1 Guest List Click Invite Guests on the Party Planner to access the guest list. Providers You can import your contacts, in a few simple steps, from - Gmail by Google - Windows Live Hotmail - Yahoo! Mail - AOL Mail - Microsoft Outlook - Mac Mail The process is similar for all providers we support. Gmail is used as the example in this user guide. Select Provider Click on the Gmail icon above and the login screen appears in a new window browser. Enter in and Password information and click Sign in. Access Account The site will request access to your account. Click Grant access to continue. Contacts will go through the import process. If using Outlook and Mac Mail, once it allows the Applet and the digital signature has been verified, click Run. You may be required to update or download Java TM. Follow the prompts to complete the process. 1

2 Choose Contacts Choose the contacts from the list you want to import. (Limit is 500 total guests.) You can search your contacts, select all or select (by checking the box) which contacts you want to add. Once contacts are selected, click Next. When importing a large number of contacts (example: all 500) the system may take a while to load. Once contacts are selected, you return to the Host Party Planner. The tab shows which contacts have been imported successfully. These contacts are also located on the invite list. 2

3 Send Invites Click SEND ONLINE INVITATION to send the invitation to the guests. Edit or Remove Guests Guests can be edited or removed by clicking the links provided. To edit a guest, enter in the information needed and click SAVE CHANGES. To remove a guest, click YES, DELETE CONTACT. Add Past Guests Contacts that are imported are added to the Add Past Guests list and display as Invited. If they are already in the list from past parties, they display with a check box so they can be invited to this new party. Check the box and click ADD TO INVITE LIST to invite them. 4 Missing Information Information missing in a required field needs to be entered prior to adding the guest to the invite list. First name, last name and are required fields for both tasting parties and catalog parties. A phone number is an optional field for both party types. Already on Guest List If an imported guest is already on the invite guest list, the system will identify that guest within the tab to prevent guests from appearing on the list more than once (match is on the ). Add to Calendar Hosts can choose to add their party information to their calendar by clicking ADD TO CALENDAR. Refer to the TS Connected Host User Guide for more information on the process. 4

5 Import Multiple Contact Lists If a host has successfully logged into an provider and imported guests, they can log into another provider to import another set of guests using the Import Provider icons. If the second address is of the same provider, the host will need to log out of the first address (example: test@gmail.com) within the Gmail account before they can import contacts from another Gmail (example: test2@gmail.com) account through the Import Contacts Provider icons. If they are already logged into that first Gmail account and want to add guests from the same account, they click on the Gmail button and then can select more guests. Some providers may require you to grant access again. - Aol requires you to log in again to import contacts from same address. - Gmail by Google, Windows Live Hotmail and Yahoo! Mail do not require you to log in again to import contacts from same address. Install Java/Applet The user may be prompted to install Java/Applet to import Outlook and Mac Mail contacts successfully. - A pop-up message on the screen will appear prompting the user to install Java/Applet. Follow the prompts to successfully install and run. - If the user cannot install Java/Applet successfully, it may be due to tight security on the user s computer. 5
