2 About INSSAN Indian National Suggestion Schemes Association (INSSAN) is a non-profit making registered Association of industrial and business organisations, representing a cross section of Indian Industry dedicated to the promotion of Employee Involvement through Suggestions/ Ideas. Founded on 4 th April 1987, INSSAN has a membership of over 500 organizations. Our goal is to help member organizations build Competitiveness and Quality through Employee Involvement, using Suggestion Scheme as an effective medium. INSSAN achieves it s mission by assisting member organizations by: Collecting and disseminating information, statistics and programme material about Suggestion Schemes. Developing professional standards and programmes for enhanced efficiency and effectiveness of Suggestion Scheme. Organizing Training Programmes, Workshops, Consultancy programmes for the benefit of Suggestion Scheme managers, administrators, employees, etc. Providing an opportunity for members to meet and exchange information, ideas and to share experiences through Workshops, Annual Convention, etc. Recognizing Excellence in Suggestion Scheme. Encouraging formation of local INSSAN Chapters and Local Centres under Regional Chapters. Recognition by a National Body, like INSSAN, the only of its kind in India, has proved to be a very effective motivator. The Annual Contests and the coveted Awards are the Hallmark of INSSAN, initiated through a process, which recognizes outstanding achievement, by individuals, and Organisations through all areas of Employee Involvement. 5 DELEGATE FEES INSSAN Member organizations Rs. 6000/- per person plus Service The above mentioned delegate fees is NET payable to INSSAN after deduction of TDS. ( If applicable in the Organisation) Award Winners have also got to be enrolled as Delegates. The program is non-residential. The fee includes cost of participant kit, lunch and refreshments. 7 INSSAN AWARDS & CONTESTS To recognize Excellence in Suggestion Scheme, INSSAN organizes every year a number of contests at National Level. We firmly believe that success in Suggestion Scheme requires recognition and encouragement at all levels in the organization to achieve the ultimate goal.consequently it becomes imperative to recognize the different target groups within the Organization who have a distinct role to play in making the scheme a resounding success. For example, the Suggestors, primarily the operatives / men at site, provides inputs to the scheme; the Suggestion Scheme Committee is responsible for overall scheme effectiveness; the Scheme Administrators provide the operational support and finally the Top Management provides the vision, patronage and leadership.the various contests conducted by INSSAN aim to recognise contribution of these distinct groups who are in fact partners in realising the effectiveness of the Suggestion Scheme, front runners of the improvement process. 8 OBJECTIVE INSSAN AWARDS FOR EXCELLENCE IN SUGGESTION SCHEME INSSAN Award for Excellence in Suggestion Scheme is awarded to Organisations, who have achieved highest levels of Employee Involvement and Excellence through Suggestion Scheme. ELIGIBILITY GROUPING All Corporate Members of INSSAN Organisations, which are not Corporate Members, can participate, provided they enroll as Corporate Members of INSSAN, by paying Rs. 6,000/- plus Service 12.36% which includes Entrance and Annual Subscription for ANNUAL SUBSCRIPTION FOR SHOULD BE PAID. Member Organisations participating in the contests for the Awards will be grouped into different categories based on the criteria to be determined by an Awards Committee appointed by the Managing Council of INSSAN. The grouping is based on the number of entries received. The decision of the Awards Committee is final and binding to all contesting organisations. This facilitates evaluation of performance within a comparable group based on certain performance parameters. AWARDS Awards are constituted for each group- The first prize carries a TROPHY together with a CERTIFICATE of Commendation. The Runner-up prize consists of a TROPHY together with a CERTIFICATE of Merit. The Awards Committee may consider a CERTIFICATE OF MERIT for the second runner-up. Where desirable, a Merit Award may also be considered. SPECIAL AWARD FOR SERVICE ORGANISATION The Awards Committee may consider recommending a Special Award/s to Service Organisations subject to receipt of minimum number of entries. 9 INSSAN AWARDS FOR EXCELLENCE IN SUGGESTION SCHEME EVALUATION CRITERIA The Awards Committee will determine the criteria for evaluation. The performance will be evaluated based on the following principles- Factors representing Employee Commitment. e.g. Number of Suggestions received, Number of Employees participating. Factors indicating Management Commitment. e.g. Suggestions accepted, implemented, rewarded, benefits shared and processing lead time. Results achieved e.g. Savings Realised, Suggestions implemented. APPLICATION PROCEDURE & OTHER RULES Application must be made in the prescribed form (as given on next Page No. 9 & 10). Incomplete and incorrect applications will be rejected. The awards will be determined based on information provided by the applicant. It is the responsibility of the Principal Nominee - member of the Organisation concerned to ensure correctness of information furnished. However, in cases of exceptional data, a visit by the member of the Awards Committee will be made for verification. If required, members of the Awards Committee may visit the units of the contestants to acquaint themselves with the Company s Suggestion Scheme. The decision of the Awards Committee is final and binding on the contestants. No appeal of whatsoever nature will be entertained with respect to awards given to any Organisation. Wherever necessary INSSAN will make use of the information furnished for furthering it s objectives. Member Organisations which have not paid their dues and subscription are also eligible to contest, provided the outstandings are settled in full in advance alongwith the application. Non reporting of information in the Application Form, the applicant will not get any evaluation points for those parameters and the Awards Committee may reject the application itself and no communication will be entertained by Awards Committee. Only ONE copy of the Organisation s Suggestion Scheme Manual should be enclosed with the Application for Contests. Only the Award winning Organisations will be communicated the result of the contest. Net savings pertaining to the suggestions which were accepted during April 2013 to March 2014 and to be calculated only for the period of ONE YEAR. In other words. Savings should exclude recurring benefit of the previous/ following years. Savings are to be computed as far as possible based on actual accounts. Figures for need not be furnished if the Scheme was not in operation for the complete period. 12 POSTER CONTEST THEME To highlight one or more motivating aspects of Suggestion Scheme and other Employee Involvement processes and it s benefits to the Organisation and it s employees. ELIGIBILITY An individual employee of a Member Organisation. An employee of a non-member Organisation can also participate subject to an entry fee of Rs. 500/- plus Service 12.36% per entry, in addition to the Delegate fees of Rs. 8000/- plus Service 12.36% per delegate. AWARDS First, Second and Third Prize. Merit Awards may also be considered at the discretion of the Awards Committee. A Commendation Certificate will also be given with each of the above Awards. APPLICATION PROCEDURE Maximum number of entries based on the number of Employees in the Organisation Less than 2500 employees : 4 entries : 6 entries : 8 entries Above : 10 entries Poster should be painted with Sketch Pen or Brush on 50 cms. x 38 cms. 130 gsm (white coloured) paper or mounted board. Only three flat colours are permitted. A margin of 2.5 cms. from 3 sides and 5 cms. from bottom should be drawn. (In other words - the design area should not be more than 42.5 cms. x 33 cms.) It can feature a caption in English or Hindi. Note: An earlier, already awarded Poster in any contest will not be considered. 13 SLOGAN CONTEST THEME The slogan should be a phrase or a combination of words that rhyme and should convey a Message on: Ways to increase awareness of Employee Involvement Processes like Suggestion Scheme Usefulness of the above for achieving increased productivity, cost savings. Benefits of the above to the Organisation Ways of activating Employee Involvement process For example : SUGGESTION SCHEME ACTIVITY - A WAY TO PRODUCTIVITY ELIGIBILITY An individual employee of a Member Organisation. 14 RULES AND GUIDELINES SLOGAN, POSTER & ESSAY CONTEST Rules and guidelines applicable to both contests are: 1. The entry should be an original work of the entrant and should not be a copy (either in full or part) of any other publication. 2. The entries will be evaluated by the Awards Committee. 3. The decision of the Committee in respect to award etc. will be final and binding to all concerned. 4. All entries are the property of INSSAN and it will have the right to make use of them in a manner deemed fit. 5. Entries received after the closing date or not meeting the conditions specified will be rejected. 6. No correspondence or query with regard to any entry will be entertained. 7. Entries should be forwarded under a covering note indicating: Name of the Organisation. Membership Number of the Organisation. Address, Telephone, Fax Number and ID. Number of Entries (separately for Poster & Slogans). Name and Signature of the Principal Nominee along with a Declaration on the reverse of each entry. The format of the Declaration is as follows: DECLARATION (To be featured on the reverse of each Poster or Slogan) I hereby certify that the Poster / Slogan proposed for the Contest is my Original creation and has not been entered earlier for any other competition. Corporate members who have not renewed their membership will also be eligible to participate provided the outstandings are settled in full. 11. 15 BEST ESSAY CONTEST ON THEME INVOLVE, INTERACT, INNOVATE The author will have his own personal ideas or opinions on the above theme.the subject must be clearly defined. It should have his individuality in it. The essay should express his own views and experience. Let there be a note of sincerity in all that the author writes. The essay should project suitable subject matter,proper arrangement and adequate power of expression. It should clearly explain the relationships of each word in the theme given above and it s collective result which terminates into the expected successes. Actual examples out of experiments made by author himself should be highlighted and should be part of the essay. Mere mention of somebody elses results or opinions of other s will not be carrying any weightage. Author s own efforts will carry higher weightages. How the innovation is driven and made part & parcel of system of organisation s working has to come out clearly from the essay. RULES AND CONDITIONS: 1. The essay should be limited to words. 2. The essay should be typed on A4 size paper with clear margins on both sides and should be typed on one side only (not back to back). 3. Language : Either English or Hindi 4. It should be an original creation of the author. 5. Avoid participating with an earlier awarded essay. Self declaration is a must to that effect. Eligibility: As mentioned for Poster and Slogan Contest. Awards: As mentioned for Poster and Slogan Contest. Other rules and conditions are same as Poster and Slogan Contest. 16 BEST POEM / JINGLE CONTEST A Jingle should not exceed 4 lines. The poem will be with maximum 12 lines or maximum 3 stanzas of 4 lines each.the poem will describe INSSAN / It,s activities / usefulness of suggestion scheme to empmoyees or organization. It should be neatly handwritten or typed on a A4 size paper. The poem should be such that it can be easily made into a Jingle and can be recited with musical accompaniment. There will be three prizes-1st,2nd and 3rd ( inclusive of English & Hindi language.) It should be an original creation of the author. Language of the poem-either English or Hindi. It is an individual contest for employees of members of INSSAN and has thus to be certified by the principle nominne as in the case of slogan/poster/essay contests. Only award winners will be communicated the result through their principle nominee. Decision of the Awards Committee will be final and binding to all contestants. BEST ORGANISATION All organizations whichever participate in this 25th NC,will be eligible for this contest. No separate entry is required. Participation by their employees as delegate, contestants,will make the organisation s entry valid in this contest. There will be two prizes: BEST OF BEST and BEST The prizes will be in the form of trophy and a commendation certificate and the same will be announced and given on 17 th January 2015 during the valedictory function. Decision of the Awards Committee will be final and binding to all. The evaluation is based on maximum participation by employees as delegate, contestants, SS performance in last three years, awards of INSSAN won in last three years, regularity in payment of annual subscription to Inssan, support to INSSAN in last three years, judicious use of EI tools like 5S, KAIZEN, SS, QC, CFT, TPM, TQM etc. etc. 14 I n d i a n N a t i o n a l S u g g e s t i o n s S c h e m e s A s s o c i a t i o n Page 15
17 TECHNICAL PAPER CONTEST PROCEDURE FOR SUBMISSION Papers are invited in English and Hindi on the theme of the Convention: The Paper should be an original work of the author / authors based on their own experience and should not describe Suggestion Scheme of the Organisation. The author should be able to come out with a plan-how to inspire a culture of innovation in the organization which will address the ever increasing need for innovation capacity of employees.how to have stronger brand culture with employees and customer loyalty.improved employee engagement with focus on improvement and creating value.purposeful employee network with ability to collaborate to find solutions faster. One hard copy and One Soft copy of the full text and graphics in English or Hindi of the Technical Paper / Best Suggestor Case Study, along with the name and designation of the presenter, duly certified and signed by the Principal Nominee to be sent. The Paper in English / Hindi should not exceed 3000 words, and prepared on double space on A4 size paper, should be forwarded before the prescribed date. In addition to the hard copy, one soft copy (CD) of the Technical Paper, should also be sent by (in MS- Word format). In the case of the Hindi Papers, the font used should be sent on a CD separately. A copy of the Presentation on CD will be required, as INSSAN intends to bring out all presentations on a single CD, for the benefit of records as well as members who desire to have a copy. Generally each presentation will not exceed Twelve minutes including questions and answers. Actual time for presentation will be announced at the time of Convention, if required. Participants may use Computer aided presentation/ projection system. All Paper Presenters have to present the paper personally and register as delegates. One hard copy of full text and graphics in English or Hindi of the Suggestion Case Study, along with the Name and Designation of the Presenter, duly certified and signed by the Principal Nominee to be sent. 3. In addition to the hard copy, one soft copy (CD) of the Suggestion Case Study on CD and through (in MS-Word format) should also be sent. 4. Each presentation will not exceed Eight minutes including questions and answers. 5. The Contestant will be eligible for the Award only if the Case Study Presentation is made personally. A copy of the Presentation on CD will be required during convention, as INSSAN intends to bring out all presentations on a single CD, for the benefit of records as well as members who desire to have a copy.
