1 ebiz ~ online registration EBusiness, also known as ebiz, refers to our new online membership tool. Sitting at your computer you can view your Council membership account and renew your membership. With ebiz, an individual will be able to: Become a new member or renew their Girl Scout membership Manage their member profile assuring up-to-date information is on record Make a contribution to GSSI Print their membership card Add a volunteer role to a troop or service unit. With ebiz, a Troop Leader will be able to: Manage troop member s addresses and contact information Update troop meeting location and time Renew troop members Make a Family Partnership contribution Print up-to-date troop rosters troop members Need to request a transfer for the 2014 membership year? All new registrations and registrations requesting financial assistance must be submitted via paper registration forms to the council offices. 2 ebiz FAQs Is using the online registration site easy? Using the online registration is very easy, it is very similar to making an online purchase. If you have ever made a purchase online, this should be a snap! How do I access my information after I create a login? Once you create a login, you will be instructed to go to your to activate it. Once activated, look in the top right corner for NAME s ACCOUNT. It will be located next to the shopping cart link and the logout link. By clicking on your account, a new screen will appear and will show your account details and other options available. Who can register new members online? Only parents or legal guardians can register new memberships. Who is able to renew online? Girls and adults registered in the previous membership year who have a valid address in the council s database may renew online. Troop leaders will have access to renew existing members during Early Bird registration and up to 9/30. Only adults 18 or over may have a login. What are the benefits of online membership renewal for parents? It's fast, easy and convenient. It provides accurate spelling and contact information. Parents can pay for their daughter s registration, their own registration and make a donation with their personal credit card all at the same time. Who should I contact if I have questions about the online registration process? If you have any questions about the registration process for Girl Scouts of Southern Illinois, please contact our help desk at helpdesk@gsofsi.org or call Please allow a 24 hour response time during regular business hours and 72 hours on weekends. Is a separate logon required for each person? No. One adult may manage registration for their family. They are called the Family Manager. Troop leaders will have access to manage girls in their troops. Some or all of my contact information has changed. How do I update it? Under the account information, click on the edit link. A new screen will open. Edit any and all information and click save when finished. I need to change my user name and/or password. Click on the My Account link and you will see a dropdown list of options. Click on the option you wish to change. Be sure to click Save for all changes. I forgot my username and/or password, what should I do? You would have received a confirmation with your username and password when you first created your login. If you saved this, please refer to this document. OR You may also use the Forgot Username? or Forgot Password? links on the login page. This will allow you to set up a new password or view the username you set up initially. Be sure to set up the security questions to help you in the future.

3 It says customer not found, but I submitted my paperwork already (or have been a member for many years), why can t it find me? ebiz requires a name, address, and to locate a member. If any of this information is missing an error message appears stating that the customer could not be found. Usually it is as simple as adding an address to the account. In some instances this message appears for new members and leaders whose membership information has not been entered into Personify yet. By contacting the Help Desk at helpdesk@gsofsi.org or we can create a customer profile to be used for registration until the membership information is reflected properly. Why can t I see the login screen or some of the pages on ebiz? If you cannot see the login boxes on the home page please look to the top right of the page and for your name. If you see a name listed you are already logged into ebiz. Can donations be made online? Yes, donations can be made online at the same time you register or at another time. What payment methods are accepted to renew an individual's membership online? Credit and debit cards are accepted. Check, cash and financial aid require use of paper registration forms. My credit card was declined what should I do? Make certain that you have entered the correct information and/or try another credit or debit card. If your card is still declined please check with your bank. When I am entering my credit card information it asks for the secure code where do I find that? It is a 3 digit code found on the back of your credit or debit card. What can a Family Manager do when renewing a girl and/or adult registration? Execute an existing membership renewal. Update demographic and contact information. Make a donation to Girl Scouts of Southern Illinois Pay for the membership and the donation. Print a membership card for the current membership year. What happens if a girl wants to renew her membership but is transferring to another troop? Renewals are existing orders in Personify so renewing and switching troops is a two-step process: 1. A girl's parent/guardian purchases existing order online to renew membership with the existing troop on record 2. The current or new troop leader initiates a troop transfer using the Troop Transfer form found on our website. Who has access to "My Troops" online? Access to "My Troops" is only available to volunteer screened troop leaders with an 01 position code/volunteer role in the Personify database for a specific troop. If a troop leader has more than one troop, she must have an 01 position code on record for each troop in order to have access to all of her troops in the "My Troops" tab. Approval of position codes and troops in Online Registration are done back office by council staff.

4 How do I request a volunteer role/position with a troop? Volunteer roles are confirmed by the Service Unit and must be approved by Council staff. If an adult is not serving in a leadership capacity, it is important that parent volunteers select 03 in order to show on the troop roster. To request a volunteer role/position with a troop or troops, adult members must answer "Yes" to the question "Are you a Girl Scout Volunteer?" during membership registration or renewal then fill-in the "Assign Roles (request form)." After registration, an adult member may request positions by clicking on "MyName's Account" in the upper right corner. Then the member scrolls down to "How I Participate," clicking the "Add Volunteer Roles" link. In the "Self Report Positions" pop-up the adult member will select the Role, membership Year and search for the troop they will be serving. After verifying the information, they click "Add." This may be repeated for multiple troops. Clicking "Update Involvement" will forward the requests to Girl Scouts of Southern Illinois. To check on the status of a request contact Volunteer Services at Requests can also be made from the Position Code Reporting Form which is found on our website at What information can leaders see in the "My Troops" tab? The leader can see each individual s registration status and the information that is contained on a member registration form only: contact information; grade; school; age; Girl Scout history; custodial care; racial/ethnic background. The leader can see all orders for troop members. What happens to the "My Troops" roster after 9/30? Girls/adults who have not renewed their membership for the new membership year disappear from the roster. The roster will only include registered members for the current membership year. After 9/30, the troop leader cannot renew a member. They must either submit the paper registration or the parent/guardian can register them online. How do new girls and adults joining troops register online? Online registration of new girls/adults into an existing troop or new troop may be done by the Family Manager (parent/guardian) who will request placement with a troop during the registration process. Leaders and Service Unit team members may also complete the Troop Transfer form found at Why can t I view troop management, I m the Troop Leader? In many cases troops list more than one leader for their troop. Troop Management allows only one person to hold the Troop Leader position and they must be a current member in the database. The person holding the 01- Leader position will reflect the Troop Management area in ebiz. Please contact the help desk at helpdesk@gsofsi.org or call to find out if more than one person is listed as the 01 Leader. What are the benefits of online membership renewal for troop leaders? No collecting forms. No depositing money at the bank. No completing registration summaries and troop worksheets. No waiting to know who's registered.

5 I am self-reporting my position code(s) for the new membership year and have a message that blocks my action. What does the message Position not added. You already hold this position for the Troop/SU/Area mean? If you have previously selected and added the position code for a particular membership year, ebiz will recognize this latest selection as a duplicate record and will block your action. If this message appears, you may review all of your reported positions at the bottom of the My Account page under My Positions. As a troop leader, why can t I register new girls in my troop? We require a signature to be on file when submitting a registration. To ensure accurate information and to eliminate the creation of duplicate accounts, only parents/guardians may register new girls or themselves and request placement with the troop number their leader provides. What types of transactions must be done back office by Council staff in the online membership renewal environment? Please contact us at helpdesk@gsofsi.org for any of the below issues: Lifetime memberships at the discounted rate graduating Girl Scout Ambassadors only must be processed by Council staff and therefore, require the use of paper membership forms. Name changes must be done by Council staff. For example: spelling corrections, hyphenated names, new last name. School and/or grade changes must be done by Council staff. Troop transfers must be done by Council staff. You may submit a troop transfer form online by going to or contact our help desk.
