1 Last update: Page 1 Guide to Webbtjänsten /Web service Since the Webbtjänsten is only in Swedish we have put together this guide to make your process of applying for exchange studies as easy as possible. Umeå School of Business and Economics' web service for exchange studies is meant to serve as an administrative support for applications for exchange studies and applications for advance transfer of credits. Please read this guide carefully before creating your user in the web service. Create a user The first thing you need to do is to create a user on the web. You are able to find the web service at: (If an error page appears simply click by it on Continue to this website (not recommended).) 1. Create a user/skapa en användare. Click on skapa en användare. You are then asked to complete your personal information and to choose a password Personal number 2. Street address 3. Postal code 4. First name 5. Last name 6. City Choose a password 9. Confirm your password 10. Cell phone number 11. Accept terms & conditions 12. Register All fields marked with * are mandatory.

2 Last update: Page 2 (Thereafter, to login to the web service, your username will be your personal number and the password is the one that you chose when you created your user.) 2. You need to accept the terms and conditions of the web service by ticking the box in the down right corner Once you have completed all information and agreed to the terms and conditions press Registrera /Register in the down right corner. NB! You are only able to create a user with your student All information regarding exchange studies will thereafter be communicated to - . Once you have created your user and pressed Registrera /Register you will be redirected to the login page. Your personal number will already be completed and you can login with your password. You are then redirected to your personal page. See image below: Personal information 2. Application 3. Advance application for transfer of credits 4. Final application for transfer of credits (this link is not in use) 1 Personuppgiftslagen (PUL) The Law about Personal Information In 1998 a new law was instated in Sweden, the PUL. According to this law you are entitled to receive information about the treatment of personal information and we ask your consent to us keeping your personal information. This is why you need to tick yes when creating a user in the web service. Personuppgiftshantering The treatment of Personal Information Personal information that is saved is used in the following way: We save your personal information so that we are able to administer and help you with you application for exchanges studies, application for advance transfer of credits and final transfer of credits. Your information is only used for this purpose and will not be cross referenced with other systems. You have the right to have access to your personal information, upon a request from you. Registered user As a registered user you accept not to revel or in any other way make your username and password accessible for unauthorised persons.

3 Last update: Page 3 1. Personal information The first time you login, please make sure that your personal information is correct by clicking on the field Personuppgifter. Also make sure to add the additional information mentioned below: Please complete the information with your program of study. Choose your program from the scroll down-list Jag studerar vid USBE /I am studying at USBE: - IBP, if you are a student of the International Business Program - Msc if you are a Master student and thereafter write your major (Finance, Business Development and Internationalisation (BDI), Management, Accounting or Marketing) in the field Kull. 2. Application 3. Advance application for transfer of credits 4. Final application for transfer of credits (NB! As of December 1, 2012 this function is closed and application is done here to Umeå University, not to USBE.) Fields that are marked in grey are not open at the moment (2, 3 and 4 in the image above). The application field will be available during the application process, usually February 1 st March 1 st and you will be able to make an advance transfer of credits when you have been selected for an exchange place. Application

4 Last update: Page 4 The field Ansökan /Application is open above. Click on the image to submit your application Choose university 2. Semester 3. Priority 4. Add 4 You are able to submit a ranking of up to 6 universities. Click on Välj /Choose to submit your ranking. Rank your universities from 1 to 6, where 1 is your top-choice of university. 1. You are able to choose your university under Välj /Choose. Click on the arrow indicated under Välj in the list that appears to choose that specific university and to add it to your list. (The fields Land /Country, Universitet /University and Avtal /Agreement will then be added automatically.) 2. Indicate your preferred semester of exchange. - Helt läsår / Full year - E.g. H 14 / Fall 2014 (International Master Programme students are only able to apply for exchange studies during fall, i.e. third semester of studies.) - E.g. V 015 /Spring Indicate the ranking of the university in the scroll down-list: Click Lägg till /Add to add the university to your list. Continue the process if you wish to add more universities to your ranking list. (You are able to remove an option at anytime by clicking on the selected university and then click Ta bort /Remove.) 5. When you are done selecting your universities and have reviewed that your ranking is correct and final, click on Skicka ansökan /Send application.

5 Last update: Page 5 6. You will now have access to print the PDF that you will need to add to your other application documents. Click on the link available down to the right (as indicated in the image below), sign the document with your name and the date and hand it in together with the other application documents. 5. 6 Last update: Page 6 AFTER SELECTION ROUND Accepting your allocated study place If you have been nominated for your first-choice alternative then your lower-ranked alternatives have automatically been cancelled. If you have not been nominated for your first choice then you can choose to remain as a reserve on your higher-ranked alternatives. Study places can be release in the second selection if someone should choose to decline their allocated place. You can always choose to accept your allotted study place but at the same time remain as a reserve for your higher-ranked alternatives. In the image below the student has been allocated a place at Universidad de Zaragoza. Antagen means that the student has been allocated the study place. The person is also on reserve/ Reserv for the two higher-ranked alternatives. 1. Reserv/Reserve 2. Antagen/Admitted 3. Send your reply You should now tick the boxes for the alternative that you wish to accept or the alternatives where you wish to remain as a reserve. You can choose to tick all boxes, as in the example above. Once you have ticked the boxes of your choice then you need to Skicka /send your answer. A text will then appear in the down-left corner stating that your answer has been registered and saved.

7 Last update: Page 7 In the image below the student has been allocated the first choice and thus only have to accept the allocated place and send the application. A second selection round will later occur where possible reserve admission will take place. If you were listed as 'reserv' after the first selection round then you should immediately check if you application has changed and if you have been allotted a higher ranked alternative. You then need to accept or decline that alternative. (If you accepted your allotted study place in the first selection then you do not need to submit a new answer.)

8 Last update: Page 8 Advance application for transfer of credits/ansökan om förhandsbesked The advance application for transfer of credits is done only once you have been allocated and nominated for an exchange study place. The application will then be open for you to complete. The application functions as a security for you as you are able to see if the courses that you intend to study at your host university can be transferred upon your return to Umeå or not. You are able to add/change your courses before you leave on your exchange up until your return Course code 2. Course title 3. Course description/syllabus 4. Local credits/ects 5. Course recognised as 6. Högskolepoäng (HP) 7. Add course 8. Submit application 8 You will need to complete below mentioned fields (as shown in the picture above): 1. Eventuell kurskod /Course code 2. Kurstitel /Course title 3. Kursbeskrivning /Course description/syllabus It is very important that you insert the course description/syllabus! 4. Local credits/ects credits These could be local credits (e.g. in countries where they do not use the ECTSsystem) or ECTS credits. 5. How you wish the course to be recognised. 2 If you wish the course to be recognised as an elective course then you choose Valfri kurs /Elective from the scroll down-list and then you write elective in the field Typ av tillgodoräknande, which will then be accessible. 9 Last update: Page 9 the course to be recognised as a Business Administration (Företagsekonomi)- course then you choose Företagsekonomi /Business Administration from the scroll down-list and then you write Business Administration C or D in the field to the right (depending on what level, C or D, that you wish for it to be recognised). 6. Indicate the number of Swedish credits that the course is worth (Högskolepoäng/HP). Note that ECTS-credits are directly transferred as HP e.g. 5 ECTS is 5 HP, 10 ECTS is 10 HP etc. 7. After you have completed all the information mentioned above click on Lägg till /Add. Your course will then be added to your list. You are then able to add more courses to your list if you wish. 8. When you have reviewed your application and added your courses of interest, click on Skicka ansökan /Send the application which should appear in the down right corner. Master s Programme Students There are two different alternatives for your application for transfer of credits from studies abroad, depending on what type of recognition you need for your degree: 1. Electives : For courses to replace optional credits within your degree (independent of subject area and level). 2. Business Administration D-level (Master s level): For courses to replace your minor semester within the Master s Programme. The courses/modules studied abroad do not have to be equivalent to those that you would have studied at USBE. International Business Programme Students There are different alternatives for your application, depending on which semester/s you have spent abroad: 1. Electives : For courses to replace optional credits within your degree (independent of subject area and level). 2. Business Administration C-level : For courses to replace modules within your C-level course in Business Administration at Umeå University. The courses studied abroad do not have to be equivalent to the courses you would have studied at USBE. 3. Business Administration D-level (Master s level): For courses to replace modules within your D-level course in Business Administration at Umeå University. The courses/modules studied abroad do not have to be equivalent to those that you would have studied at USBE. Please note that if you wish/need to apply for recognition of studies within any other subject area than business administration (apart from courses within your elective

10 Last update: Page 10 semester), you need to contact the department in question directly (i.e. Economics, Statistics etc.) 3 Once we have looked at your application for advanced transfer of credits you will be able to see the recommendation by logging in to your account in webbtjänsten. Note that we will not notify you by once we have looked at your courses. Final application for transfer of credits/slutligt tillgodoräknande Your final application for transfer of credits can only be done once you have finished your studies abroad and returned to Umeå. Application for transfer of credits is made to Umeå University on a specific form. For more information and the application form, see link below. Transfer of Credits Should you have any questions regarding your application do not hesitate to contact USBE s at: studyabroad@usbe.umu.se. Good luck with your application! /USBE s and Program Coordinators 3 Example: If you have failed a module within the Economics A 30 credit- course at Umeå University and would find the equivalence abroad, you can apply for recognition of that specific module.
