1 Dear GPWA Member, Georgia Prison Wardens Association 2014 Handbook and Advertisement Sales Campaign As decided at the 2009 General Business Session, our ad sales campaign will begin September 1, 2013 and run to April 1, This was done in order to give our members a longer ad campaign time and hopefully allow us to collect more money for our association and our scholarship drive. This year each member is required to sell a minimum of $1,000 either through ad sales, donation or fund raisers, i.e. barbecues, tournaments, etc. If a member collects the minimum of $1,000, the association will pay for three nights hotel stay and cost of registration, the member will still pay the $75 in dues and pay for meals at the convention. If a member collects $1500, the association will pay for three nights hotel stay, cost of registration and your meals, the member must still pay their dues. If a member collects $2000, the association will pay for three night s hotel stay and cost of registration, the meal cost and dues. Members not selling ads will be assessed dues, a registration fee and meal costs and will be responsible for their own hotel expenses. Attendees will be charged $ with no ad sales. Members will be allowed to bring their spouse and any children still at home and will not be assessed any additional fees if the member meets his/her obligation. Members who bring other guests other than their immediate family will be assessed a fee of $250 per person for convention attendance and meals. Monies collected for several members from a vendor or an activity will be forwarded to the Secretary- Treasurer with a summary of the Wardens/Superintendents involved and the amount to be assigned that member. (Example: McDaniel Supply and Stewart Candy) Monies collected should not be held till the end of the campaign due to some checks expire within a certain amount of days from being written, so all monies collected by the membership will be forwarded as soon as possible, multiple submissions will require a summary sheet each time to: This is a change from last year when ads went to Kathy and the money came to me. I will get everything and then forward to the appropriate person handling the handbook. 2 This will also give us a better understanding of our monies and what type of activities and expenses will be covered at the following convention and decisions made as how many scholarships can be awarded. Members and Associate Members will have paid their dues and costs associated with the convention no later than May 1st. Dues are $75 annually and must be paid prior to the convention or waived due to the amount of ads that you have sold. Dues make you eligible for awards and ability to hold office or to be a committee member. Payment of dues and cost at the convention will be for those members recently appointed to their position but must pre-register with the convention by May 1 st. Not selling ads will require you to pay for the convention at the following schedule: Dues: $75 Registration: $200 Meals: $250 A total of $ not including your room cost or for additional guests. This does not allow any funds to go into our scholarship program. Spouses and children of members will be charged $250 for convention activities and meals. All corporate sponsors who plan to attend the convention will be mailed or ed an information sheet giving them instruction as to when and where they can set up their booths, meals provided for them, and other useful information. A contact person who is to receive this information should be listed along with address, telephone number and address. addresses are really, really great if you can include them. Please keep a copy of your summary sheet of ad sales along with a copy of the advertisements when you send in your ads and monies. Ads received after the cutoff date will not be placed in the handbook. Deadline for making hotel reservations and registering with the convention (Secretary-Treasurer) is May 1, Everyone attending (Members, Associate Members, Guests, VIP s, and Vendors) must have prior registration or they will be accessed a late fee of $50 payable at registration and prior to them getting their convention credentials. 4 Dear GPWA Member: Georgia Prison Wardens Association 2014 Handbook Advertisement Campaign September 1, 2013 to April 1, 2014 The 2014 Ad Campaign has begun on September 1, 2013 for the 2014 Summer Convention. Please find the five attached sheets for the different price for advertisement space. Again this year the charge for the advertisement is as follows: Corporate Sponsor $500 (full page ad in handbook, a copy of the handbook when requested, vendor space/table at convention, covers meals for one representative of GPWA sponsored events.) Additional representatives must pay an additional $500 per representative. Full Page..$160 Half Page..$ 80 Quarter Page.$ 40 Name and address (one line).$ 20 (no ads, name of donator & address only please use the sheet designed for these $20 donations) All ad material and monies will be sent to the GPWA address within 30 days of receiving the funds. The deadline for the Ad Campaign is April 1, Ads received after the deadline is not guaranteed to be placed in the handbook. (Do not hold any funds received past 30 days, some checks do expire and are void after a certain time.) All monies and ads collected are to be forwarded to the Secretary-Treasurer and will have a summary sheet attached.
