2 Welcome to Full-Time Welcome to our Getting Started guide to Full-Time. Full-Time is The FA supported league administration package, freely available to all affiliated leagues within England. With around 1700 leagues to be supported we are aware that there will be varying requirements from a league administration package. Some of the features your league will want to use, some you won t (though you may in the future). This guide is intended to get you started with the basics presenting them in a format where you can decide what you want to do initially, and how you can develop your use of Full-Time. It is not intended to explain how everything works, because we don t want it to be too detailed. You should find three basic sections in this guide. Contents a brief overview of Full-Time, and all of the features available to you. Getting Started features of Full-Time essential to running any league. Basic Options features you don t need at the start, but you ll probably want to use soon. In addition, we ve got an Advanced Options guide. This gives you more information about other Full-Time options, but there are enough of them we think they belong in a separate guide. 6 1.1 Introducing Full-Time What Is Full-Time? Full-Time is the online league administration system designed and supported by The Football Association. It was launched in 2003 and is available free of charge to any league affiliated to a County Football Association. Full-Time is the only package integrated with The Football Association s National Database, with the County Website System and with the RESPECT programme. FULL-TIME is used by league officials to manage the day-to-day running of a league as well as generating a website for your tables, results, news, statistics and more. You can find a full list of leagues already using Full-Time at:- Full-Time is a multi-user system, with league officials and club officials able to log in, and depending on what access they ve been allowed, update information. The information is held on The FA s servers, so you need to be connected to the Internet to access Full-Time. What Does Full-Time Do? Full-Time has a wide range of features, because it has to work for 2000 leagues, and different leagues want different features. However, many of these are optional, so that league officers can start with the basics, and bring in other features later as they become familiar with the system. Fixtures, results and league tables are essential to any football league. Appointment and marking of referees, sending results via SMS text message, match reports, player registration and many other features are options you probably decide to bring in later on, depending on your league priorities. Full-Time is also available on the Mobile Internet (WAP) key information, results, fixtures and tables are available on mobile phones for those who want to check them. Why Use Full Time? There are all sorts of reasons Leagues will benefit from using Full-Time. For example: Full-Time is free, the most popular and fully supported by The Football Association Full-Time is continually developing, and will increasingly link with Counties and their websites. Full-Time produces your own website, but you have no need for any programming knowledge. Full-Time offers multi-user access, all league officers can use it to update your league details. Full-Time allows clubs to get involved with some of the administration popular for them, and helping you to find recruits to help you run the league in future. Full-Time allows instant results via SMS text message, faster and saving work for volunteers. The Full-Time Website The Full-Time website has a home page for each division, with menus to switch from one to another. Each home page shows the league table, recent results and forthcoming fixtures for that division, league notices, links to useful items such as team statistics, referee appointments and much more. All of the work on Full-Time is done in the background. Once you as a League Administrator log in to the system, you have a variety of options which allow you to update your Full-Time website, and the information automatically appears on your website. 7 Full-Time at a Glance Full-Time is used by over 800 leagues, across 43 counties Full-Time is used by 1500 league administrators, and 7000 club administrators, all volunteers Full-Time is used by all types of football - mens, womens, boys, girls, disability. Full-Time caters for all levels of football 11-a-side, mini-soccer, Futsal, 5-a-side Full-Time had 10.9 million hits in 2008, (since October 2008 more traffic than TheFA.com) Do We Need to Know About Web-Design? No. Full-Time provides leagues with a ready-made stand-alone website, or options to display key elements (results, fixtures and tables) within their own existing website. You do not need to know anything about web-design to use Full-Time. Anyone with a basic knowledge of using the Internet and computers will be able to start using Full-Time straight away, and you ll soon find you pick up how it works very quickly. Full-Time and Your League Website If your league already has its own website, then you can use it in conjunction with Full-Time. Full-Time has options to provide code snippets (so you can display Full-Time s information within your own website), or you can set your website up using frames so that it dovetails neatly with Full-Time. If you don t already have a League Website, then Full-Time gives you one at the click of a button. 1.2 Before You Start Registering a League You start by logging into Full-Time, which you can find by visiting :- If your league has not yet been registered on Full-Time, then follow the register your league link to apply to The FA to register a new league. This will require your County Affiliation Number, and you ll need to wait a day or two for FA approval and registration (we have to check the league registration). When a league is registered on Full-Time, The FA will provide the person registering it with a username and password. Your username is used to identify which league you are involved with if you re already registered to use Full-Time through another league, then you ll be sent a new username for your new league. How It Works Full-Time operates via a set of Wizards (Menus) click on a Wizard and it ll take you to a new set of options. It is important to note that you shouldn t use the Back Button on your browser - if you make a mistake you ll need to click the Back button on-screen. Cookies Enabled To use Full-Time, your web browser (Internet Explorer, Firefox, Netscape etc) needs to have cookies enabled. 8 Starting with a Plan Full-Time offers you a whole range of options obviously the basics are there producing fixture lists and league tables and adding results, as well as running cup competitions. In addition you can run player registration, show referee appointments, set up clubs to submit their own scorelines by SMS Text message (which gets them more involved, and reduces the administration burden on leagues, as well as providing instant league tables). In addition you can post notices to your website, download information if you want to work offline, send s to people and even allow clubs to post match reports and record match statistics (team sheets) for all of their games. That s a lot of options, so we think it s important to have a plan, and decide what you need to do to get started it might well be that it s better to start with the essentials, and delay using some of the other functions until later on. Don t try and do too much too quickly. Setting Your Priorities The table below outlines what we think your priorities might be. However, some of them you ll probably want to change e.g. Player Registration might be essential for your league from the start. Getting Started (High Priority) - features you need to get the site up and running. Basic Options (Medium Priority) features you would like to have available, but the league won t grind to a halt without them at the start. You can add them once you ve got the essentials done. Advanced Options (Low Priority) features that can wait until you ve got everything else done, even if it means not using them for the first season. Some of these you may not think you ll want them at the moment, but the more you use Full-Time, you ll realise you want to include them. As an example, Full-Time and your league will operate perfectly happily without you having added your League logo to the website. That s not to say you shouldn t add it, but if you re rushed for time before the start of the season, getting your clubs, your divisions and the first few weeks of fixtures on the website ought to be a higher priority! League Setup The first thing you ll need to do is your League Setup, though the good news is you ll only need to do it once, and update it slightly at the start of each new season. The League Setup Wizard allows you to decide how Full-Time will look, which colours to use and whether to use your league logo. You use it to create new seasons, add new clubs to your league, and to assign teams into divisions. You use it to vary your points system (3 points for a game, 2 points for a game?) and tiebreakers (goal difference, goals scored). The League Setup Wizard also allows you to decide whether to use a variety of optional features statistic recording (for clubs), appointment and marking of match officials, player registration and player suspensions. You may decide not to use these at the start, but they re available when you wish to include them. Full-Time: Getting Started & Basic Options (v2.0) 7

9 Fixtures Once you ve set up your league, you ll need to add some fixtures to Full-Time. The Fixture Wizard is the most commonly used menu for the day to day running of your league. The most basic option simply provides you with a grid or drop down menus (you can use whichever you prefer) to add fixtures to Full-Time simply select the date, kick-off time and two teams, click a button and the fixture is created. The same grid allows you to change fixtures if you need to. Full-Time also has options to do the fixture scheduling for you, allowing for teams which share the same pitch (so one is at home each week, and the other away), options to check your fixtures for clashes (to ensure a team isn t playing two games at the same time!). Full-Time even has an option to allow you to hide future fixtures if you want to plan them but you don t want them published yet. Results The Results Wizard is another essential part of Full-Time, allowing you to enter scores for your games. As soon as they ve been registered, your League Tables are automatically updated. You might wish later on to use the SMS option, or allow clubs to enter their own scores (in which case the Results Wizard allows you to confirm them). Table Adjustments Occasionally there is a need to make adjustments (usually deductions!) to a team s points total in the tables, which can be easily done with Full-Time. People Wizard Once you ve set up the basics of your league, you ll want to set up other people to use Full-Time, and help you run the league on Full-Time. Whether you re adding new League Administrators, Team Administrators, Referees or Players, you ll find you are using the People Wizard frequently. The People Wizard gives you options to restrict who can do what on Full-Time. Players won t be allowed to log on and change anything, but you can allow Team Administrators access to their club information, and details of players from their club. You can create a variety of roles for league officers Fixture Secretaries, Referees Secretaries, News Secretaries and many more. The People Wizard shows you which administrative roles are currently available in your league (and allows you to change them) and allows you to search for existing people both by name, and by club/division. There are options to check for duplicates (the same person added to the database twice by mistake) and to merge them. Full-Time allows you to upload Player Registration lists from a spreadsheet. You can list Player Suspensions, Ineligible Players and Transfer players from one team to another, or re-register players for the start of a new season. You may record a wide range of information for every person you add to Full-Time date of birth, address, telephone numbers, address, Football Association Number (FAN), League Registration number and so forth. 10 1.4 Basic Options Once you ve got the essentials loaded onto your system, then you ll be ready to start improving your Full-Time website by using some of the other options. Referees With Full-Time you can appoint referees and assistants to games. Appointments are displayed on the website, and you can allow teams to log in and assign marks after the games. If you re a RESPECT league, then those appointments also appear within the Members Services section of your County Website, allowing referees to log on and assign the RESPECT marks for your clubs. Full-Time will even warn you if the same official has been assigned to two matches at the same time! SMS (Text) Results The SMS option allows teams to report their scores from their mobile phones, removing the need to take scores from voic s. Quarter of an hour after games kick off, Full-Time sends an SMS (text) message to team administrators, asking them to reply with the score of the game when it finishes. As soon as they do so, Full-Time registers the score automatically. Up to two people per team can be registered. You can set Full-Time so that your website is updated immediately, or so that scores aren t made live until approved by a League Administrator (most leagues prefer the live update option so your website updates within seconds). The system not only cuts down on the work for League Administrators, it reduces the chances of teams forgetting to send in their scores (because they ve been reminded to send it). If you choose to have results live, it s updated as quickly as the Premiership or Football League on TV and online. Cups The Cup Wizard is used if your league also runs its own cup competitions. It allows you to set the dates for each rounds, and either make the draws manually or automatically. It allows you to input results, and cups and rounds can be set up and hidden from view until you re ready to publish them. Notices and News Items With Full-Time you can create Notices and News items, with or without pictures, to appear on your website. You can decide whether they should appear for certain divisions or teams only. For example you might want to add a notice to report some fixture changes, or a report on a league event. Player Registration, Statistics and Suspensions If your league runs Player Registration, then Full-Time will manage it for you. League or Team Administrators can update registration lists, or players can request registration themselves (subject to your approval). You can add as much registration detail as you wish, and increasingly Full-Time will be linking to the National Database, so any information your County might have can be shared with you. Apart from simply logging the scores from games, you can allow Team Administrators to record information from their games who played, who was substituted and who came on, captains, goal-scorers (and providers of assists), missed penalties, discipline, fouls, player of the match and even who washed the kit that week! If you want to run a league Golden Boot Full-Time will track it for you. You can also register Suspensions for players on Full- Time, though in due course these will be automated so they come direct from your County FA. Full-Time: Getting Started & Basic Options (v2.0) 9

11 1.5 Advanced Options What else can Full-Time do? There are even more options and functions you might wish to use, once you ve got the basics set up. None of the following are likely to be essential, but they re all available to be used when you re ready for them. It s worth noting that many of these options involve allowing Team Administrators to record things there s a little bit of setup work for you, but most of it will be done by your clubs, not you! Advanced Fixture Scheduler The Advanced Fixture Scheduler is the most sophisticated fixture arrangement option that Full-Time offers. This includes arrangement of fixtures for all divisions in your league, and includes teams sharing venues, closed dates for clubs, divisions and even grounds as well as many other options. Match Reports You can allow Team Administrators to create and post match reports which will also appear on the Full-Time website. It is important that all team administrators are aware their match reports may be seen by anyone, and they need to be careful about what they write. There is an option to disable Match Reports if you don t wish to allow them to be posted on your website. Options The Wizard is used to send messages to groups of people who have registered on Full-Time. You might want to other league officers, all referees, all club officers, or all of the players within a particular team. You may also have automated s sent out to those involved when you change any fixture details. People can even register to receive regular league news from the league. When you send a message, Full-Time sends it to everyone on that list there s no need to type addresses or copy them from other s. You can communicate with everyone in an instant. Contact Messages Full-Time has an option on the home page to allow people to send questions to the league. These are stored on the Full-Time system until someone from the league is able to read and answer them. When you log on, Full-Time will tell you if there are any new messages, and you can manage the answers from this menu. You can set up Full-Time so that copies of these questions are sent directly to your normal address, making it easy for you to answer questions promptly. Downloads Almost everyone involved in football administration will have used spreadsheets, tables of information and data for organising your league. With Full-Time you re effectively storing this information into the Full-Time database, rather than on your own sheets. Full-Time offers a range of spreadsheets you can download from the system onto your computer, so you can store or look at them offline if you wish:- fixtures and results, referee assignments and marks, people logged on the system, statistics within the league, league tables and sporting marks. All of these can be produced and downloaded with a few clicks. Access Options As your Full-Time website develops, people from around your league will want to add links to it, and set bookmarks for the pages they want to look at. The Access option gives you the addresses of the home pages for each division, so that people can link to them directly. It also gives you information on how to display fixtures, results and league tables within other websites (known as code snippets) for those who have some web-design knowledge, and want to display parts of your Full-Time website within their existing sites. Photo Albums Full-Time allows you to create Photo Albums on your website, for example pictures from a Cup Final, or your League Dinner, or any other event you might want to record. 12 2.0 Setting Up A League on Full-Time 2.1 How to Register Your League on Full-Time Before you can start using Full-Time, you need to get your league secretary/administrator to register your league on Full-Time with the Football Association. Step 1: Go to the Full-Time home page, and click on the red Register Your League link. Step 2: Complete the registration form (you ll need to give your Secretary s contact details, as well as your County Affiliation Number). Step 3: Wait for the Football Association to set up your league on Full-Time. The FA will the Secretary with a username and password (normally this is done within 1-3 working days). 13 2.2 How to Set up your First Season Once you ve received your username and password, you can log onto Full-Time for the first time and set up your league and the first season. Full-Time will automatically take you through four steps:- 1. Creating your first season 2. Creating your divisions 3. Creating your clubs 4. Creating your teams Step 1: Go to the Full-Time home page, and click on Sign In. Step 2: On the Sign In page, enter your username and password. When you first log in, Full-Time will take you through a series of screens to set up your league. If you have to stop half way through, you can do so, and when you next log-in Full-Time will restart at the point where you left. Step 3: Enter the name of the first season (e.g , Spring 2009) and also the first and last dates of the season (note that you can change these dates later on). Step 4: When you ve finished, click on Create. This will create the season and automatically take you to the page to create your divisions. Full-Time: Getting Started & Basic Options (v2.0) 12

14 2.3 How to Create your Divisions Step 1: You can create up to four divisions at a time on this page (you must have at least one division minimum). Once you have entered the divisions, click on Create. Step 2: Confirm the divisions are correct. If you need to create more, use the Create button. Step 3: When you have finished creating your divisions, click on Next Step. Note the Rank of each division. Rank 1 is your highest, and so forth. You may have two divisions with the same Rank (e.g. Division Two North and Division Two South). If you need to edit the Rank, click on Edit for the division concerned. 2.4 How to Create your Clubs Step 1: You can create up to four clubs at a time on this page. Once you have entered the clubs, click on Create Clubs. This will then allow you to create four more. Repeat until all clubs are created. Step 2: When you have finished creating your clubs, click on Next Step. Full-Time: Getting Started & Basic Options (v2.0) 13

15 2.5 How to Create your Teams Step 1: Select the division for which you wish to create teams. Step 2: Create your teams by selecting a club from the drop-down menu (a default team name will be given, though you can amend it if you wish). Give them a short team code (we recommend a combination of two/three letters and one/two numbers e.g. ARS1 for Arsenal 1 st team) and a Venue name (either from the drop-down menu of Venues already created, or create a new venue remembering to enter the number of pitches there). When you have entered the team s details, click on Add Team. When you add a team, they appear at the bottom of the screen and the screen refreshes. Repeat this for each team, and remember you also have to do every division. Step 3: When you ve done all of the teams in every division click on Next Step. That s it! You ve set up your league on Full-Time. Click on View Site to see your website. Full-Time: Getting Started & Basic Options (v2.0) 14

16 2.6 How to Upload your League Logo Full-Time sets you up with the FA logo in the top corner. If you wish to use your own league logo (or a sponsor logo) you may do so. Note that the logo you upload must be a.jpg file. Step 1: From Admin Home, click on League Setup Wizard. Step 2: Click on Logos. Step 3: In the League Logo section, click on create a logo image for your league. Step 4: Click on Browse to search on your computer for the file you wish to upload. Step 5: Once you have found the file, click Upload and once the file has uploaded, click Finish. Step 6: Click on View Site and you ll see that your logo has been uploaded. 17 2.7 How to Change the Colour Scheme Full-Time offers a number of colour schemes for your website, which you may wish to change when you get started. Step 1: From Admin Home, click on League Setup Wizard. Step 2: Click on League Options. Step 3: In the Look and Feel section, click on change the banner and colours for your league. Step 4: Select the colour you wish to use. Step 5: Click Update. Step 6: Click on View Site and you ll see your Full-Time website appears in the new colour scheme. 18 3.0 Manual Fixtures on Full-Time There are two options for creating fixtures using the manual option, either using the fixture grid or using the drop-down menus. Either may be used according to personal preference. 3.1 How to Create Manual Fixtures using the Fixture Grid Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Manual. Step 3: Select the division for which you wish to add fixtures using the drop-down menu. 19 3.2 How to Create Manual Fixtures using the Drop-Down Menus Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Manual. Step 3: Select the division for which you wish to add fixtures. 20 3.3 How to Update Fixtures using the Fixture Grid Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Manual. Step 3: On the fixture grid, click on the fixture required. Step 4: The fixture details are shown, including a link (top left) to delete the fixture if required. If you make any changes to the fixture, click update to save them. Note: In the Update Fixture section there is a drop down box marked Status. This box offers a number of options for a fixture status you may need to change at some stage. Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Fixture List. Step 3: Fixtures can be sorted according to division, cup competition, team, date or status. There are options to edit, delete and create fixtures (though we recommend you don t use the Fixture List to create new fixtures use the Manual Fixtures option or one of the fixture schedulers). 22 3.5 How to Mass Update Fixtures The Mass Update Fixtures option allows you to change the details of a number of fixtures at the same time (e.g. to change kick-off time, or to move a set of fixtures forward a few weeks). Note: This option does not appear on the menu until you have created at least one fixture! Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Mass Update. Step 3: Select the fixtures to be changed by clicking their tick boxes on the right of the screen. Step 4: Select the change you wish to make (e.g. move kick-off time to 7pm). Step 5: Click Update. The updated details will appear. Step 6: When you have finished, click Finished/Cancel to exit. Full-Time: Getting Started & Basic Options (v2.0) 21

23 3.6 How to Mass Delete Fixtures The Mass Delete option allows you to delete all fixtures for the selected season/division at once. Make certain you want to do this once you have deleted the fixtures they cannot be retrieved. Note: This option does not appear on the menu until you have created at least one fixture! Step 1: From Admin Home, click on Fixture Wizard. Step 2: Click on Mass Delete. Step 3: Decide what Status of fixtures you wish to delete. If you leave Status blank then all fixtures are selected, but you might wish for example to delete only postponed fixtures. Step 4: Make sure have selected the right season and division and that you want to delete all fixtures, and click Delete. All fixtures for this division are automatically deleted. 24 4.0 Results Full-Time offers two options for updating results online, either the Fast Entry option, which allows scores only to be entered, or the Results/Stats option which allows scores, match comments and statistics (team sheets) to be entered. It also allows League Administrators to lock marks for referees and team statistics (to prevent Team Administrators from changing them at a later date). Note: Team Administrators may also be given access to register results, but only for their teams. 4.1 How to Register Results using Fast Result Entry Step 1: From Admin Home, click on Results/Stats. Note that this link is also available from the Fixtures Wizard. Step 2: Click on Fast Result Entry. Step 3: Use the drop-down menus to select the Division(s), Team (leave blank for all teams ) and Date for which you want to enter results. Step 4: Enter the score-lines of all games required and click Process. Step 5: Check the league table and results by clicking on the View Site at the top of the page. Note that these results are automatically approved (this means they appear immediately on your Full- Time website and the league tables are updated automatically). 25 4.2 How to Register Results using Results/Stats Step 1: From Admin Home, click on Results/Stats. Note that this link is also available from the Fixtures Wizard. Step 2: Click on Results/Stats to take you to the Results Summary page. Step 3: Select the Division whose results you wish to update (All Divisions is an option). Step 4: Select the date required by clicking on the appropriate Results link. Step 5: Update scores as required. If you want them published on your website immediately, make sure you also tick the approved boxes (note the Approve All option on this page). Step 6: If you wish to leave any notes for matches (reminders to yourself or other league officers for later action) you may do so. The Display Note box should only be ticked if you wish this note to be displayed publicly on your website (normally you will not wish to display them!). 26 5.0 League Tables 5.1 How to Hide Goals from League Tables Some leagues will wish to prevent certain (or all) columns of their league tables from being viewed publically, most commonly goals scored and conceded for some youth age groups. Step 1: From Admin Home, click on League Setup Wizard. Step 2: Click on Scoring System. Step 3: Click on change scoring systems settings. Step 4: Click on Edit alongside the default configuration (or if you have set up different scoring systems for different divisions, the divisions you wish to change). 27 Step 5: On the Update Scoring System page, untick the boxes for Goals Scored, Conceded and Goal Difference. Step 6: Click on Update. Your league tables are now shown with the Goals hidden. Full-Time: Getting Started & Basic Options (v2.0) 26

28 5.2 How to Deduct (or Add) Points Occasionally you will need to deduct points from a team for breach of league rules (this option can also be used to add points, or adjust goals scored and goals conceded if required). Step 1: From Admin Home, click on Table Adjustments. Step 2: Click on Create New. Step 3: Select the adjustment Type (points or goals may be adjusted), the Team (a drop-down menu offers you all teams available), give the reason for the deduction (this will appear on your website) and also the date concerned, along with the adjustment (note that deductions are negative figures). Once you have entered the details, click on Create. Step 4: The adjustment appears in the list of Table Adjustments. The adjustment is applied to your league table. If users click on the team name they can see the reason for the deduction. Full-Time: Getting Started & Basic Options (v2.0) 27

29 6.0 People 6.1 How to Create a League Administrator We recommend that you have at least three separate League Administrators registered to use Full- Time, whether it s to spread the workload, or so that others can access Full-Time in case you suddenly become unavailable. Step 1: From Admin Home, click on People Wizard. Step 2: Click on League Administrator. Step 3: Use the drop-down menus to select the Role (League Administrator) you want to check. Full- Time lists all current league administrators. Check the administrator hasn t already been registered. Step 4: Assuming you need to add a new League Administrator, click Create New. Step 5: Enter the first name and surname. You should also give them a username and a password and enter their address. Make sure you tick the League Administrator box. You may also enter optional information. We recommend as a minimum you include their phone numbers and the FA Number (FAN) for all League Administrators you add to Full-Time. Step 6: Once you have entered all of their details, click on Create New. Full-Time: Getting Started & Basic Options (v2.0) 28

30 6.2 How to Create other League Roles The League Administrator role within Full-Time has access to every single area of administration, but you probably won t want all of your league officers to be able to do everything. Full-Time offers a number of other roles with more limited access, which restricts what they can do, but also makes Full- Time easier for them to use by not offering them features they don t need. Division Administrator - Most elements of Full-Time, but restricted to certain divisions. Fixtures Secretary - Fixtures, Results and Cups sections of Full-Time. Referees Secretary - Referees, Referee appointments and Referee Marking. News Secretary - Match Reports, League Notices, and sending s to subscribers. Registration Secretary - Players, Referees, Player Registration and SMS Results. Note: You can set up one person with more than one role (e.g. Referees Secretary and Registration Secretary) but if a person is set up as a League Administrator then there is no need to give them any additional administrative roles (and remember our advice that you should have at least three League Administrators registered). Division Administrator Fixtures Secretary League Administrator News Secretary Player Referee Referees Secretary Registration Secretary Team Administrator League Setup Wizard Fixture Wizard Cup Wizard Results/Stats People Wizard Wizard SMS Wizard Notices Contact Messages Match Reports Referees Table Adjustments Access Options Downloads The Team Administrator role is for club officers, and gives them access to Results, Match Reports and Players for their teams only (so for example, you could allow them access to log their own team s results and stats on Full-Time, reducing the workload for league officers). 31 Step 2: The People Wizard lists all roles currently available. If you wish to add a new role, click on Review and Select Role Types specific to your league. Step 3: Tick the boxes for the roles you wish to have available in your league. Step 4: Once you have selected the roles, click Update and then Cancel. The new role appears within the People Wizard, and you can add people to the role in the same way as you added League Administrators (see How To Create a League Administrator ). 32 6.3 How to Add (or Delete) a Role Each person should only have one record within Full-Time, but it will be quite common for some people to have more than one role within your league (for example, a League Administrator may also be a Team Administrator for a particular club, or a referee, etc), so you will need to add a role to them. Step 1: From Admin Home, click on the People Wizard. Step 2: Within the People Wizard, click on the current role for the person concerned. Step 3: On the List People page, click on Edit for the person concerned. Step 4: On the Update Person page, click on Change organisation roles. Note: if you are adding some sort of administration status to a person which requires them to have access to Full-Time (for example a new League Administrator), remember to make sure you assign them a username and password, and record their address. 33 Step 5: Full-Time will list all current roles for the person concerned. To add a new role, click on Create Role. Note: if you wish to delete a role, click on the Delete button alongside that role. Step 6: To add a role, either tick the box concerned, or if the role involves a particular team (for example, a player or a team administrator), then using the drop-down menu, select the club concerned. Note: if you are adding a role of a Player, there is a tick box which allows you to specify that a player is eligible to play for any team within the club (this is common for open-aged football, but you probably won t want to select it for Youth Football). Once you have selected the roles to be added, click on Create Role(s) The new roles are shown for the person concerned. Full-Time: Getting Started & Basic Options (v2.0) 32

34 6.4 How to Create a Team Administrator You may decide you don t need to create Team Administrators when you start using Full-Time, but you ll probably decide at some stage that you ll want them to have access to various aspects of the system. Access to Team Administrators is limited to the details that involve only their teams. Step 1: From Admin Home, click on the People Wizard. Step 2: Check the person involved isn t already registered (for example, as a player) by clicking on Search (note this step isn t essential, but it s worth checking). Step 3: Type in the first three letters of their surname If there are people who match these already on your system Full-Time will display them. If there are no matches, the list at the bottom of the screen remains blank. Step 4: From Admin Home, click on People Wizard and then click on Team Administrator. Step 5: Use the drop-down menus to select the Role (Team Administrator), Division(s) and Team(s) you want to check. Full-Time lists all team administrators currently set-up for the team selected. Double-check that the administrator hasn t already been registered. Full-Time: Getting Started & Basic Options (v2.0) 33

35 Step 6: Assuming that you do need to add a new team administrator, click Create New. Step 7: Enter the first name, middle initial (optional) and surname for the administrator. We also recommend you give them a username and a password, and also enter their address. Make sure you also set them up as a Team Administrator for their team. Step 8: You may also enter optional information. We recommend as a minimum you include the mobile phone number and the FA Number (FAN) for all Team Administrators you add to Full-Time. Step 9: Once you have entered all of their details, click on Create New. Full-Time will add the new Team Administrator to your database of people. 36 7.0 Referee Appointments Full-Time gives you the option to appoint referees (and assistants), and these appointments are then displayed on your website. These can also be linked to the Members Services section of your county website, so that match officials can enter RESPECT marks for games played within your league. 7.1 How to Enable Referee Assignment for Your League Step 1: From Admin Home, click on the People Wizard. Step 2: Check whether Referee is listed amongst the roles you have selected on Full-Time. If it is, skip the rest of this section. If it isn t, click on Review and select role types specific to your league. Step 3: Tick the box marked Referee. Step 4: Click on Update and then Cancel to take you back to the People Wizard.
