4 You have done it! It s time now to enjoy the credit, the celebration and the ceremony that comes with your success. Graduation ceremonies at Unisa are grand occasions. Graduands and diplomands are, therefore, required to follow certain procedures in accordance with our academic traditions, such as dress code and protocols. You will appreciate that due to the number of graduands and diplomands involved, our ceremonies have to run like clockwork. The purpose of this brochure is to guide you through those procedures, thereby ensuring that you have all the information you need to make your graduation ceremony an unforgettable experience. Please inform your guests of the graduation etiquette described later in this brochure, so that they too may share in your graduation experience. By graduating from Unisa, you have proved your dedication, your determination and your commitment. And of course, you also have something that is beyond measure new knowledge. You are a valuable asset, both in your community and in the workplace. 10 Graduations Graduands and diplomands versus graduates and diplomates Graduands are degree candidates and diplomands are diploma candidates who have satisfied all the requirements prescribed towards the completion of their qualification. They become graduates or diplomates after their degree has been conferred or their diploma awarded at a congregation of the university. Every year, graduation ceremonies take place during March, April, May and June in Bloemfontein, Cape Town, East London, Nelspruit, Polokwane, Durban and Pretoria. During September and October, graduation ceremonies take place in Cape Town, Durban and Pretoria. Please note: The graduation ceremony confirmed in your graduation pack is the only ceremony you are eligible to attend. You cannot attend any other graduation ceremony. Graduation ceremonies are reserved for students who have completed degrees, three-year diplomas and postgraduate diplomas. Please read the instructions contained in your graduation pack. Graduating in absentia To graduate in absentia means that your qualification will be awarded in your absence and your certificate will be forwarded to you via registered mail within two weeks of the graduation ceremony. Graduands and diplomands with disabilities The Division: Graduations will gladly facilitate appropriate arrangements such as wheelchair access and seating. Should you require assistance, please inform the Division: Graduations at least one week before your graduation ceremony. Changes to personal details Please address such requests in writing to the Division: Graduations and attach any supporting documentation to your request. Failure to do so could result in you not being admitted. Please ensure that your hood or neckband is the correct colour and design for your qualification. Ordering your academic dress Please complete the order form provided in your graduation pack and forward it to the approved supplier of academic dress. Do not return the form to the university. Unisa does not provide academic dress or facilitate any arrangements in this regard. Details pertaining to approved suppliers of academic dress will appear on a leaflet enclosed in your graduation pack. Graduands Graduands must wear an academic cap, gown and hood. The hood may only be worn after your degree has been conferred. Hoods of previous degrees earned may not be worn - only the hood of the degree to be conferred. Bachelor, honours and master s degrees Gown - black, the same pattern as a Master of Arts gown of the University of Oxford or Cambridge Cap - black with a black tassel Doctoral degrees Gown - cardinal red with open sleeves lined in cardinal red Cap - cardinal red with a tassel in the colour of the college concerned Diplomands An academic gown and neckband must be worn. Diploma candidates do not wear a cap. The gown is black, the same pattern as that of a Master of Arts gown of the University of Oxford or Cambridge. The neckband is not draped during the ceremony. All diplomands should wear the neckband when entering the hall. 24 Graduation ceremony etiquette Some general guidelines Time Please arrive at least one hour before the start of the ceremony. If you arrive late, you will not be admitted to the graduation hall and your certificate will be posted to you under registered cover. Your travel arrangements should allow for rush hour traffic, road conditions and distance. Also, please ensure that your guests are informed of the appropriate arrival time, otherwise they may be refused admission and will not be able to share in your graduation experience. Proof of identification Ensure that you have proof of identification - albeit your identity document, valid passport, birth certificate or South African driver's licence - on your person. Graduands or diplomands arriving without any proof of identification may be refused entry. Dress A graduation ceremony is a formal occasion. Graduands, diplomands and guests must dress formally, semi-formally or in traditional dress. Denims, T-shirts or sport shoes are not permitted. Graduands and diplomands must wear their academic dress (as described in the Academic dress section of this brochure). Borrowing academic dress from other candidates at the venue is not permitted. Unisa reserves the right to refuse entry to a person not adhering to the dress code. Likewise, the university may also refuse to formally confer or award a qualification to a person not wearing academic attire in the prescribed fashion. Guests A maximum of three guests per graduand/diplomand are allowed. Unfortunately, extra guest tickets are not available. Please do not embarrass yourself by inviting extra guests only to learn on arrival that they will not be admitted. Your guest tickets will be available at the graduation venue and are not included in your graduation pack. Guests should be seated at least 30 minutes before the ceremony starts. Guest seats are not reserved and latecomers will not be admitted, even if they are in possession of a ticket. Please inform your guests accordingly. Children Since a graduation ceremony is a formal occasion, babies and toddlers are not permitted into the hall. Any children allowed into the hall will be required to obtain a guest ticket, and are thus included in the maximum number of guests allowed per graduand/diplomand. Proceedings Graduands, diplomands and guests should not leave the hall during the proceedings and should remain seated until the end of the ceremony. Smoking Graduation venues are non-smoking venues. Also, please do not smoke while wearing hired academic attire, even if you are in a designated smoking area. Mobile phones Please switch off your mobile phone when entering the graduation hall. Food Food and beverages are not allowed in the graduation hall. Bags Handbags and bags may not be taken to the stage. 25 Photography Details pertaining to the official photographer will appear on a leaflet enclosed in your graduation pack. The official photographer will be available two hours before the ceremony and two hours after the ceremony to take photographs of you and your guests. Order forms are available at their stalls in the foyer. Ensure that you have a pen with you, so that you can fill in your order and related documentation. However, you are not obliged to order any photographs taken during the ceremony, but should you use this service, you do so at your own risk. The university will not accept responsibility for any service-related complaints. Also, please be wary of individuals wandering on the premises outside the hall claiming to be official photographers - the official photographer will be available inside the hall only. Guests may film or take photographs during the ceremony provided they remain seated and do not use an electrical outlet or studio lights. Graduation DVD (Pretoria only) A DVD of the graduation ceremony (Pretoria venue only) will be available at a cost. Please contact the Directorate: Sound, Video & Photography ( ) to obtain the latest price (postage included). Please place your order at the video counter on the day of your graduation ceremony. Unisa Shops and memorabilia On the day of your graduation ceremony, Unisa-branded clothing, headwear, writing instruments, stationery, gifts, outdoor items and other branded articles will be on sale at the Unisa Shop in the foyer of the hall. Likewise, memorabilia, corporate gifts and clothing can be purchased at the Unisa Shop. The items are specially chosen, designed and manufactured to appeal to alumni and students alike. All items carry the university logo and branding. Online access to the Unisa Shop can be arranged for alumni through the various Unisa alumni chapters. Please note that courier fees are not included in the charges. 26 The graduation ceremony On arrival Present yourself at the registration desk in the foyer and verify your identity by showing the official on duty your identity document, passport, birth certificate or South African driver s licence. A seating card indicating your name, qualification and seat number will then be handed to you. Please note that admission to the venue may be refused if you cannot show any proof of identification. If all is in order, you will be referred to a desk or counter where you may claim your guest tickets. Guests must be seated 30 minutes before the ceremony starts. Unfortunately, late arrivals or guests without tickets will not be admitted into the graduation hall. Guest seats are not reserved. If you have arranged to collect your academic dress at the graduation venue (except at the Pretoria venue which does not provide such a service), please collect it at the supplier s stall. During the ceremony The congregation When the academic procession enters the hall, all graduands, diplomands and guests should rise. They may only be seated once the Chancellor has given the signal to do so. Graduands, diplomands and guests are requested to remain seated for the duration of the ceremony and not to leave the hall until the academic procession has exited the hall. At the end of the ceremony, graduates, diplomates and guests should remain standing until the academic procession has left the hall. Graduands When signalled by Graduations staff, the graduand whose name appears first in the programme rises, and carrying the hood over the left arm and seating card in the right hand, ascends the stage from the right (as seen from the audience). The graduand hands his or her card to the college representative, who reads out the name. The card is returned to the graduand which serves as a cue to walk towards the Chancellor and kneel with the right knee on the kneeling stool. The Chancellor confers the degree by capping the candidate. The graduand rises and approaches the Registrar, standing to the Chancellor s right (left as seen from the audience), hands him the hood and turns to face the audience. A photograph is taken when the Registrar drapes the hood over the graduate s shoulders. To ensure a photograph of good quality, the graduate should stand upright and look directly at the camera. The graduate descends the stage on the left (as seen from the audience). The degree certificate is handed over by a university official. A head and shoulder photograph is taken as the graduate returns to his or her seat. When the last graduate in the college descends the stage, the college representative returns to his or her seat. The next college representative takes his or her place behind the lectern, and the process is repeated. Doctoral candidates The graduand s supervisor reads a short validation after the college representative has introduced the candidate to the congregation. If the supervisor is absent, the validation is read by the relevant college representative. Diplomands The diplomand whose name appears first in the programme rises and, holding the seating card in the right hand, ascends the stage from the right (as seen from the audience). The diplomand must be wearing the neckband since it is not draped on stage. The diplomand hands his or her card to the college representative standing at the lectern who reads out the name and returns the card to the diplomand. The diplomand walks across the stage and shakes hands with the Registrar. While shaking hands, the diplomate should look directly at the camera to ensure a good photograph. The diplomate descends the stage on the left (as seen from the audience). The diploma certificate is handed over by a university official. 27 Certificates All certificates are issued in English. Duplicate certificates will not be issued under any circumstances. If your certificate has been lost, Unisa can issue a statement in lieu of a lost certificate. You must contact the Division: Graduations and provide a sworn affidavit declaring the loss of the original certificate, a covering letter indicating your postal address and contact details, and a certified copy of your identity document or valid passport. If you graduate in absentia, your certificate will be mailed under registered cover within two weeks after the graduation ceremony. Only in exceptional cases may certificates be collected in person after the graduation ceremony, in which case prior arrangements need to be made with the Division: Graduations in this regard. Collections can be made during office hours at the Graduations Counter, Room 5-12, OR Tambo Building, Muckleneuk Campus, Pretoria. Please bring your identity document, passport (foreign students) or South African driver's licence. If you send someone to collect the certificate on your behalf, the same documentation must be provided as above, together with a signed letter of consent which validates the identity number or passport number of the collector as well as your contact details. The collector must thus ensure that his or her identity document or valid passport - not a driver s licence - is on his or her person when submitting your signed letter of consent. 30 Institutional Advancement The Directorate is the central department of the university that drives all the fundraising initiatives of the institution. The Directorate supports the Executive, all the colleges, institutes, departments and other components of the university in fundraising. About the Unisa Foundation The Unisa Foundation is a statutory and autonomous body established by a Deed of Trust in October The Trust is registered as a public benefit organisation (PBO) under Section 30 of the Income Tax Act 58 of 1962 of South Africa. The Foundation is governed by an independent Board of Trustees which plays an advisory role on fundraising strategies and mechanisms to give effect to implementation. The Foundation was established with the sole objective of raising third-stream income in support of the university in fulfilling its vision and mission as a public higher education institution. Unisa Fund Inc In the USA, Unisa has created an instrument called the Unisa Fund Inc to enable the supporters of the university to have an easy mechanism through which to make contributions. It is compliant with the tax laws of the State of New York and contributions are tax deductible. Priority themes for fundraising projects In 2012, the Unisa Foundation developed a strategy to drive fundraising initiatives for the university. The fundraising strategy is premised on five institutional thematic areas. These strategic themes are manifested through projects that address imbalances and developmental challenges facing South Africa and the African continent. These projects have the potential to make a substantially positive impact on the lives of students, staff and the broader African community. The priority projects are premised on the following thematic areas: Student access and success The Access for Success Campaign is a direct response to the challenges that deserving students face in accessing tertiary education. This campaign seeks to close the gap between available funding assistance and the ever-increasing demand for student funding. Investing in the next generation of academics Unisa strives to produce a new and young cohort of academics in the various disciplines across the university. This effort is meant to stimulate the interest of young graduates and academics in careers in academia and also to create a career development trajectory in their chosen academic domains. The Young Academics Programme is aimed at fast-tracking academics in the areas of tuition, research and academic management. It also seeks to provide them with the knowledge and skills required to become high achievers not only within Unisa but also on the national environment and global stage. 31 Community engagement Unisa subscribes to an ethos of service to and relevance in the community through its vision: Towards the African university in service of humanity. It strives to conduct its research and teaching and learning in an engaged way, deploying ethical research and pedagogical methodologies in service of communities and taking into account indigenous knowledge systems. The plugged-in students programme The remote nature of studies at Unisa poses a challenge to students. They need technology infrastructure to access the library, research material and any other electronic resources of the university. Accordingly, Unisa is digitising its electronic resources, which calls for massive, but necessary, financial investment. Access to a computer and the internet are essential when it comes to studying at Unisa. The plugged-in student campaign therefore seeks to provide electronic facilities for the students who are studying at Unisa and based at different, and at times challenging, localities. This campaign seeks to give them access to electronic resources provided by the Unisa Library. The Unisa Convocation A convocation is a calling together by means of a summons. The function of the Unisa Convocation is to raise matters of concern about the development of Unisa, to advise Council or Management on matters of present interest, to assist the university and the Unisa Foundation with fundraising, and to nominate people for awards and honorary degrees. Two members of the Convocation are nominated to serve on the University Council. Every Unisa graduate and diplomate is a member of the Unisa Convocation and is entitled to attend an annual meeting.
