When there is a glitch in the system, it s all hands on deck to resolve the problem quickly and keep the operations running smoothly. For First National Bank of Arizona, having all hands on deck means many different people in many different parts of the company simultaneously analyzing, strategizing and making important decisions. Having everyone working off the same page at the same time is critical. INSIDE THIS ISSUE Page First National Bank turned to ExhibitOne to create and integrate a sophisticated communications system that would link the company s Network Operations Center (NOC) with key areas within the company, including its War Room, and the Executive Boardroom. NOC (Network Operations Center) Troubleshooters and network monitors reside in the NOC. Utilizing a two projector set up and a satellite feed, they access multiple connections to the network to diagnose potential problems or crisis situations. They utilize an electronic white board and a projector to diagram and analyze the situation. (Continued on page 2) Page

2 First National Bank, Arizona Executive Boardroom This is where the executives of the bank meet in the event of a crisis situation. Utilizing an audio video quad view splitter, computer data from the NOC and the War Room are fed into the audio video projector system. From this location, the executives can use audio video to teleconference with team members for feedback and status. They can also connect to other facilities throughout the United States. Communication Between the Network Operations Center, War Room, and Executive Boardroom A digital computer video (VGA) link extends from the NOC and goes to the War Room and the Executive Boardroom. The link enables people in both rooms to remotely monitor the data being displayed in the NOC. The Executive Boardroom has a ceiling mounted projector and a wall mounted 43 Plasma display. The projector can project on two different surfaces both the electronic whiteboard and the electric screen. The Executive Boardroom has the capability of displaying a quad view such as: the NOC s projected screen images, a laptop feed, the room computer and a CNN TV feed. There are three laptop plug-in stations on the conference room table linking the laptops to the projector and ceiling mounted speakers, if audio support is needed. The Executive Boardroom also has an owner-furnished computer controlled by a wireless keyboard and mouse. The electronic whiteboard software resides on this computer. All audio is heard through the ceiling mounted speakers. The War Room and Conference Room each have a manual pull down projection screen and have future expansion capabilities to add a ceiling mounted projector, ceiling speakers, DVD/VCR, audio conferencing, video conferencing and cable or satellite feed through a tuner. 3 First National Bank, Arizona Audio conferencing in all of the rooms utilize the tabletop microphones. The audiovisual system is operated by a control system. The custom programmed control system comes with a wireless touch panel. This control system controls power for the projector and source selection on the projector (Network Operations Center PC, War Room PC or Laptop). The programming for the control is custom developed to incorporate functionality that is vital to the users. In addition, every room is equipped with an overhead projector that is connected to the network for monitoring and maintenance. 4 Press Release Arizona State Agencies Can Now Buy Audio and Video Products and Services on Contract Through ExhibitOne PHOENIX (November, 2006) ExhibitOne Corporation, one of Arizona s top audio/visual product and services companies, has been awarded a contract with the Arizona Department of Administration (ADOA) for the next three years. Arizona State agencies can now buy selected audio/ visual products and services from ExhibitOne at special pricing under state contract # EPS A1. 5 Top Ten Video Conferencing Tips Top 10 Things to Think about when Holding a Video Conference 1. Testing. 1, 2, 3 Testing. Test your presentation materials and your equipment far enough beforehand that you can make changes/ adjustments if they are needed. Arrive at least 15 minutes prior to the beginning of the conference to ensure everything is in order. 2. Agenda and Ground Rules. Start the meeting with an agenda. Try to keep to no more than an hour. Plan on a 15 minute break if the event is scheduled for any length of time beyond an hour. Clearly set meeting ground rules as a part of the meeting invitation. And remind participants of those rules in the introductory portion of the conference. Examples could include: Stating a person s name before addressing the conference, no cell phones, maximum wait time (5 minutes) for people to assemble before beginning, whether the event is being recorded, clarity in referring to documents etc. 3. Reminder. Send a reminder of the meeting and any meeting logistics one day prior to the meeting. 4. Minutes. Distribute conference minutes within a day of the conference, including action items and any scheduled next meetings. 5. Slides. If slides such as PowerPoint are used, use large (24pt, bold or larger), clear (san serif) fonts. Use wide margins as there is always a potential for edges to get cut off on some screens. Stay in the landscape format and keep with simple pictures and few words. With any presentation materials / documents, when at all possible, send copies to participants at least a couple of days in advance so they have a chance to review. 6. Site Coordinator. Establish a point-of-contact person / coordinator for each video conferencing site. This person will be responsible for facilitating any local logistics for ensuring a quality experience at the local site. Additionally, if a local or systemwide technical problem should occur, the point-of-contact will have been provided with a Plan B in advance and can act accordingly. 7. The Camera. Know where the camera is and look into it when speaking. To the listeners/viewers, it will appear as if you are speaking directly to them. 8. Lighting. For maximum video quality, the light in the room must be bright and evenly distributed. 9. Mute Button. In some companies, using the mute button is seen as rude. However, its use is very effective for keeping background noises (rustling paper, heaters, air conditioners, coughing etc) from distracting from the speaker. Whether the mute button is used or not absolutely no side conversations allowed!! The lack of attention is seen as rude by others, and if the mute button is not used the noise is picked up and who knows maybe even your conversation! 10 Speaking. Speak in a normal tone of voice. Video conferencing equipment amplifies the voice. Along those same lines, avoid speaker phones as they produce an echo effect and tend to have uneven coverage when numerous people in a room may be speaking. Page 5
