You need a solution that has a proven track record, that keeps your accountant happy and at the same time keeping your fees to a minimum. We asked ourselves why develop a new accounting engine when we can use the power of a trusted and widely used accounting solution in Sage. Landlord Manager has no built in accounting but links seamlessly with either Sage Instant or Sage 50 accounts. OVERVIEW For the first time there is an affordable property management software package that uses the power and familiarity of Sage accounts working seamlessly with a powerful management engine to bring you a complete property management experience. We have a wealth of experience and have been developing property management software since 1993 and Sage solutions since 1999 All your information in one place. 2 Working seamlessly with Sage Accounts Whether your organisation keeps your properties under one company or in multiple companies, you can view them all together in one Landlord Manager database. By simply creating a new company in Landlord Manager and linking that company to the corresponding Sage data path, Landlord Manager can then retrieve and write data accordingly. Create single or multi let properties that allow tenant accounts to be kept on a room by room basis or as a whole. Simple data entry forms allow you to record insurance policies, safety inspections, utility providers, inventories and keys. The alert centre will remind you when critical events such as gas checks are due to be carried out. Attach up to 8 photo s for brochures and property lists as well as keeping record of property rooms their sizes and condition. You can even create your own user fields to store information specific to your organisation.
3 Property Accounting Landlord Manager for Sage uses the department codes in Sage to link to property records in Landlord Manager. When you create a new property in Landlord Manager you can either attach an existing department code or create a new one. If you are using an existing department code, all transactions in Sage will automatically become linked to the property. If you are creating a new property Landlord Manager will then update the department code in Sage View property transactions, profit and loss And mortgage information from your Landlord Manager property record Recording Expenses and Mortgages Record property expenses directly in Sage using the department codes created by Landlord Manager to link them to your property records. In the first month of using the Landlord Manager it highlighted rent arrears in excess of 1,000. ~ Steven Thriscutt - User Each property can have any number of mortgage/loan accounts attached to it simply by linking the mortgage records to a relating loan account in Sage. Each mortgage record stores all information required such as lender contact details, account numbers, loan start and end dates as well as a history of interest rate changes
4 Tracking Tenancy Agreements When you create a tenant record in Landlord Manager you attach a contact record usually an applicant record from the contact file. Your tenants are then created as customers in Sage. Each tenancy record is created with its own charging schedule for the duration of the agreement. It is this charging schedule that will then create invoices in Sage for rent as they become due. View tenant transactions in Landlord Manager as they were created in Sage Generate tenancy agreements and other documentation based on your own business processes Following extensive research to identify a suitable software system to recommend to our Complete Letting Agency Business Package customers, we found that Landlord Manager ticked all the boxes, and offered by far the best combination of ease of use and reasonable cost. ~ Mike Hathaway Letting s Opportunity Record all Tenant Correspondence It is vital you record all correspondence with your tenants. Landlord Manager has a powerful Word compatible word processor built in that will quickly generate tenancy agreements and other mail merged documents. These documents are automatically linked to the tenancy record as well as the property record for future reference. An Centre is also included in Landlord Manager. You can drag and drop s from Outlook and link them to related tenancy and property records. You can also send s and sms texts on mass. For example rent arrears notices. Record unlimited notes and telephone logs that can be printed if required for legal requirements.
5 Tracking Benefits Landlord Manager has the ability to invoice a third party for rent rather than the tenant who occupies the property. This is useful for housing benefit tenants as well as other council based invoicing such as emergency housing. Processors and User Fields Landlord Manager allows you to run your business around you and not around your software. With processors you can create pre-defined tasks that are triggered at different stages of a tenancy agreement. For example you can define reference letters to be printed when creating an agreement, print any type of supporting document with your tenancy agreement etc Landlord Manager will also let you create your own user fields so you can save information that isn t already available in Landlord Manager. Fields can be created individually or as groups of fields (mini forms) Landlord Manager is an excellent piece of software which all portfolio landlords should use; it is simple to input the data and once created ensures subsequent tasks are achieved with minimum effort. 6 Portfolio Performance Using the data stored in Sage, Landlord Manager can present you with property reports that are not available in Sage itself. View how your portfolio is performing with a number of performance views including nominal by property and property by month. Record valuations on your portfolio and view a graphical analysis of how the value of your property has changed over time. 7 Diary and Alerts Landlord Manager has a powerful diary management module that can be used with or without Outlook. View diaries by department or by groups of individuals that will ensure you are on top of your letting's team View the diary by list, day, week And month Keep on the right side of the law You will already know how important it is to ensure you are operating within the law. Landlord Manager will ensure you don t miss a critical event such as a gas inspection or insurance renewal with the Alert Centre. The alert centre will show alert due up to 90 days in advance
8 Contact Management Manage all your business contacts in the contact centre. Customer and Supplier records can be imported from existing Sage data. Tenants from Landlord Manager are also created automatically in Sage when an invoice has been raised against them. Contact Types Contacts can be created for tenants, applicants, suppliers contractors, landlords, banks & building societies, benefit providers, employees and general. The information bar will display relevant data depending on the type of contact. For example a property search bar will appear for applicants, a list of jobs for contractors etc.
9 Projects and Work Orders Landlord Manager for Sage has a useful projects and work orders module. These are useful for tracking projects such as refurbishments and work orders for repairs. Tracking Time, Budgets and Costs Enter worksheets for tracking time spent on projects and work orders. Create a project budget and attach sage transactions to help ensure you keep within your spending constraints
10 Centre With Landlord Manager for Sage you can log incoming and outgoing s, useful for recording correspondence with all your contacts. You can also Link s to property, projects and tenancy agreements for quick and easy reference Import Outlook and to groups Drag and drop your Outlook s into the Landlord Manager centre then file them into user defined folders. Create templates that can be used over and over again with mail merge facilities then send them to individuals or groups or contacts.
11 Document Management Centre Landlord Manager has built in scanning facilities that allows you to save multi page PDF documents and link them to relating records.
