3 3 INTRODUCTION The Upload Training Portal is where you upload, create and manage your training. Uploading training is simple with the system taking you through a step by step process to upload and submit each course. As well as uploading training for this Organization s Training Portal if this Portal is linked to an Industry Global Training Pool you can also make the training available to other Training Portals around the world. The Administrators of other Training Portals can view training that has been placed in the Global Training Pool and select training to add to their own Training Portal therefore significantly expanding the audience for your training. Training can be uploaded in multiple training formats including SCORM, Movie, Audio, links to You Tube, a Web Conference or more familiar formats such as Power Point, Word and PDF. If the training is in Power Point, Word or PDF, you can utilize the free Authoring Tools to turn the training into an interesting online presentation. The Authoring tools offer you the following functionality: Record video of you presenting each slide using just the webcam and microphone on your computer Record audio of you presenting each slide Record video of you presenting straight to camera Upload video (clips or full video presentations) Add video links (links to You Tube or Webinar Videos) Create Quick Quizzes - keep your training interactive by the trainee answering questions as they go through the training (this does not make up part of the exam) Capture References- references are viewed at the end of the training and can include links to websites There are some help videos available on the Upload Training Portal showing how to use the Author Tools and create an Exam but the tools are very intuitive and easy to use. When you have uploaded training you can return to edit that training at any time. Once training has been submitted it is first held for a review by a representative of the Organization. If the training is successfully reviewed it is then added to their Training Pool from which they select training to Publish on their Portal.
4 4 If you are an Organization Representative and you are charging for training then payments for training will be made directly to your Organization s account. If you are a Third Party Author and you are applying a fee for your training you will need to setup your PayPal account to do so. NOTE: BROWSER VERSION The Verified Learning Upload Training Portal utilizes the latest browser technology. Most internet browsers update automatically but if you are using Internet Explorer please make sure that you are running the latest version or some features in this Portal may not function correctly. NOTE: IN CASE ANY PART OF THIS MANUAL IS UNCLEAR Please help us to help you and others by reporting errors or highlighting areas where we could explain things better. 5 5 AUTHOR PROFILE We would suggest that before you upload your first piece of training you setup your Author Profile. Contained in your Author Profile is your Author Biography. The Biography is automatically added to each piece of training that you upload (though it can also be edited when the training is uploaded). FROM EITHER THE ADMINISTRATION OR THE TRAINING PORTAL SELECT > AUTHOR TAB > AUTHOR PROFILE Author Information You can upload your picture and also (optionally) a video biography. You can use the system to record a video bio using your computer webcam and microphone or upload a video clip. You should also complete a brief text biography. These details can be viewed by trainees before taking your training. You also have the option of making your professional contact details available to trainees (Website, phone number and address). 6 6 If you are a Third Party Author and you are going to charge for training you will need to enter your PayPal account details. Only Third Party Authors will see the below Payment Details Tab, if you are an Organization Representative and therefore cannot see the Payment section then please skip this section and go to Preferences. Payment Details PayPal requires that you set up a vendor account for which they require additional verification to a standard PayPal account, PayPal refers to this type of account as a Verified PayPal Account. For information on setting up your account please go to: Screenshot 2 - Payment Details Payment Confirmation Details Transactions are processed through PayPal and the sale is made solely between the purchaser and the seller. In case of discrepancies or other questions that the purchaser may have you are required
7 7 to provide your contact details. The purchaser is provided with the contact details at the time of sale. Fees and Commissions Under Fees and Commissions you will see the percentage of the sale of training that will be paid to you. For sales on the Organization s Training Portal this percentage is set by the Organization. When you sell training through the Industry Global Training Pool (explained later) you will receive 85%, the hosting Portal Organization 10% and Verified Learning applies a 5% transaction fee. Preferences Under Preferences you can choose what communications to subscribe to.
8 8 HOW TO UPLOAD TRAINING Training is uploaded through the Upload Training Wizard which takes you through a step by step process. You can upload the training in one go or return to the Upload Training Portal at any time to continue the upload / creation of the training. We will now explain the upload training process. AUTHOR TAB >UPLOAD NEW TRAINING Upload Training File Enter the name of your training and then select what format your training is in. When you have selected the format then upload the file from your computer. Depending on the size of your training file and your internet connection speed this may take some time, whilst the upload is taking place you are able to continue entering the required information. Your training is uploaded and then automatically converted into a new format, you will be given feedback on the progress of this process. File types: Audio / Video Power Point/ PDF / Word SCORM -Is an internationally recognised training file format. If you have used third party author tools to create your training it is likely that the training will be in the SCORM format Webinar / Video URL- This is a link to a third party video service such as You Tube. Most Webinar software facilitates the recording of your Webinars and provides you with a URL link which you can add here If the training file is Power Point, Word or PDF you will be asked if you wish trainees to be able to download and print off the PDF (if the file is in Power Point or Word the system automatically converts the file to PDF). If you say yes, then this option will be made available to trainees when they take the training. YOU MUST ALWAYS CLICK SAVE TO MOVE TO THE NEXT STEP IN THE UPLOAD PROCESS. Note: If you are creating training using MAC Keynote please convert the Keynote presentation to PDF to upload to the system.

10 10 General Information The Authors Bio will be pre populated here using the information held in the Authors Profile, if you edit this information you can choose to update your main profile or just apply the edits for this training. Training Description and Training Objectives are required fields and if there are additional contributors to the training you can add their details as well. If the training has a date that you would like the training to automatically be removed then record this in the Expiry Date. Screenshot 5 - General Information When trainees study your training you have the option to allow them to correspond with you. If you say yes to this option then correspondence is conducted through your Author Inbox and the Trainee s Inbox on the Portals rather than using your addresses.
11 11 If this training has a commercial bias and/or there is a conflict of interest you are required to declare what that conflict of interest is. Specialties Trainees can search for training under different specialties. You can select a maximum of three specialties that your training should be listed under. Some Specialties are broken down by Specialty and Sub-Specialty. Where that is the case the Speciality will be underlined, click on the Specialty to view the Subspecialties. If you cannot find a suitable specialty select Other and you will be asked to suggest a new one. When you click the Save Changes button your suggestion will be sent to Verified support for review. If the new Specialty is added, Verified Support will you to inform you and you can return to the training to uncheck other category. Screenshot 6 - Specialties Availability Is the content of this training suitable for trainees outside (Your Country)? Some training is not applicable for trainees in other countries. For example if the training refers to specific legislation in America then the training should only be made available to trainees in America.
12 12 If this Portal is linked to an Industry Global Training Pool you will also be offered the option to add this training to the Global Training Pool. Screenshot 7 - The Global Training Pool Other Training Portals Global Training Pools are segregated into different industries. In some cases there are other industries that have close links with each other. Where this is the case you will also be asked if you would like to add your training to those industry Global Training Pools. Screenshot 8 - Other Training Portals Charge You have the option to charge for training that is sold on this Organization s Training Portal (unless the setup has mandated that training on this Portal must be free of charge).
13 13 You may also charge if this training is sold through the Global Training Pool. Payments are made directly into the relevant party s PayPal account in the allocated percentages. When training is placed in the Global Training Pool it is made available throughout the world. You are given the option to offer training to trainees in Developing Countries at a discount. Discounting training for Developing Countries may considerably increase the market for your training as many of these countries have very high populations. Screenshot 9 - Charge
14 14 Exam When authoring training you can now choose to submit the training with or without an exam. It is only possible to submit training without an exam if you choose not too make the training available to the Global Training Pool. During the authoring process, when you get to the exam tab, you will be able to choose to create the exam or you can choose No exam which will allow you to continue without creating an exam. When training is uploaded with an exam, The Portals Representatives can choose to hide this exam for their users. When you choose to not to include an exam then trainees will be able to Self Verify the training. If you choose to include an exam then it must include a minimum of 5 questions. As well as adding your questions as text you can also add photos and videos to both the question and answers. You can select multiple answers as correct. If multiple answers are selected the trainee will be required to get all the answers selected correct to pass that question when they take your exam. If you have uploaded a large training file or have a slow upload internet connection then you may have to wait until the training has finished uploading and being converted into a new file format. Where that is the case the System will give you information on how much time it is projected that this process will take to complete.
15 15 Screenshot 10 - Exam Author Tools The Author Tools allow you to: Add audio/video of you presenting your slides using the microphone/camera on your computer Upload short video clips that will play at the selected points in the training presentation Add URL links to video service providers such as You Tube Set quick quiz multiple choice questions which the trainee will answer when they transition from one page to the next Add website reference links that trainees can refer to at the end of the training presentation
16 16 Screenshot 11 - Author Tools Tab CLICK ON THE FRONT SCREEN TO GO TO THE AUTHOR TOOLS You will now see a screen with links to short instructions on how to use the author tools. You can prevent this page from appearing in future by checking the box in the top right hand corner labelled Do not show this to me again when I enter the Authoring Tools. Training presentations created with the Author Tools play automatically moving from one slide to the next, if a slide is just text, the trainee clicks the space bar to move to the next slide.
17 17 Screenshot 12 - Author Tools Training Time & Cover You can choose the cover image you would like to use. The default image is the first slide, this can be replaced with the Author image from your profile or a separate image can be uploaded. You need to enter the projected duration of the training, when estimating this time you should also take into account the time that will be needed to complete the exam. Depending on the setup of the Training Portal, the duration allocated may be used to derive the accreditation that will be awarded to the trainee (credits, units, points, hours). When the training is reviewed for approval for the Portal the reviewer can edit/apply the accreditation amount.
18 18 Screenshot 13 - Training Time & Cover Accreditation If your training is officially accredited please select the certifying organization here. You are required to capture the accreditation details such as a reference number and the accreditation amount (number of Credits/Units, etc.). You also confirm if you are permitted to use the Accreditor s logo and if so the logo will appear on trainees certificates. If your training has been accredited by more than one accreditor you can record as many accreditors as you wish. Where there is more than one accreditor, trainees can select which accreditation they would like to have on their training certificate. If you would like to have this training accredited the system can generate an "Accreditation Link" for this training ing which you can to Accrediting Organizations for their review. The link plays both the Training Presentation and allows the exam to be reviewed along with the exam answers. You do not have to submit this training for the Accreditation Link to work as you may wish to have the training accredited prior to submission. The link will be ed to the training author who should forward it to the accrediting organization for their review. When the training has been accredited, please return to this accreditation tab and record the accreditation details against this piece of training.
19 19 Please note that to protect the security of this training the Accreditation Link will only work a maximum of 15 times. Screenshot 14 - Accreditation Review Training Training and the exam needs to be reviewed before it can be submitted, when reviewing the exam the correct answers are shown (as the exam is being reviewed not taken). Screenshot 15 - Review Training Submit Check the box to confirm that you have read and agree to the Author Terms & Conditions and the Privacy Policy. Then click on the Submit Button.
20 20 Screenshot 16 - Submit Training Screenshot 17 - Submit Training Pop Up You are now given the option to add your own comments that the person that reviews this training for publishing can read as part of their review. An example of a typical comment might be: This training addresses some important legal changes that your members need to study and be tested on before 1 st March 2015
21 21 THE REVIEW TRAINING PROCESS When you click on Submit, the training is then automatically submitted to the Organization for review. If the Organization approves the training for their training pool you will receive an notification. Training that is approved may or may not be immediately added to their Portal but it is in any case held in their pool of training from which they allocate training to their portal/s. When training has been approved by this Organization, if it has also been designated for the Global Training Pool, the training will be added to the Global Training Pool at this time. If the training is not approved, the reasons for not approving the training are captured by the reviewer and these comments are ed to you. You can then return to your presentation to update the presentation and resubmit if you wish to do so. If the Organization chooses to remove the training from their training pool in the future you will be informed that it has been removed and are provided with comments on why. The training is then held on the server for three months during which time you can choose to edit and resubmit the training for re-approval. During this three month period the training is still made available to trainees that have started or purchased this training. HOW TO VIEW AND EDIT TRAINING You can return to your training at any time to make changes. Any changes that you make are immediately applied to your training apart from edits that are made in the Author Tools or the upload of a new training presentation file. When training has been created with the Author Tools the system creates two copies, one of which is the Training Copy the other the Editable Copy. When you have finished applying any edits the Replace Training Presentation tab and click on Replace. If you have uploaded a new Training Presentation File (for example a new SCORM file) this does not immediately replace the existing file. When you have uploaded the new file you must go to the Replace Training Presentation tab and click on replace. If your training is still awaiting a review before being accepted for the Training Portal your changes will be applied and therefore the updated presentation will be seen by the reviewer. If the training is already approved and published on one or more portal, the changes will be applied to the published training.
22 22 You will see all your training courses, if you have large numbers of courses you can use the search tools to find the training you wish to view / edit. If you hover over the training image the current status of the training is shown (for example: Awaiting review ). CLICK ON A COURSE TO VIEW/EDIT IT. Deleting your Training You can remove your training from the system at any time by clicking on the bin icon. If you delete training, the training will be permanently removed from any Portals that it is currently published on. If there are trainees that have started or purchased this training the training will be available to them for up to three months before the training is permanently deleted. 23 23 HOW TO USE THE AUTHOR TOOLS When you upload training in Power Point, Word or PDF the free Author Tools enable you to turn this content into powerful and engaging multimedia training using just a computer equipped with a microphone and webcam. Record Video of you Presenting this Slide Add a video of you presenting each slide, the video then plays in the top right hand corner of the presentation. You will need to click on allow access to the microphone and webcam in the video recorder screen and depending on your browser settings you may also need to click on the warning message below the browser address bar. Screenshot 19 - Record Video Clip Click on the red button to start the recording, once finished click on the stop recording button or click the spacebar and the recording will be processed and automatically played back. If you are happy with the recording click the Save button otherwise click on the red button with the white cross to rerecord (the last recording will be overwritten). You can also cancel by clicking the cancel recording button at any time.
24 24 TO SEE THE FINISHED RESULT CLICK ON THE FULL PREVIEW BUTTON. Where a slide is accompanied by a video it will automatically progress to the next slide once the recording has ended, otherwise click on the next arrow or the spacebar to progress to the next slide. Record Audio of you Presenting this Slide You will need to click on allow access to the microphone and webcam in the audio recorder screen and depending on your browser settings you may also need to click on the warning message below the browser address bar. If you are happy with the recording click the Save button otherwise click on the red button with the white cross to rerecord (the last recording will be overwritten). 25 25 Where a slide is accompanied by an audio track it will automatically progress to the next slide once the recording has ended, otherwise click on the next arrow or the spacebar to progress to the next slide. Record Full Screen Video Record and Add a full screen video between slides using your computers built in microphone and webcam. You will need to click on allow access to the microphone and webcam in the video recorder screen and depending on your browser settings you may also need to click on the warning message below the browser address bar. Once this video has run it will automatically progress to the next slide, otherwise click on the next arrow or the spacebar to progress to the next slide. Screenshot 21 - Record Video
26 26 Add a Video Stored on your Computer Add a pre-recorded, recorded, for example a recording of a seminar or an operation. Once this video has run it will automatically progress to the next slide. Screenshot 22 - Add Video Add a Webinar/Video URL Add a link to a webinar or video stored outside of your training portal such as a video on You Tube. As trainees progress through the training presentation, when they get to the slide with the URL the video will play automatically. Please note that using links to third party providers prevents trainees from being able to download the training on mobile devices to study off-line.

29 29 Screenshot 25 - Add References Reorder Slides At any time you can click on this icon on the bottom left hand side of the page to bring up a list of slides which you can move by dragging and dropping. Add/Delete a Slide You can delete individual slides or by clicking on the white cross button on each slide. To add slide/s to the presentation select Add Slides from the Author Tools menu and you can then upload new slides in Power Point Word or PDF. The new slides will automatically be added to the presentation.

31 31 Screenshot 28 - Individual Training Statistics VERIFIED SUPPORT If you are experiencing technical difficulties or need support, click on Contact at the top of the screen or call support on US / UK SUPER AUTHOR ACCESS RIGHTS If you are uploading training on behalf of the Organization and you have been given Super Author access rights, you will also be able to view and edit training by other Organization Representatives (you cannot edit training from Third Party Authors or training from the Global Training Pool). Go to View / Edit Training where you can select to see training from other Organization Representatives.
