3 KEY FACTS (full A-Z Exhibitor Information & Regulations from page 15) 03 Design Renders: all exhibitors, except 10x10s, are required to submit a render including all dimensions for approval by January 22. Submit your booth design via your online Exhibitor Kit under Uploads>Stand Design, or it to tamara@sxsw.com. Booth Dressing & Utilities: carpet/flooring is not included with your booth, contact Freeman Exhibitor Services with enquiries and to place orders. Electricity is not included with your booth, but a free wifi network will be available to all exhibitors you may not set up your own wifi network. Refer to the Freeman Exhibitor Services pack for questions regarding power, wifi or hard-wired internet connections. Stand Assignments: your booth number(s) will be announced at the end of January you do not need your booth number(s) to place any orders. Note: exhibitors will not receive their booth numbers until we have received your signed contract, full payment and, for booths 20x10 and larger, your design. Stand Location: you may request a Trade Show location with your Account Manager, however we cannot guarantee your choice. Each booth s position is determined by many factors and is at SXSW s final discretion. The entire Trade Show gets very busy, so the single most important factor for exhibition success is the experience and engagement offered to attendees, not location. Booth Walls: hardwall booth panels will be black; pipe & drape booth drapes will be black. No adhesives, drilled holes, pins, staples, or cutting are permitted Freeman Exhibitor Services, will charge for any marks, damage, or residue. Contact Freeman for precise dimensions and advice on vinyl-wrap graphics, banners, display structures, and other ideas for displaying/mounting your branding and materials. Shipping: all shipping and material handling to/from the ACC is managed by Freeman Exhibitor Services. Refer to their portal by clicking from your online Exhibitor Kit for address labels and full details. Booth Staff: booth workers and ambassadors must staff their booths during all Trade Show operating hours, and are not permitted to roam the Trade Show or solicit outside the Halls. Unstaffed booths at any time for any length of time or abandoned/dismantled before 2pm on March 16 will be fined $1,500. Exhibitor Passes: solely for booth staff; they are not name-assigned and may be shared among shifts of workers, but must be worn at all times inside the Trade Show halls. Exhibitors will receive 2 worker passes per 10x10 footprint. Catering: all orders must be placed with the ACC s official catering service, Levy. No food or beverages can be brought in from outside suppliers. Refer to your online Exhibitor Kit for further information. Sound: noise levels will be closely monitored maximum level is 85dB for all live/recorded music performances or spoken presentations, and are limited to a maximum of 15 minutes per hour. Footprint*: virtually limitless, but no smaller than 20ft x 30ft (6m x 9m). Speak to your Account Manager for further details. ACCESS TIMES (EXHIBIT HALLS) On show days, exhibitors may access the exhibit halls via the dedicated Exhibitor Pre-Show Entrance one hour before doors open to set up your booth. At closing time, exhibitors will have up to 30 minutes to tidy/secure materials and exit via the main doors. SXSW and Show security will enforce these hours in order to maintain a secure and safe environment for all exhibits. Please also refer to Load In/Out in this Handbook for further details. ACCESS TIMES (SERVICE YARD) During load in/out exhibitors may access the service yard and loading bays. Exhibitors may not exit the halls at any time through the service yard on show days. AUDIO / VISUAL / TECH EQUIPMENT If you would like to rent any plasma screens, small PA systems, projectors, laptops or tablets, etc, find details in the Freeman Exhibitor Services pack under Order Forms in your online Exhibitor Kit. BALLOONS Helium balloons are not permitted by the Austin Convention Centre. If you bring any, note you may also be fined $100 by the ACC for each balloon that floats to the ceiling. BLOCK PARTY In a change for 2016, the Block Party event has been replaced by a new networking feature: Trade Show Meet and Greets. Please refer to the paragraph on page 19 of this Handbook for details. BOOTH ASSIGNMENTS Your booth location & number(s) will be announced at the end of January you do not need your number(s) to place orders with suppliers before then. Exhibitors will not receive booth numbers until we ve received your signed contract, full payment, and your booth design (20x10s and larger). BOOTH CEILINGS Overhead booth awnings, canopies or rigid ceilings are permitted, subject to adhering to the shape and height limits prescribed for your booth type, they do not obscure any sight lines, and they are flame-retardant. Any overhead covering over 300 sq ft (27.9m 2 ) must be fitted with smoke detectors and a sprinkler system, and be approved by the ACC s fire marshal. Any booth with an overhead covering sq ft must have a fire extinguisher.

BOOTH LOCATION You are welcome to express location preferences to your Account Manager, which will be taken into serious consideration, however there are no guarantees. Each booth s position is determined by many factors, and is at SXSW s final discretion. The entire Trade Show hall gets very busy, so the experience and engagement offered to attendees is far more important than location. Refer to Exhibiting Success in this Handbook and speak to your Account Manager for further advice. BOOTH SHARING Two companies may share a booth space only if the secondary company is a subsidiary or distribution partner of the primary company. A sharing fee of $500 will be charged. n BOOTH STAFF Exhibitors must staff their booths during all operating hours of the Trade Show. Booth workers are not permitted to roam the Trade Show, or solicit inside or outside the ACC. Note: unstaffed booths at any time for any length of time, or abandoned/dismantled before 2pm on March 16, will be fined $1,500. Please refer to your Stand Contract for details. CANCELLATIONS For any reason you need to cancel your booth, please note refunds are not issued at any time. Furthermore, any cancellations made after February 27 will also incur a $1,000 penalty charge. Please refer to the Refund Policy paragraph of your Stand Contract for details. You may use the funds spent on the booth towards another marketing item your Account Manager can advise.

17 A-Z EXHIBITOR INFORMATION & REGULATIONS 17 CATERING No food or beverages can be brought in from outside suppliers. All food & beverages consumed, prepared, or distributed including promotionally, must be purchased through Levy, the ACC s official caterers. Find information and contact details in the Hospitality Menu under Order Forms in your online Exhibitor Kit, or Kim at krobinson@levyrestaurants.com directly. CHECK-IN Please refer to the Exhibitor Arrival Guide, which can be downloaded from the Schedule/Housing tab in your online Exhibitor Kit. Here you will find load-in dates, times, maps, parking information, and notes on where and when to check in and collect your Exhibitor Passes, SXSW Registration(s) and other credentials (see page 18 for a breakdown of all the credentials). CHILDREN During load in/out, children aged 15 and under are not permitted in the Trade Show halls or the service yard & loading bays, for health and safety reasons as per the ACC s building regulations. CLEANING If you require any cleaning services for your booth, including vacuuming, place your order with Freeman directly. Find information and contact details in the Freeman Exhibitor Services pack under Order Forms in your online Exhibitor Kit. COME & CAPTURE The Come and Capture area in the busy northwest corner of the Trade Show is reserved for film exhibitors manufacturers, filmmakers and app developers to showcase their new tools for capturing and creating content. For further information about exhibiting in this area and to take part, contact sara@sxsw.com. COMPANY PROFILE Once your booth is booked, please submit your company profile as soon as possible: a 200-word description for all online/digital listings. You re free to edit it at any time, but note that it can take up to 48 hours to update on all platforms. Write your profile under Company Description in your online Exhibitor Kit.

18 A-Z EXHIBITOR INFORMATION & REGULATIONS 18 CREDENTIALS TRADE SHOW ACCESS Set Up Stickers For colleagues or contractors who only need access to build/dismantle your booth. Only valid during load in/out, they do not grant access to the Trade Show once it s open. Exhibitor Passes For booth workers; you do not need to provide us with workers names as they re not nameassigned, so can be shared among shifts of workers. They must be worn by non-registrant workers at all times inside, and to enter the Trade Show halls. You will receive two Exhibitor Passes per 10x10, and if needed, you may purchase one additional Exhibitor Pass per 10x10 for $125 each by contacting your Account Manager. Exhibitor Passes do not grant access to any other SXSW activities. SXSW Registrant Badges These are Conference Registrations and will grant access to all SXSW activities (badge typedependent), including the Trade Show. Exhibitors Registrant Badges will say Exhibitor on them, so wearing an Exhibitor Pass as well is not necessary. Each booth, regardless of its size, comes with one complimentary Platinum Registrant Badge. Purchased Registrant Badges cannot be refunded, but can be transferred to someone else we will waive the fee if you contact your Account Manager to make the request. Trade Show Day Passes Each exhibitor will receive eight Trade Show Day Passes. These can be given to anyone you choose who does not already have a valid Trade Show credential, eg a guest, a client, a colleague but they are only valid during the Trade Show s open hours. DIGITAL MAP When it s published, you can find a digital map of the floor at sxsw.com>exhibitions>trade Show heading. All exhibitors booth locations will be displayed in this map (once assigned at the end of January), as well as all the highlighted enhanced listings of those exhibitors that upgraded their profile. Please refer to Enhanced Listings on page 19 in this Handbook for details. DIGITAL MUSIC LOUNGE The Digital Music Lounge, located in a prime dedicated space in the Trade Show, showcases some of the newest start ups representing the evolving world of technology and music. For further information and to take part, contact Stacie Cline at cline@sxsw.com. DISCOUNT DEADLINES Some of our exhibition suppliers offer discounts on items and services ordered early. Please refer to the Order Forms section of your online Exhibitor Kit for deadline dates.

19 A-Z EXHIBITOR INFORMATION & REGULATIONS 19 EACs (EXHIBITOR-APPOINTED CONTRACTORS) An EAC is a third-party company other than SXSW s official contractor, Freeman, that an exhibitor may choose to engage to provide equipment, materials, or services (eg stand builds, display units, etc). SXSW will only permit EACs to operate upon receipt of their Certificate of Insurance and written completed EAC form from the exhibitor. Please refer to Uploads in your online Exhibitor Kit for full details and T&Cs, and return them by February 15 via the upload link. ELECTRICITY A power supply does not come as standard with your booth. Refer to the Freeman Exhibitor Services pack under Order Forms in your online Exhibitor Kit for full information and contact details. ENHANCED LISTINGS You have the opportunity to enhance your exhibitor profile in all the Trade Show exhibitor listings, which appear on the touchscreen digital kiosks in the Trade Show, on sxsw.com, and in all printed program guides. Contact your Account Manager for information on how to upgrade. EXHIBITOR MEET & GREETS New for 2016, Exhibitors have the chance to participate in hourly Meet & Greet slots during the Trade Show to gain a networking opportunity with attendees. This feature replaces the Block Party of past years. For full details, visit sxsw.com>exhibitions>trade Show>Exhibitor Meet & Greets. EXHIBITING SUCCESS The most important factors for successful exhibiting are the experience and engagement you offer attendees location and size are definitely not everything! Be creative, don t just rely on your good looks and business cards. Design an inviting space and be proactive: demo products, offer snacks, giveaways, photo opportunities, or device charging, provide interactive or one-off experiences unique to your business, and participate in Exhibitor Meet & Greets. Also, promote your Trade Show presence in advance via social media and SXsocial to create a buzz, set up meetings, etc. Talk to your Account Manager for more advice on making the most of your exhibit.

20 A-Z EXHIBITOR INFORMATION & REGULATIONS 20 EXHIBITORS OWN ITEMS Exhibitors are welcome to bring/ship in any of your own booth furniture, flooring, decorations, structures, A/V equipment, etc or any items sourced from an outside supplier (except food & beverages and wifi connections). If you do bring in your own materials, speak to Freeman Exhibitor Services if you d then need material handling assistance or have any shipping enquiries. See Material Handling and Shipping in this Handbook for further information. Exhibitors may only only carry in their materials if they can be transported in a single trip and do not require the use of hand trucks. Anything beyond this must be transported by Freeman for liability reasons. FLOOR PLAN Download the Trade Show floor plan PDF under Schedule/Housing in your online Exhibitor Kit, or refer to the digital map at sxsw.com under Exhibitions. Stand location requests can be made but cannot be guaranteed see Booth Assignments and Booth Location in this Handbook. FURNITURE / FLOORING / DRESSING Your booth is supplied with one 6' x 30" table (black tablecloth) and two side chairs. If you need any carpet/flooring, other furniture, display units, banners etc, contact Freeman Exhibitor Services for information. Download the Decorator Kit from Order Forms in your online Exhibitor Kit. Alternatively, you re welcome to bring/ship in your own items, or anything sourced from an outside supplier (except food & beverages and wifi connections). NOTE: aisle carpets will be red pepper (flecked red & black), so choose flooring to stand out. Hardwall panels and booth drapes will be black. All booth elements must keep within your prescribed footprint and height limits. HANGING SIGNS Only endcaps and island stands are permitted to hang a sign or banner above their booth. They must be suspended directly over the footprint within its dimensions, and the bottom edge cannot hang any lower than 16ft (4.9m) from the floor. Contact Freeman Exhibitor Services to discuss delivery and to book its hanging. Find details in the Decorator Kit under Order Forms in your online Exhibitor Kit. HEIGHT & FOOTPRINT RESTRICTIONS All structures, furniture, décor, and booth elements must be kept within your footprint to keep aisles clear, and each stand type has its own prescribed height restrictions; refer to pages 4 15 in this Handbook for details. Note: any type of booth placed on a perimeter is allowed a 12ft (3.7m) height limit in the centre portion to the back wall, and 4ft (1.2m) within 3.3ft (1m) of any aisle.

21 A-Z EXHIBITOR INFORMATION & REGULATIONS 21 HOTELS (BOOTH STAFF) Exhibiting companies will have access to a limited number of non-downtown hotel rooms for booth workers without a SXSW Registration. Please refer to the hotel request link under Schedule/Housing in your online Exhibitor Kit, or contact housing@sxsw.com. Once you have returned your paperwork and paid your invoice, you will be provided with an exhibitor coupon code. INSURANCE All exhibitors and exhibitor-appointed contractors (EACs) are required to supply proof of liability insurance. For more information and to upload your Certificate of Insurance, please refer to Uploads in your online Exhibitor Kit, or contact chloe@sxsw.com with enquiries. LEAD RETRIEVAL All SXSW badges will have a QR code printed on them. Exhibitors who purchased lead retrieval can then scan these codes using a self-supplied ios or Android device to capture attendees contact information. For full details about how lead retrieval works, what equipment you ll need and how to place your order, please refer to Order Forms in your online Exhibitor Kit and speak to your Account Manager. LOAD IN / OUT Load In: Fri March 11 & Sat March 12 from 9am 7pm, and Sun March 13 from 7am 9am. Load Out: Wed March 16 from 2pm 6pm. For maps, times, parking info and details of where to collect your credentials, download the Exhibitor Arrival Guide under Schedule/Housing in your online Exhibitor Kit. LOAD IN PASS Vehicle access to the ACC s Service Yard is only permitted with a SXSW Load-In Pass at the specified times. Download the Load-In Pass under Schedule/Housing in your online Exhibitor Kit, complete it before arriving, and display it visibly on your dashboard ensure EACs have this Pass too. LOCKDOWN On Sunday March 13 to Tuesday March 15, the Trade Show halls will go into lockdown 30 minutes after closing each evening (ie at 6.30pm) for security and safety reasons. All exhibitors must vacate the exhibit halls by this time. No re-admittance, no exceptions.

Your logo will be displayed with your company profile on sxsw.com, on our digital maps in the SXSW GO app and on the touch screen kiosks in the Trade Show halls, and in the exhibitor listings in all our printed program guides. LOGOS (SXSW S) You may use conference-specific webtiles provided by SXSW to promote your participation in the Trade Show, which you can find under Promotion in your online Exhibitor Kit. If you wish to use SXSW logos for other purposes, you will need approval from SXSW and to sign a licence agreement. Please contact your Account Manager to request a permission form. MASCOTS / BRAND AMBASSADORS Promotional brand ambassadors and mascots are welcome at your booth, but are not permitted to roam the Trade Show or solicit anywhere else inside or outside the Austin Convention Center. nn MATERIAL HANDLING & LABOR Freeman Exhibitor Services provides various material handling services, some of which may be required due to health and safety regulations, and they can also provide extra labor, should you need it for your load in/out. Registrants have access to search for and network with other Registrants using SXsocial. 23 A-Z EXHIBITOR INFORMATION & REGULATIONS 23 NOISE REGULATIONS Exhibitors sound levels will be closely monitored throughout the Trade Show. The maximum level is 85dB for all live/recorded music or spoken presentations. Performances are limited to a maximum of 15 minutes per hour. OPERATING SHOW HOURS The Trade Show runs from Sunday March 13 to Wednesday March 16; open from 10am 6pm Sunday to Tuesday, and 10am 2pm on Wednesday. Exhibitors must staff their booths during all operating hours, and booths must remain fully intact until 2pm on Wednesday. Note that booths unstaffed at any time (for any length of time) on show days, or abandoned/dismantled earlier than 2pm on Wednesday will be fined $1,500. Please refer to your Stand Contract for full details. PARKING Downtown parking, especially near the ACC, will be limited and street closures may make it difficult to get around. We strongly encourage using public transportation where possible, or car-pooling. No parking spaces will be reserved for exhibitors. Please refer to the Exhibitor Arrival Guide under Schedule/Housing in your online Exhibitor Kit for maps and more about parking. PERFORMANCES Exhibitors are permitted to hold live/recorded music performances and spoken presentations at their booths, however please bear in mind that they are limited to 15 minutes per hour. PITCH STAGE The Trade Show Pitch Stage in the southeast corner is a platform for exhibitors to demonstrate their product in front of a live audience and advisory panel in 10-minute slots, available at no cost. PROJECTIONS Any projections must be kept within the footprint and height limits prescribed for your booth type and not interfere with, or obscure any other exhibitors. This includes the content of the projection, what it is being projected on to, the projector unit itself, and any truss or mounts. STARTUP CENTRAL Located in the middle of the Trade Show floor, Start Up Centralshowcases the best up-and-coming businesses in the Interactive industry, from mobile apps to wearable technology and beyond. STARTUP DAILY SLOTS One-day booth slots will be available for cutting edge startups to showcase their products to Trade Show attendees at a reduced cost. Contact your Account Manager for more information. SWAG Promotional merchandise is a useful way of enticing attendees to your booth. Some suggestions include t-shirts, earplugs, sunglasses, phone cases, USB sticks etc. Also, high-end daily giveaways, eg tablets, wearable tech, headphones, and gadgets are extremely popular too. We recommend having at least 3,000 units of the smaller items, and as many as your budget allows of the more expensive items. nn SXSW REGISTRANT LISTS We protect the privacy of all our Registrants and do not publish their contact information. However, Registered attendees do have access to SXsocial at social.sxsw.com where they can search for and connect with other Registrants. VEHICLES and Vehicles for exhibition display or for towing need to be the first to load in and are usually the last to load out, and you must book spotting with Freeman Exhibitor Services. Any vehicles/trailers with a roofed area over 100 sq ft (9.3m 2 ) must be fitted with smoke detectors and a sprinkler system.
