1 Event Food Trading Rights 2015 Dear Trader, Offers are invited for the rights to operate hot food units, ice cream units, confectionery and coffee/sandwich units at various sites designated by Coleraine & District Motor Club Ltd, during the Vauxhall International North West 200 Race Week Festival. Trading will be at various dates and times from Monday 11 th May to Saturday 16 th May 2015 All offers must be submitted on original forms which are obtainable from our website and returned to the undersigned not later than 12 noon on Wednesday 4th March Tenders received after this date will not be considered. It is compulsory that you supply the following paperwork for each tender application. 1. Access NI Certificate (Basic clearance) Corgi Gas Certificate 3. Electrical/PAT Test Certificate 4. Public Liability Insurance 5. Local Authority/Council Trading Licence 6. Hygiene Report or Food Hygiene rating scheme (rated not less than 4) 7. Printed Menu with prices for the duration of the event. Failure to supply the above certificates will result in your tender being rejected without notice. Only successful tenders will be notified 2 weeks after the closing date. The Club is not bound to accept the highest or any offer. 2 Conditions For Trading Rights Menus with prices must be clearly displayed on each unit. Goods must remain the same price for the duration of the event random checks will be carried out. Trading only on permitted dates, days and times as specified on tender documents. Type of food to be sold is only that on your tender documents. Operators will pay a deposit of 250 for each site in advance which is refundable, post event, if the area adjacent to their pitch is left in a clean and tidy condition, free of waste and litter. No sub letting of any site is permitted once allocated. Food Hygiene Requirements Where the food business operator has an establishment in Northern Ireland that is within the scope of the Food Hygiene Rating Scheme and has been given a rating by the district council within whose area the establishment is situated, the current food hygiene rating of that establishment must be not less than 4. Where the food business operator does not have an establishment in Northern Ireland, or where his/her establishment has not yet been given a food hygiene rating, the food business operator must provide a copy of the most recent food hygiene inspection report relating to their establishment to demonstrate compliance with food hygiene requirements.

4 Site No 9D Trading Rights for The Trade Village at Start Line, Opposite Paddock I/We hereby offer the undernoted price for the rights to sell Coffee/Sandwiches at The Trade Village at the Start Line for the North West 200 Motor Cycle Event between the hours of: Monday 11th May to Saturday 16 th May 2015 The position of the unit will be as per the map attached. The tendered must agree to set up and remain in the position marked for the duration of the contract. 1 No. Coffee/Sandwich Unit (Individual units must not exceed 6m/20 ft in length) Prices of the goods sold at your unit must remain the same for the duration of the event and must be displayed. A typed menu/price list of goods to be sold must be included with your submitted tender documents. On cessation of trading the site must be cleared of all litter and trade refuse. You will be responsible for proper disposal of all waste generated. Non-compliance will be taken into consideration on the awarding of future tenders. An additional fee of 250 will be required in addition to your tender bid. This fee will be reimbursed if the site is left free of trade refuse on completion of trading. All operators must provide a letter confirming that they are registered and have been inspected by their local district council Environmental Health Department (home authority) within the past 6 months. (This should include a current corgi gas safety certificate.) A copy of valid trading/public liability insurance must also be supplied at tender stage. It is essential that operators provide an Access NI clearance certificate to show that they do not have a criminal conviction. ( Please note that sub-letting of sites, once allocated, are not allowed. I/We acknowledge that I/We have read the above conditions and agree to abide by them.
