6 Kypera Housing Kypera Housing assists housing professionals by making complicated tasks like managing housing arrears and raising repairs straightforward, accurate and fast. The system s wizard-based workflow and powerful database structure ensures watertight operations where nothing gets missed. Our sophisticated grid technologies improve reporting and searching capabilities to save you time. Kypera Housing is a fully integrated, modular system where each module contains everything necessary to fulfill your requirements. Therefore, you only have what you need, when you need it.
7 The system comprises the following modules: Property Management stores the details of your housing stock and related information to make navigating around and finding the right property easier and faster than ever before. Rent Accounting gives you all the tools to manage stock and occupancies on a day-to-day basis, including managing all your rent accounting tasks, such as account enquiries, debit run, rent increases, arrears, tenancy changes and void management. Repairs manages the entire repair lifecycle from logging the call, inspections, assigning a contractor and raising an order, right through to invoicing and customer satisfaction. Appliance Management provides complete control of your appliance testing including your legal requirements on gas safety inspections, as well as taking care of all other cyclical inspections, such as electrical and fire safety tests, Legionella and lift inspections. The system monitors everything for your organisation including advising you of critical dates, flagging due and overdue items, planning workflow schedules and generating letters. Planned Maintenance manages all planned maintenance programmes from small scheme cyclical decorations contracts right through to a major refurbishment and provides you with a complete business plan. Service Charges & Factoring provides an easy to read, user-maintainable solution for calculating and invoicing of service charge costs for owners, shared ownership stock, leaseholders and commercial property. Waiting Lists a complete and easy-to-use system for managing and recording applications for all unit types, from initial contact through to re-housing. Features include: multiple waiting lists, precise matching, automated offer processing and letter generation. Linked Accounts enables you to maintain subordinate accounts attached to occupancies or units, to allow for different arrears policies and more than one legal recovery process. You can record non-rent transactions such as repairs recharges or court costs, or, for owner occupiers and leaseholders, the maintenance of sinking funds. Complaints, Compliments & Suggestions manages responses and procedures to ensure that nothing gets missed. The system allows you to escalate procedures, check status and deliver reports. Direct Debits makes it much easier to collect rents by Direct Debit. The system generates a file in the correct format to send to the bank and manages the transaction. Customer portal gives you the opportunity to interact with your customers online 24 hours a day. They can pay bills, log repair requests and update details outside office hours.
8 Kypera Financials Kypera Financials is an advanced and powerful finance system which seamlessly integrates with Kypera Housing. Using a single ledger format, all the information is held in one database to provide extensive functionality, enabling faster automated ledger reconciliation. With quick and easy access to information for enquiries and reporting, you can filter and extract information simply by drilling down and across the ledgers. As with Kypera Housing, Kypera Financials is built using independent modules performing the following functions: Cashbook process your receipts and payments with reconciliation and reporting. Carry out Cashbook posting during the bank statement reconciliation without leaving the process. Purchase Ledger extensive invoicing and payment facilities, allowing you to process invoices in a number of ways and manage all your supplier details efficiently. Sales Ledger wide-ranging sales invoicing facilities, to invoice your customers on a one-off basis or more routinely, and maintain customer records easily. Nominal Ledger extensive functionality and flexibility to assist in your financial management - everything from a simple journal to an intercompany or cross-currency journal. Budgeting and Forecasting powerful features and outstanding flexibility with a clear audit trail to help you manage your organisation s budgets. Fixed Assets records fixed assets with their associated details, including depreciation, value and digital images. Credit Control manage your organisation s debts efficiently and flexibly, creating credit control letters tailored to your needs - includes a comprehensive audit trail with optional archive and notes. Scanning scan documents and attach them as images to financial transactions - supports both single sheet (flat bed) scanning or Automatic Document Feeder scanning. Direct Debit create Direct Debit files that can be sent to the bank for processing and generate automatic receipts.

11 Kypera Mobile Kypera Mobile is a suite of mobile web applications that allow you to access a wide range of Kypera modules directly from a mobile device. You can take actions and update jobs while on the move, and new data is updated onto the system. You no longer need potentially costly, third-party mobile solutions. Contractors access Kypera Housing directly to: Search for properties View and update all works assigned Record visit or no-access details Check updates to their schedule without having to call the office Inspectors quickly and easily: View, update and complete inspections Manage stock condition details (including adding new stock to a property) Perform a stock condition survey Raise a works order for a district, scheme, block or unit Housing Officers efficiently: Search for tenant information or property details View full tenant details Perform a tenant survey View transaction history (for month & year, for the past six years) Propose an arrears status change Set up payment agreement In addition, Kypera Mobile can be used for updating timesheets and completing expenses claims, to save valuable time in the office and avoid delays. Reporting Kypera XLR is an essential system for detailed analysis of management accounts. An Excel add-in, it automatically extracts data from Kypera business applications and places them into a spreadsheet so you can easily produce dynamic reports and charts. It allows you to drill down into data without having to re-key, copy or paste it, saving time and reducing errors. Kypera Reporting enables you to deliver specific reports on a regular basis, so you can keep up to date with important information. Once set up, the reports are automatically delivered by in pdf format. You simply: Specify the report content the data to be extracted from any Kypera system Set the frequency/schedule Set the addresses to which the report should be sent Then Kypera Reporting does the rest. As it s a server based application, it doesn t tie up the client PC and can be scheduled to run overnight. You can add new reports or amend the details whenever you need to.
