1 Dear Prospective Seafood Vendor, Please find attached our bid requests for the year As Point Defiance Zoo and Aquarium proudly promotes conservation, we are continuing our efforts by taking the sustainable approach to our annual seafood purchases. Our organization is making it our goal to purchase only sustainable seafood from the list that has been established by The Monterey Bay Aquarium Seafood Watch program. You will find enclosed a 2014 edition Seafood Watch Card and the Seafood Watch Program website information so you can learn more about sustainable seafood. We would like to continue with our conservation efforts and our goal of being sustainable. We strive to purchase seafood that is packaged with recycled goods or with items that can be recycled. Some examples of packaging which are not recyclable are wax covered boxes, plastic bags and plastic strapping. An additional goal for this year is to decrease our seafood waste. We would like to consider purchasing some of the items that we use the most in smaller cases. By doing so, we can plan our diets more accurately and create less waste. We appreciate every consideration or step you take in helping us to meet our goal. With the intent of purchasing sustainable seafood and green materials, we will be asking for the following additional information as part of the bidding process: Where is each species of seafood harvested from (state, country, and region)? In some regions of the world, populations of fish are very healthy and in other regions some species populations are at low numbers or are already threatened or endangered. We want to purchase seafood from regions where we do not harm unhealthy populations. How is the seafood farmed or fished? If possible, we hope to purchase fish that is harvested in a manner that creates the least amount of by-catch and damage to the worlds oceans. What is the harvest date of each species? This information is to stay in compliance with Association of Zoos and Aquariums (AZA) accreditation standards. What is the packaging type of material for the products you are bidding on? Are smaller cases available? Please find attached the bidding sheet. The species that we are requesting now includes the color coded ratings that coincide with the Seafood Watch Card that is included in this packet. You will find those items that are not yet rated by the program coded in pink These ratings are being included to familiarize you, the vendors, with what items we will be looking for in the future and what alternatives you might be able to offer for those items on the avoid list. We want to keep our oceans healthy and well populated for future generations to come and look forward to working with you to make this possible. 2 REQUEST FOR BIDS SEALED BIDS ARE REQUESTED FOR: 2015 SEAFOOD PURCHASES by Point Defiance Zoo & Aquarium 5400 N. Pearl St. Tacoma, WA Seafood Bids will be received at the Point Defiance Zoo & Aquarium N. Pearl Street-Tacoma, WA Bids will be accepted until 10:00 a.m. Monday, December 1, 2014, at which time they will be opened at the Point Defiance Zoo & Aquarium s administration office by zoo representatives. The Point Defiance Zoo and Aquarium, a division of Metro Parks Tacoma, is requesting bids for the purchase of seafood products as outlined in the bid specifications. Please read all specifications before submitting bid, to be sure you can comply with them. 3 SPECIFICATIONS NOTE: Pounds Per Item is the total used in one-year. However, some items may run more than once a year. To ensure that we are feeding the freshest product possible, we would prefer if some of these items could be shipped following those run times. i.e. January/February, rather than later in the year. We understand that may bring the price of the product up due to a smaller shipping weight. A. Product to be current (end of ). Date of catch/harvest and/or estimated dates to be supplied with bid. B. On acceptance of bid, caloric analysis will be provided for Herring, Mackerel, Squid, Capelin and Smelt. C. New vendors may be asked for samples prior to decision. D. Fish should be individually quick frozen (IQF) or block frozen as noted on bid sheet, and packed in containers impervious to air and moisture transfer. E. Fish to be delivered frozen to cold storage facility or zoo grounds as directed. F. Final bid price to include the cost of freezing and delivery (taxes not included). G. Product subject to inspection by staff, and the zoo veterinarian, prior to delivery to cold storage facility. H. Product will be fit for human consumption, or will be returned at seller s expense. I. Delivered product will be checked for quality or the product will not be accepted, and will be returned at seller s expense. J. Payment shall be made upon presentation of invoice, net 30 days, following delivery. Seafood Bid Specs/2015
4 REQUIREMENTS The unit price per pound for each seafood item must be shown in the space provided. Bidders may submit bids on any item or all items listed on the bid pages. If bid is not submitted on any one item, then write "No Bid" in that section. Please note that bids are not awarded as a complete package, but rather on a per item basis.
