2 Preamble This is a guide for administrators who need to pick teams for fixtures and record results. It explains how to complete these tasks on the play-cricket website. Hartley Wintney CC has two websites. The play-cricket site is the site we, and increasingly the leagues use for managing fixtures and results. Your priority is to update the play-cricket site, as described in this guide. The new site, is designed top be the shop window on the club. It s a lot friendlier than play-cricket. We would like to ensure that the results and stats in the playcricket site are all reflected in the new site too. Unfortunately, as there is no convenient way of copying the data automatically, match administrators will have to repeat the process there, and there is another guide for that. It doesn t take long on either site, and the club now has a wi-fi link available in the club house so you can get it all over and done with minimum effort. Getting access Registering as a user If you are not already set up as a user of your club s play-cricket site, then you need to register. This is a very simple process. First you need to go to the site; the address is above. Then you click on the Register button at the top of the screen. The membership form appears: Fill in the form that appears with all the required details, and any other information you wish to give, and click the Send form button at the bottom. Once the details you have given are accepted, a new screen appears (below).

3 You can add your personal details and apply for membership of other sites at this time by using the appropriate link; by clicking the Finish link, your membership application is submitted, and once the site administrator has confirmed your application (you will receive an telling you he has, and welcoming you as a site member) you can access the membersonly areas of the site, like statistics, the members list, the information board and forums. Getting admin rights You first need to contact your site administrator (details via the About Us option on the website) and let him know that you would like admin rights so that you can add scorecards and perform other site administration functions. He can make the changes, and you will receive an . Follow the instructions, and you will be able to add and check scorecards for your club s games. You need to have Fixture Admin rights to pick teams, and Results Admin rights to enter results. Note: some skippers and coaches are in the website database, but only as unregistered. This means that an administrator has added you as a member so they could be picked for a team, but you will be unable to sign on, and you can t be given admin privileges. You can see if you re already in there by clicking on the Stats button on the home page, and looking for your name. If you are already in there, but don t have a userid and password, go to and press register. Please use exactly the same name as you have in the database. Even if it s not quite right we can fix that later. The Admin Menu The admin home page (below) is the administrator s first point of contact with this side of the system. To get to it, press the admin button on the top right of your home page once you have logged into If you can t see the admin button this means you don t have the necessary admin rights. See above for how to fix this.

4 The only important sections are Teams Fixtures Results Club members Nearly all the other stuff on the website we are not using. We have another much friendlier website for all that ( See elsewhere for details. Any basic information about the club that needs to be on this site will be maintained by the webmaster, but if you spot stuff that is out of date, please let him know. Teams Team names This is where we list the teams the club fields. The names of the teams should be changed very infrequently indeed the name of a team needs to stay the same from season to season to build up a history of results and performances. This should ideally be done by the membership secretary and the playing secretary together. Do not use the Delete icon (a red X). This will completely remove the team and any links to it from the site; the only way to get it back is to recreate it from scratch! Team squads By clicking on the icon that looks like the outline of two people, you can create a squad for a team. The team squad is displayed when you use the on-line team selection feature, to make it easy to pick regular players.

5 You can pick from your existing list of members, or create a new member and put him straight in your squad; useful if you have to pull someone in at short notice and do not have time to get them registered with your site. You can also manage and edit this squad and the membership of the players within it using the icons to the right of each player; these will be discussed in Club Members later. Club Members Member Database The member database is the heart of the site; it lets us add and amend information about members, control which members have access to sensitive areas of the site and grant rights to update the site to certain members. The owner of this database is the club Membership Secretary, supported by the Team Secretary, the Youth Manager (responsible for all youth players) and the Webmaster (who will manage the access rights of all members). The top section lets you search the list a number of different ways; this may be just to find an individual quickly, or you may wish to tailor the list displayed in order to send everyone on it an message, a link for which is provided below the search boxes. Edit the member s details by clicking on their name in the list; their personal details, registration details and player profile are all editable, and details of their different roles on the site are listed. This is the place to correct any misspelled names created by other teams when adding scorecards, as it will allow the data input for that name to be retained rather than deleting the incorrect name and adding it again, which will cause loss of data. To the right of each member s name are their address (if one is provided), and their telephone number. By clicking on the address, you can quickly send an to that member. Next to these are the activity icons: Used by the administrator to merge duplicate member records, which can arise in a number of ways. Clicking the icon displays a list of possible matches, and the administrator can choose whether or not to match this record with one of the names on that list. Please don t use this. If you come across a duplicate please contact the webmaster or Membership Secretary.. Lets the administrator assign various roles within the site to the user. Clicking this displays the potential roles by category (e.g. squad player, official position, group, website role), and the administrator can activate or deactivate that role for the user. These roles can then be used within searches to limit the list for ing, or in the case of website roles to give the user administration access so that he can update the site himself. Used to rmove roles. Leave to the Membership Secretary or webmaster Groups The administrator can create and maintain groups to make it easier to collections of members. for example Committee There is no limit to the number of different groups, or to how many different groups a person can belong. Add a new group by clicking the Add New Group link at the top of the page. Enter the group name and click the Save button. Below this link is a list of the groups he has set up. These can be viewed, edited, deleted and re-ordered (using the dropdown boxes and the save button ).

6 Log The log shows the administrator a list of what s he has sent to the different groups. He can search the list using the dropdown boxes at the top of the page, and view individual items on the list below by clicking on the magnifying glass icon next to the item. Mass database upload Please leave to the membership secretary Mass database download If you need to you can download the membership database and save it in one of two formats (.csv and.xml), and use the data in other programs e.g. Excel or Access. When the menu item is clicked, the system automatically creates a file of all the members in his club s play-cricket database, and displays them in a list. Fixtures This gives you a list of all your club s upcoming fixtures. You can search by team, type of fixture and date to narrow the list down, or you can scroll through it using the links at the bottom of the list. All the fixtures for the season should already be in the list, but from time to time it may be necessary to change the details (if the date or venue is changed, for example, or if a team drops out and we pick up a new one. The Fixtures are owned and managed by the Fixture Secretary, supported by the Youth Manager. If changes are needed, please ask them to make them. You can search for fixtures in various ways. The result is a list of one or more, and over to the right the following icons which you click to use. View result Edit the fixture Select team Delete fixture view the fixture details the date, time, type, ground etc., and the team if it s been picked online As noted above, leave that to the fixture secretary lets you select a team from the squad you have created when you set up the teams (above) and your list of players. Fixture secretary only Results This is very similar to the Fixtures function, but instead gives you a list of all the games already played by your teams, and their results. As with fixtures, you can search this list by team, type of fixture and date to narrow the list down, or you can scroll through it using the links at the bottom of the list. Three options exist to the right of each result. View result Edit the result view the result if it s been entered The basic details of any League and Cup matches are input and locked via the administrator of those sites, and cannot be changed. If there is a problem with these details, then the League and Cup site administrator should be notified. If the game is a friendly, then the details can be input through this page. Once the details are present, clicking the Next button saves the details and moves on to the Team Picker functionality, which again is outlined in more detail in the scorecards guide. Once the scorecards etc. have been completed, then the left-most icon, which is initially set to a red X (unconfirmed), should be clicked; it will then turn into a tick

7 Add or edit a match report (confirmed). Lets you add or change a match report. Managing Teams and Results Overview The overall sequence is Finding a fixture Select Fixtures from the left-hand menu: a list of your club s forthcoming games will be displayed. The search fields at the top of the screen allow you to filter this list. The individual fixtures can be accessed via the icons to the right of each one:

8 View fixture Edit fixture Edit team lets the user view, but not change, the fixture details. lets the user add or change details of the fixture; the basic details (date, time etc.) should not be changed, but meeting place details can be added if desired if the site is being used to notify the team prior to the game. lets the user input a team selection before the game, and make changes to that selection. The following screen appears when this is clicked: Picking a team Click the yellow icon. The follow page appears. The last team selected will automatically be shown in the boxes, so once you have selected a side, all you have to do each week is make any changes. Squad members will contain all the players whose names had been input into the scorecards on the site last season, and all players you chose for the squad using Teams (above). A tick next to a player s name shows he has marked himself available. A cross means unavailable. A dash means he hasn t updated his availability! To insert a player from the squad, click on the relevant team space on the lef, then on the player name in the squad. If you make a mistake, delete the name by clicking on it and clicking Clear. If you do not know the team in full, then highlight a space and click Player To Be Confirmed. You can then add the player s name when it is known. You want to select a player who isn t in the squad, click the Pick Player from Database. A pop-up will appear, with the list of all players in the database.

9 Find the name you want, click Pick and the player s name will appear in the highlighted box. If the player s name isn t in the database, then enter his surname in the keyword box and press Search. A new pop-up will appear, letting you add a new player.

10 Adding a player Click on the add a new member link, and a pop-up appears to let you add the new player:

11 Type in the player s first name (please use upper and lower case properly for both names e.g. Chris, not chris or CHRIS ), check the Squad Member box so that the player is also put in the squad list (if required), and press Save. The new player is now in the club s database and the team being selected, and will appear on the full list next time, and in the squad if you check the box. Once you have selected your team, you have several options. Saving and publishing the team You can publish the team on your website; this lets your members know what the team selected is. This information is only visible to site members, so there is no chance of your opponents knowing in advance what they are up against. Now we have it is probably more important to publish it there. You can print out the team list for the notice board or your own use using Print Team. To let all the players who are site members and have given you an address know that they have been selected, click Players. The will also tell them when and where the game is being played and include any meeting place and time details you entered, and any notes that you add to the . In their message the players can confirm they re playing or let you know they can t, with a simple click. You ve finished team selection!

12 Entering Results Home team Selecting the game Have the scorebook with the match details to hand. Select the game via the Results menu option it s the same process as in Fixtures above. Click the relevant icon. To input or edit a result, the third one below. View result Add or Edit the result Add or edit a match report Confirm result view the result if it s been entered Lets you add or change details of the result; the basic details (date, time, scores, result, points etc.) cannot be changed (they are locked by the League site administrator). Click this icon to start adding a scorecard. Lets you add or change a match report. Initially this is a cross. Once the scorecard has been input, this should be clicked, to indicate to the League site administrator that this has been done; the icon will turn into a tick. When you click on the Add / Edit result icon, the screen below appears: Entering the summary result

13 Enter the details and save. You will return to a screen similar to this:

14 Confirming the teams Click the link to confirm the team for your club: The last team that was input will automatically be displayed here, so all you need to do is make any changes. It s the same process as when you picked the team, but with the batting order down the left hand side; make any changes that might have occurred to the team in the method previously outlined, and then give each team member their position in the batting order on the day. Don t forget to check the buttons showing the captain and wicketkeeper. When you are happy that all is correct, press the Save Team button; you will be taken to an identical screen for the opposition. Repeat the process above for the opposition team; take care in making changes to the team to ensure that you choose the right players from their squad and/or database. If you have to add a new player, try to be as accurate as possible with the name. Once you have got the opposition team sorted out, again press the Save Team button. This time, you will be taken to a screen that will look like this: Completing the scorecards - batting

15 The top half of the screen, above, deals with the batting details.. Your team should appear in the correct batting order. Click on the How out field for the first batsman, then choose the mode of his dismissal from the list on the right, which includes did not bat. If the method of dismissal involves a fielder (caught, stumped or run out), then choose the fielder involved. If the batsman is out lbw, bowled or hit wicket, the highlight will go straight to the Bowler field. Choose the bowler from the relevant list on the right. Enter the runs. The remaining fields are optional, but if you have them and enter them they will be stored and used in the statistics. The highlight should move to the next batsman. Repeat the process for the other ten players. Add the extras. If the figures don t add up, then you will get a warning message; please check and correct the figures so that they are accurate. Then fill in the details of the fall of wickets. Type in the scores at the fall of each wicket, then click on the first batsman out field and click on the name of the batsman dismissed in the list on the right-hand side. His batting position will appear in the box. Repeat for batsman not out if you have it, but this field is optional, so don t worry. Carry on until you have done all the wickets to fall. You can now move on to the bowling analysis. Completing the scorecard bowling

16 The bowlers you have already entered as wicket takers will automatically appear in the analysis, along with the number of wickets taken. So all you need to do here is add the rest of their analyses, along with their wides and no-balls (optional) and the figures of any players who bowled but did not take a wicket. If the figures don t add up, there will be a warning message. To clear a field, click on it and either press the Clear link, or the Delete button on your keyboard. You can use the Tab key to move from field to field instead of clicking the mouse, and pressing the Esc key will undo the last thing you did. Once you are happy with everything, click the Save Scorecard button. The full scorecard that you have put in will be displayed in read only format, for you to check (see below).

17 Viewing the scorecard If you are not happy with what is there, then click the link at the top of the page to go to the part you wish to change. Otherwise click Back to results and you will be taken back to the results list, where you can add a report if you wish and then confirm that you have completed the scorecard, (see Adding a report, Confirming the scorecard). Away team Choose the game to check via Results. Click View scorecard and check the details input against your score-book or score-card.. If all the details are OK, then click on Back to results add your own report and pictures (if desired), and set the Confirmed flag. If there are changes to be made, follow the procedures below. Checking and changing teams You follow broadly the same process as that for the home team (see Checking the team). Pay particular attention to your own team: Have any changes been made correctly? If there is a choice of players with the same surname, has the correct one been chosen? Have the names of any new players added been spelt correctly? Is the batting order correct? Are the correct captain and wicketkeeper selected? If any details are incorrect, then follow the instructions in Picking the team and Adding a player. Check the home team as well, just in case. Amending the scorecard Again, this is a repeat of the process Completing the scorecards. Items to be particularly aware of for the away team are:

18 Correct fielders effecting catches, stumpings and run-outs Correct scores against batsmen Fall of wicket information correct Correct bowling analyses against bowlers Don t forget to save any changes to the scorecards by clicking the Save Scorecard button. When you are happy that what is on the scorecards is correct, then click on Back to results, where you can confirm that you have completed the scorecard, and add a report and photos if you wish (see Adding a report, Confirming the scorecard). Adding a report Three reports can exist for any given game; the League can add its own report, and each team can add their own version of events. These reports are all entered using the same format: The buttons along the top of the text box let you pretty up your report. You can: Cut text Copy text Paste text Change text styles Bold text Italicise text Left justify text Centre text Right justify text Add numbered paragraphs Add bullet points Indent text Outdent text Add a line Insert a web link Insert a table Insert a picture Automatically tidy the text Don t forget when you write a report that its contents reflect on the League, your club and yourself; it is your name that will appear at the bottom of the report. So try to be entertaining

19 and reasonably factual, but please refrain from criticism of officials and offensive or sarcastic personal remarks about players (your own and the opposition s!), and don t use bad language or make comments or inferences of a racial or sexual nature. As an over-riding principle, don t write anything in your report about another person or club that you wouldn t want to see written about yourself or your own club. Adding a picture to your report Optional. It could be of a player, the team, action from the game, the ground, in fact anything that you can think of. Click on the Upload From Your Computer button, and a pop-up will appear (below). If you know the exact location of the picture on your computer, type it into the box,. Otherwise use the Browse button to find it. It s best to either crop your pictures or use a lower resolution. Big ones take longer to upload and also longer to display for anyone having a look at your report. When the picture has loaded, the progress bar disappears, and the picture is shown on the report page. You have the option to remove the picture or use another one, using the Upload From Your Computer or Remove buttons, or use one of the standard play-cricket images via the Select From Image Bank button. When you are happy with the report, you should then save it using the Add and activate match report button, and it will then be visible to anyone viewing the game from your website and the League website. Confirming the scorecard Once you have added all the scorecard details, you should return to the list of results using the back to results link. Then just click the confirmed icon next to the game, to let the League site administrator know that you have completed your part of the process.

Once you are familiar with the system, adding a scorecard should take no more than about 15 minutes per game, so over the course of the season, it should take up no more than about 4 hours to put in all the information needed to generate your club s averages and the League averages, as well as giving great publicity to both. Results - Procedures for Leagues For NHYDA leagues Home team website results administrator fills in scorecards from home team scorebook via home team s play-cricket website, and ticks home team s result confirmed flag, within 48 hours of match. Away team website results administrator checks scorecards from away team scorebook via away team s play-cricket website, makes any necessary additions and corrections, and ticks away team s result confirmed flag, within 72 hours. Away team and home team must check they agree and one must the league For Southern Electric League Division I Clubs are required to publish their scores and points through their Club s Play Cricket site by 12 noon on the Sunday following the match. The League will provide result sheets. They must be fully completed and then signed by both captains at the close of every match. The home club shall then fax or scan & the result sheet to the Results Secretary on and Mike Vimpany on , as soon as possible after the match, but not later than MIDNIGHT on the day of the match.

21 Fax confirmation notices should be retained by the sender for verification purposes. In the event of the match being abandoned / cancelled BEFORE the start of the match, the HOME CLUB MUST notify the Results Secretary, and Mike Vimpany, as soon as possible after the decision to abandon / cancel the match is made, and in any event not later than MIDNIGHT on the day of the match. In the event of the match being abandoned / cancelled AFTER the start of the match, the HOME CLUB SHALL fully complete the result sheet with the relevant details and fax or scan & it to the Results Secretary, and Mike Vimpany, as soon as possible after the decision to abandon / cancel the match is made, and in any event not later than MIDNIGHT on the day of the match. For Hampshire League Doesn t appear to use Play-cricket as part of the results reporting process. Complete ECB team sheets and give to umpires (if present) or exchange with opposition captain. Phone or result summary to appropriate result secretary by 9.30 am Sunday morning. Result sheet to be completed and signed by both captains. Return to appropriate results secretary by post or fax by 9.30 Tuesday following the match. Separate ground report forms (Divisions 1, 2 & 3) to be returned to League Grounds Secretary. Sunday League To be confirmed
