1 Instructions for Users of AHIMA s New LMS This document provides AHIMA s online education users with information concerning how to access AHIMA s new learning management system (LMS) as well as how to execute a course and gain access to reports and certificates on the system. This document shows the processes using a particular course, Coding Proficiency Asmt: Hospital Inpatient as an example. All courses provided on the LMS will follow the same basic processes, although depending on the type of course some of the specific instructions as well as the data and reports provided may vary slightly. Overview AHIMA s new LMS is named the AHIMA Academy. Courses will be provided in subacademies on the LMS known as AHIMA Academies. Please see screen 1 on the next page for a list of the Academies.
2 Each Academy will house courses that are appropriate for that Academy. For example, the course that is being used to outline this process, Coding Proficiency Asmt: Hospital Inpatient Assessment, is in the Coding Academy. Over time, as appropriate, new Academies will be added to this list, and new courses will be added to each Academy. With the implementation of this new LMS, the process to access and execute AHIMA s courses and assessments has changed. Part of the change resulted in AHIMA integrating the LMS sign-on process into AHIMA s association management system (AMS). As will be shown, this will require that all users of the LMS be registered on AHIMA s AMS. In most instances, the user will already be registered because they have used AHIMA s AMS to either become a member of AHIMA or make a previous purchase from AHIMA. For situations where this is not the case, the registration process is outlined in this document. Course Set Up For courses purchased from AHIMA on or after 1/5/2015, users will be automatically set up on the new LMS as part of the purchase process. The purchase will require the user to be registered in the AMS, so when accessing the course(s), the user should already have an AHIMA 7-digit ID and registered with AHIMA. As each course will have a time frame associated with it, the course start date will not occur until the course is opened by the user. This will allow the user to purchase multiple courses at one time, without having to worry about them all starting at the same time. For courses that have been previously purchased via the existing LMS, one of three things will occur: If the course has been started, but not completed the user will complete the course on the present LMS. They will need to complete the course by XX/XX/XX. If the course has not been started, it will be automatically moved to the new LMS and as of 1/5/2015, the user will be able to access it in that system. If the course has been started and completed, neither the course nor any data or information associated with the course will be moved to the new LMS. o It is highly recommended that users print and store any data or information on the old LMS they want to retain for their records. Step-by-Step Process The process to access and execute courses is provided here using screenshots to depict each step. The step-by-step process outlined here will attempt to cover every contingency that could be encountered in the access and execution of the course.
3 Screen 2 Screen 2 is the landing page for the AHIMA Academy it is accessed by opening any web browser and navigating to academy.ahima.org. Once at academy.ahima.org, the user will need to click the Log In/Register link in the upper-right corner of the page. Clicking this link will take the user to screen 3, which is the single sign-on screen shared by the AMS and LMS. Screens 3, 4, 5, and 6 Note: AHIMA has integrated its new LMS with its existing AMS via a single sign-on process. What this means is that users will need to be registered on AHIMA s AMS system in order to access the course. This does not mean the user must be an AHIMA member. This screen will give the user the options to: A. Log in if they know either their 7-digit AHIMA ID or the they registered with, and their password B. Reset their password C. Register on AHIMA s AMS system, if not previously registered (This does not require that the user become a member of AHIMA.) D. Request customer support
4 If none of these options are sufficient, the user should contact AHIMA s Customer Relations group at and explain that they are having difficulty with the single sign-on process. Customer Relations will be able to help determine if the user is previously registered with AHIMA and provide the 7-digit AHIMA ID if that is the case. Once on screen 3, for case A o The user will enter either their 7-digit AHIMA ID number or the address they have registered with AHIMA, as well as their password. o Once they have entered this information this will take them to screen 12, which is the home page of the LMS. There they will be able to initiate and take the course(s) they have purchased from AHIMA.
5 If the user cannot remember their password (case B), they can click the Reset Password link. This will take them to screen 4 where they can follow the process outlined to get a new password. o As long as they enter an address that is registered, after they click on Send Reset Password, they will get a notification that the request was received (screen 5). o They will then be sent an from the info@ahima.org address that will provide them with password reset link (screen 6).

8 Screens 7, 8, 9, 10, and 11 If the user enters an address that is not registered, they will receive a notice that the address was not found (screen 7). o If this occurs please contact AHIMA s Customer Relations group at If the user is not registered on AHIMA s AMS (case C), they can click the Register a New Account link, which will take them to screen 8. During this process the user will be asked to provide: o address (screen 8). o First and last names (screen 8). Click Submit to go to screen 9. o Postal address (screen 9). Click Submit to go to screen 10. When they complete the registration process, they will be sent an to the address provided that will provide them with the information they need in order to login to the LMS via the AMS.

12 If the user has any trouble, they can click the Customer Support link which will take them to screen 11, or contact AHIMA s Customer Relations group at Once users have logged in to the LMS, they will be taken the home page of the LMS (screen 12).
13 Screen 12 Once on screen 12 the user has been logged into the LMS system (their first name will replace the Log In/Register link in the top right corner on the page). Once on this screen they should click on the My Learning link, which will take them to screen 13.
14 Screen 13 Screen 13 shows the user what courses they have access to on the LMS. In order to activate the course, the user should click on the name of the course. Note: The first time this is done, the course clock will start, which begins the access period for the course. Users should only click this link when they are ready to start the course. Clicking on this link will take the user to screen 14.
15 Screens 14 and 15 Screen 14 is a special screen that is aligned with claiming credit for completed courses. Each user should click the Everyone button, and then choose Save and Close (screen 15). This will allow the user to receive CEU credit upon completion of this and all courses. This will take the user to screen 16.

17 Screen 16 Screen 16 allows the user to access the course, perform an evaluation, and claim credit for the course once the course and evaluation have been completed. To start the course, click the Launch Course link. Note: This screen also provides the user with information concerning the status of course completion. The word incomplete will be stated after the name of the course, and the box on the right of the page will be blank, until the course and evaluation have been completed. Screens 17 and 18 This is the start of the course (screen 17). The first four screens of this particular course are the instructions associated with the course, and the rest are the actual course itself. There may be more or less instructions provided, depending on the specific course.
18 Note: Depending on the computing system and monitor that each user is using, the Next button (bottom right of the screen), may not be visible (screen 18). If it is not visible, the user will need to scroll down to the bottom of the screen in order to access the Next button. Users can also change their screen size if they would prefer. Once through the all pages of the instructions, the user will move to screen 19.

20 Screen 19 Screen 19 will lead the user into the actual course. Clicking the Next button on the bottom of this screen will take the user to the course. Again, the example shown uses a particular course as an example and the screenshots reflect this course. Most of the example information will be the same as will be encountered in other courses. Specific instructions for each course will be provided in that specific course as appropriate.
21 Screens 20 and 21 Screen 20 shows the first question and how it is answered.
22 Note: As the user takes the course, they can select an answer and then either user the Submit button or the Tab key (screen 21) to move through the course. Do not use the Next button. Answering each question takes the user to the next question.
23 Screen 22 Screen 22 shows question 2. At this point, this example will fast forward through the course showing an indication of what happens if a user attempts to move past a question without answering it (screen 23), and then will jump to question 59 to end the course, access the score and report for the course, perform the evaluation associated with the course, and claim credit.
24 Screen 23 Screen 23 shows what the user will see if they attempt to move to a new question without answering the current question. Note: Screen 23 is indicative of how most courses will work, but there could be exceptions to this rule.
25 Screen 24 Screen 24 shows question 59 in order to show how the course ends. Once the user answers question 59, they will move to question 60.
26 Screens 25 and 26 Screen 25 shows the final question (question 60). This screen is slightly different because this is the final question and the user must use the Submit button (screen 26) to complete this course (here, the Tab key will not work).

28 Screens 27 and 28 Once the course has been submitted, the individual will move to screen 27, which shows page 1 of the score report that each user will be provided.
29 This report could have numerous pages associated with it, depending on the actual course taken. The user will need to scroll through all the pages to get to the end they can print the report. The report can also be saved as a file on the computer they are using. Important: it will be easier if users both print and save the report while they have it in front of them. Once they print and save the report, they can close it by clicking the red X in the right-hand corner.
30 Screen 29 Screen 29 is similar to screen 16 but shows the course has been completed (the green checkmark next to Launch Course, and a partial greening of the completion indicator). This partial indication means the course is complete, but the evaluation is not. In order for the student to be able to claim credit and receive their continuing education credits (CEUs) and certificate, the evaluation must be completed. Therefore, the next step is to perform the course evaluation. Users should click the Course Evaluation link which will take them to screen 30.
31 Screens 30, 31, and 32 Screens 30, 31, and 32 show a part of the evaluation. Some of the questions are required and some are optional. Optional questions are listed as optional. Once the user has completed the evaluation and clicks Submit, they will be sent to screen 33.

34 Screen 33 Screen 33 is similar to screens 16 and 29, and now reflects that the user has completed the course and evaluation. The user can now claim their CEU credit and get their certificate of completion by clicking the Claim button.
35 Screens 34 and 35 The user needs to confirm that the information is accurate and that once Claim is clicked the information cannot be changed. They do this by clicking the check box next to Yes (screen 34). To claim credit click Claim (screen 35).

37 Screen 36 To print the Certificate of Completion, once on screen 36, click the Print Statement of Credit button which will lead to screen 37.
38 Screen 37 Screen 37 shows the Certificate of Completion and provides the printing capability. Once the certificate is shown on-screen, the user should right-click the right and then click Print. This will print the certificate on the user s default printer, unless another printer is selected. After printing the certificate, close the file.
39 Screen 38 Once the certificate has been printed and the window is closed, the user will be taken to screen 38, which now indicates the user has claimed their credit. It is important to note that the user can return to this location at any time and reprint their certificate again if need be. This can be done by logging into the LMS, clicking My Learning and clicking the name of the course, which will take the user to screen 38 allowing the user to access the certificate for reprinting.
