3 OUR FACILITIES Our building is easy to access, fully refrigerated air-conditioned and contains a large meeting room, serviced office and a kitchen suitable for catering needs. SERVICED OFFICE: Need somewhere to operate from for either a few hours, one day a week or regularly and don t want the hassle and expense of setting up a new office immediately. We offer a serviced office which includes desk, chair, filing cabinet and visitor s chairs. You will have access to communal facilities and much more. MEETING ROOM: We have a large (max 40 guests) and small (max 10 guests) meeting room that will be hired to anyone leasing our service office at a reduced rate. 4 WHERE ARE WE? The Central Highlands Development Corporation is located at the Wally McKenzie House at the Emerald Showground s. It is well positioned on the Capricorn Highway and easy to access, free parking areas available for all vehicles. 6 COMMUNAL FACILITIES Kitchen Area Floor Area... 24sqm Features: Fridge Rapid Boil Microwave Toaster Oven Dishwasher and Sinks Cutlery & Kitchenware (There are no other cooking facilities) Toilets The toilets are located within the building including disabled access which has a shower. Courtyard A courtyard exists between our building and the Car Club building which is roofed and has table and chairs to enjoy the fresh air in breaks. Smoking The building is No Smoking however smoking is permitted in designated areas. You are welcome to make an appointment with our Administration Manager to view the venue and discuss your individual requirements. Page 6 of 12
7 HIRE TERMS & CONDITIONS Bookings Short Term: A tentative booking will be held for 48hrs after your original date of reservation and until confirmation has been received. Long Term: The room will be booked accordingly as per the agreement reached between the CHDC and the tenant. A deposit will be required and will be held as a bond until the end of the agreement. Payment The CHDC will issue an invoice on the 1 st op each month and requests that your office rent and any additional expenses are paid within 7 days of invoice date. Payments can be made by cheque, credit card or direct deposit (details will be on the invoice). Insurance The tenants agrees to hold harmless CHDC and the owner of the property for all damage, costs, actions, demands and claims, which may be sustained by or suffered by the tenant or its visitors arising out of the hire of the property. The tenant agrees to provide evidence of public liability insurance for all indemnity of not less than $10,000, covering any damage to the hired property. This policy shall cover the full duration of the office hire and is to remain current until the building and grounds have been vacated. A copy of this policy must be provided to the CHDC upon booking the office space or upon signing the MOU. The provision of this documentation is essential to the tenant proceeding to take up occupancy. The tenant will not carry out any activities on the hired property that may prejudice the insurance cover on the hired property. Cancellations Short Term: A minimum of 24hrs cancellation notice must be given for cancellation. Long Term: As per the agreement signed by CHDC and tenant Hire Fees Hire fees for the office space will be charged as per the Hire Fee Schedule and as outlined in the lease agreement. If the office space is leased short term then as per the charges outlined in this booklet. The hire fees are subject to change at our discretion and will be reviewed by the CHDC on an annual basis. The CHDC reserves the right to charge a refundable bond at its discretion. Cleaning The premises are cleaned professionally once a week. The hired premises must be left as clean and tidy as found upon entry. Should excessive cleaning be required, additional cleaning fees will be charged accordingly. Page 7 of 12
8 Vacation of Premises The office is to be vacated by the date and time as per the lease agreement. The CHDC reserves the right to take action, at the hirer s expense, to ensure that the venue is vacated on time and no equipment is left on premises. If the office is not vacated by the due date and time as stated in the lease agreement then CHDC reserves the right to charge for additional time the office is used, including staff wages. The CHDC will not be held liable for any equipment of the hiring tenant that is left on the premises after the vacation date and time without prior arrangement. Fixture and Fittings Nothing is to be nailed, screwed, stapled or adhered to any wall, door or other part of the building without seeking written permission from CHDC. No adhesive tapes or glue are to be used on walls, doors or windows. All residue, staining or repairs required will be done at the expense of the hirer. Any damage to the office space caused by the tenant or its employee is the responsibility of the tenant. Any such damage requiring repairs will be paid for in full by the hiring tenant upon invoice by the CHDC. Equipment Any damage to the sound and/or audio visual equipment or to any equipment in the facilities which is directly or indirectly caused by a patron of the office space will be invoiced to the tenant for the cost of repairs or replacement. Occupational Health and Safety The tenant shall not use the CHDC property in a manner that could cause a risk of the health and safety of others. The tenant shall comply with the act, its regulations and all relevant codes of practice. Material safety data sheets must be supplied for any chemicals brought onto the CHDC property. Under no circumstances will the excess accumulation of fire hazardous materials be permitted. All emergency exit doors & driveways must be kept clear at all times. Areas of Use & General Conditions Given the nature of the facility and the equipment it contains, the tenant agrees that patronage will be restricted to the areas specified in the agreement. The tenant agrees to allow CHDC or its employee s access to the serviced office during the period of the tennancy for the purpose of inspection and conduct of specific duties. The tenant agrees to use CHDC property in a manner that will not annoy, disturb, interfere with or damage property belonging to CHDC, tenants, occupiers of the venue or occupiers of the properties in the neighborhood. The tenant agrees not to bring equipment or materials onto the property without the prior permission of CHDC. The event booking is deemed to be cancelled immediately should any conditions stated in this booklet not be met by the tenant. Booking fees will be charged in full as well as any other additional fees. Page 8 of 12
