(Please Return Fully completed) Student Accommodation Information Sheet. Residential Student Welfare Medical Form. (Please Return Fully completed) Please read through the information sheet before applying for accommodation as it contains important information and explains the room allocation process. Please fully complete the enclosed Residential Student Welfare Medical form. The reason we ask for this information is because it enables the college to provide appropriate support for you, and to make sure that you are safe whilst you are living in college Accommodation. Non- disclosure may lead to your accommodation offer being withdrawn. We will require Three Next of Kin contacts that can be available to attend the college at any time. It is particularly important to arrange transport home when matters arise relating to illness/ behaviour. Once you have completed all the required paperwork please post it to: The Residential Manager, BCA, Hall Place, Burchett s Green Road, Burchett s Green, Maidenhead, Berkshire, SL6 6QR. A confirmation letter will then be sent to you to confirm your application has been received. Please note: your application will be placed onto our waiting list, and you may be asked to attend an interview. You will be informed if your application has been successful in July. 3 Information Sheet: Student Accommodation BCA Please read this before applying for college hostel accommodation. 1. Under 18 Student Hostels Folkestone and Hurley Rooms and facilities: In total there are 17 rooms split between two hostels. Each room has a single bed, mattress, wardrobe, bed side cabinet, desk, desk chair, Wi Fi internet access, and wash basin. There is a small kitchenette in each hostel which includes a sink, fridge/freezer, microwave, iron/ironing board and storage space for food. There is also a bath, two shower cubicles and toilets in each hostel. Students will need to supply their own kitchen utensils, crockery and bedding. 2. Over 18 Student Hostels East and Gilbert Rooms and facilities: In total there are 20 rooms split between two hostels. Each room has a single bed, mattress, wardrobe, bed side cabinet, desk, desk chair, Wi Fi internet access, and wash basin. There is a small kitchenette in each hostel which includes a sink, fridge/freezer units, iron and ironing board, microwave, cooker and hob, food preparation surfaces and generous storage space for food. There is a bath, two shower cubicles and toilets in each hostel. Students will need to supply their own kitchen utensils, crockery and bedding. 3. Other Charges Returnable Deposits: All students are required to pay a 150 key, charges and damages deposit. This is required before a student can move into their room. If the student does not take up an offer of their place then this deposit will be returned. An inventory of the condition of the room and communal areas is agreed at the beginning of occupancy and this is checked and agreed again when the student leaves. Providing there is no damage, charges or lost key charges to be deducted from the deposit then the amount will be returned in full otherwise the amount returned will be minus any deductions. Charges for Damages: Students are required to report damages to their rooms and communal areas to the Residential Manager or Wardens. The college reserves the right to pass on the reasonable cost of repair or replacement of goods in circumstances where the damage is not attributable to normal wear and tear. Charges for Payment Plan: There is a 100 administration charge for the payment of accommodation fees by payment plan. This will need to be arranged at Student Enrolment.

4 4. Terms and Conditions i. No smoking Policy The student hostels are `No Smoking areas Smoking is only allowed in designated smoking areas which are all out doors. ii. Room Occupancy All rooms are let as single rooms. The college is only able to offer accommodation on a rolling one year basis. There is no guarantee of accommodation being available in subsequent years. iii. Notice to vacate a room Students will all be required to sign a Tenancy Agreement to reside in accommodation for the length of their academic year. Students wishing to leave accommodation are required to give at least 4 weeks written notice to the Residential Manager. Once they have moved out of their room and returned their key, the deposit will be refunded minus any deductions. Their account will then be credited with the weeks they are not living in. Any outstanding accommodation fees will need to be paid. The College will not normally ask students to leave before the end of the year, except in cases of disciplinary action. Or in cases of a serious Health or Welfare concern, where it is deemed that the student is a risk to themselves or others if they were to remain in accommodation. Fees will be payable until the end of the week in which the student leaves. iv. Payment options for accommodation The fees are as indicated on the accommodation request form. There are two funding options available for BCA accommodation. 1. Payment in full to be made at Student Enrolment % of the balance to be paid at Student enrolment with an 8 monthly payment plan administration charge arranged with the Residential Manager and the Finance Department. (The payment plan will be arranged at Student Enrolment and must be settled by May 2016) Please note: If payment is not made at Student Enrolment your offer of accommodation will be put on hold and you will be placed on a waiting list. Failure to pay or to keep up with payment plan instalments may result in a student being asked to leave college accommodation. v. The `College year Students will be charged for the `college year in 2015/16. For FE students this will be 36 weeks. There will only be a reduction in weeks when the student is on work experience. Notice must be given in writing to the Residential Manager that the student will be on work experience.

5 vi. Vacating rooms in holidays All rooms must be vacated and emptied of personal possessions and left in a clean and tidy state for college Christmas, Easter and summer holidays unless otherwise notified. Students may, at their own risk, leave possessions in their rooms during half term unless essential cleaning, letting or refurbishment is planned. Students are not permitted to stay in college accommodation over the holiday periods. vii. Changes of Rooms Every effort is made to satisfy a student s needs, but we are governed by legislation which requires the college to separate under 18s from over 18s and separate under 18 males and females. If a student becomes 18 `in year we will not always be able to move them to an `over 18 hostel and it may therefore be necessary, to keep them in the same accommodation until the end of the academic year and adhere to rules and regulations relevant to that hostel. viii. Financial Assistance for payment of accommodation fees. Unfortunately due to a significant cut in our Discretionary Learner Support Fund by the government, we are no longer able to provide financial assistance with accommodation fees. 5. Allocation of Rooms Student accommodation is extremely popular at the college and with only 37 places it is taken up very quickly. The Residential Manager allocates our accommodation and this process is as follows. We may invite you in to attend an interview with the Residential Manager/Warden Team if the applicant is Under 18 a parent or guardian must be present. Returning residents may be asked to attend an interview. Priority is given to residential students who are returning to BCA who have a record of excellent behaviour and achievement. We assess whether accommodation will be suitable for the applicant, and how will they manage living with others/independently. Remaining places are prioritised by distance from the college and whether the student has any exceptional circumstances for requiring accommodation. All students must have three Next of kin contacts that can be available at any time, to attend the College or Hospital, in the event of the student being deemed too unwell to remain in accommodation, or due to an emergency or disciplinary concern. This is at the discretion of the Warden Team. We operate a minimum entry requirement of Level Two or Higher for accommodation; therefore we do not offer accommodation places to students who are studying a Level One or Foundation Studies course. All places are subject to return of paperwork and evidence within deadlines and whether the student has an outstanding debt with the college or not. Anyone who isn't offered a place initially will be placed on a waiting list (we cannot guarantee that anyone on the waiting list will get a place)

6 6. Supervision of Residential Students The warden team provides academic and pastoral support to the residential students. All residential students are subject to the college code of conduct and the wardens monitor compliance with this. All residential students are required to sign an Acceptance and Declaration Form and a Tenancy Agreement, which is distributed with the offer of accommodation along with the Residential Handbook and Residential Rules and Regulations which outlines the accommodation rules. Under 18s Staying out overnight: Residents under the age of 18 are required to Sign In with the wardens each night between 9.00pm and 11.00pm. Students will be signing to confirm that they are going back to their hostel not that they are just on campus. If under 18 students wish to stay off campus overnight, Parents/Guardians must contact the wardens and give their permission before the students leave site. When students go home for the weekend or whenever they leave campus they must hand their Room Key and Fob to the Duty Warden and Sign Out. If a student fails to Sign in or out during the evening, and their whereabouts cannot be confirmed, parents will be informed. If parents cannot be contacted then we may contact the Police. 7. Catering Services Courtyard Cafeteria The main canteen is where students get their breakfast, lunch and evening meals during the week Mon-Friday. Students can also get lunch at either Cheek i s or North Cafe. Due to the small numbers of students here on a Friday night there isn t a meal service on Friday evenings so we encourage students to take food away with them at lunchtime. 8. Other services i. Laundry facilities are available and coin operated. ii. The Zone is the focal point for students during the day and for the residential students in the evening. There are games consoles, pool table, table tennis table, wireless internet, computers, a Blu ray DVD player and TV. The Zone also accommodates the student bar; students will only be served alcohol if they are over 18. The Zone is the only place on campus where Over 18 students are permitted to consume alcohol. All students are encouraged to use The Zone and its facilities. iii. Sports Hall: the college has recently invested in a new sports hall and gym, residential students will be able to access this and other outdoor facilities in supervised sessions in the evenings. iv. GP surgery. If students are unable to access their normal GP they are expected to register with our local GP surgery.

Liaison with Parents and Guardians Liaison between parents of students under the age of 18 and the wardens is encouraged and parents will be given a 24 hour telephone contact number that they can use. For students who are over the age of 18 we reserve the right to communicate with the payer of your accommodation fees regarding any discipline/ academic issues. This applies to all students. 10. Residential Experience Students who live in at BCA will become part of a very close knit community of students from different backgrounds. With the capacity for 37 students to live in they will get to know their neighbours very well. The wardens work to make sure that there are activities for students to take part in, for example ice skating, bowling, cinema, cooking evenings and quiz and sports nights. As much as we want our residents to enjoy living in, our primary concerns are that they can focus on their studies, get to experience living independently and meet new people. You will feel supported whilst you are here and we will help you succeed. 11.
