized Applications Normal Sized Window (Open Application You Would Be Working In) Page 9

10 EXERCISE: Minimizing and Maximizing Applications Using the Start button and nested menus, open at least two accessories (for example, Notepad and Calculator). In addition, open an MS Office application, such as Microsoft Word. Next, practice minimizing, restoring, maximizing and closing the applications. To prepare for the next exercise, leave at least two applications open. 3. SWITCHING BETWEEN WINDOWS APPLICATIONS The window currently in use is referred to as the Active Window. To switch to another window, do one of the following: Click on any exposed part of another window to make it the active window or Click on the appropriate button on the Taskbar to switch to that application or Press and hold the ALT key down while tapping the TAB key slowly to scroll through applications. When you get to the desired application, release the ALT key to switch to that application. EXERCISE: Practice switching applications on your screen using all the options above. (Be sure to have at least 2 to 3 applications open at this time). Page 10

11 4. NOTEPAD The Notepad accessory is a simple to use text editor in Windows which allows you create files containing notes, simple lists or any other information. It is available in the Accessories nested menu. EXERCISE: Using Notepad If necessary, open Notepad. If Notepad is already open, you may quickly switch to it by using the ALT+TAB switch method or click on the Notepad icon on the Task Bar. The main Notepad Window will appear. Type the following information: Note: when typing information, remember to press the <ENTER> key at the end of the line to move to the beginning of the next line. Press <ENTER> if you need to add a blank line. To edit text, you can use the <Backspace> key to erase characters to the left, or use the arrow keys or mouse to position cursor and press DEL key to erase characters. Next, to save your work, remember to save your file. Select Save As from the File pull-down menu. The Save As dialog box will appear (see next page). Page 11

12 From the Save As dialog box, type [your name].txt (example: mary.txt) in the File name box and click Save. The Notepad window will be displayed. The filename will be displayed in the title bar at the top. Close Notepad by clicking on the X on the upper right of the window. Page 12

13 5. CALCULATOR The Calculator is another simple to use Accessory in Windows which allows you perform general mathematical functions. It is available in the Accessories Window in Program Manager. Open the Calculator via Start, Programs, Accessories. Now add the following figures as you would on a manual calculator: Your total should be: Close Calculator. D. PRINTING FROM WINDOWS APPLICATIONS For the purpose of this exercise, you will need to have Notepad open. We will print the Notepad exercise that was created in the previous section. If necessary, open Notepad. From the Notepad window, click File, Open and look for the file you created and saved in previous exercise. Click on the the file name and click Open. The file will display. Click File, Print. The Print dialog box will be displayed. Click Print to send the file to the printer. Other applications may have specific print options depending on the type of software program you are using. Page 13

14 E. HOLY REDEEMER INTRANET REVIEW, NAVIGATION AND PRINTING 1. To launch the Intranet, double-click on the Internet Explorer icon or your desktop, or click Start, Programs, Internet Explorer. The Intranet should be setup as your default home page ( ) in your browser. 2. The Intranet is a localized website designed to provide various referencen information, links and tools for Holy Redeemer Health System employees. This includes a phone directory and policy forum (Sitescape) which are both available under the Top Links pull down menu. 3. Use your mouse to glide over the horizontal menu bar on the top of your screen to view the various links. Frequently used links can also be found on the left navigation bar. 4. To search for a policy on Sitescape Forum, click on the link entitled Policies, Procedures and Team Forums. The following screen will appear. 5. To locate a policy, you can search via the search button with Sitescape or click on a folder name to browse inside the folder. Page 14

15 To locate a policy or other document, try browsing in folders/subfolders as needed: To view a policy, click on the underlined policy title name. The policy will then be displayed (see next page for example). Page 15

16 SEARCH tips to quickly locate a document Click Search from the main Sitescape screen, or to narrow down your search, click on Acute Care, then click on Search which will only search within the Acute Care forum. If you are searching for a policy that is unrelated to Nursing, be sure to search from the main screen and not be inside the Acute Care forum. Searching Tips Use Double Quotes for PHRASES Use specific single words Use word + word for multiple words Use an asterik for wild card (mar* finds anything starting with mar Page 16

17 EXAMPLES for Policy Searching: Type the following: dress code sick leave weather pleural + fluid drug formulary or drug + formulary latex + precautions + sensitiv* internet abuse + assault dispensing + keys intravenous pressure + ulcer* vs. pressure ulcer OSHA + bloodborne + pathogens To Locate the following Policy: Dress Code Sick Leave Weather Emergency Any policy containing both of these words in same document Drug Formulary A Z (listing of all meds dispensed in HRHMC) Finds any policy with the words latex, precaution and any word starting with sensitiv which includes variations of the word including sensitive, sensitivity, etc. Proper Use of Internet Services (All policies containing the word internet ) Abuse, Assault Policies Dispensing of Hospital Keys All policies containing the word intravenous Finds any policy with the words pressure and ulcer within the same document (or any variation of the word ulcer since the * is used a wildcard Finds any policy with the phrase pressure ulcer Finds any policy with the words OSHA, bloodborne and pathogens Page 17

18 F. SHUT DOWN If it is necessary that you shut your computer off, it is important to properly shut down Windows before turning off your computer. This will ensure that Windows saves your work on disk correctly and that no data is lost. Please check with your supervisor to determine if the computers in your area need to remain powered on at all times (example: Nursing care areas). If shutdown is needed, follow the steps to properly exit Windows: 1. Close all programs you are running. If you forget to do this, the Shut Down command attempts to close them for you (for any DOS programs running, you will need to close them manually before Windows let you exit). If you were working on a document and didn t save your work, you will be prompted to save. 2. Click on the Start Button. 3. Click on Shut Down 4. Select Shut Down from the pull-down list. Your computer will now shut down. 5. If you are instructed to reboot your computer due to a malfunction or loss of memory, follow steps 1 through 3 only above, then instead of selecting Shut Down from the pull-down menu, select Restart.
