2 SOALR DECATHLON MIDDLE EAST NEWSLETTER Issue6 2 Webinar Session The Solar Decathlon Middle East competition team has organized an awareness webinar session to discuss the Request for Proposal and answer the teams questions on 18 May, The webinar was attended by engineering and architecture students and faculty, and companies in the UAE and the region such as The Kingdom of Saudi Arabia, Oman, Iraq, and India, Pakistan, Netherlands, Serbia, Egypt, Italy, and Malaysia. Link to the 2 nd Webinar recording, link: Webinar Questions 1. Which period are you (organizer) expecting to send the submissions? The proposal submission deadline is June 30, 2016 at 14:30 UAE time (GMT+4). 2. Please elaborate on the "Concept and Design Elements". How many pages are required, do you require all working drawings/ sheet set? Or is it about architectural concept and profile of building only? Currently teams are not required to submit their final construction drawings or plans, at this stage teams are expected to submit their preliminary ideas and main concepts, and how will the team deliver the innovative ideas in terms of sustainability, renewable energy, and the respond to the local necessities and weather. Note: Concepts and ideas can be developed and reviewed throughout the competition. 3. We have decided to participate with a leading organization, now due to some academic problems we want to lead with a different organization, is this permitted? Teams are selected according to the team capabilities, once the competition starts any changes in the proposal or leading team need to be discussed with the organization for approval, to make sure that the leading universities maintain the same capability level and commitment to deliver the project. 4. Does the SDME organization support the participants before the competition? Such as, transportation and financials. Teams are responsible for all expenses related to their project, they can find the proper sponsors to provide either funding or equipment needed. SDME is supporting participants by providing a list of sponsors via the competition website, link: DEWA is offering prizes for all teams that have been accepted to participate and have completed the challenge, and will be providing electric vehicles during the competition period in 2018.

The members of the final phase are not assembled yet, at this phase we are finalizing the jury for the selection of the teams. 6. RFP Page 13: Statements regarding confidentiality. What sort of confidentiality do you mean? Confidentiality between the teams, DEWA, and the SDME organizers, the confidentiality statement is to have a letter of agreement and nondisclosure of the information teams will provide about their design and the support the organization is providing to the teams. The SDME organizers will review the projects and documents confidentially and not to share them with other universities or companies. 7. Could you please confirm the expected duration given to assemble the house on site? We still have to define the final phase calendar, though we expect to have similar timing of the previous Solar Decathlon competitions. For now plan to assemble your houses within 10 days. 8. Where to assemble the houses? The SDME will provide one lot for all the teams to assemble the houses which will be in the Dubai Solar Hai competition site. 9. What happens with the teams that didn't succeed a partnership with a university from UAE? To have a partnership with a UAE university is not a prerequisite, SDME suggest to partner with a UAE university to facilitate technology transfer. 10. Can DEWA assist in acquiring local Cost Estimates? For questions related to cost estimates us at: 2018solardecathlonme@dewa.gov.ae. 11. What happens to the houses after the competition? Teams need to plan what they want to do with their houses, some teams sell them, and many of them are used for research at universities and are on display for public tours in museums. It is the responsibility of the teams to decide where they will locate their houses after the competition. LOOKING FOR AN ORGANIZATION TO PARTNER WITH? The SDME Teams Partnership page is updated:

Yes, we always recommend and support any dissemination of the projects through the media such as newspapers, press conferences, and social media accounts. 13. Is it required to list the name of students in the initial proposal? If the group of students is already decided please include their information in the proposal, it is important to have core students to guarantee the full involvement of students in the competition. 14. Is it allowed to modify/improve our Cost Estimates and Design later (after the Proposal is sent)? Yes, the preliminary cost estimation should be improved and modified, and this rough estimation is to evaluate if the teams are aware of the project cost. 15. Do you have social media accounts? Yes, you will find the links in our webpage integral and 16. Describe the technical services to be provided by DEWA, if applicable. Can you give example of what could be the services DEWA should/could provide? DEWA is organizing the event, currently the services that DEWA will provide are the infrastructure and all the support for this competition to happen. DEWA will be providing regular meetings with the teams through webinars, conference calls, and workshops to discuss team s updates, suggestions, and questions. Also, the deliverable revisions will be part of the technical services provided by DEWA. 17. Next year's senior students will not be recognized as decathlete, because they will graduate more than 12 months before the contest. SDME rules will be revised allowing graduate students up to 18 months to be members of the university team. 18. Notification to selected teams (October 2016) will not allow us to plan SDME-targeted courses for next Fall Semester, since we will be notified after the semester has already started. In October 2016 we will officially announce the selected teams and launch of competition. However, teams will be notified individually before October, most probably by August 2016.

SDME has launched the Teams Partnership page, universities can partner with international and local universities, in addition to private companies: /teams-partnership.html 20. Can I get a clear aspect of the Innovation Award? The Innovation Award is considered as an extra competition to recognize elements, or systems, or solutions developed by teams that can be further introduced into the market. 21. What is the time commitment of the key team members to support the project? It is up to the team to decide how much and what a percentage to be dedicated. 22. The Solar Envelope: in the European version, the solar angle define the side lines of the section-view of the Solar Envelope. In the Middle East (overall UAE) I think those lines should be closer to vertical lines (sun angle is closer to 90 ). Moreover, the traditional Arabic house is characterized by the very high density and very close houses. I think dealing with near neighbours should be part of the challenge. SDME organizers are open to any suggestions that will help to improve the competition and its rules. 23. Is there a limit in the cost of the houses? No, the competition does not limit the cost of the houses to permit that innovative solutions can be used.
