2 DegreeWorks is a web-based degree audit tool that allows students and advisors to track degree progress, prepare for registration, and plan for graduation. DegreeWorks is designed to aid and facilitate academic advising, not replace face-to-face advising sessions.
3 DegreeWorks is a time saver - it allows students and advisors to spend less time deciphering degree requirements and more time pursuing academic goals. DegreeWorks empowers students - it will help your advisees take a more active role in the advising process.
4 DegreeWorks provides information in a more user-friendly and readable format than our former program, CAPP. Students and advisors will have the ability to develop longrange degree completion plans through DegreeWorks and incorporate those plans in student audits. CAPP did not have this functionality. DegreeWorks will help the College gather critical information to help with planning and reporting needs, which was also unavailable through CAPP.
5 All currently-enrolled students who are using the 2006 catalog or a later catalog to fulfill their degree requirements Faculty, Advisors, Deans, Program Coordinators, and Academic Support Staff
6 Click on the DegreeWorks tab in accessbcc and then re-renter your username and password here:
7 Click the Find button to search for students. This screen, or your first advisee worksheet, will open in a new window.
8 If you re searching for a single student, type their name or ID here. If you d like to look for a group of students (e.g. first year students in your program), select the appropriate groups from these drop down boxes. After entering your search parameters, click the Search button.
9 The students who meet the criteria you entered will appear in the space at the bottom of the pop-up box. To access the audits of all the students in the list, click OK. If you only want to look at some of the audits, use Check All, Uncheck All, and the check boxes to make your selection. Then click OK.
10 The student(s) you selected will load to the drop-down box at the top of the screen. Select the student record you want to view from the drop down box. Then click on the worksheet tab. The processing time to pull up the student s worksheet may take several seconds.
11 The first block of the worksheet contains information about the student s degree, program, cumulative GPA, class status, academic standing, etc.
12 The Major Progress Bar shows an estimation of the student s progress towards degree completion. This estimation is based on the number of requirements that have been checked off and the number of credits that have been completed.
13 The worksheet is divided into blocks of requirements. The first block is the degree or certificate block. Any unmet conditions of a degree (including minimum GPA and credits) will be noted here. The next block is an interpretation of their placement testing scores. Once each of these requirements are completed, the Still Needed advice will be removed from the student s audit.
14 The next block shows the student s major and concentration curriculum. Requirements that are completed receive a green check mark, requirements that are in progress appear in blue. When a requirement has not been met it appears in red along with a list of acceptable courses. These courses are linked to catalog descriptions and the current semester schedule (click on the course to display).
15 The next block is the MassTransfer Block. This block shows the requirements for the optional MassTransfer program.
16 The final block on the worksheet contains elective, not counted, inprogress, and college success courses. Elective courses did not fulfill specific program requirements, and not counted courses did not earn a passing grade.
17 Click on the Unofficial Transcript link at the top of the page and a chronological course list will pop up.
18 Student records refresh nightly, but to see any student record changes made the same day (course registration, grade changes, etc.), you may refresh the student record here. Similarly, the nightly batch process checks for data changes for each student and runs a new audit for those students with changed data. However, you may click Process New to run a new audit to reflect changes made that day.
19 Audits are a snapshot in time any changes to a student record will trigger a new audit overnight, and only the most current one is saved in DegreeWorks. If you wish to save an audit, you may click Save as PDF. A pop-up of the audit will appear, giving you the ability to save to your desktop (and as an attachment), and view a printer-friendly version.
20 What If audits allow you to process speculative degree audits for a student using their current class history. Choose a Degree, Major, and, if applicable, a Concentration. Click on the Process What If button on the top of the screen to generate a new worksheet with the hypothetical program requirements.
21 The Academic Planner is a tool that students and advisors use to schedule a course of study by semester. Students (and advisors) have the ability to create and save plans, which can then be approved (locked) by advisors.
22 Click on the Planner tab to access the Academic Planner. The current worksheet appears on the left side of the screen. The Planner appears on the right. You can increase or decrease each side by dragging the gray bar in the middle of the screen to the left or the right.
23 To add a new plan, you must first name it in the Description box and identify the academic year. It is helpful to name the plan with the intended major and year (i.e. General Studies Fall 11).
24 1. Scan the worksheet on the left and look for any requirements that are marked as Needed. 2. Drag and drop (or type) needed courses from the worksheet to the term the student plans to take the course. 3. Add any pertinent notes in the notes field. 4. Click the Save Plan button.
25 1. Clicking on the Process New button will take any planned terms you have checked and add them to your worksheet. Note: The planner will not stop you from planning a course in a term when it is not offered. 2. This feature makes it easy to see any courses you have not planned for, as planned courses will now appear in blue on your worksheet and missing courses will appear in red.
26 Clicking the link More info on these classes will bring up the descriptions and schedule for all of the courses you have placed in that term. This information is very useful for planning a student s schedule. You may plan out as many terms as you need, based on the desired amount of courses per semester. Once the plan is saved, the advisor may lock the plan (by adding a check mark here), which will prevent the student from making any changes. Don t forget to save again.
27 If the student does not have an existing plan, this drop-down menu will default to Add new plan. Saved plans will be listed here along with the Add new plan option. Use the Load button to load the one you want to view. You may create and save more than one plan (perhaps for a double major or certificate), but only one plan may be active at a time.
28 If you want to plan courses for a different major, you may click on the Show What If Options button on the planner page. Fill in the What If fields, check off Use What If Scenario, and process a new audit to plan for a different program or certificate. Note: You must have one term checked off with at least one course in the planner to process a What If.
29 The Notes & Goals tab allows advisors to keep track of what was discussed with a student during an advisement session. To view your note or notes added by other advisors, click on View Notes.
30 To add a note, click on Add Note. Here you can either choose one or more of the predefined notes from the drop-down menu or enter in your own text. After entering in your note, click the Save Note button to apply this information to the student s Notes & Goals page.
31 Click on the GPA Calc tab to use the three different calculators.
32 Graduation Calculator This calculator can be helpful in determining the average grade needed in all remaining classes in order to achieve a desired final GPA. Current GPA is filled in for you. Credits remaining is the number of credits that must be completed in order to graduate. This information is available on the Audit worksheet. Credits Required is the number of credits required to graduate. This information is also available on the worksheet. Desired GPA is the GPA the student would like to achieve by the time they graduate. Term Calculator This calculator will help determine what a GPA will be at the end of the current term based on anticipated grades in current courses. Current courses are listed, along with the number of credits that course is worth. Students may select the grade they anticipate receiving in each course and click Calculate. Advice Calculator This calculator will display the minimum number of credits in order to raise a GPA to a specific level. For example, a student with a 1.9 GPA can use this calculator to determine how many credits they must take (and get an A in) in order to achieve the 2.0 GPA required to graduate. Simply enter the desired GPA and click Calculate.
